5 Using This Guide,To hep you use your teephone to its fuest capacity, we have written a cear, comprehensive user guide. This guide is divided L into eight sections, each of which is marked with a tab for easy access. These sections te you how to: Answer cas, Makecas,. Hod cas, Transfer outside cas, Make conference cas, Leave messages, Program your teephone, and Perform misceaneous functions. For your convenience, a quick reference guide, a gossary and an aphabet&a index are incuded in the back of this user guide. If you have an LCD speakerphone (Figure ), Tabe 3 gives you a summary of what you wi see in the dispay and when you wi see it.

6 Knowing Your Teephone The foowing features on your teephone are expained in terms of what they aow you to do. The teephones in Figures 1 and 2 are the same except for the additiona programmabe buttons and the dispay shown in Figure 1. Hod Button - Paces a ine on hod - Stores pauses in number sequences whie programming - Used for programming and accessing second eve autodias Voume Contro - Reguates the voume of the speaker and the handset Intercom Button (ITCM) - Seects an intercom ine - Initiates many of the features of the teephone Ringer Voume Contro (LO, HI, OFF) - Lets you vary ringer voume from ow to high to off TAP Button (must be preprogrammed for either function) - Recas dia tone, or - Activates host system features Tranc;fer/Conference Button (TRANSICONF) -.Transfers cas - Sets up conference cas Mute Button - Keeps the person on the ine from hearing your conversation - Adjusts the contrast of the dispay from ight to dark Speaker Button (SPKR) - Turns your speaker on or off - Disconnects a ca when your handset is on-hook - Ends or cances programming Message Waiting Light - Tes you that there is a message for you Continued on next page.. 2

10 Using Your Speakerphone A speakerphone gives you the freedom to use your teephone without ifting the handset. After initia contact is made, you can carry on a teephone conversation and sti be free to do other things. Whenever the instructions Lift the handseto tak appear in this guide, they may be ignored if you have a speakerphone. During the course of a conversation you can aways switch from the speakerphone to the handset for privacy. To do this, just ift the handset and tak. To return to speakerphone use, press the SPKR button and hang up the handset. To manuay pace a ca using your speakerphone: I 1. Press the ine button or the 0 ITCM button. 2. Dia the number. 3. When party answers, tak. To autodia using your speakerphone, just press the programmed button and tak when your party answers. I To answer a ca with your speakerphone: 1. Press the ine button with fashing red ight. 2. When party answers, tak. To end a ca with your speakerphone, just press 0 SPKA. 6

11 What the Lights Mean The ights on your teephone et you know the status of ines, features and the intercom. Next to a DSS/BLF button: Steady red = station is in use. Fashing red = station is receiving a ca. Fast fashing red = station-to-station messaging has been set. Next to a ine button: Steady green = this is your ine, either on-hook or off-hook, when the ine is active. Fashing green = your ine is on hod. Faster fashing green = your ine has been recaed from hod. Steady red = another station is using this ine. Fashing red = a ca is coming in on this ine. Faster fashing red = the ca has been paced on hod by another station. Next to a feature button: Steady red = the feature is on. Light off = the feature is off. Next to an intercom button: Steady red with a quick fash = you are using your intercom. Fast fashing red = auto-redia is in use. Fast fashing red with repeated off periods = night mode is on. Steady fashing red = an LCD message is set on your teephone. What the Rings Mean Two short rings = intercom ca. Singe onger ring = outside ca. One short tone burst = voice announce. Three short tone bursts = ring back from a hed ca, caback from a queued ca. You can vary the ringing tone of your teephone, choosing from one of four different rings. This way, you can identify your ring even though you may not be cose to your teephone. Additionay, so you won t be disturbed when you re busy on a ca and another ca rings at your station, the ring voume is subdued automaticay. :!: 7

12 Outside Cas To answer, NOTE: Using Your Teephone Answering Cas Press button of ringing ine (fashing red ight). Lift handseto tak. Pressing a button is not necessary if: * Your ringing ine is your prime ine, or. Your teephone has ringing ine preference. Intercom Cas To answer a voice ca, Speak toward the teephone. * Lift handset if privacy is desired. NOTE: Voice cas can be bocked. See the discussion tited Voice Announce Bocking for detais. To. answer a tone ca, o Lift handset to tak. Ca Pickup To answer a ca that is ringing within your group, Lift handset. Press WM. 0 Dia 8 # 6. Conhued on next page.. 9

