3 1. Setup Instructins The GPS ID numbers have been pre-entered int yur system. When a GPS unit is first installed this icn will shw up n the map nce satellite & cell cnnectin is made. *Please nte that after yur fleet tracking devices have been installed, there is an initial hur time perid where the device needs t make its first cnnectin t the satellite. This is cmpletely nrmal. Smetimes the initial cntact is made within a few minutes, but n ther ccasins, it takes a bit lnger. If the set up takes lnger, please let us knw and we ll lk int it immediately. All set up will be dne frm this menu n the left. Set up is perfrmed frm the ADMINISTRATION area f the menu. Additinal ptins are available in Settings > Cmpany Settings. 1.1 Administratin Administratin Menu: GPS Device Inf GPS ID numbers have been pre-entered int the system. This prvides a listing f all GPS Device ID s assigned t yur custmer accunt and the Vehicle ID assciated with it. The GPS Device Inf listing will shw Vehicle Id s with n GPS device attached. 4 Peple Management This is where emplyees are assigned their wn lgin and passwrd, r designated as a vehicle peratr. Create a Persn: Navigate t Administratin > Peple Management Click Add New User buttn First Name: Enter the first name f the user Last Name: Enter the last name f the user System Lgin: If checked, this will pen additinal fields which are required fr a system lg in Address: Enter the address f the user User Name: Enter the user name they will use t lg in Passwrd: Enter the passwrd fr the user Cnfirm Passwrd: Re-enter the passwrd fr the user Departments(s): If using Departments and yu wuld like t restrict user access t nly the Departments selected, use the checkbxes. If nt using Departments, there will nt be any infrmatin here. Distance Units: This will default t the designated cmpany setting, yu can change between Metric and US fr individual users. Rle: Use the drp dwn t select a Rle Admin: Has access t all areas f the Razr Tracking system Manager: Access t Fleet Tracking Reprting Maintenance Administratin User: Access t Fleet Tracking Reprting GPS Device Inf Viewer: Has access nly t Fleet Tracking API: t be used fr sharing data with third party vendrs. Cntact us fr the API Dcumentatin and fr a list f any knwn vendrs the API will wrk with. Will require yu t read and accept a disclaimer regarding data share. Is Operatr: If checked, this Persn will be shwn in the Vehicle Set Up drpdwn fr Operatr. The remaining driver infrmatin is ptinal. Click Add User buttn t save the user infrmatin NOTES: When yu create a new System User, set an initial passwrd. When that system user lgs in fr the first time, they will be prmpted t set their wn passwrd Page 4 f 44

5 System Users have the ability t change their passwrd whenever they want. Once lgged in, g t Settings > User Settings t access this ptin. If a system user frgets their passwrd, tw ptins are available: have ne f yur Admins reset the passwrd as usual. The System User can access the system with that passwrd, then change passwrd at their discretin. Frm the Lgin screen, click the Reset Passwrd link. An will be sent t the address assciated t the user name. Fllw the instructins in the t reset yur passwrd. Edit r Update a Persn: Navigate t Administratin > Peple Management Click the Edit Icn t the left f the Name Update fields as needed. User Name may nt be changed Click Reset Passwrd t change a user passwrd. Fill in New Passwrd and Cnfirm Passwrd fields Click Save Changes buttn t save yur changes NOTES: Cntact Razr Tracking custmer service fr passwrd change t the Master User Accunt. Delete a Persn: Navigate t Administratin > Persn Management Click the Delete icn (red X) t the left f the Name Click Yes t Delete the Persn, click N t cancel the delete prcess NOTES: The Master User Accunt cannt be deleted. Yu cannt delete yurself (delete nt allwed fr the user lgged in). Vehicle Setup (Fleet and Asset Devices) Create a Vehicle: Click ADD NEW VEHICLE Vehicle ID - is the name that will appear n the map if yu use the label ptin. Operatr - Assign an Operatr t this vehicle if desirec. If there are multiple Operatrs fr this vehicle, yu can leave this set t Nne r assign it t the main Operatr. Operatrs must be set up using the Peple Management instructins befre Operatrs will be listed in this drpdwn. GPS Device Click drp dwn arrw, select the GPS - ESN number installed in this vehicle. Nte: The GPS Devices listed in this drpdwn are devices nt currently assciated with any vehicles. A GPS Device can be assigned t nly ONE Vehicle at a time. Is Active? Check the bx fr vehicles yu want listed in the drp dwn bxes when using the system. If ne is ut f service fr repair, seasnal, etc., yu may want t uncheck this bx. Page 5 f 44

