1 Schl User s Manual is a web based yearbk sftware that lets users, studi r schl, lgin and wrk n their yearbks frm anywhere. is very user friendly and allws users t uplad their wn graphics and images t easily design yearbks. When bks are dne they can be submitted which sends an editable PDF file that can be adjusted r sent ff t be printed.

3 Getting Started Yu will receive an stating yur lab has created an accunt fr yu n. Click the Accept Invitatin link t take yu t the registratin site. Yur accunt will nt be created until yu access this link and set yur passwrd. Nte: A quality internet cnnectin is required t submit cmpleted yearbks t yur lab fr prcessing. We recmmend being cnnected t the internet via hardwire, rather than thrugh a wireless cnnectin, t ensure accuracy f yur rders. Set Yur Passwrd The very first thing yu will need t d is set up a passwrd. Once yu have entered a unique passwrd, click the blue Set My Passwrd buttn. Nte: Keep a nte f yur passwrd smewhere. We d nt have access t lk up any passwrd infrmatin fr yu. 2

4 Users By default, yur user will be the nly user listed under the Users menu. T create mre users, click the green Create User buttn. Cmpletely fill ut the new user s infrmatin including their Full Name and address. Click the Organizatin bx t select yur rganizatin name frm the drp dwn that appears. Yu then must chse a Rle fr this user. These rles are: 1. Schl Advisr This rle will allw the user t be able t create new users, change rles f existing users, edit any unlcked pages, view any f the yearbks, apprve/disapprve f individual pages, uplad candid images fr any f the users t use, create previews and submit the yearbk fr prductin 2. User This rle will allw the user t view yearbks, edit any unlcked pages and uplad candid images fr any f the users t use 3. Prfer This rle will allw the user t view yearbks and apprve/disapprve individual pages 4. Phtgrapher This rle will allw the user t uplad candid images fr any f the users t use At any time yu can edit the user s rle by clicking the green Edit Rle buttn under Actins. 3

5 Menu Candid Phts has made it easy fr yu t receive images frm parents, teachers, students etc. fr candid images thrughut the schl year. By creating a unique URL fr them t uplad images t yu, PLIC Bks has made adding images directly fr yu t chse frm a breeze. Creating a Unique URL 1. Under yur Menu, select Candid Phts 2. Select yur schl yu wish t have yur guests uplad t by selecting it at the tp f yur screen 3. Click the red Incming Candids buttn 4. will create a unique Guest URL. Simply cpy this URL and share it t thse wh wish t uplad images t yu 4

6 Uplading Images Using the Unique URL 1. Open the unique URL created by yu will be taken t the uplad screen 2. If yu wish t create a tag fr a grup f images (fr example: Z Trip), type the name abve the blue Uplad Yur Phts buttn. 3. Click the blue Uplad Yur Phts buttn and select which images yu wish t uplad 4. Once yu have selected all the images yu wish t uplad, click the green Start Uplading buttn Yu will see yur images begin uplading 5. Once the uplad prcess is finished yu will get a ntificatin saying Uplads Finished Selecting and Organizing yur Candids 1. As yur images are upladed, yu will see them displayed in yur Incming Candids screen. Yu can then rganize them int different album (Fr Example: Farm Field Trip, Teacher Appreciatin Day, Mrs. Smith s class, etc.) 2. T create an album, click the green plus sign. Type in yur Album name and click the green OK buttn. Or t cancel withut saving, click the red Cancel buttn Nte: T delete an album, click the red X buttn 3. T mve images int yur album, first click the red buttn that states yu have candids awaiting apprval. Once there, click n the image until yu see a blue check mark in the tp right hand crner. Select which album t mve them int under the drp dwn and click the green Apprve fr album buttn 4. Yu can als manually uplad images int any flder. Back in yur main Candid Phts flder, select which subflder t uplad int and press the gray Uplad buttn. Then either Select file(s) r Select Flder f images. Once selected, press the green Start Uplading buttn t manually uplad yur images. Yur candid images are nw upladed and rganized s yu can add them t yur Candid Layut sheets in yur yearbk! 5