13 Ca Pickup (continued) You can answer a ca that is ringing at any teephone if you know the extension of the Tinging teephone, Lift handset. 0 Press TCM. Dia Dia extension number of ringing teephone. Night Transfer After the attendant sets up the night transfer feature, an outside ca can be answered from any station within the system. Press rtcm when you hear tinging.. Dia e Answer ca. Secure Off-Hook Voice Announce Your. teephone can be set up for Secure Off-Hook Voice Announce (SOHVA). This feature aows an intercom caer to break into your outside ca with an announcementhrough your handset receiver. A Secure Off-Hook Voice Announce consists of both severa short tone bursts and an announcement in the handset receiver. The distant party cannot hear the announcement. To respond 0 Verbay: Press and hod MUTE button down and repy by speaking into handset. Distant party cannot hear response. * Non-verbay: If the announcing station has an LCD speakerphone, pressing a preprogrammed message response Liutton causes a message to appear in their dispay and disconnects the announcing station. 14 Station Monitoring If your station is set up for station monitoring, when a BLF ight fashes (indicating station ringing), you can pick up the ca by pressing the DSS button. However, after you answer the ca and either put it on HOLD or begin to transfer it, the DSS ight wi go out. Press 0 TAP if you have to retrieve the ca. 11

Secure Off-Hook Voice Announce To make a voice announcement to another station that is off-hook or busy on a ca, 0 Make intercom ca. Hear severa quick tone bursts for a SOHVA. Make announcement. When you hear a busy tone, this means the station is on the speakerphone and you cannot make an announcement. The person you are caing wi, however, hear a ring from, his teephone. 0 Wait on ine for repy. If announcing from an LCD speakerphone, caed station may send non-verba repy for dispay. As response is dispayed, the announcing station is disconnected. NOTE: The caer cannot contro how the annomcement is received. This depends upon the equipment used and cass of service programming. 2: j.j4 ::: 75

18 Automatic Caback If the intercom station you have caed is busy, you can queue to the busy teephone. 1. Dia when you hear a busy signa. 2. Hang up. Your teephone wi ring with five short tone bursts when the one you caed becomes ide. 3. After you ift the handset, the teephone you caed wi ring. If you don t ift the handset, the caback is canceed. To cance automatic caback before it rings: 1. Press@a@. 2. Hang up. Automatic Diaing (Autodia) This is one- or two-button diaing using programmabe buttons other than keypad buttons. To automaticay dia numbers, c Preys button programmed for desired number. If button is programmed on second eve (under DSS button), Press 0 HOLD and then press DSS button. Speed Diaing Speed diaing is autodiaing using the keypad buttons. Station numbers are persona numbers, i.e., business associates, trave agencies, etc., that are used ony by you. System numbers are pubic numbers, i.e., the corporate office, the company awyer, etc., that are accessed from every station. Make sure everyone in your group has a ist of the system speed dia numbers. Continued on next page. 16

19 Speed Diaing (continued) To speed dia station numbers if on-hook, Dia the keypad number (0 through 9) you have programmed into your teephone. ma If off-hook and on a ine, :. Press HoLD. 0 Press the keypad digit (0 through 9). To speed dia system numbers if on-hook, Press *. 0 Dia the memory ocation numbers (01 through 99) you have programmed into the system. If off-hook and on a ine, Press HoLD. 0 Dia a pus the memory ocation digits (01 through 99). Last Number Rediaing The ast number diaed can be automaticay rediaed with a oneor two-button action. Press 0 #. (If on ine istening to dia tone, press 0 HoLD, then press 0 #.) Listen for ringing or busy tone. - Ringing tone: When party answers, pick up handset. - Busy tone: disconnect. 20 Saved Number Rediaing The first 16 digits of the ast manuay diaed number can be saved for ater redia. To save the number, Press button preprogrammed for this purpose. To dia a saved number, Lift handset. 0 then press preprogrammed button. NOTE: You can store ony one 16-digit number at a time. 18

