Yu want t ensure that these settings represent what happens mst f the time, with the knwledge that varius settings can be changed n a prject specific basis fr the anmalies. One cmmn pitfall encuntered is cnfiguring the sftware based n the small percentage f anmalies rather than the typical prject which happens mst f the time. Inside f each prject yu have the ability t tweak the settings t meet the needs f that specific prject. Yur D-Tls Setup Evlutin Yur settings as cnfigured tday are ging t change as yu becme mre familiar with D-Tls and as yur cmpany evlves int a higher functining rganizatin. We all have rm t imprve right? Keep in mind as yu g thrugh the setup that it s nt ging t be perfect right ut f the gate. Yur D- Tls setup will g thrugh an evlutin ver time. Think f it as being calibrated ver a perid f time. Mdule Specific Preference Settings Lcated inside the varius mdules f SI are user preference settings, which are different frm many f the truly glbal settings we are cvering in this curse. Examples are: Reprt Settings, Prject Settings and QuickBks Settings. These user specific preference settings will be cvered in mre detail alng with that particular mdule when they are mre applicable. Cntrl Panel (Start SetupCntrl Panel) The Cntrl Panel is the main setup interface fr the D-Tls SI applicatin. It is a central lcatin fr the varius applicatin settings yu can use t cnfigure yur D-Tls prgram t meet yur cmpany s prcesses. These settings are rganized in the Cntrl Panel by their respective area f influence. Resurces are used in the scheduling mdule as well as t be assigned t prjects in varius rles fr tracking purpses (utilizing Rles). In additin t managing users, we can manage user grups and rles here as well. User grups cntrl user permissins fr users in SI, and rles lsely define resurce relatinships t a prject such as Sales, Prject Management, etc. Exercise Add a New User 1. Click New 2. Name Mbile 5. Rles Rles identify a specific resurce s relatinship t the prject i.e. Sales, Prject Manager, etc. This is mst useful where there are multiple resurces fr a specific psitin r rle. 6. Cst/ Hr. this is used in the Scheduling mdule t determine estimated/ actual csts per resurce. 7. Can Sign Int System Integratr (True/ False) a. Username b. Passwrd c. Quick Filter: Filter yur list f users t find wh yu are lking fr. IMPLEMENTATION TIP Create a unique user fr each f yur staff wh will be using D-Tls. Avid creating users like Engineering r Sales as this can lead t cnfusin when yu are trying t determine wh has a file checked ut r wh created a specific prject. Licensing f D-Tls is based n cncurrent users lgged int the sftware, nt by the # f users yu create. Yu can create as many users as yu want, yu are nly limited t hw many can be simultaneusly lgged in by licensing. User Grups & Permissins Users must be assigned t a user grup; each grup has permissins assigned t it, allwing yu t cntrl what a user is capable f ding in SI. Exercise Add a New User Grup 1. (Lgin users can be assigned as well.) Resurces are als assigned t rles, which help t cmmunicate what their invlvement n a prject is. Resurces can be assigned t multiple rles fr such things as designers, types f technicians r ther staff yu wuld want t assign t a prject, task r service rder. Manage Mbile Installers This tl can be used t buy additinal mbile install licenses seats as well as t manage yur mbile install users by making them active/ inactive, changing their rle between Administratr and Installer, sending them an with their lgin details and deleting mbile installers frm the system. Catalg Manufacturers This is where yu can edit the list f Manufacturers in yur database. Beware: if yu delete a Manufacturer frm this list yu will als delete all the data! This is mstly used fr setting the case settings r spelling glbally fr yur Manufacturer names, as well as a quick and easy way t purpsely remve a manufacturer frm yur database entirely. Categries Categries are an essential (required) field in yur D-Tls database. The categry has wide sweeping influence ver the way yur data will be utilized within D-Tls in Visi, Prpsal creatin, database management, etc. Categries: This allws yu t add, edit and delete yur D-Tls categries. Typically it is best fr new users t stick with the standard categries. Beware - deleting a Categry will delete all prducts within that categry! Ntes Cpyright 2016 D-Tls