7 Menu Events Events are anther ptin yu can use t receive candid images. Events wrks hand in hand with yur Capture Life accunt. Yu simply set up an event, such a Z Field Trip and have yur parents/teachers uplad images while at the z field trip t the capture life app. The images will then be directly sent t yur Candid Images with the event tag yu created. T create an Event: 1. Under yur Menu click Events 2. Click the green Create Event buttn 3. Type in the Name f yur event 4. Select yur Start Time and End Time 5. If yu wuld like, yu can type a Descriptin. This is ptinal 6. Turn n the ptin t say that this is a CaptureLife Stry 7. Press the green Save Buttn When yur parents/teachers/students sign nt their capture life app, they will see yur event listed. Have them simply uplad their images f the event t this Capture Life event. These images will cme back t yu in yur Candid Phts sectin, tagged with the event name specified. Menu Orders Yur Orders menu is a quick and easy way t keep track f wh rdered a yearbk. Yu can manually enter rders here, r yu can imprt rders by uplading a CSV file. Yu als have the ability t exprt any rders entered as a CSV file as well. T manually create an rder: 1. Click the green Create Order buttn 2. Enter the First Name, Last Name, Teacher, and Grade infrmatin 3. Type in hw many bks this persn rdered under Quantity 4. Type in hw much they paid under Order Ttal 5. If they rdered any persnalizatin, type their specific persnalizatin under Persnalizatin Ntes 6. Press the green Save Buttn T imprt a CSV file f rders, such as a reprt frm any rders made frm an nline vendr, press the blue Imprt Orders buttn and brwse ut fr the CSV file t imprt. On the main Orders screen, yu will see wh was and was nt a manual entry. Yu can edit any rder by pressing the gray Order Infrmatin buttn. T delete any rder, press the red Delete buttn. T exprt ut a CSV file f all rders in, press the range Exprt CSV buttn. 6

8 Subject Management Yur accunt shuld already be pre-laded with images and data frm yur lab. Yur subjects listed under Subject Management will be batched by Teacher. T change yur batch frm Teacher t Grade: 1. If yu have mre than ne Yearbk available, ensure yu are lking at the crrect prject by selecting the prject name n the gray buttn 2. Change yur batching frm Teacher t Grade by clicking the blue Filter By buttn and select Grade. Yu will get a warning saying yu are ging t recreate yur batches. Press the green OK buttn 3. Yu will nw see a preview f all yur subjects with the headers by Grade rather than Teacher. T change this back, simply select Teacher frm the filter again. Nte: Keep in mind this will destry any pages yu have previusly wrked n and recreate them 4. T mve subjects frm ne batch t anther, simply drag their image t the crrespnding batch title. Yu will get a pp up asking if yu want t Cpy r Mve yur subject. Chse the ptin that best suits yu Nte: T mve a grup f subjects at ne time, simply hld dwn the CTRL key and select each student yu wish t mve befre dragging 7

9 Subject Management Optins Yu have the ability t edit yur subjects frm the Subject Management Screen. Yur ptins are: 1. Edit Press this ptin t change any Name spellings. Yu can als select a different Grade and Teacher field frm the crrespnding drp dwn menus. Any changes made will be highlighted in blue. Press Save t save yur changes r Cancel t exit withut saving 2. Optins Press this ptin t specify Staff members, the Staff Pririty (which number they are listed n the page) and whether yu want this subject t Display In All batches. Press OK t save yur changes r Cancel t exit withut saving Nte: One a subject has been listed as Staff, a red star icn will appear in the tp right hand area f their recrd 3. Edit Batch Names T change the name f yur batch, r t delete an entire batch hver ver the batch name and select either Rename r Delete. T Rename type in the new name f the batch and press OK t save. Press Cancel t exit withut saving. Delete will cmpletely remve this batch frm the jb 8