21 Hoding Cas Manua Hod To pace a ca on hod, Press OLD. 0 To retrieve a hed ca, Press ine button with fashing ight, o Press TAP if station does not have ine appearance. Excusive Hod This means that ony you can retrieve the hed ca on your teephone. To pace on excusive hod, 0 Press 0 OLD twice. To retrieve excusive hod, e Press ine button with fashing ight. ma Press 0 TAP if station does not have ine appearance. Direct Station Hod (parking a ca to a station) To pace a ca on direct hod, e Whie on ine, press 0 rrcm. 22 Direct Station Hod (continued) To retrieve a direct hod ca, From the hod receiving extension, did@@@. To cance a direct hod ca from station that paced ca on hod, Dia (*,@ p us extension number of the station hoding the ca. Doing this reconnects you to the outside ine. Ca Park (parking a ca to an orbit) To park a ca in one of nine orbits, Whie on ine, Dia a park zone access code (91 through 99). To retrieve a parked ca, o From any station, press (%$a* o Dia the park zone access code (91 through 99). Hod Reca Feature After a preprogrammed ength of time, a ca paced on hod wi automaticay ring back to the teephone that paced it on hod. If the ca is on excusive hod, it wi revert to manua hod after the hod reca time period. The ca can then be retrieved by anyone with that ine appearance. 20

23 Transferring Cas When transferring a ca you can either identify the caer before you transfer (screened) or you can transfer the ca without identifying the caer (unscreened). Screened Transfer To screen and transfer a ca to another station in the system, Answer ca. Press CONF. et3 Ca is paced on hod automaticay. Dia extension number of party to be transferred to. mia Press DSS button for one-button intercom caing., When intercom party answers, announce ca. Hang up handset. If the caed party is busy or does not answer, * Press KM t0 EtrkVe Cd. ci3 Unscreened Transfer To transfer an unscreened ca to another station in the system, Answer ca. Press COW. Ca is paced on hod automaticay. e Dia extension number of party to be transferred to. am Press DSS button for one-button intercom caing. :, : 8.::.:.: Continued on next page... 21

24 Unscreened Transfer (continued)? Hang up handset. NOTE: If the station to which unscreened transfers are made is busy, the transjierred cas wi camp-on at the station. Each ca wi automaticay ring the station when it becomes ide. If a transferred ca is not answered after a preprogrammed time, it wi ring back to your station. Answer by pressing fashing ine key. Transfer Reca to Tandem Attendants If your system is programmed for this feature, unanswered transferred cas wi reca to both-attendants at stations 10 and

25 Making Conference Cas Five-Party Conference Cas You can make conference cas that encompass up to five parties, incuding you as the originating station, in any combination of outside ines and inside stations. For exampe, you can conference three outside ines and two inside stations or four outside ines and one inside station or five inside stations - the combinations are up to you. To set up a conference ca that incudes either outside ines and inside stations, or just inside stations, 1. Make first ca 2. Press e3 =ONF. (Ca is paced on hod automaticay.) 3. Make next ca. 4. Press c-3 COW to estabish conference. 5. Repeat steps 2-4 to add up to two more parties. NOTE: When setting up a conference ca with outside ines and inside stations, you must ca the outside ines first. To continue the conference with the ast conferee after three outside ines have dropped out of the conference, Press the ine button of the remaining party. To drop outside ines from the conference, Press HOLD to put a ines on HOLD before the caer hangs up. Not doing this wi resut in a tone sounding in the handset receiver, interrupting the remaining conferees. To retrieve ines from HOLD and bring them back into the conference, repeat steps 1-5 above. NOTE: If a the con&erence circuits are busy, you wi not be abe to add a party to the conference. The message Conference Fu wi appear in your dispay. 23

26 Unsupervised Conference Ca Dropping out of a conference ca and eaving outside ines in the conference is known as an unsupervised conference ca. You can do this ony when you are invoved in a three-party conference ca. To drop out of a conference ca, dia 0 # and hang up. NOTE: Conference voume eves are dependent upon the quaity of the externa ines. 24