Inc. There are many areas in SI where a unifrm use f sub-categries will make database management much mre effective such as Prduct Queries, Searches, Filtering, Mass Update utilities, etc. Here is an example: Vide Surces Blu-Ray, DVD, etc Prduct Types: the 4 types f D-Tls data gvern the fields and behavir f an item. Database items inherit their prperties frm the categry they are assigned t. Mre n this in ur database curse. Equipment, Speaker, Wire, Labr Abbreviatin: The abbreviatin gives yu the ability t use an abbreviated categry name in such things as the Cmpnent ID r Wire ID structure and is als used as abbreviatins n Icn shapes in drawings. Phases Phases are used fr bth labr rates and stages in a prject. All items in the database are attributed t a phase and thus a labr rate frm that phase s settings. Phases cnsist f a base labr rate as well as additinal labr factrs f Miscellaneus, Management and Design Labr. Phases are very useful fr filtering items in reprts as well as identifying when a grup f items ught t be installed, rdered, etc. Phase Names (default D-Tls Phases) Rugh-in, Trim, Finish, Prgramming Base Labr Rates: the labr rate billed fr all equipment install hurs assigned t prducts in the prject. Example: If 1 labr hur is entered fr a prduct in the labr hurs catalg field, this is the rate which will be billed fr that hur. Labr Factrs: Labr Factrs use an added percentage f the ttal base install hurs t calculate additinal labr fr the prject. Lk at the grid n the interface t see the net labr rates fr the phase after calculating factrs. Cmpany stakehlders shuld discuss hw these factrs shuld be applied based upn yur specific cmpany methdlgy. Misc. Labr: Primarily used fr nn-billable time assciated with the install. Breaks, drive time, etc. Management Labr: This can be used fr prject management as well as administratin csts Design Labr: Engineering/Dcumentatin labr Ignre Labr Calculatins fr Phase: Ignres labr calculatins fr item labr assignments and assumes the use f labr line items t allcate labr int the prject. Phase Specific Adjustments: When yu check the Override Prject Defaults fr this Phase bx, these values will verride the Glbal Adjustments fr any f the 3 percentage settings under Prduct Price Adjustments Settings. Using these price adjustment settings n a per Phase basis gives yu mre cntrl and accuracy than if yu charge a percentage glbally n all prducts in a prject. Misc. Parts Adjustment % - Adds a percentage n tp f the Prduct price fr a phase. Typically used fr installatin materials Prduct Adjustment % - Adds (Or subtracts) a percentage frm the Prduct price fr a phase. Typically used fr increasing the selling price r applying a phase specific discunt. Labr Adjustment % - Adds (Or subtracts) a percentage frm the Labr price fr a phase. It is a gd idea t cnsider the highest cst per hur yu may incur. Labr csts impact the prfitability analysis f a prject and it s usually best t assume wrst case scenari. It s useful t use a laded r burdened cst per hur which includes things such as benefits, vacatin time, taxes, etc Hw much yu charge per hur f labr. The margin between Cst/Hr and Price/Hr The percentage f each Base Labr hur yu are charging the client. This number is always 100% fr the Base Labr but yu will mst likely vary the Misc., Mgt., and Design percentages. This will affect the number f hurs used in calculatins. Fr example a Design Labr factr f 25% wuld mean that yu wuld include.25 hrs (15 minutes) f Design Labr fr each 1.0 hur f Base Labr (Install Labr). This field is a multiplier fr hurs and it affects the Base and Misc. hurs nly. This number shuld be set t 100% by default but can be changed n a per prject basis if yu wish t increase the number f hurs charged fr Base and Misc. Labr. Fr example, if yu change this number t 200% fr the Rugh-In Phase within a prject, all prducts assigned t the Rugh-In Phase wuld will duble the existing hurs. NOTE: Yur default setting shuld always be at 100% and this multiplier shuld be used fr prjects that are utside the nrm. These numbers shw the details f what is being multiplied. Factred Cst/Hr: Displays yur Cst/Hr based n the number yu enter fr the Factr (%) Factred Price/Hr: This is yur Price/Hr based n the number yu enter fr the Factr (%). At the bttm right crner yu will see the net amunt per hur yu will charge the custmer fr every 1.0 hurs f base labr added t the prject after