10 Adding New Batches/Subjects Yu can manually add new subjects and batches in if this infrmatin was nt included in the previus uplad by yur lab. Adding New Batches 1. Click the green plus sign in yur Subject Management tlbar 2. Type in yur Batch Name 3. Press OK t save and clse r press Cancel t clse withut saving Adding New Subjects 1. Click the green plus sign at the bttm f yur selected batch t start adding a new subject 2. Press the teal Prtrait buttn t uplad an image f the subject 3. Enter the subject s data in its entirety in the crrect fields Nte: The Grade and Teacher will aut ppulate fr the batch yu are in 4. Press the green Add buttn t save and clse, r press the red Cancel buttn t clse withut saving Searching Subjects T search all yur batches fr a specific subject, type the subject s name in the search bar at the tp right crner f yur screen. Yur results will shw everyne listed with that name, and the name f which batch they are listed under. Frm here yu can Edit their data r change their Optins. 9

11 Actins Menu Once yu have accessed yur bk, yu can have access t yur Actins Menu at any time by clicking the teal buttn in yur tp right hand crner f yur screen. Once accessed, yur ptins are: Dashbard press this t quickly return t yur Dashbard Subject Management press this t quickly access yur Subject Management screen fr this schl Subject Index Press this t see an index f all yur subjects fr this schl, and which page they are listed n in yur bk Help press this t get a pp up walkthrugh ver individual features in yur bk What s New press this t see a listing f recent updates Sign Out press this t sign ut f Multi Users has the ability t have mre than ne persn wrking n the same bk at the same time. While wrking in yur bk, yu will see ntificatins f smene else lgging n t wrk n the bk, as well as get ntificatins f wh made what changes. 10

12 Building Yur Yearbk Once yu have all yur subjects set up prperly under the crrect batches, yu are nw ready t mve n t build yur yearbk! T access yur Yearbk template, click the Yearbk buttn frm yur Schls screen Themes Themes are entire bk designs that yur lab has prvided yu t help design yur yearbk. T use a theme: 1. Access yur Themes frm yur drpdwn menu t the tp left f yur screen 2. Scrll thrugh yur available designs until yu find the ne yu like 3. Drag and drp this design nt yur wrking page f yur yearbk Nte: If yur cver page des nt update, this is because yur lab has designed a cver fr yu and has disabled the ability t edit this Backgrunds Backgrunds are page designs that yur lab has prvided t help yu design yur yearbk. T use a backgrund: 1. Access yur Backgrunds frm yur drpdwn menu t the tp left f yur screen 2. Select a subflder f backgrunds t search thrugh (Fr Example: Clrful) 3. Scrll thrugh yur available backgrunds until yu find the ne yu like 4. Drag and drp this backgrund nt yur wrking page f yur yearbk Nte: If yur cver page des nt update, this is because yur lab has designed a cver fr yu and has disabled the ability t edit this 11

13 Page Optins After yu have applied yur theme t yur entire bk, yu can then custmize each page individually. T d this: Themes If yu have a Theme applied t yur bk, yu will see this ptin. After clicking yur Optins buttn, yu can select Themes t access yur theme ptins fr the current page yu are wrking n Opacity Press the plus r minus sign t intensify r decrease the pacity n yur image Flip Hrizntally T change the rientatin f yur backgrund image t be hrizntal, slide the Flip Hrizntally buttn until it is blue Flip Vertically T change the rientatin f yur backgrund image t be vertical, slide the Flip Vertically buttn until it is blue Clear Theme Press this t cmpletely clear yur theme thrughut yur bk Submit Cver After yu have cmpleted building yur cver page fr yur bk, yu can submit this t yur lab fr apprval using this ptin. Once submitted, yur cver will then be lcked frm being edited. Backgrunds If yu have a Backgrund applied t yur bk, yu will see this ptin. After clicking yur Optins buttn, yu can select Backgrunds t access yur backgrund ptins fr the current page yu are wrking n Opacity Press the plus r minus sign t intensify r decrease the pacity n yur image Flip Hrizntally T change the rientatin f yur backgrund image t be hrizntal, slide the Flip Hrizntally buttn until it is blue Flip Vertically T change the rientatin f yur backgrund image t be vertical, slide the Flip Vertically buttn until it is blue Clear Backgrunds Press this t cmpletely clear yur backgrund n yur page Cmments T add cmments, r view any cmments made, t a specific page click the cmment icn fund n the tp crner f yur page. 12

