7 UA Little Rck Scheduling Guidelines Undergraduate and Graduate Classes A standard class schedule is essential t an rderly academic envirnment, especially when physical resurces are in shrt supply and must be shared by all. Such a schedule permits maximum use f classrms and ther facilities f the University and als cntributes t a sense f equity in the wrklads f faculty. First and fremst, classes must be scheduled t meet the needs f students, wh pay tuitin and are the University s main reasn fr being. 1. Standard Class Perids: UA Little Rck s basic schedule is a cmmn ne in institutins f higher educatin. It includes 50-minute daytime classes three days a week (Mnday, Wednesday and Friday) and 75 minute daytime classes twice a week (Tuesday and Thursday). This is cnsistent with University-wide Administrative Memrandum which sets a standard f 45 fifty-minute classes f instructins fr three credit hurs. Unlike many campuses, UA Little Rck ffers numerus evening classes, mst f them meeting fr 75 minutes twice a week, thugh a number meet fr 150 minutes nce a week. The standard class perids fr the typical three-credit curse are shwn in the table n page 8. In rder t achieve the rderly academic envirnment nted abve, t minimize schedule cnflicts fr students, and t achieve maximum and equitable use f the buildings and facilities f the campus, it is necessary that the verwhelming number f classes cnfrm t the start times indicated here. Scheduling fr Fall and Spring Semesters a. Start and End times: Standard class start times will be strictly bserved. b. Distributin acrss days and hurs: Classes shuld be distributed thrughut the day and evening, with a balance between Mnday, Wednesday, Friday (MWF) and Tuesday, Thursday (TR) as well as between day and evening. i. If tw daytime sectins f a curse are scheduled, ne shuld fall n Mnday, Wednesday, Friday and the ther n Tuesday, Thursday. ii. If tw sectins f a curse are ffered in ne day, ne shuld be scheduled during the daytime and the ther in the evening. c. Curse fr majrs: Upper-level curse fferings fr majrs shuld be spread thrugh mrning, afternn, and evening perids in rder t accmmdate bth day and evening students. d. Evening classes lnger than 75 minutes: A curse which extends beynd ne 75-minute perid n Mnday night must be paired with a curse f similar length in the same rm n Wednesday night. The same principle als applies fr Tuesday and Thursday nights. 7

9 SWASECT: Curse Infrmatin Term: SWASECT is available fr nly ne term at a time. Thse terms are represented with a numerical value at the end f the year yu are building fr: Spring: YYYY10 (Example: ) Summer: YYYY30 (Example: ) Spring: YYYY60 (Example: ) CRN: CRN stands fr Curse Reference Number. This field is useful fr the fllwing three things: Pulling a class : Type in a CRN number and use the Next Blck feature t pull a classes infrmatin s that it may be reviewed and/r edited. Finding a CRN : Clicking n the arrw next t the CRN field will bring yu t a page where yu may enter a Subject, Curse Number and any ther infrmatin yu might have t search fr a class CRN. Once yu have fund it yu may duble-click n the CRN t g back t SWASECT with the CRN field ppulated. Adding a class : Type the wrd ADD in this field if yu wish t add a class. Using the Next Blck feature after this will allw yu t begin entering the class infrmatin. Subject: Type the curse s subject in this field when building yur class. 9