6 Ntes: Inactive vehicles will NOT shw n any vehicle drpdwns, map views, r reprts. If yu use mnthly reprting, we recmmend perfrming all reprts fr the vehicle befre yu inactivate the vehicle. Re-activating the vehicle will bring the vehicle back nt maps, reprts, and drpdwns. Marking a Vehicle inactive DOES NOT suspend the service t the device. T suspend service, please cntact Custmer Supprt. Vehicle Icn 46 t chse frm. Selecting a Vehicle Icn, then clicking Preview will display the icn abve the drpdwn s yu knw what the icn will lk like n the map. Display Label n Map Check the bx if yu want t use the vehicle labels. (Picture abve) Map Label Clr 7 clrs t chse frm. This can be used t easily identify different fleets. Departments(s): If using Departments and yu wuld like this vehicle t display nly fr certain departments, use the checkbxes t indicate which Departments this vehicle is attached t. If nt using Departments, n selectin is necessary. Wrking Time Supprted? Check the bx fr vehicles whse GPS Device is set up t capture a secndary time based input. See the Wrking Time Reprt sectin f the User Guide fr additinal infrmatin. Shw Shrt Idles: If checked, the Vehicle Map Histry and Vehicle Histry Reprt will shw any time the vehicle idles If nt checked, the Vehicle Map Histry and Vehicle Histry Reprt will shw idles nly if the vehicle has idled lnger than 3 minutes, idling less than 3 minutes will cunt as mving. The remaining vehicle infrmatin is ptinal. Click ADD VEHICLE This vehicle will be displayed n yur map when the GPS is installed and has made cntact with the satellite. Edit r Update a Vehicle: Navigate t Administratin > Vehicle Set Up Click the Edit Icn t the left f the Vehicle Name Update fields as needed. Click Save Changes buttn t save yur changes NOTE: T mve a GPS Device frm ne vehicle t anther, fllw this prcess: Original Vehicle: Edit the Vehicle in Vehicle Set Up, set the GPS Device field t nne. New Vehicle: Edit the Vehicle in Vehicle Set Up, set the GPS Device t the crrect value. Delete a Vehicle: Navigate t Administratin > Vehicle Set Up Click the Delete icn (red X) t the left f the Vehicle Name Click Yes t Delete the vehicle, click N t cancel the delete prcess NOTE: Deleting a vehicle will remve the assciatin between the Vehicle and the GPS Device, as well as remve the Vehicle frm any Vehicle Grups. 7 Vehicle Grup Setup Vehicle Grup Setup allws yu t create grups f yur vehicles. If yu have certain vehicles yu always want t see tgether n reprt views, creating a grup will allw yu t see thse vehicles at ne time. If desired, a vehicle can belng t multiple Vehicle Grups. Create a Vehicle Grup: Navigate t Administratin > Vehicle Grup Setup Click Add New Vehicle Grup buttn Grup Name: type in a name fr this Vehicle Grup Vehicles: Click the checkbx next t the vehicles yu want added t the Vehicle Grup. Departments(s): If using Departments, select ne r mre Departments fr this Vehicle Grup. If nt using Departments, n selectin is necessary. Nte: If a Vehicle Grup includes vehicles frm multiple Departments, the users will nly be able t see the vehicles matching their user department settings. Click Add Vehicle Grup buttn t save the Vehicle grup Edit r Update a Vehicle Grup: Navigate t Administratin > Vehicle Grup Setup Click the Edit Vehicle Grup Icn t the left f the Vehicle Grup Name Update the checkbxes t indicate vehicles in the Vehicle Grup Click Save Changes buttn t save yur changes Delete a Vehicle Grup: Navigate t Administratin > Vehicle Grup Setup Click the Delete Vehicle Grup icn (red X) t the left f the Vehicle Grup Name Click Yes t Delete the grup, click N t cancel the delete prcess Departments Departments are designed t allw users t view and run reprts fr their particular grup f Vehicles. Departments are nt required fr the system t functin. Rules relating t Departments: If a user has ZERO Departments attached t the user, that user can see ALL vehicles regardless f Department. Once a user has ONE r MORE Department assigned, that user is nw restricted t ONLY the Vehicles in thse Departments. These rules are valid fr any f the User Rles (Admin, User, Viewer) An Admin with Department Restrictin (Lcal Admin) cannt create new Departments, but can edit the Departments they belng t. 8 An Admin with NO Department Restrictin (Glbal Admin) can create and update Departments as well as Users, Vehicles, and Vehicle grups fr ALL Departments. The Master Accunt cannt be restricted by Department. Create a Department Navigate t Administratin > Department Management Click Add New Department buttn Department Name: type in a name fr this Department Users: Vehicles: Expand the Users area by clicking the + sign. Select Users fr this Department. Expand the Vehicles area by clicking the + sign. Select Vehicles fr this Department. Vehicle Grups: Expand the Vehicle Grups area by clicking the + sign. Select Vehicle Grups fr this Department. Click Add Department buttn t save the Vehicle grup Edit r Update a Department Navigate t Administratin > Department Management Click the Edit Department Icn t the left f the Vehicle Grup Name Update the checkbxes t update Users, Vehicles, and Vehicle Grups Click Save Changes buttn t save yur changes Delete a Department: Navigate t Administratin > Department Management Click the Delete Department icn (red X) t the left f the Department Name Click Yes t Delete the Department, click N t cancel the delete prcess Camera Management If using cameras prvided by Razr Tracking, set up fr the Camera Prjects will be handled via Camera Management. If yu d nt have any Razr Tracking cameras, n set up is necessary here. Manage Camera Prjects Add Prject Navigate t Administratin > Camera Management > Manage Camera Prjects Click Add Prject buttn Fill in all fields shwn Prject Name: this prject name will shw n the map when the current date falls between the Start and End dates Start Date: chse a start date fr the prject Page 8 f 44