27 Message Waiting Light Messaging If your station has been designated as a centra message desk, you can turn on the message waiting ight (above HOLD) of any teephone from your station to et the user know that a message awaits pickup. To receive a message at an aerted station, Observe fashing ight. Lift handset. Connection to station that eft message is.automatic. To turn on the message waiting ight, Press@=@. Dia extension number of station to be aerted. The message waiting ight of caed station wi fash. To turn off the message waiting ight, e Dia extension number of station that was aerted. The message waiting ight of caed station wi turn off. To turn off the message waiting ight during message-deivering conversation. 0 0 Press Tcy. NOTE: Any station, ifprogrammed with Message Wait Originate, can have this messaging kapabiity. 25

28 LCD Messaging System-suppied messages can be set at a station to be received or dispayed by a caing LCD speakerphone. These messages give information on the status of the teephone user. In the back of this guide there is a ist entited LCD Messages. Fi it in with the messages you have created and then make sure you distribute the ist of messages to everyone in your group. To turn on message, Dia the desired code number from your message ist. The defaut messages of Back At and Ca may be used: For defaut message 1, which is Back At, dia time in tweve-hour format using the # as a coon. For defaut message 2 which is Ca, dia teephone number of where you wi be. MNTA. Intercom ight fashes steadiy. To turn off message and your intercom ight, Response Messaging When you receive a secure off-hook voice announce or an intercom ca, this feature ets you send a message back to the caing station. The response messages are preprogrammed by you, stored at individua stations and sent by pressing a programmabe button designated for sending response messages. NOTE: When you send a response message, the caing party wi be disconnected. 26

29 Station-To-Station Messaging When a station-to-station ca is made and no one answers, the caer may eave a message by activating the BLF ight at the caed station if the caing station is stored as a DSS /BLF at the caed station. To turn on message ight, Make intercom ca. If there is no answer: 0 Dia BLF ight at caed station turns on. To turn off message ight, Dia extension number of station to turn off messageight. To answer messaging, Press DSS associated with ighted BLF ight. If the caing station is not stored as a DSS at the caed station, then the ca wi transfer to the centra message desk, if programmed. Then the centra message desk (usuay the attendant s station) can ight the message waiting ight of the originay caed station. Assist Button Messaging By using a programmed assist button on your teephone, you can send a message to your supervisor, asking for assistance. To send a message for assistance, Press ASSIST button. If you have not programmed the extension number of the station you need hep from, press the DSS button that is assigned to that station after pressing the ASSIST button If assisting station is ide, tone burst sounds and message appears in dispay. If it is busy, message appears when it becomes ide. 27

30 Programming Your Teephone Autodia Programming Autodia is a feature that ets you: Dia engthy numbers using one or two buttons. Store frequenty used feature codes. Autodia can be stored: At a bank programmabe button, or On a secondary eve under a DSS button. Before you begin programming, write down: The ine(s) you wi use to access the number. The number or feature code you are storing. As you program numbers, fi in the identification strips on your teephone. Write first eve numbers on the ID strips and secondary numbers on the index puout directory in the front of your teephone. Because the programming steps for outside numbers, intercom numbers and feature codes vary sighty, they appear here as separate steps. Programming Outside Numbers Press programmabe button you want for storage. Press your ine button or 0 (for ast ine used or prime ine, if assigned). Dia the numbers to be stored: You can enter up to 16 digits. A digits on the keypad are vaid. You may need a pause between numbers to compensate for differences in response time between your system and the host system. If you do, press the HOLD button to insert a pause. Then, continue diaing. 31 Autodia Programming (continued) Programming Outside Numbers (continued) If your system is behind a host system that needs a hookfash to access a feature, press the TAP button. Then, continue diaing. 5. To continue storing, press the TRANWCONP button and repeat steps Press@ o@ to end. You can store an autodia number under a DSS button. Just repeat steps -6, using the programmabe button mentioned in step 2. I 6.. Programming Outside Numbers Using Line Groups Line groups are represented as 1,2,3, and 4 on the keypad. The tabe beow shows the ine group and its corresponding keypad number. Line Group Keypad To store a number using a ine group: Press programmabe button you want for storage. 3. Press either 1 (9), 2 (8 ), 3 (82), or 4 (83) on the keypad. 4. Dia the number you are storing. 5. To store another number, press the TRANSKONF button and repeat steps 2-4. or@ to end. 30 Continued on next page