14 Adding/Editing Text Objects T add a text bject, simply duble click where yu want the text bject t appear. Yu can then highlight and replace the wrds Type Here with whatever text yu want t appear. If placed n a page with subject images, these images will autmatically adjust arund yur text bject. Yu can als edit any text bject that is already listed n yur page. Yur editing ptins are: Fnt Optins Yur fnt ptins allw yu t change the style, size, type and clr f yur fnt. Simply highlight yur text and make yur selectins. Yur ptins include: Bld Italic Underline Left Justify Center Justify Right Justify Fnt Type Fnt Size Fnt Clr Backgrund clr Line Height Special Effects - Yu als have the ability t add special effects t yur fnt. Simply highlight the desired area f the fnt yu wish t include the special effect n and make yur selectin. Yur special effects chices are: Strke Enable this t put a strke arund yur text. Chse which clr yu wuld like frm the Clr buttn. Glw/Drp Shadw Enable this t put a glw r a drp shadw arund yur text. Chse which clr yu wuld like frm the Clr buttn. Repsitin/Resize Simply mve yur text bx arund t repsitin and resize yur text bx. The bjects surrunding the text bx will mve t adjust t the changing size. T have a larger blank area arund yur fnt withut changing the size f yur fnt, drag the fnt bx frm the bttm right crner. Rtate - Press and hld the tp green buttn abve yur fnt and rtate yur text bx t the desired psitin. Layer Text T mve yur text n tp f anther bject, r behind anther bject, select the crrespnding buttns. The up arrw layers n tp, the dwn arrw layers belw. Remve Text Bx T cmpletely remve yur text bx frm yur page, hver ver yur text item and press the red X buttn 13

15 Adding/Editing Clipart T add clipart bjects t yur page, hver ver the clipart menu item in the tp right menu ptins. Frm here, yu will see different categries pen up. Chse which categry yu wuld like t brwse thrugh. Yu can als Search fr specific clip art by typing a keywrd in the search field. Fr Example: Typing in Dg will shw all dg clip art items in yur drp dwn menu. Once yu find the perfect clip art t add yur page, simply drag it t yur wrking page. If placed n a page with subject images, these images will autmatically adjust arund yur clip art. Yu can als edit any clip art yu place n yur page. Yur editing ptins are: Rearrange t mve yur images, simply click n an image and drag it t a different psitin n the page Layer T layer yur images abve r belw anther image, click either the up r dwn arrw Rtate T rtate yur image, click the green dt abve yur graphic and drag yur image t the prper rtatin Crp T crp yur image, click the crpping tl and adjust yur image by clicking either the plus r minus magnifier tls. Once finished, click the green check mark. Special Effects - Yu als have the ability t add special effects t yur graphics. Yur special effects chices are: Strke T add a brder arund yur image, select the Strke ptin. Chse yur clr and thickness. Drp Shadw T add a drp shadw behind yur image, select the Drp Shadw ptin. Chse yur clr, depth and intensity. Invert T invert yur image, slide the Invert buttn Grayscale T make yur image black and white, press the Grayscale buttn Blur Press the plus r minus sign t intensify r decrease the blur n yur image Opacity Press the plus r minus sign t intensify r decrease the pacity n yur image Saturatin Press the plus r minus sign t intensify r decrease the pacity n yur image Cntrast Press the plus r minus sign t intensify r decrease the cntrast n yur image Brightness Press the plus r minus sign t intensify r decrease the brightness n yur image Hue Press the plus r minus sign t intensify r decrease the hue n yur image Edit Tags Allws yu t create r rename any tags fr this graphic Nte: These changes will be made t individual images, nt all images n the page. 16 Candid Layuts ffers several different ways t layut yur Candid Images n pages in yur yearbk. T utilize this ptin: 1. On the tp left drp dwn menu, select the Candid Layuts ptin 2. Find a layut yu like frm the menu t the right n hw t have the images laid ut n yur page and drag/drp nt yur blank wrking page in yur yearbk Nte: Yu can change yur selectin easily by selecting a different layut and drpping it nt yur page 3. Yu will then get a Create Cllage frm Candids screen. Select Candid Phts frm yur drp dwn and select all the images yu wish t include n yur Candid Layut and press the green OK buttn. Or press the red Cancel buttn t exit withut saving Nte: Yu can change yur pht selectins easily by selecting a different image frm the Candid Images drp dwn menu and drpping it nt yur page 15