9 End Date: chse an end date fr the prject Latitude & Lngitude: these values will be used t place the camera icn n the Current Tracking map. T easily find a latitude & lngitude value, g t and enter in the address r destinatin clsest t where the camera is lcated. Right-click n the map n the lcatin, chse What s Here Latitude and Lngitude will display beneath the address search bar Camera: drpdwn t select the Razr Camera fr this prject Click Add Prject Edit r Update a Camera Prject: Navigate t Administratin > Camera Management > Manage Camera Prjects Click the Edit Camera Prject Icn t the left f the Camera Prject Name Update fields as needed Click Save Changes buttn t save yur changes Delete a Camera Prject: Navigate t Administratin > Camera Management > Manage Camera Prjects Click the Delete Camera Prject icn (red X) t the left f the Camera Prject Name Click Yes t Delete the prject, click N t cancel the delete prcess Public View The Public View is designed t allw yur end custmers, stakehlders, r subcntractrs a limited view f the system withut having t set up individual users. Add Public View Navigate t Administratin > Public View Click Add New Public View buttn Fill in fields Public View Name: fill in a name fr the Public View Public View URL: this field will be aut ppulated by the system. Is Active?: Checked indicates the Public View is active Display Left Navigatin Panel: Check this if yu want the end users t see the left menu panel Current Tracking Display All frm Current Day: If checked, the Current Tracking map will shw all tail pints fr the current day Shw Vehicle Map Histry: If checked, the users will be able t access Vehicle Map Histry Activity t Shw: All: Will shw all tail pints Ignitin n nly: Will shw tail pints nly when the ignitin is n Wrking Time nly: Will shw tail pints nly when Wrking Time is active Vehicles: Select which vehicles t include Vehicle Grups: Select which vehicle grups t include in the drpdwn menus. 11 Message Respnses Message Respnses are designed fr use with Tw-Way Messaging, as a way t allw a user t quickly respnd with a predefined respnse. Yes, N, IDK: this message respnse is system defined. Add Message Respnse Navigate t Administratin > Message Respnses Click Add Message Respnse buttn Fill in fields Respnse Name: fill in a name fr the Message Respnse Respnses: type in a respnse, then click add. D this fr as many respnses yu want included in this Message Respnse grup. 12 Click the Delete icn (red X) t the left f the Respnse Name Click Yes t Delete the Message Respnse, click N t cancel the delete prcess 1.2 Settings User Settings Change Passwrd User Settings will allw yu t change yur wn passwrd. Passwrd changes are required every 12 mnths, and the system will prmpt yu at that time frm the lg in screen t change yur passwrd. At any ther time, the Change Passwrd ptin can be accessed. Enter yur Existing Passwrd, and yur New Passwrd in the fields shwn. Distance Units A System User s distance units are defaulted riginally frm the Cmpany Setting, hwever, can be updated n a User by User basis, OR by the User. Tw ptins are available: Metric r US. If Metric, values within the system will be shwn as Kilmeters Per Hur, and Degrees Celsius. If US, values within the system will be shwn as Miles Per Hur, and Degrees Fahrenheit. Cmpany Settings Only displays fr Admin Rle. General Settings allws yu t select cmpany-wide settings r default values. Time Zne: select the time zne fr the accunt. Only ne time zne can be chsen fr yur cmpany Adjust fr Daylight Saving Time: If yur state fllws the daylight savings time changes, select this ptin Page 12 f 44

