CHARACTER OF THE EXHIBITION: The IEEE APS/URSI and/r its designated agent reserves the right t determine the eligibility f any cmpany, prduct r service and the right t restrict, prhibit r evict any Exhibitr r prduct which detracts frm the character f the Exhibitin r fr any vilatin f the fllwing Terms and Cnditins. 2. LOCATION/DATES: The 2019 IEEE Internatinal Sympsium n Antennas and Prpagatin and URSI Radi Science Meeting will be held July 7-12, 2019 at the Hiltn Atlanta Dwntwn, Atlanta, Gergia. Shw Hurs: 09:00-18:00 Tuesday, July 9, :00-18:00 Wednesday, July 10, :00-15:00 Thursday, July 11, 2019 The meeting management reserves the right t make changes in the Exhibit hurs. Hwever, such changes will be made knwn as far in advance f the Exhibitin as pssible. As part f the cntract with IEEE, all Exhibitrs must guarantee that their bths will be staffed during all shw hurs 3. INSTALLATION AND DISMANTLING: Spaces will be accessible t Exhibitrs fr setting up displays n Mnday, July 8, 2019, frm 13:00 t 18:00. BOOTH SIZE/FEE/EQUIPMENT: A full exhibit area is 10 feet x 10 feet at a cst f U.S. $3, (by 3/30/2019) / U.S. $3, (after 3/30/2019 and while space is available). Failure t make fi al payment cnstitutes a cancellatin f this cntract. See Cancellatins sectin f the Terms and Cnditins fr details. Standard equipment entitlements include: rganizatin name n prvided nameplate, rganizatin listing and a descriptin per exhibitr in the n-site directry and n the Sympsium web site, and tw exhibitr registratins granting access t plenary and technical sessins as an audience member. Any additinal equipment requirements may be acquired thrugh shw service vendrs identified in the Service Manual. 5. AUDIO/VISUAL: Exhibitrs are allwed t bring in their wn audi visual equipment t use in their bths; hwever, shw service persnnel are nt respnsible fr maintenance f such equipment. All A/V equipment leased thrugh shw services must be reserved in advance via the Service Manual frms. 6. SPACE ASSIGNMENTS: Space assignments are made by IEEE n a first-cme, first-served basis, with all assignments made in the best interest f the Exhibitin. The Exhibitr s bth lcatin preference will be requested and assigned whenever pssible. IEEE reserves the right t alter an Exhibitr s assigned space, if it is necessary and is in the best interest f the Exhibitin. The Exhibitr will be cnsulted befre IEEE exercises this right. 7. SUBLETTING OF SPACE: The Exhibitr shall nt assign, sublet r apprtin the whle r any part f the space assigned r have representatives, equipment r materials frm ther firms than his wn in the exhibit space withut written cnsent f sympsium rganizers. Only ne cmpany shall be cnsidered as the Exhibitr. Any ther cmpany r unit in the space shall be cnsidered a subsidiary r affiliate. 8. GENERAL REGULATIONS: Ludspeaker sund displays are prhibited. The sympsium staff reserves the right t refuse any exhibit nt in gd taste r incnsistent with a meeting f this kind. 9. SAFETY CONSIDERATIONS: All exhibit and space materials must be in cmpliance with lcal fire and hazardus materials handling rdinances. Vlatile ils, gases, ther explsives r any substance prhibited by the city departments r authrities will nt be permitted in the exhibitin area. Likewise, all electrical wrk and wiring must be apprved and installed in accrdance with regulatins. Crridrs leading t exit drs and all entrance and exit drs shuld be kept clear f bstructins at all times. N bjects are t be attached t r suspended frm the fire sprinklers r light fixtures n the ceiling. Under n circumstances shuld the fire alarm call pints, fire hse reels, fire extinguishers and exits be blcked r access t them be impeded by exhibitin bths, partitins, exhibits r ther bjects. 6

N Exhibitr r representative shall cntract fr such services with ther than the said fficial Cntractr withut the express written cnsent f sympsium rganizers, which, fr reasns f security, in their sle discretin can deny such permissin. 11. ON-SITE REPRESENTATIVE: Exhibitrs shall keep an attendant in their space during all exhibit hurs. 12. SECURITY/LIABILITY: Overnight security persnnel will be present in the exhibit area. The Exhibitr assumes entire respnsibility and agrees t prtect, indemnify, and defend IEEE, sympsium spnsrs and their emplyees and agents, harmless against all claims, lsses and damages t persns r prperty, gvernmental charges r fines, and attrney s fees arising ut f r caused by exhibitr installatin, remval, maintenance, ccupancy r use f exhibit premises r a part theref, excluding any such liability caused by the sle negligence f sympsium rganizers, its emplyees and agents. In additin, Exhibitrs acknwledge that the shw services cntractrs and IEEE d nt maintain insurance cvering exhibit prperty and that it is the respnsibility f the Exhibitr t btain business interruptin and prperty damage insurance cvering such lsses sustained thrugh exhibitin. 13. FACILITY DAMAGE: Exhibitrs, r their agents, must nt injure r deface the walls r flrs f the building, the spaces, r the equipment in the spaces. When such damage ccurs, the Exhibitr is liable t the wner f the prperty s damaged. 14. CANCELLATION: If space cntracted is canceled by the Exhibitr n r after April 20, 2019, r if the Exhibitr fails t ccupy the space cntracted, IEEE is entitled t the full amunt f the space rental. 15. AMENDMENT TO EXHIBITOR AGREEMENT: Any and all matters r questins nt specifically cvered by the preceding rules and regulatins shall be subject slely t the discretin f the Sympsium rganizers and IEEE. 16. INABILITY TO PERFORM: If IEEE shuld be prevented frm hlding the expsitin by any cause beynd its cntrl r if it cannt permit the Exhibitr t ccupy his space due t circumstances beynd its cntrl, IEEE will refund t the Exhibitr the amunt f the rental paid and IEEE shall have n further bligatin r liability t the Exhibitr. 17. SALES PROMOTIONS AND DRAWINGS: All prmtins cnducted by the Exhibitr must be free f bligatin n the part f the winner and participants. All prmtins and drawings must be apprved by IEEE prir t the pening f the event. 18. PATRON AND GRANTOR ENTITLEMENTS: Cmpletin f the supprt and grants prtin f the Applicatin Frm is a cmmitment t supprt. Full payment must be received r the cntract will be cnsidered null and vid and all prmtinal entitlements will be withdrawn. IEEE, at its discretin, may make reasnable changes, amendments r additins t entitlements. T be included in the Sympsium On-Site prgram, as a Diamnd, Platinum, Gld, Silver, r Brnze patrn, IEEE must receive the cntributr s signed Applicatin and applicable payment by April 12, Missed deadlines are nt remunerable by IEEE. 19. COMPLIANCE WITH TERMS AND CONDITIONS: IEEE, at its discretin, may make reasnable changes, amendments r additins t these Terms and Cnditins.
