5 Sessin 1 Set it Up! (5 minutes) Assumptins Ntes 1. Yur rganizatin has nly ne Plant (= premises) where mst r all f the assets yu maintain are lcated. This can be each factry yur cmpany has, each restaurant yu maintain r each building whse equipment yu service. 2. Yur rganizatin has nly ne maintenance unit r department respnsible fr receiving and prcessing all maintenance jb requests. 1. If yu have mre than ne plant then replicate the steps described n the Cnfigure yur Plant sectin belw. 2. Yur default installatin cmes with a default plant (called Plant 1 ) and a default maintenance department (called MTC ). 3. We will nly edit the plant infrmatin and leave the department as is. Yu can edit the department infrmatin at a later stage. Prceed as Fllws Cnfigure yur Prfile: g t Lgged in as... My Prfile n the tp right f the screen. Select the User Prfile tab n the User Settings page and set the infrmatin there. Cnfigure yur Plant: g t Lgged in as... Mdules and select the Organizatin/ Plant/ Department link. Select Plant 1 frm the drp dwn menu and let the infrmatin lad. Change the infrmatin under the General Settings sectin and click Save. The page will relad. Select the plant yu edited and change the Plant Currency if needed. Click Save at the bttm f the Financial Settings sectin (d nt set the labr rates at this mment.) The page will relad. Invite yur Users: g t Lgged in as... Mdules and select the Users link. If yu are just starting ut with the prfessinal versin, yu will have user quta available. If yu are nt using the prfessinal versin, skip the next steps. 4

6 Enter the new user address and leave all ther ptins as they are. Click Invite. These new users will receive an with registratin instructins t jin yur rganizatin's accunt. Status after Sessin 1 Yu have setup the rganizatinal structure f yur cmpany. 5

7 Sessin 2 Asset Management (10 minutes) Ntes 1. Yur premises (= Plant ) cntain equipment (= Assets ) that yu need t maintain. 2. Each equipment is placed in a specific place f service (= Functinal Lcatin ) r in strage. 3. Each Plant is divided int ne r mre main Functinal Lcatins. These are Level 0 functinal lcatins. 4. Each level 0 functinal lcatin can then be split int Level 1 functinal lcatins and s frth, creating a Functinal Lcatin Hierarchy. 5. S, fr each Plant under yur rganizatin, yu setup a functinal lcatin hierarchy. 6. On this sessin, yu will implement a functinal lcatin hierarchy similar t the ne abve (A, A.1 and A.1.1) 6

8 Prceed as Fllws D nt wrry if the example belw desn't match yur rganizatin. The infrmatin entered can be deleted r edited later t match yur actual setup. Select Plant: g t Assets Functinal Lcatins. Select yur plant frm the drp dwn list. All items will lad autmatically. lv0 will shw N Fls defined. Let s change that. Create Level 0: Click Add n the lv0 rw. Enter MACH n the FL Cde field and Machinery n the FL Descriptin Field. D nt cnsider any ther field. Click Save. The system will shw a FL successfully generated page. D nt click anything and mve nt the next step. Create Level 1: Click Create Anther FL Under the New Path. Enter PROD1 as the FL cde and Prductin Line 1 as the FL Descriptin. Click Save. Create Level 2: Click Create Anther FL Under the New Path. Enter MACH1 as the FL cde and Machine 1 as the FL Descriptin. Click Save. Check ut yur functinal lcatin structure: Click the G t the FL Brwser link n the cnfirmatin page. The Org Ttal cunt at the bttm f the page shuld have changed (plant number desn't cunt). Status after Sessin 2 Yu are ready! Yur plant is nw setup with a functinal lcatin hierarchy that yu can use as basis fr yur maintenance wrk rders. 7