32 Autodia Programming (continued) Programming Intercom Numbers (DRYBLF) Press the DSS button you want for storage. 3. Dia the intercom number to be stored. 4. To store another number, repeat steps 2 and Programming Feature Codes For convenience and quick access, you might want to store feature codes. Some exampes of these are: Ca Forwarding (on and off). CaPickup Automatic Rediaing To program feature codes, Press programmabe button you are using for storage. 3. Enter the codes for the feature. Exampe: For Ca Forwarding to a specific extension, <5;;> and extension of teephone you want cas forwarded to. 4. 33 Speed Dia Programming System Speed Dia Programming Using the keypad digits, you may store frequenty used, numbers that are accessibe by a the system s users from their stations. Since these numbers can ony be stored at your station (attendant), distribute a ist of the numbers to the users. Before you program, make a ist of: The storage ocation you are using (01 through 99 on the keypad). The ine that the ca wi be stored on, i.e., your ine, the intercom ine, or a ine group. The teephone numbers or feature codes you are storing. To program system speed dia numbers: 2. Dia 01 through 99 for storage ocation. 3. to cear the current entry. 4. Choose the ine to be used: - 90 = ast ine used or prime ine (if assigned) = ines - ITCM = intercom - 91 through 94 = ine groups 5. Dia the number to be stored (up to 32 digits); if you need a pause between numbers, press the HOLD button and continue entering the remaining digits. If you need a hookfash, press the TAP button and continue entering the remaining digits. 6. Press e COW to continue entering numbers. 7. Press@or@toend. 32

Use the directory in the puout index tray in front of your teephone to store the ist. To program station speed dia numbers, 1. Press@aa@ Press a keypad button (0 through 9) that you are using for storage. Choose the ine to be used: - 0 = ast ine used or prime ine (if assigned) - ine key - ITCM = intercom - 1 through 4 = ine groups Dia the number to be stored (up to 16 digits); if you need a pause between numbers, press the HOLD button. Press e COW to continue entering numbers. Press@ or@ to end..: Response Messaging Programming This program ets you set up a button to be used for making a non-verba response to a SOHVA or an intercom ca. The response appears in the dispay of the caing station. To assign a button for non-verba response: 1. Dia@@@@. 2. Press the programmabe button you want to use for message access. 35 Response Messaging Programming (continued) Dia a message number (0 through 9). NOTE: The preprogrammed messages are created by you, the attenaimt. 5. Presseoretoend. System Cock Programming To program the system cock in the dispay for the current date and time: 2. Dia two digits (00-99) for year. 3. Dia two digits (01-12) for month. 4. Dia two digits (01-31) for day. 5. Dia two digits (00-23) for hour. 6. Dia two digits (00-59) for minute. 7. Press@ or@ to end. LCD Message Programming Your system gives you two defaut messages: Back At... and Ca... In addition, you can add eight customized messages, or you can create up to ten messages if you decide not to use the two defaut messages. If you intend to create a response message to a voice announce, remember that this is aso a message and that it uses one of your message ocations. 34 Continued on next page..

