Original Base Bid Ed Spec Area = 81,103 GSF 2. All co located spaces have been removed from the scope of work. 3. Original Add Alternate Ed Spec Area = 23,454 GSF 4. Total Base Bid + Add Alternate Ed Spec Area = 104,557 per original Ed Specs Total Base Bid + Add Alternate Ed Spec Area = 109,318 per requested Ed Spec revisions Current Total Base Bid Floor Plan Area = 88,949 GSF Current Total Base Bid + Add Alternate Floor Plan Area = 112,369 GSF 5. All four add alternates Greenhouse, Future Capacity, Parks & Rec Gym, and Alternative Specialized Program are to be included in the design. B. Budget Update (Note: No revisions proposed since the last meeting) 1. Total Project Budget (including soft costs) = $46,959, Total Site, Testing, & Construction Budget = $37,070,262 C. Schedule Update The team is planning to submit the SD Submission Package to the Board on May 9 in order to get placed on the May 23 Board Meeting Agenda for SD approval. Submission to the State IAC will occur immediately after approval by the Board. DDs are still to be submitted to State by Nov 1. D. LEED Update No updates at this time. E. Summary of Activities for the past Two Weeks 1. Design team updated the schematic floor plan and site plans based upon the last design meeting. 2. Design team continued to develop building exterior massing and imagery. 3. Design team provided schematic design pricing information to Dustin for cost estimating. 4. Underground utility survey underway at Walkersville Middle School in order to identify utility locations prior to performing air trac drilling and soil borings. Current projection is that the air trac and borings will not occur until right after school lets out in June General/Admin. A. There was a meeting held this past Tuesday afternoon with Bob Gorrell and several other State representatives at Rock Creek. A tour of the building was conducted and afterwards there were discussions regarding the proposed program and square footage. The project is on the agenda for the May 8th IAC Meeting to get State Planning approval currently the worksheet being presented for approval still shows the existing State funding formula using 300 SF per student. During the discussions with the State Representatives earlier this week, they acknowledged that the 300 SF number is not realistic anymore for this type of facility,

Gloria stated that she does not believe that the final funding formula number will be provided on May 8th, and possibly will not be determined for several months. B. Brian plans to send out a draft of the SD submission drawings by next Tuesday for review and comment by the committee and FCPS staff prior to finalizing the SD submission package to the Board. The architect and engineers will update the site and floor plans per today s meeting discussion and send to Brian for distribution Site Plan Review A. An updated site concept was presented (attached for record). B. Access to the Rock Creek loading dock was discussed. There are two options for access the first is around the outside of the field space behind the school, along the upper property corner, and the second is from the existing Middle School parking to the south. Going around the field reduces the potential amount of student traffic crossing the loading drive, but also greatly increases the amount of paving required. Deliveries are limited to a Food Service run daily, trash 1 2 times per week, and pool chemicals once monthly. It was decided that since deliveries are fairly minimal, access from the existing Middle School parking is preferred over routing around the field space. C. The design team will look at options to provide more bus stacking for the Middle School, without having to stack buses two deep along the curb. This could possibly be achieved by cutting the proposed parent drop off back out of existing bus loop area and shifting more space back to the proposed bus loop. Chevron bus parking is preferred if possible. D. If the proposed eastern turn around is constructed as a permanent area for drop off queuing, bus parking, and overflow parking, then it might be possible to cut off the existing vehicular access from Maryland Ave and bring the loading traffic in from W Frederick St around the east side of the Middle School. This access will require a retaining wall along the property line and needs to be studied further for feasibility and desirability. E. John Berkey reported that they are currently looking at need for about 4 feet of fill across the building pad and parking area in order to ensure that the site drainage works well and that the existing storm pipes that run across the site can be designed with adequate fall and cover. This is a big cost item Matt Evans stated that as a rough budgeting tool, they assume $100,000 per 1 of fill over an area of 100,000 SF. The design team will study the potential to step the floor elevation down in order to save some fill across the building pad. This is not so desirable from a functional standpoint, although as long as the ramps designed at slopes less than 1:12 then they should not be that difficult for students to navigate. It was pointed out the River Terrace had steps in its floor elevation that were not very noticeable as we walked through the building. Functional impacts will need to be weighed against costs to make a final decision.

Brian asked that the Design Team pursue setting up a meeting with the Town of Walkersville to review the proposed site layout he would like to schedule it now for a date right after the Board Meeting on May Floor Plan Review A. The updated Health Suite layout looks good. It is desirable to have an exam table in the Health office along with the two desks. It is also desirable to have plenty of vision glass from the health suite office to the main health open treatment area. B. Door width was discussed. After discussion at the last meeting, the Architect noticed during the tour with Bob Gorrell that the existing classroom doors at Rock Creek are 3 4 wide rather than the more standard 3 0. For the new building, the design team will look at using 3 4 or 3 6 wide doors (3 4 is okay, unless 3 6 is more cost effective as a standard module) for single doors with frequent student use. Matt Evans asked about the desired door material and durability. FRP is more resistant to certain types of damage, but it is also costlier and has a very institutional appearance. It was agreed that high quality solid core wood doors will be okay. The current school doors are wood and they have held up well we may want to have larger kickplates to help minimize the risk for damage. C. Access for the Pool area was discussed FCPS prefers an accessible ramp rather than wheelchair platform lift due to concerns with lifetime maintenance costs and reliability of the lift. They also like the idea of students being able to walk independently down the ramp. D. Mary agreed that it is okay to flip the Cluster Storage and Mechanical Penthouse access stair spaces in each cluster to allow the stair access to be more efficient. The Cluster Storage will now be accessed from the main corridor loop rather than from within each wing Building Massing & Materials A. Updated exterior massing was reviewed. The design team is proposing to use a large format face veneer type of base (Arriscraft or similar) with brick veneer above. The proposed brick veneer would incorporate an accent color above the windows and another glazed brick accent for banding. FCPS asked whether something more like a standard splitface block could be considered and in general asked the design team to refer to their Design Guide for materials selections guidelines. B. Aluminum Storefront is proposed for the clerestory at the main entrance and cafeteria, with Kalwall insulated translucent fiberglass panels proposed at the gym and aquatics areas. FCPS asked that the design team evaluate the option of using aluminum storefront with frosted glazing versus Kalwall for clerestories at the gym and aquatics area.

It was requested by FCPS that the entrance canopy extend about 100 out in each direction from the front entrance in order to allow more stacked buses to load and unload simultaneously under cover. The design team will look at cantilevering the entrance canopy toward the bus loop with columns just at the back side in order to minimize risk for being hit by a bus. Wrap columns with masonry at the base, and potentially angle the canopy roof back slightly toward building, making sure that it is high enough at the curb to avoid being hit by a bus. D. Both the entrance canopy and connecting canopy to the Middle School could be a prefabricated aluminum walkway cover system. The covered walkway to the Middle School will either have to break at either side of the existing loading access drive or will have to step up in elevation. Several committee members expressed that they believe the walkway must be covered for its entire length Two Week Projection A. Continue developing site and floor plans, along with massing models/exterior imagery. B. Complete preliminary cost estimating. C. Prepare and submit Schematic Design submission package to Board of Ed by May 9 for inclusion on May 23 Board Meeting Agenda. The next meeting is scheduled for 10 May 2018 beginning at 9:30am at Rock Creek School. We will present the SD submission information. This summarizes the topics discussed at the meeting. Please review and address any comments and corrections to the Architect within 5 days of receipt of these minutes.