9 Sessin 3 Wrk Order Wrk Flw (10 minutes) Assumptins Ntes 1. Yu have cmpleted sessin A Wrk Order rganizes, dcuments and lgs all aspects f a maintenance actin dne n a Functinal Lcatin. 2. The wrkflw f a wrk rder starts with the creatin f a Wrk Request and ends when the crrespnding wrk rder is clsed. 3. Wrk rders may be generated manually r autmatically. The autmatically generated wrk rders are created n a Schedule (e.g. the first day f every mnth ) r On Cunter Cycles (e.g. the distance traveled n a car). Prceed as Fllws 1. Create a Manual Wrk Request G t Maintenance Create WRequest. Click the link Yu need t cnfigure yur WO mdule befre yu prceed. Yu need t d this nly nce fr the lifetime f yur accunt. Click the ptin they are frwarded t the fllwing Department (yu can change that later) and select yur maintenance department. G again t Maintenance Create WRequest. On the Target FL fields, select the functinal lcatin the request refers t Select yur plant n the tp drpdwn and wait fr the field under it t lad. Select Level 0 MACH and wait fr the field under it t lad Select Level 1 PROD1 and wait fr the field under it t lad Select Level 2 MACH1 The current wrk request is nw assigned t Machine 1 8

10 Set Type t CORRECTIVE (knw mre abut WO types: Set Pririty t P2-High. Enter Summary - Buttn slightly lse Enter Descriptin - This buttn has been getting prgressively wrse. Needs t be fixed ASAP. Click Create Yu have nw created a wrk request but wh's ging t attend t it? And are there any extra recmmendatins that can help slve the prblem? 2. Prcess the Wrk Request G t Maintenance Wrk Orders. The wrk request yu created is visible at the tp f the list. Select its WO# and anther brwser tab will pen. Assign a User: On the Add User list (tp right), click n yur name t select it. Click the >> buttn. Insert extra cmment: Scrll dwn t the bttm f the page t the Add/ Edit Infrmatin sectin and enter Buttn has been checked and it will have t be replaced. Click Save and clse the brwser tab. The wrk request has nw becme an actual wrk rder assigned t a user (yurself). Yu nw have t g n the field and d the jb and reprt back. 3. Cmplete the Wrk Order G t yur Dashbard. The wrk rder we are wrking with is at the tp f yur list. Select its WO#. Enter wrk reprt: g dwn t the Add/ Edit Infrmatin area and, in the reprt tab enter Buttn replaced and system tested. Fully peratinal. Set rder t COMPLETE: On the parameters area n the left menu, select COMPLETE frm the Status drpdwn menu. Click the Save buttn. D nt clse the save cnfirmatin page that is nw displayed. Yu have nw cmpleted the jb with a final wrk reprt. But the rder wrk flw is nt yet finished. The technician's jb needs t be apprved. 9

11 4. Clse the Wrk Order Click the View rder link. Click the Reprts tab, t cnfirm the reprts shw up in chrnlgical rder and that the cntents are meaningful in case yu ever need t get this infrmatin back. On the Parameters menu n the left select CLOSED as the wrk rder status. Nte that this ptin has nly becme available after the wrk rder was set t cmplete. A clsed wrk rder cannt be manipulated anymre and is frever stred in the system as a jb lg fr an actin perfrmed n the assigned Functinal Lcatin. 5. Sme cmments Remember: cmma CMMS is a multi-user system, s all the steps described abve can be dne by either the same persn (as in ur example) r by different persns. Why d I need t COMPLETE a wrk rder and then CLOSE it? What is the difference? Because n a multi-user envirnment r n a multi-expertise wrk rder, yu may need t assign a jb t a mechanic fllwed by an assignment t a electrician. The mechanic cmpletes his jb, but the wrk rder is then reassigned t the electrician, wh als cmpletes his part. Additinally the supervisr may nt agree the jb is indeed cmplete and may cmment and repen the wrk rder t the same user (r anther user) fr additinal wrk. Status after Sessin 3 Yu have learned hw t create a Wrk Order and hw its wrkflw is prcessed in cmma CMMS. 10