all f the factrs have been accunted fr as a result f that hur. These items will need t be manually reassigned r reassigned using the Mass Update utility. If yu have deleted mre than ne phase, this may prve difficult as yu can t select all and re-assign. All data dwnladed frm D-Tls is assigned t ne f these cre phases, deleting ne f them will cause that data t cme withut a phase assignment when dwnladed frm D-Tls. Ramificatins f RENAMING a phase Editing ne f the cre phase names will negatively impact yur data dwnlads frm D-Tls. When I/O s yu dwnlad an item frm D-Tls it is lking fr a matching phase name. If that phase name desn t exist, the item will have a phase = Unassigned. When an item has n phase, it will nt charge labr when added t a prject, thus it s essential that every item have a phase assigned. If yu must rename a phase, just understand yu ll need t assign phases after dwnlading frm D-Tls. This allws yu t edit the list f default I/O infrmatin available in the drp dwn lists. This setup table prvides yu the ability t identify yur cmpany standards fr IO definitins. Every input r utput terminal fr a D-Tls prduct cnsists f 3 elements: Terminal, Signal and Label. These are leveraged int the prduct specificatins and ultimately used in Schematic Drawings. Head Ends When adding bulk wire t prjects that is used as a hmerun cable D-Tls prvides the ability t assign a Head End designatin fr that wire t be run back t. The Head End designatin is used predminantly fr Rugh-In r Prewire cabling. When running Wire Checklist reprts fr the Rugh-In phase f a prject, the reprt will give a Frm Lcatin (the Lcatin assignment f the wire in the prject), and a T Lcatin, which is the Head End. Head End assignments can als help t grup wires tgether based n their purpse such as: Theater HE, Distributin Panel HE, Vice HE, Vide HE, etc Ntes Cpyright 2016 D-Tls Inc. 18 G a t e w a y B u l e v a r d S u i t e C n c r d C A T e l F a x Tax Settings There are 2 different ways f managing taxes in D-Tls: Assigning the same rates fr all items in a prject (thse marked as taxable) Labr and Equipment can have separate rates. This is the mst cmmn setting. The rate yu select here fr Prducts & Labr will serve as the default fr new prjects, althugh yu ll be able t change it n each prject. Assigning a different rate fr each prduct/ labr item in a prject. This is typically used by mre cmplex tax cdes requiring different rates fr different types f items. Tax in D-Tls is always calculated based n the selling price. Manage Taxes Once yu have chsen which f these 2 chices yu will use yu can then setup yur specific tax rates that are available fr use. The Manage Taxes link allws yu t build and name varius tax rates that are available fr use n yur prjects. These can represent different city, cunty r ther types f taxes yu might need t use. Tax Grups: A Tax Grup allws yu t bundle multiple taxes tgether. Once yur rates are setup yu can select yur default rates fr Prducts and Labr (if using ptin #1) Wire Settings (Default Wire Length) The default wire length is used fr determining the typical length f a bulk cable run. Each D-Tls prject can have a unique default wire length used t specify the length f bulk wire runs. Each bulk wire in a prject can autmatically use this length, r be set t use a different length manually fr each bulk wire. Implementatin Tip Think in terms f yur mst cmmn r typical prject. What is the average length f wire run frm a rm back t the Head End? Yu want yur default wire length t represent what s happening mst f the time, knwing that n prjects that dn t meet the typical standards, the default wire length can be changed. These fields can be very useful when reviewing the prjects in yur current pipeline by filtering the prject explrer list f prjects. Cmpnent ID Frmat The Cmpnent ID is a unique number assigned t every item in a D-Tls prject. It helps t uniquely identify each item, including wires. This is where yur wire numbering cmes frm. Cmpnent ID frmatting have been separated fr Wires and Prducts s that each has its wn unique frmat capability. Custmizing the cmpnent ID frmat gives yu the ability t select hw the ID s are generated. A custm frmat can be a great thing t cmmunicate valuable prject infrmatin. Be careful t keep the length f the ID minimal as lng ID s can hinder the perfrmance f prject thrughputs (wire checklists, labels, etc ) when they are t lng!