10 Curse Number: Type the curse s curse number in this field when building yur class. Sme things f nte: If yu are unable t prceed past this area and yu see *ERROR* #### is invalid. LIST fr valid chices as an errr message then the curse number yu are attempting t use des nt exist in the catalgue and yu cannt build that class. This and any ther errr message will appear in the lwer-left crner f the screen. If yur curse number is a 5000 level curse then make sure t add the crrespnding 4000 level curse. Title: The title ppulates autmatically nce a valid Curse Number is inputted. The title is nt t be changed unless it is a Special Tpic, Selected Tpic, Seminar, Special Prblem, Wrkshp r ther such curse that is intended t have its title changed. Curses that can be either a lecture r a lab may have Lab entered at the end f the title t designate a lab sectin. Sectin: Type the curse s sectin number in this field. Things t nte: All sectin numbers fr Full Term Spring & Fall curses shuld be tw digits starting with sectin 01. Sectin numbers fr curses in the 810 & 820 part f term fr Fall & Spring shuld be tw digits starting with 81. Sectin numbers fr curses in the 510, 520 & 530 part f term fr Fall & Spring shuld be tw digits starting with 51. Sectin numbers fr curses in the 101 & 102 part f term fr Fall & Spring shuld be tw digits starting with X1. Sectin numbers fr the Summer must start with the same number as the Summer term that it is in. ( Example : Sectin 01 fr a Summer IV wuld nt wrk. The sectin number wuld need t be 401 instead.) If a curse number can be either a lecture r a lab and a curse will have bth a lecture and a lab taught during a term then the sectin number fr the lab shuld end with the letter L. ( Example: 01L, 410L, r X1L are all gd examples f hw a lab sectin number shuld appear.) Campus: Type M fr Main in this field r O fr Online. Status: Type O fr Open r X fr Cancelled. Schedule Type: Type the apprpriate letter that represents the type f curse this will be in this field. If yu d nt knw the letter, click the arrw next t the field and a list f ptins will appear. Typically there will nly be a single ptin when yu click the arrw. Sessin: Enter the letter that represents the time that the class is ffered. It is nt necessary t enter smething in this field t prceed but it is helpful fr students wh are searching fr specific classes. The three mst cmmn types are: Day (D): Any time until 4:30pm is cnsidered a day class. Night (N): Any class after 4:30pm is cnsidered a night class. Weekend (W): Any class ffered ver the weekend is cnsidered a weekend class. 10

11 Special Apprval: Enter the apprpriate apprval requirement needed t register fr this class. The three mst cmmn are: Instructr Apprval (IN): Requires the Instructr t give permissin t the student t register fr this curse. Part f Term: Type the apprpriate number fr the term yu wish t build in this field. Bth the Credit and Billing Hurs will need t be the same. Lecture/Lab cmbinatin curses are typically the nly curses with varying Credit/Billing Hurs. Als, thugh these curses have a range the nly hurs which may be used are 0 r the maximum pssible hurs. Checkbxes: Print: Determines if a curse will print n an fficial transcript. D nt tuch! Vice Respnse and Self-Service Available: Determines if a curse will appear n audits r n the schedule. Classes that need t be hidden need this checkbx unchecked. Gradable: Determines if a curse will be available fr grade entry. Lectures will need this bx left untuched as it will allw the instructr t input a grade fr the curse at the end f term. Labs that have n credit r billing hurs will need this checkbx t be unchecked. CAPP Areas f Prerequisites: D nt tuch! Tuitin and Fee Waiver: Students wh register fr this curse will nt be billed if this bx is checked. D nt tuch! 11

12 SWASECT: Enrllment Infrmatin There are several ptins available n this screen but there are nly three fields yu will be cncerned abut: Maximum: In this field yu will enter the maximum number f students yu wish t enrll in this curse. Actual: This field cntains the number f students currently enrlled in the curse. Remaining: This field gives the number f available seats available fr students t register fr. If this field reads as zer then the curse will be listed as Clsed n the schedule. 12

14 Start Date/End Date: Tabbing t the Start Date will autmatically ppulate the term s Start and End Dates. Fr classes that d nt run the full curse f the term yu may change these dates here. A few things t nte: Classes that meet at varius times will need t have each meeting time entered. Yu cannt enter a date that is befre the term s Start Date r after the term s End Date. Day Checkbxes: Click the bx under the days f the week that the class will meet. Start Time/End Time: Enter the beginning and end time fr yur curse here. All times must be entered using Military Time. Mrning times entered with a 0 in frnt f the hur if it is less than tw digits (8:30am = 0830, 10:00am = 1000), fr times in the PM add 12 t the hur (4:45pm = 1645, 9:00pm = 2100). Entering a time f TBA: Fr meeting times simply tab until the Start/End Dates ppulate Attempt t save An errr message will appear and bring the cursr t the Hurs per Week field. Enter 0 Save Creating curses with Building and/r Rm listed as TBA simply leave the field r fields blank. Sessin Indicatr: This must match the Sessin Indicatr n the Instructr Infrmatin screen exactly. Mre than ne instructr can be assigned t a single meeting time r multiple meeting times can be divided amng multiple instructrs s lng as each instructr s sessin indicatr matches its crrespnding meeting sessin indicatr exactly. There is n need t change the sessin indicatr frm 01 if there is nly ne instructr. T enter the meeting lcatin yu may either tab past the Sessin Indicatr clumn r click the Meetings Lcatin and Credits tab. Building: Enter the building cde f the building yur class will be held in. If yu are nt sure f the cde click the arrw at the tp f the Building clumn t g t a query screen. Rm: Enter the rm yu wish t have the class in. 14