12 Sessin 4 Preventive Maintenance Recurring Wrk Orders (10 minutes) Assumptins Ntes 1. Yu have implemented the Wrk Order wrkflw described in sessin Autmatic Wrk Orders are triggered by: a scheduled event rule (e.g. the first day f each mnth ) a cunter cycle rule (e.g. Every 10,000 Km ) a cmbinatin f the tw events abve (e.g. The first f every mnth r every 10,000 Km, whichever cmes first ) 2. The triggering rules described abve are stred and edited thrugh a Maintenance Plan. 3. When the system generates an autmatic Wrk Order, it cpies the infrmatin exactly as it is stred n a Surce (= template) Wrk Order. That template is called a Maintenance Plan Wrk Order Surce. Prceed as Fllws 1. Create the Surce Wrk Order (same prcedure as fr a nrmal wrk rder): G t Maintenance Create Wrequest. On the Target FL fields, select the functinal lcatin the request refers t Select yur plant n the tp drpdwn and wait fr the field under it t lad. Select Level 0 MACH and wait fr the field under it t lad Select Level 1 PROD1 and wait fr the field under it t lad Select Level 2 MACH1 The current wrk request is nw assigned t Machine 1 Set Type t PREVENTIVE (knw mre abut WO types: 11

13 Set Pririty t P3-Nrmal. In the Enter Infrmatin area, enter under Summary - Regular Mnthly Actins In the Enter Infrmatin area, enter under Descriptin - 1. Drain il 2. Replace filter element 3. Refill with clean il. Click Create. The surce Wrk Order (at this pint, still nly a regular Wrk Request) has been created but we need t tell the system this is a special ne. 2. Cnvert wrk request int a Maintenance Plans Wrk Order Surce G t Maintenance Wrk Orders and find the rder yu just created n the list (it shuld be the tp rw). Click n the WO# fr that rw. Scrll dwn until yu see the Operatins menu n the left side. Click the Cnvert t MPlan link. Fr Descriptin enter: Regular Mnthly Actins n Machine 1. Check the Delete surce WO after MPlan creatin. Here yu tell the system that yu have created this wrk rder nly t create a surce ut f it. If yu keep this ptin unchecked, the wrk request yu generated will nt nly be a maintenance plan surce but it will als remain as a nrmal wrk rder that requires the full wrk rder wrk flw. On the WO Scheduling Optins select the bth (whichever cmes first) ptin. Set start date as tday and select the Issue n day ptin. Leave the drp dwn menus as they are (issue n day 1 f every mnth). Yu cmpleted the calendar scheduling prtin. T set the cunter value, enter 5000 n the text field. Click Create MPlan. Yu have finished creating yur Recurring Wrk Order Status after Sessin 4 Yu have nw implemented the ability t dcument and lg details f spradic and recurring maintenance actins. 12

14 Sessin 5 Equipment (10 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 t It is easy t cnfuse the terms Functinal Lcatin and Equipment. As mentined n sessin 3, a Functinal Lcatin is a psitin f service where equipment (= the actual physical device) may be placed. 2. An equipment is a Nn-Cnsumable when it can be serviced and reused several times in ne f mre Functinal Lcatins (e.g. an electric mtr that can be placed in several different pumps). An equipment is a Cnsumable when it is designed t be used and dispsed (e.g. a dispsable filter r printer ink cartridges). 3. Nn-Cnsumables are uniquely identified usually thrugh a serial number and their past and current psitins can be tracked (e.g. mtr # was installed in functinal lcatin A and is nw in functinal lcatin B). 4. Cnsumables can nly be taken as a whle (e.g. 5 filters f a ttal f 10 were used n functinal lcatin A). 5. Equipment can be Installed r In Strage. 6. Yu mve equipment arund (between functinal lcatins r frm stck t installatin and vice versa) using wrk rders. 7. If yu d nt need t track equipment r cntrl yur spares r plan t d it at a later stage, feel free t skim thrugh this sessin. Prceed as Fllws 1. Create a Nn-Cnsumable Equipment G t Assets Equipment & Tls n the tp menu. Click the +Equip buttn n the tp right. On the Target FL fields, select the functinal lcatin the request refers t Select yur plant n the tp drpdwn and wait fr the field under it t lad. 13

15 Select Level 0 MACH and wait fr the field under it t lad Select Level 1 PROD1 and wait fr the field under it t lad Select Level 2 MACH1 On the Prperties Tab enter Special Brand n the Brand field n the Serial Number field Special Mdel n the Mdel field Click the Add buttn and the page will relad t shw yu the prperties f the device yu just added. Yu have created yur first equipment item set t strage and tagged as a cmpnent t be used n machine 1 f prductin line Cnvert a nn-cnsumable int a cnsumable. Click the Edit... buttn n the equipment prperties page. Check the Cnsumable check bx n the tp right. Select the Inventry tab. Change the Current Qty field t 10. Click the Edit buttn at the bttm f the page. Cnsumable and nn-cnsumable items are created in the same way and yu tell the system ne frm the ther by selecting the Cnsumable check bx. 14