13 Shw Shrt Idles: This setting will be the default value fr new Vehicles yu add t yur accunt. Changing this setting will nt affect any existing Vehicles. Lcalizatin: Default Distance Units: Metric r US. Value chsen will default t new system recrds. Map Display Settings Check this bx if yu want all the vehicles n the map t have an ID tag displayed abve the vehicle. If yu d nt want all vehicles t have ID tags, yu can select individually in the Vehicle Setup. Messaging Allw Messaging Acrss Departments check this bx t allw users t message users wh are nt within their same department. Page 13 f 44

14 2. Operating Instructins Enter yur Lgin and Passwrd. Frgt Passwrd: If yu have frgtten yur passwrd, a passwrd reset link can be ed t yu. Yu are required t prvide yur username. Once yu receive the passwrd reset yu can fllw the link embedded in it t change yur passwrd. Once lgged in - The map will lad displaying the lcatin f the active vehicles. NOTE: If using Departments, nly the vehicles matching the user s department selectins will be shwn n the map and in the drpdwns. Tracking ptins and reprts are selected frm the left clumn. Optins available are dependent upn the Rle f the User lgged in. Page 14 f 44

15 2.1 Fleet Tracking Current Tracking Vehicle t Display: Select All Vehicles t view entire fleet r Vehicle Grup t view nly the vehicles assigned t that grup. Yu may als select ne vehicle frm the drp dwn list t zm in n its Lcatin. If yu select a single vehicle, a Fllw Vehicle ptin becmes available. Check this bx t keep the selected vehicle center screen as it is mving. Vehicle Grup If yu select a Vehicle Grup, the Current Tracking map will shw just the vehicles included in that grup. Department If yu select a Department, the Current Tracking map will shw nly the vehicles attached t that Department. Number f Tail Pints per Vehicle: If yu select an individual vehicle, an additinal parameter ptin is shwn. Fr an individual vehicle, yu can chse: Up t a maximum f 500 tail pints, r Click the checkbx fr Display All Frm Current Day. This ptin will verride the Number f Tail Pints per Vehicle value, and will shw all tail pints fr the current day n the Current Tracking map view. Display all frm Current Day: available fr individual vehicles r Vehicle Grups f 10 r fewer vehicles. Page 15 f 44