15 SWASECT: Instructr Infrmatin Sessin Indicatr: This must match the Sessin Indicatr n the Meeting Infrmatin screen exactly. Mre than ne instructr can be assigned t a single meeting time r multiple meeting times can be divided amng multiple instructrs s lng as each instructr s sessin indicatr matches its crrespnding meeting sessin indicatr exactly. There is n need t change the sessin indicatr frm 01 unless mre than ne instructr is assigned t a curse. ID: Enter the Instructr s ID here. Yu may als enter the Instructr s SSN. (T have an instructr listed as STAFF yu will leave this field blank). Percent f Respnsibility/Percent f Sessin: If multiple Instructrs are listed fr the curse then these clumns must equal 100%. Primary Indicatr: A check must be placed in the bx crrespnding t whever will be entering the grade fr this curse. PLEASE NOTE: New instructrs must be apprved by department chairs befre they can be entered int the system. 15

16 SWASEAT (Enrllment Change nly) Term: Enter the term f the curse yu wish t set the maximum enrllment fr. Curse Reference Number: Enter the CRN f the curse yu wish t set a maximum enrllment fr. Subject/Curse Number: Ppulates autmatically. Maximum: Enter the maximum number f students yu will allw t enrll in this curse. Actual: This indicates hw many students are currently registered in this curse. Remaining: This indicates hw many seats are still available in this curse. Additinal Infrmatin: SWASEAT is pen year rund. Seats may be adjusted at any time even if SWASECT and E-Update are clsed. If the Remaining field is 0 then the class will shw Clsed n the schedule. This means that a class will never read as Open until a value has been entered int the Maximum field. This frm isn t used t change the waitlist f a curse, which can be changed in SWASECT. When SWASECT is clsed, please submit an e-update fr waitlist change requests. 16

17 SSATEXT (Messages fr Students t see) Term: Enter the term f the curse yu wish t add a cmment t. CRN: Enter the CRN f the curse yu wish t add a cmment t. Subject/Curse: Will ppulate autmatically. Sectin Lng Text: Enter the text yu wish added t the curse in this field. Additinal Infrmatin: SSATEXT des nt clse. Text cmments can be added even if SWASECT and E-Update are clsed. If yu wish t remve an entire line f text yu must chse the ptin Recrd frm the menu and then select Remve. Yu must als remve the bttm line first and wrk yur way up the lines f text until yu remve the line yu want. D nt use the Sectin Text field t enter cmments. UA Little Rck des nt utilize this field fr curse cmments. 17

18 SSAMATX: Building/Rm Schedule Query Term: In the lwer right hand crner f the screen yu will see the Query Term. By default it will be the last term yu entered n any screen in Banner. If this field is blank then SSAMATX will search fr every curse that has ever been held in that rm. Building/Rm/Campus: In these fields yu will enter the building, rm and campus that yu are searching fr. A few things t nte: Listing nly a building will list every rm in that building that has a curse in it during the term yu designate. Listing nly a rm will list every building that has that rm number, with curses in them, during the term yu designate. Listing nly a campus will list every rm in every building n that campus that has curses in them during the term yu designate. Subject/Curse/CRN/Crss List: This is very much like Building/Rm/Campus abve in that whichever item yu list will pull every instance f that item during the semester: 18