16 Sessin 6 Tls (5 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 t Tls are added t the system in very much the same way as equipment. 2. Adding tls t the system allws yu t Recmmend lists f tls in recurring r spradic wrk rders Track the usage f tls 3. If yu d nt need t cntrl yur tls r if yu plan t d it at a later stage, feel free t skim thrugh this sessin. Prceed as Fllws 1. Create a Tl G t Assets Equipment & Tls n the tp menu. Click the +Tl buttn n the tp right. On the Target FL fields, select the functinal lcatin the request refers t Select yur plant n the tp drpdwn and wait fr the field under it t lad. Select Level 0 MACH and wait fr the field under it t lad On the Prperties Tab enter Stanley n the Brand field n the Serial Number field Hammer n the Mdel field Click the Add buttn and the page will relad t shw yu the prperties f the tl yu just added. Yu have created yur first tl item. 15

17 Sessin 7 Task Lists (10 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 thrugh Yu are lking t becme a cmma CMMS intermediate-level user. 1. Task Lists autmate the prcess f detailing the Actins, Task Types and Jb Duratin f manually r autmatically created wrk rders. 2. Actins are the actual jb step, like pen the cabinet r empty il reservir. 3. Task Types are the classificatin f the Actin, like Hydraulic r Electrical. These need t be set t match yur reality. 4. Jb Duratin refers t the man-hur duratin f each Actin. 5. If yu d nt need t cntrl yur user's time r labr csts r if yu plan t d it at a later stage, feel free t skim thrugh this sessin. Prceed as Fllws 1. Create a Task List G t Maintenance Task Lists and click the +Task List buttn n the tp right. On the General Infrmatin sectin, enter Tutrial Task List n the Task List Name text field. Tutrial Task List Descriptin n the Task List Descriptin text field. Click the Add Buttn. Yu are sent t the edit area f the task list yu just created. Scrll dwn t the Task List Cntents sectin. Nte that it will nt allw yu t add Actins t the task list because yu need t have at least ne Task Type defined. Yu have created an empty task list. 16

18 2. Create a Task Type G t Lgged in as... Mdules. Click the Task Lists link n the left clumn. On the Add Task Type sectin enter Default n the Name field Default n the Descriptin field Click the Add Buttn. The infrmatin will be added and the page will refresh. 3. Add Task List Cntents G back t Maintenance Task Lists and let the infrmatin lad. Select the Edit link n the rw f the task list yu created. Scrll dwn t the Task List Cntents sectin and enter: Open filter hlder, remve and clean filter. Reassemble. n the Actin field n the man-hur field (yu are indicating this step takes 15 minutes because 15 minutes = 0.25 hurs use this ggle tl t cnvert time: Click the + buttn. The task will be added t the list. Yu have just entered infrmatin n a task list. Even thugh there's nly ne line n ur task list, yu can see the ptential: Fr a mre cmplex jb, yu can have ne line fr electricians t islate the electrical panel, anther fr mechanics t pen the filter hlder and s n. Status after Sessin 7 Yu nw knw hw t create task lists. 17

19 Sessin 8 Equipment, Tls and Task Lists n Wrk Orders (10 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 thrugh On this sessin we will make use f: The maintenance plan yu created n sessin 4, The equipment item yu created n sessin 5, The tl item yu created n sessin 6 and The task list yu created n sessin 7 2. We will imprt the equipment, the tl and the task list nt the scheduled wrk rder generated by the maintenance plan. Prceed as Fllws 1. Find the Tl ID (will be required later) G t Assets Equipment & Tls and select Tls n the Search Cnsle n the left. Click the Shw buttn. The tl yu added n sessin 6, shuld be n the list. Make a nte f the ID number (the left-mst number in blue n the tl rw). 2. Edit the Maintenance Plan Surce Wrk Order G t Maintenance Maintenance Plans and find the plan yu created n sessin 4 (Descriptin = Regular Mnthly Actins n Machine 1 ). Click the edit link. Click the Edit Surce link n the tp panel. Scrll dwn t the Add/ Edit Infrmatin sectin and click the Parts tab. 18