16 Nte: Number f Tail pints is nt available fr Asset Tracking units.. Click n any arrw fr vehicle infrmatin at that lcatin Camera Prject: If using Razr Cameras, select a Camera Prject frm this drpdwn t see the current still view frm the camera. Utilize the arrws and zm ptins t mve the camera arund and a new current view will be returned NOTE: These images are returned directly frm the camera and are nt saved in the Histrical Pht Archive fr the camera. View Prject Archive The View Prject Archive area will allw yu t see histrical still phts fr each prject. Prject Name: drpdwn listing all Razr Camera Prjects Start Date End Date Start and End date will default t the prject start and end dates fr reference. Select date and times within this range t view histrical phts fr the prject. Vehicle Map Histry NOTE: 300 phts are returned at a time frm the server. Select a vehicle/asset frm the drp dwn list. System defaults t the current day. Enter Start & End date fr ther histry ranges. Click View Vehicle Histry. Page 16 f 44

17 Asset Devices Assets appear n the map displayed by pings during selected Date/Time range. Fleet Devices The map will display a trail fr all data within the selected Date/Time range. Individual arrws can be clicked fr infrmatin at that lcatin. Field Histry can be viewed. If Wrking Time is set up n the GPS Device, and enabled in the system, Blue arrws will indicate wrking time. 18 If a vehicle is set t Shw Shrt Idles, all idle times will be shwn n the map histry. If a vehicle is nt set t Shw Shrt Idles -any Idle icn n the map indicates idling fr ver 3 minutes. Alert Feed Event Alerts All user rles in the system (Viewer, User, r Admin) nw have a way t see the alerts as they are triggered! This will likely be mst helpful fr thse using POI/Gefence Alerts s yu can see easily when yur vehicles are crssing int r ut f thse areas giving yu time t prepare vehicle lads! The tp right side, yu will see a buttn fr Alert Feed. If there are NEW alerts that yur lgin has nt reviewed, the Alert Feed buttn will shw in red clr. Click Alert Feed t pen the Feed the feed will display n the right side f the Razr Tracking screen. The mst recent 30 triggered alerts will display, yu can use the scrll bar t review. Page 18 f 44

19 Click the Alert Feed buttn again t clse this list. NOTE: All triggered Event alerts marked fr Include In Alert Feed will shw in this list. Hver ver the bar shwing hw lng ag t have it pp up with the actual date and time f the triggered alert! Tw-Way Messaging All user rles in the system (Viewer, User, Manager, r Admin) nw have a way t message ther users within the system. The tp right side, yu will see a buttn fr Messages. If there are NEW messages that yur lgin has nt reviewed, the Messages buttn will shw in red clr. Click Messages t pen the cnversatin list, this list will display n the right side f the Razr Tracking screen. Click the Messages buttn again t clse this list. Page 19 f 44

20 Viewing and Sending Messages Click Messages and then click int the message yu want t read. Frm there, just type yur respnse and click SEND. Yur message will be delivered t the ther user accunt when they lg in (r if they have ntificatins enabled n their mbile device fr the Razr Tracking app) they will see a new message symbl. Predefined Message Respnses Predefined respnses are fr when yu want the receiver f the message t send yu a quick answer r a respnse with minimal distractin t the persn ut in the field. An example f this is asking smene: Will yu be dne with the field by 4pm? Yu want a quick respnse f either Yes, N, r I Dn t Knw (Yes/N/IDK). Yu can create yur wn Predefined respnses but we have set up ne already fr yu! Admin rles can g t Administratin > Message Respnses and set up standard respnse ptins. We tk care f adding Yes/N/IDK fr yu (IDK stands fr I dn t knw ). Hw d I send a message requesting a predefined respnse? Click the New Message ptin. Select the user yu are sending the message t. Type in the message, r questin yu want them t answer. Select Respnse Type = Predefined. Select with Respnse Optin Click SEND Hw d I send a message requesting a custm predefined respnse? Alng with selecting nly cmpany predefined respnses, yu can define yur wn respnses n the fly. (Available t create this respnse type nly frm the Web view, nt available via mbile app). Page 20 f 44