19 Listing nly a subject will list every subject and where it is being taught during the term yu designate Listing nly a curse will list every curse number fr every subject that has that curse number and shw where thse curses are being taught during the term yu designate Listing nly a CRN will shw yu where a particular class is being taught during the term yu designate Listing nly a Crss List cde will shw yu the lcatin f the crss listed curses as well as the curse infrmatin fr thse curses There is a scrllbar listed, riginally, belw the days f the week. Pulling that bar t the right will reveal additinal items t help refine yur search. Term: Yu may change the term yu are searching by inputting it here. In the example abve yu may nte that the new term des nt match the query term in the lwer, left hand crner. The item entered in the bx labeled Term will be the query term regardless f what is actually entered in the Query Term bx. There is a scrllbar listed, riginally, belw the days f the week and then als Begin Time, End Time and Term. Pulling that bar father t the right will reveal additinal items t help refine yur search. 19

20 This is the final part f the screen fr inputting yur query. Please remember that the mre infrmatin yu prvide can either help r hurt yu depending n hw yu enter it. Here is sme advice n hw t d a gd rm search: It is generally recmmended that if yu are trying t find ut if a rm has a time-slt available that yu enter the term, building and rm If yu wish t search by days f the week as well then make sure t enter every day f the week that yur curse meets. Sme curses meet at dd times and they culd cause yu prblems later If yu are searching by times then remember that yu can nly lk fr a beginning and ending time. S, if a class meets frm a search f 0930 in either time spt will shw the rm as empty even if it isn t. 20

21 Class Scheduling Reprt (Args) The Class Scheduling Reprt is a useful tl t determine what curses have been created fr a particular term. T access this reprt yu will first need t lg int Args. Frm there expand the fllwing flders: UALR Campus Reprts Student General Scheduling Duble-Click n CSV Class List Once yu have dne the abve yu shuld see the fllwing screen: 21

22 T generate a reprt yu will need t d the fllwing: Select the term yu wish t review. Select a part f term. Nte: Even if there is nly ne ptin available yu will need t select a part f term. Yu will nt be permitted t prceed until yu d. Select a Cllege. Yu may select multiple clleges by: Drag yur muse ver several clleges Hld Shift while using the arrw keys t mve up and dwn the list Hld the Ctrl key as yu select individual clleges with yur muse Select a department. Multiple departments may be selected using the methds mentined abve. Chse yur curse status: Yu may review nly the curses that are pen fr registratin Yu may review nly cancelled curses Yu may chse t view bth pen and cancelled curses Yu may check the bx under Curse Status t display nly curses that have n rm assigned t them. Yu may als view a particular curse s meeting time and instructr by selecting a curse frm the Quick View table. Yu will then select Next in the lwer, right-hand crner f yur screen t save, r launch the reprt. The reprt will create a spreadsheet fr yur review. 22

23 E-Update Cntact Infrmatin The e-update frm was created t help departments make schedule adjustments after SWASECT has clsed fr the term they wish t adjust. The frm may be used t make multiple changes t a single curse. The frm can als be used t make changes t multiple curses such as crss-listing r linking curse. Example: Link Lab and Lecture curses tgether. T access this frm yu will need t g t Yu will be prmpted fr a passwrd. The passwrd is: curses. This will need t be typed in cmpletely lwer-cased letters as the passwrd is case-sensitive. The e-update frm can be divided int several parts. The Cntact Infrmatin prtin f the frm is where yu will prvide imprtant infrmatin that we will use t cntact yu shuld there be any issues with yur request. This infrmatin is als required befre yu can submit yur request. These fields are rather self-explanatry. Enter yur name, UA Little Rck and pick yur department frm the ptins prvided. As f 2016, this frm nw includes sme helpful infrmatin thrughut based n what type f request yu are sending. The frm structure will change and adjust t each different type f request s yu knw yu re sending the right ne. (It ll remve unnecessary fields and add descriptins fr certain parts) 23