20 On the Enter part ID, brand, descriptin r mdel text field, start writing the brand f the part which we have set as Special Brand. The field will dynamically shw yu the available ptins. Select the Special Brand item. On sectin 3: This wrk rder will affect... enter 2 and click the Add t Usage List buttn. Yur selectin will transfer t sectin 4: Parts Usage List. Click n the Tasks tab and enter Tutrial n the Imprt Task List text field. The list will aut ppulate. Select the Tutrial Task List and click the Add buttn. The task list cntents will lad nt the list belw. Click the Tls tab. Yu will need t enter the tl ID yu gt n step 1 abve n the Imprt Tl text field. Select the tl frm the ptin list that lads and click Add. The imprted quantity will shw 0 because this is a recmmendatin, nt actual usage (remember: this is a maintenance plan surce wrk rder, nt a regular wrk rder). Click the Save buttn at the bttm f the page t make all changes permanent. Click the View rder link s yu can cnfirm yur changes (this is just a cnfirmatin step yu wuld nt nrmally take). 3. Cnfirm yur Changes Scrll dwn t the View Infrmatin Sectin and click the Parts tab. See the part yu have added t the wrk rder with an asterisk n the apprval clumn. The asterisk indicates it is nly a recmmendatin and n stck mvement has been perfrmed. Click the Tasks tab. The jb steps are listed in there alng with the standard duratin. Click the Tls tab. Yu can see the required tl has been recmmended. Wrk rders with all the infrmatin yu added will nw be issued autmatically by the system depending n yur maintenance plan scheduling ptins. 4. Sme Cmments Equipment, tls and task lists are added t regular wrk rders in exactly the same way yu did abve but they will nt be set as recmmendatins. 19

21 Fr example, if yu add a part currently set t in strage t a regular wrk rder, that part will be deducted frm stck and its current installed lcatin will be inferred frm the wrk rder Target Functinal Lcatin. The parts mvement recrded n regular wrk rders, needs t be apprved. Yur dashbard cntains a quick link at the tp right labeled Pending. If yu click that link, yu are shwn a list with items currently waiting fr mvement apprval. The prcedures described n this sessin allw fr: a lg f past and current psitins fr yur equipment, a lg f past and current utilizatin fr yur tls and a lg f the time it takes t perfrm jbs per Functinal Lcatin. Status after Sessin 8 Yu are well n yur way t becming a cmma CMMS pwer user. Hpefully, the advanced pssibilities f cmma CMMS (even thugh yu may nt currently have the need fr all f them) have becme bvius. 20

22 Sessin 9 Reprts and Statistics (5 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 t The reprts and statistics area is where all the data entered int cmma CMMS gets cmpiled int easy t read charts and tables. 2. The infrmatin is presented in ways that make it easier t quickly check the cmpliance with Key Perfrmance Indicatrs ( KPI ) yur cmpany may have set t measure the perfrmance f the maintenance department. 3. Every prgram release will add new statistical views, mst f which cme directly frm suggestins/ needs f current users. 4. The reprts and statistical sectin is currently under active develpment. Prceed as Fllws 1. Generate System Statistics G t Reprts Custm. Click the blue >> symbl in frnt f Time Perid. Click Current Mnth n the Custm Time Perid windw. Click anywhere utside the Custm Time Perid windw t dismiss it. On the WO tab, click the check bx n all currently available reprts. Click the Generate buttn at the bttm f the page. Yu have generated the statistical data currently available n yur accunt (prbably a little incmplete fr nw as there is nt much infrmatin available, but that will change as yu g alng using cmma CMMS). 2. Sme Cmments The mre detail yu put int yur data, the mre rich the resulting statistical infrmatin will be (fr example, if yu have nly specified ne task type, all recrded wrking hurs 21