38 Station Name Programming If you have an LCD speakerphone, this feature ets you know who is caing you and ets the caer know that you are caing them. Assist Button Programming With this feature you can program an assist button on your teephone that wi et you send a message to an LCD speakerphone. By pushing this button you can et your supervisor know, with a tone and a station message dispay, that you need assistance with a probem caer. Then, after receiving the tone and the dispay message, your supervisor can join the ca or monitor it through executive override or service observing. To program an assist button, 1. Press@aaa. 2. 40 Using Misceaneous Features Account Code Entry If you need to enter an account code for the SMDA report whie caing a number, you can do so using this feature. The dispay on the LCD speakerphones wi prompt for Account Code if programmed to do so. 2. Press@@@@. 3. Dia account code. Listen for dia tone. 4. Dia number you are caing. NOTE: If you hear an error tone afer step 3, check the account code for vaiidity. Automatic Set Reocation With this feature, if you move your teephone to another ocation, you wi be given a choice via the dispay prompt as to whether you want to keep the previous programming or use the programming in the new ocation. Background Music If suppied by your system, music can be set to pay through your teephone speaker. To turn music ON: 1. (*7 a. Speaker ight wi turn on. 2. 43 Departmenta Station Operation Your stationmay be a terminating station for departmenta caing. That is, if a stations in the department are busy or ring-no-answer (RNA), the ca wi be routed to your station. You may either service the ca or transfer the ca back to the department extension number. Then, the ca wi camp-on at the department and wi not return to your station if the department stations are sti not avaiabe to hande the ca. After a preprogrammed ength of time, the camped-on ca wi come back to you - the transferring station. An intercom ca wi not camp-on at a department - it wi ring to your station Direct Inward Station Diaing (DISD) This feature aows an outside party to ca an intercom station directy without your assistance. DISD works in the foowing manner: When the outside party cas a DISD ine, initiay the caer wi hear ringing. If the ca is not answered by a station with the ine appearance, the system wi answer the ca with a DISD dia tone. This dia tone is distincty different from a standard dia tone. The caer can then dia an extension number. One of four things wi happen: 1. The caer wi hear ringing unti the station answers. 2. If the caed station does not answer, the caer wi hear the DISD dia tone again. The caer can then try another extension. 3. If the caed station has Ca Forward set, the forwarded station wi ring. 4. If the caed station is busy, the caer wi be paced on HOLD and wi hear background music. After a certain time period, the caer wi hear the DISD dia tone again. The caer can then try another extension. NOTE: A maximum of three attempts are aowed. 42

44 Dispay Contrast Adjustment If your teephone has an LCD, you can adjust the contrast of the dispay by hoding down the MUTE button on your teephone. After five seconds, Contrast Leve and a number shows up in the dispay. Continue to depress the MUTE button - the dispay contrast changes. The numbers 0 through 7 representhe contrast from ight (0) to dark (7). When you have adjusted the dispay contrast to suit you, reease the MUTE button Do Not Disturb This feature keeps cas from ringing at your station and makes your station appear to be busy to intercom cas. If your teephone has this feature, press the button arranged by cass of service programming for this purpose. The ight associated with this feature wi turn on when you are using Do Not Disturb. To cance this feature, press the button again, NOTE: Generay, this feature cannot be overridden by the caer; the caer wi hear two quick tone bursts every three seconds. Some stations, however, have the abiity to override Do Not Disturb. Music on Hod If you want to turn off the music that pays whie peope are on HOLD: 2. Press the first button in the top row (upper eft-hand comer) of buttons to turn feature on and off. 45 Music on Hod (continued) Instead of using a button to activate this feature, you can use 1 on the keypad to turn this feature on and 2 on the keypad to turn this feature off. Foow step 1 above and then press 1 and 2 on the keypad in the pace of step end. Mute Button By using the MUTE button, you can bock transmission of your voice to the distant party. For exampe, if someone comes into your office to tak to you and you do not want to interrupt the distant party, just press the MUTE button. The MUTE button turns on and ocks when you press and reease it and turns off when you press it again. Night Transfer Before you eave work for the day, you can set up the system to automaticay transfer incoming cas to another station or stations for off-hour answering. To turn this feature on or off: 2. Press the first button in the top row (upper eft-hand comer) of buttons to turn feature on and off. One of four ringing tones wi be seected and the next time your teephone rings, you wi hear the difference., Privacy By pressing a button designated a privacy button, you can aow another person to join you in a ca. This feature is preprogrammed by the instaer. PuseTone Switching If your oca teephone service is puse (rotary), but you have to convert to tone whie diaing, press # at the point in the diaing sequence where conversion to ton 0 is required. The system wi switch back to puse diaing when you end your ca. You can program puse-to-tone switching by pressing # during autodia or speed dia number storage. 0 46

Automatic rediaing: Turning on a program that automaticay red& the ast number diaed once a minute for 10 minutes. Ca park: Pacing an active ca at a particuar teephone in system hod (park orbit) and retrieving it by any teephone. Ca pickup: Answering a ca at one teephone when it is ringing at another teephone.