21 What des the ther user see fr a respnse request? The user can select a respnse and submit and they can als enter text and send (if additinal text is needed). Delete a Message Cnversatin Clicking the X when in the Cnversatin List will remve that cnversatin frm yur list. It des nt delete the cnversatin fr the ther user invlved in the cnversatin. 22 Map Features Map Style Optins Map is the standard display shwing a flat map. As yu zm in, additinal infrmatin displays (city names, street names, etc) Terrain is a subset f Map: this will verlay a view shwing hills, muntains and ther terrain. Satellite view will shw a picture style f the map, the image displayed is the mst recent image prvided by Ggle Maps API. Lcatins if selected, names f natinal landmarks, parks, cities, etc will be displayed. Address Search Available n Current Tracking and Vehicle Map Histry type in a business name, r an address and press Enter the map will zm directly t that address Includes the type ahead functinality f Ggle Maps Data Overlay Optins Current Radar (Weather) Current Radar is available fr Current Tracking nly. Nt available n Vehicle Map Histry. If selected this will display a weather map ver the map view letting yu knw the weather cnditins in the area f yur vehicles. Page 22 f 44

23 Twnship/Sectin Overlay Twnship/Sectin grid lines are available fr bth Current Tracking and Vehicle Map Histry. If selected, this will shw a twnship/sectin map ver the map view. Grids shwn are dependent upn the map zm level. Twnships will display first, then further zm will shw Sectins. States currently included in the Twnship/Sectin verlay: Mntana, Nrth Dakta, Suth Dakta, Iwa, Nebraska, Kansas, Minnesta, Oklahma. Pints Of Interest POI/Gefences are available fr bth Current Tracking and Vehicle Map Histry. Selectin ptins displayed items determined by selectins. Tp level Pints f Interest : will shw ALL Active POI/Gefences Expand Pints f Interest (click the + sign) t shw a list f POI Types fund fr yur cmpany. If POI Type ther exists in yur data yu can expand the Other item t see further grupings f Types. Page 23 f 44

24 2.2 Reprting Current Fleet Status Viewing infrmatin fr yur entire fleet r grup is quick and easy. Select either a Vehicle Grup, r Department t limit the reprt. Display Unassigned GPS Devices: Check this bx t include installed devices nt assigned t a vehicle ID. This ptin will nly exist fr users with a Glbal Admin status. Display Inactive Vehicles: Check this bx t include inactive Vehicles in the reprt utput. Click Generate Reprt. Data srts initially by Last Reprted Time (ldest date at the tp) Click the arrws in the heading t srt by that clumn. Unassigned GPS Devices display with this infrmatin: Inactive Vehicles will display just like Active Vehicles. Print Reprt and Exprt T CSV ptins are available. Page 24 f 44

25 Vehicle Histry Select a vehicle/asset frm the drp dwn list. The System defaults t the current day. Enter Start Date - End Date fr ther histry. When data is received that matches the Event Alert criteria, an will be generated if addresses entered n the Alert. Once the Alert Frequency is reached, if the Event Alert is still valid (data received still meets the criteria), anther will be generated. Nte: Nt all units will measure Temperature. Vehicle Grup Alerts Imprtant Infrmatin This feature allws yu t select a Vehicle Grup and create ne alert fr all vehicles in the grup. Each Vehicle will receive alerts as if it had an individual alert tied t it. Vehicle Grup alerts are available fr any f the Data pints: Speed, Temperature, Harsh Braking, and After Hurs Mvement. Nte: Deleting a Vehicle Grup will delete any assciated Event Alerts tied t that Vehicle Grup.