23 will be assigned t it and yu are nt able t distinguish between ttal time spent n electrical jbs frm the ttal time spent n mechanical jbs). The quality f the infrmatin that gets added t the system is extremely imprtant. Fr example, setting crrect pririties in wrk rders will result n the prper assessment f the quality, amng thers, f yur preventive maintenance effrts (yu will want mre P4 preventive actins than P1 emergency actins). The key t ptimizing yur cmma CMMS experience is t strike the perfect balance between the input f useful and quality data (in terms f the resulting statistical ptential) and the extra day-t-day wrk that will require. The fllwing website is updated frequently and includes tips and best practices cmmnly used n equipment maintenance activities that may be useful when dealing with the statistical infrmatin prvided by cmma CMMS. 24 Sessin 10 Jb Plans (15 minutes) Assumptins Ntes 1. Yu have cmpleted sessins 1 t Jb Plans aggregate grups f rders that yu can plan fr executin. 2. Jb Plans are useful during plant r machine verhauls where typically there are several jbs that need t be dne within a certain time frame. 4. If yu d nt need t plan yur wrk r if yu plan t d it at a later stage, feel free t skim thrugh this sessin. Prceed as Fllws 1. Create a Jb Plan G t Maintenance Jb Planner and click the +Jb Plan buttn n the tp right. Under the General Infrmatin area, enter: Test jb plan as the Jb Plan Name Test jb plan descriptin as the Shrt Descriptin Click the Start Date text field and enter the 1 st f the current mnth by clicking n the number 1 n the calendar windw. Click the End Date text field and enter the last day f the current mnth by clicking the last day f the current mnth n the calendar windw. Click the add buttn at the bttm. The Edit Jb Plan view will pen fr the plan yu just created. D nt navigate away frm this page. 23

25 Yu have created an empty jb plan. Yu can add manual entries t the plan r imprt lists f wrk rders n t it. 2. Add a Manual Item t a Jb Plan On the Nte text field, enter Machine Overhaul Meeting #1. Leave the Start date as it is but change the start time (tp drp dwn with a 0 ) t 9. This means 09:00 am. Change the End date t the same day as the Start Date (shuld be the first f the current mnth) and change the End time t 10. This means 10:00 am. Click the + buttn. The infrmatin yu entered is added t the jb plan cntents and the Gantt chart at the tp is updated n the fly t shw a graphical representatin f the duratin f the item yu just created. Yu have added a manual entry t a jb plan. This is useful fr items that are nt supprted by a wrk rder but are still part f a jb plan (e.g. daily fllw-up meetings fr a machine verhaul). 3. Imprt Wrk Orders t a Jb Plan G t Maintenance Wrk Orders. Click Add Results t Jb Plan. The Jb Plan windw will pen. Select the Jb Plan yu created abve frm the drp dwn menu (may be the nly ptin available in case yu have nt created jb plans befre this sessin). Click the Add buttn. The system shuld shw a success message under the drp dwn list. Yu have imprted a list f wrk rders t yur jb plan. Usually yu wuld set mre advanced search criteria such as filtering fr all the rders that are pending fr a certain machine. 4. Cnfirm Uplad and Plan the Jbs G t Maintenance Jb Planner and click the Edit link n the rw f the jb plan yu created n this sessin. Yu will see that the rder(s) yu imprted are nw shwn n the list and n the gantt chart. The start and end times will default t the start and end times f the jb plan. Let s mdify that: Scrll dwn t the jb plan cntents table and fcus n ne f the wrk rder(s) that was imprted (any rw with a number under the WOID clumn). 24

26 Duble click the end date text n that rw. Change it t the day after the start f the prject. Yu d nt need t press enter. The text will refresh t the date yu selected and the Gantt chart abve will adjust t shw yur revised time frame fr that jb. Yu have planned the start and end time fr a jb inside a jb plan. 5. Finish a Jb Plan On the Edit Jb Plan page, click the Jb Reprt tab. Enter Full machine verhaul cmplete with n prblems. The schedule was successful s a similar plan fr this grup f jbs may be used in the future. Click the Save Reprt buttn. The page will refresh. Select the Jb Plan Status tab. Click the Set Jb Plan as Cmplete? switch and set it t Yes. Click the Save buttn and click OK n the cnfirmatin dialg. Click View Jb Plan link n the cnfirmatin page. Yu have finished a jb plan including a final reprt. This will be f use every time there is a similar verhaul planned fr the same machine.