17 Once yur cllage is set up n yur page, yu have several editing ptins t further custmize yur Candid Layut. Rearrange t mve yur images, simply click n an image and drag it t a different psitin n the page Layer T layer yur images abve r belw anther image, click either the up r dwn arrw Rtate T rtate yur image, click the green dt abve yur graphic and drag yur image t the prper rtatin Crp T crp yur image, click the crpping tl and adjust yur image by clicking either the plus r minus magnifier tls. 18 Class Layuts T start adding yur class pictures t a page, simply lcate the batch yu wish t add at the tp f yur page and drag that name t the page yu are wrking n. T the left yu will see yur Class Layuts ptins appear. This will chse hw t display yur images n yur page. Simply find the layut yu desire and drag it t yur wrking page. Change Clumn/Image Size T change hw large yur class images are displayed n the page, simply ver yur images and select Small, Medium r Large. Or yu can custmize hw many clumns are n the page by clicking the range Custm Size buttn and typing the number f clumns yu wish t see. Change Fnt/Fnt Clr f Subject s Names T change the fnt and fnt clr f the subject s names, simply click n ne f the names t get the ptins tlbar t pp up. Once a change has been made here, it will update fr everyne n the page. Nte: Fnt size is nt an ptin will adjust the subject s name autmatically t fit in the space prvided. 17

19 Masks T add a mask arund each subject image n yur page, select Masks frm the tp left drp dwn menu. Once yu lcate a mask yu like, drag it nt yur wrking page. Autgraph Layuts T add a blank page fr yur student s t receive autgraphs frm their peers, select the Autgraph Layuts ptin frm the tp left drp dwn menu and drag this t a blank wrking page. 18

20 Index Pages makes it quick and easy t add an index page fr yur students t quickly lk up which page they are listed n. T add this as an ptin, select Index Pages frm yur tp left drp dwn. Select yur layut yu wish t include and drag it nt yur wrking page. will aut ppulate the infrmatin fr yu. Previewing Yur Bk Once yu have all yur pages set up, yu can d a quick preview by clicking the Preview Full Bk buttn. This will shw yu a preview f each page in the rder that they are in. If yu ntice a page ut f rder, simply drag it t its crrect psitin t rerder. Yu can als quickly delete a page, r g t a page by clicking n the crrespnding buttns n that page. Yur ther ptins here are: 1. Preview PDF This will allw yu t dwnlad a lw-reslutin versin f a PDF t preview yur yearbk 2. Finalize and Submit Select this ptin nly when yur yearbk is cmplete and yu are ready t submit t yur lab fr printing 19

21 Submitting Yur Bk Once yu click Finalize and Submit yu will get a ntificatin stating that this actin cannt be undne. If yu are abslutely finished with yur bk and have n further edits t make, check I understand and wish t cntinue and press the green OK buttn. Or press Cancel t return t yur editing functins. 20
