1 TRAINEESHIP NOTICE Ref. EMSA/TRAINEESHIP/2019/01 The Eurpean Maritime Safety Agency ffers traineeships fr a perid f at least 3 mnths and at mst 6 mnths. The traineeship prgram aims t prvide trainees with wrk experience in the field f maritime safety legislatin, respnse t pllutin at sea and cperatin amng member states in safety at sea matters. Inservice training enables trainees t acquire practical experience by means f their wrk and put int practice the knwledge they have acquired during their academic studies r prfessinal careers. Detailed infrmatin related t the activities and structure f the Eurpean Maritime Safety Agency can be fund by visiting the EMSA website at Frm the publicatin f this call, EMSA envisages t select nine trainees. The starting date f the traineeships is 1 st March 2019 and finishing date is 31 st August Mre infrmatin abut the selectin prcedure as well as the rights and duties f the trainees can be fund in the Decisin N 2016/036 f the Executive Directr relating t the rules gverning the traineeship scheme f EMSA. The trainees will be awarded a mnthly grant f and a travel allwance as indicated in the abve mentined decisin, if applicable. The trainees will be assigned t wrk fr the fllwing Units cmplying with a diplma f relevant studies and cmpetence. 1. Traineeship Psitins Unit A.1.1 Human Resurces Missins Cell Prcessing f missin reimbursements f EMSA staff. Assisting in the preparatin f prfessinal missins ensuring that the relevant rules and prcedures in place are respected Encding f missin claims n behalf f the staff member making sure that the Missin Guide is respected Assisting in administrative tasks linked t missin prcedures Assisting in ther tasks f the Unit as required Archiving and filing f missin related dcumentatin Gd rganisatinal skills Ability t wrk in a team Knwledge f Excel Diplma required: Turism, Public Administratin, Finances r any ther related t the tasks t be perfrmed. 2 Unit A.1.2 Internal Supprt Events cell Technical and lgistical supprt t events rganised by EMSA and prcessing f reimbursements t participants/experts. Preparing meeting rms, setting up f tables, chairs, flipcharts and equipment Welcming and registering participants Preparatin f expert reimbursements Updating the weekly events list Preparing dcuments fr meetings (badges, attendance list, reimbursement frms) Making cpies f dcuments and check lists Supprting videcnferences and Webex meetings and setting up the equipment Diplma required: Events Management, Turism, Htel Management. Unit A.3.1 ICT Operatins The Sectr is respnsible fr the datacentre management (at primary and business cntinuity sites); fr the hsting and IT Operatins (2nd level) fr all Maritime Applicatins; fr the internal Crprate Services management (directry services, DNS, , file server, SharePint etc.); fr desktp management and the service desk fr internal users; fr netwrking and security. Unit B.1.2 Standards fr Seafarers Respnsible fr visits and inspectins, in Member States and third Cuntries, under Directive 2008/106/EC. B.1.2 is als respnsible fr the maintenance and the enhancement f the STCW-IS, the infrmatin system which stres infrmatin n certificates and endrsements f recgnitin, and fr the assistance t the Cmmissin and the Member States n STCW, ILO and human element related issues. The wrk invlves becming familiarised with the requirements established in the STCW Cnventin and in the related Directives. In additin, the trainee will becme familiarised with the methdlgy used t cnduct the visits and inspectins as well as with the methds used t deliver training. Page 2 f 6

3 Assisting the prject fficers in the preparatin f STCW visits and inspectins Assisting the prject fficers in the drafting f reprts, including the annual STCW-IS reprt Assisting the prject fficers in the preparatin f relevant internal and external meetings Assisting the prject fficers in the preparatin and delivery f training curses, requested by Unit B.3 Ability t wrk in a team Willingness t gain experience in the implementatin f maritime safety instruments, in particular the STCW Cnventin Diplma required: Degree in Maritime Studies, Navigatin (Deck), Marine Engineering, Maritime Law, Maritime Ecnmics. Languages: Very gd knwledge f English (spken and written) fundamental. Knwledge f ther languages, even nt Eurpean, is an additinal asset. Unit B.2.1 Ship Safety & Marine Equipment This Unit prvides technical advice t the Member States and the Eurpean Cmmissin in the implementatin and develpment f EU legislatin cncerning marine equipment and ship safety standards. It assists the Cmmissin and the Member States n varius subjects related t passenger ship safety, fishing vessels, bulk carrier safety, safety management and the certificatin f marine equipment. The activity includes tasks such as; supprting the Member States and the Cmmissin fr wrk at the IMO n matters f EU cmpetence, cmmissining studies (e.g. n the acceptable and practicable risk level f passenger ships related t damage stability) r supervising the MarED database f EU apprved equipment. Supprt the implementatin and audit f the V&I QMS; Assisting with the update f QMS dcuments; Assisting with the preparatin f the internal and external audits; Assisting with the preparatin f training material; Supprting mnitring and evaluatin f prcess s effectiveness; Assisting with recrds keeping; Attentin t detail Structured and meticulus Patient Diplma required: Degree in Maritime and/r management related area. 4 Unit B.3.1 Training and Cperatin This Unit prvides training and technical assistance t EU Members States, Iceland and Nrway thrugh seminars, training sessins, sharing best practices and e-learning with the bjective t further imprve the effective and harmnised implementatin f relevant EU maritime legislatin. This includes the training fr PSC Officers within the Paris MU regin as mentined in Directive /EC. B.3.1 als prvides training and technical assistance t Enlargement cuntries and t the beneficiary cuntries f the Eurpean Neighburing Plicy (ENP) thrugh SAFEMED III and TRACECA II. Supprting the Training and Cperatin team in all areas f their activities, including cmmunicatin, prject planning and mnitring Participating in the implementatin f different actins under the capacity building activities related t the preparatin f e-publicatins layuts and data/statistics visualisatin Assisting in the develpment and the update f the webpage dedicated t capacity building activities Setting up the capacity building s image database Assisting in the preparatin f presentatins Drafting newsletters related t capacity building activities Updating templates and infgraphics Very gd cmmand f Office (Wrd, Excel, PwerPint, Outlk) Ability t wrk in a team Gd cmmunicatinal skills It wuld be wuld be cnsidered advantageus if the trainee has the fllwing skills: Cmpetence in MS Office suite Experience in using the latest Adbe creative clud sftware (Illustratr, InDesign, Phtshp, and Premiere Pr) Experience in prducing data visualisatin and infgraphics Diplma required: Degree in Cmmunicatin Science, Jurnalism, Eurpean Studies, Graphic Design, Multimedia Studies. Languages: Fluency in bth written and spken English. French is desirable. Unit C.2.2 Maritime Supprt Services The MSS prvides a 24/7 peratinal and technical service with respnsibility fr ensuring systems availability and stability by mnitring the cntinuity f the incming and utging data flws, quality reprting and incident management linked with all Agency maritime applicatins. In the event f maritime emergencies the MSS acts as a single pint f cntact fr mbilisatin f EMSA peratinal services, and will reprt t EMSA and the Cmmissin n maritime accidents in accrdance with the EMSA cntingency plan. 5 Supprting the daily peratins f the MSS under the supervisin f the MSSOs n duty thrugh: Daily data quality checks Daily reprting, mnitring and incident management Engaging in specific tasks related t Hazmat, MRS reprting and the update f the infrmatin available in the Central Organizatin Database (COD) Cmputer skills (mainly MS Office), databases SQL r equivalent and Gegraphical infrmatin Systems (ARCGIS) Diplma required: Degree in Nautical Science (Mate/Master) r Naval Engineering. Degree in Cmputer Sciences r Engineering in general. Languages: Fluency in bth written and spken English. Unit C.3.1 Institutinal Services C.3.1 is respnsible fr the business management f the current range f maritime infrmatin services prvided t different user cmmunities. The nging develpment f the services is triggered thrugh liaising with stakehlders, cllecting and translating their business/data requirements int functinal specificatins. Users include EFCA, EUNAVFOR-Atalanta, EUNAVFOR-Sphia, Frntex, MAOC-N and the SafeMed and Tracea Cperatin Prgrammes. Supprting the implementatin f the Institutinal Services as managed by C.3.1: Develping and/r updating f Integrated Maritime Service(s) presentatinal material including the EMSA website and the IMS prduct catalgue Develping and/r updating f Integrated Maritime Service(s) requirement dcumentatin and their validatin with the assciated external users Very gd writing skills Diplma required: Degrees in: Science, Engineering, Marine; Maritime, Internatinal Relatins r External Cmmunicatins. Languages: Fluency in bth written and spken English. Unit C.4.3 Testing and Applicatin Mnitring Unit C.4.3 is respnsible fr the technical and business validatin and verificatin f applicatins; applicatin build management; applicatin deplyment and; the preparatin f applicatin mnitring systems. New releases are tested by the sectin befre prgressing t prductin. The sectin wrks n autmatin prcedures in build and testing management. Page 5 f 6

6 Supprting daily peratins in the Testing and Validatin Team under the crdinatin f the Head f Unit and team members: Creating test plans and/r update existing plans, linking tests t sftware requirements Preparing and perfrming tests either manually r autmated by using test tls (e.g. Testlink, JMETER and SOAP UI) Drafting status reprts including reprting n bugs identified and their priritisatin Excellent knwledge f Micrsft Office package Excellent analytical, prblem slving and trubleshting skills Diplma required: Degree in Cmputer Engineering.