24 Request (Required Fields) The next few fields are all f the required fields in the Request prtin f the E-update frm. These fields are required because they are vital in helping the Office f Recrds and Registratin ensures that the changes being requested are made t the prper curse. In the fllwing pages we will examine each field and briefly discuss their imprtance and hw best t use them t submit E-updates. We will begin with the What type f change is needed? field. The varius actins are described belw: 24 Add Class: Use this ptin if yu wuld like t have a class added t the schedule. Use this ptin nly if yur curse desn t already exist in the schedule. Cancel a Class: Use this ptin if yu wuld like t cancel a class. If any students are currently in a curse t be cancelled then thse students will be drpped by the Office f Recrds and Registratin and an will be sent t their UA Little Rck accunt the evening that the class is cancelled. Open a Previusly Cancelled Class: Use this ptin t pen a class that was previusly cancelled. The Office f Recrds and Registratin will repen a class that has been cancelled but cannt place any students that were drpped frm that class back int it withut a letter, n letterhead, requesting Recrds and Registratin t d s. That letter will need t be signed by the Chair f the apprpriate department. Change Building and Rm: Use this ptin if the nly thing yu wish t d is change the building and/r rm that the class meets in. Change Instructr: Use this ptin if the nly thing yu wish t d is change r add an instructr t the curse. Change Restrictin/Attribute(s): Use this ptin if the nly thing yu wish t d is change yur current restrictins r attributes assciated with the curse. (Example: Add curse cmments, Instructr Apprval restrictin etc.) Enrllment: Use this ptin if the nly thing yu wish t d is change waitlist amunts. Change Time and Days: Use this ptin if the nly thing yu wish t d is change the day r time that the curse meets. Change Multiple Items: Use this ptin if yu have t make mre than ne type f change. Title Change: Use this ptin if yu wuld like t change the title f a curse.

25 Crss-List: Use this ptin t request tw r mre curses be crss-listed. Semester: Yu must chse the semester in which yu need t adjust the schedule. T d s yu must select the desired semester frm the drp-dwn menu. Year: Yu must chse the year in which yu need t adjust the schedule. T d s yu must select the desired year frm the drp-dwn menu. Part f Term: Once a Semester and Year have been chsen, this field will appear. Select the Part f Term yu wuld like the curse t take place in. (This appears nce Semester and Year have been selected) CRN: This field is nly required if yu are requesting changes ther than adding a curse t the schedule. Subject: Yu are required t chse yur requested subject frm the drp-dwn menu. (List f 4 Letter Subject Cdes are shwn n the next page) Curse Number: Yu are required t enter yur curse number in this field. Sectin: A sectin number must be typed int this field. 26 Request (Cnditinal Fields) The fllwing fields are cnditinal because certain requests d nt require every ne f the fields belw t be filled in. In the fllwing pages we will discuss what each field means and the best way t fill them ut. Title: Enter the name f the title as it shuld appear n the schedule. Please nte: Only a few select classes (internships, seminars, independent studies, etc.) may have their titles changed. Credit Hurs: As mentined abve this field is required if yu are creating a linked curse where hurs may vary depending n the class type. Times: If yu are changing the times that a curse meets then select the new meeting times in the fields prvided. Days: If yu are changing the days f the week that a curse meets then select the days that yu wish it t meet in this sectin. Building/Rm: If yu wish t change the lcatin f yur curse then enter the building and/r rm that yu wish the curse t meet in the fields prvided. Instructr Name: If yu wish t change the instructr fr a curse then prvide the ID and name f the instructr that yu wish t teach the curse in the fields prvided. Always enter bth the instructr s name and T-Number. Maximum Enrllment: When yu are adding a curse yu may list a maximum enrllment. After a curse is built it is easier t use SWASEAT in Banner t change the enrllment. Additinal Classificatin The Additinal Classificatin sectin cntains varius restrictins and attributes that can be added t a curse. Each item cntains a brief descriptin underneath it. In rder t select ne r mre f these attributes simply click in the bx next t the name. 26

29 Wrapping Things Up When yu have entered everything that yu feel is necessary yu shuld click the frm. at the bttm f If yu missed smething that was required yu will get the fllwing errr message: Any infrmatin that yu failed t enter will be highlighted. Accrding t the sample highlighted sectins abve a sectin number and Instructr s T-number (r N/A) were nt entered int thse fields. 30 Curse Errrs List f Scheduling Errrs *ERROR* ##### is invalid. LIST fr valid chices Means: The value yu entered des nt exist in the system. Fix: Duble-check yur infrmatin fr accuracy. The curse cannt be created with the criteria yu wish t use. Run Args Reprt if needed. *ERROR* Sectin exists with subject/curse/sectin number. Means: A curse has already been created this term using the sectin number prvided. Fix: Duble-check yur infrmatin fr accuracy. If yur infrmatin is crrect then yu will need t use a different sectin number in rder t prceed. FRM-40202: Field must be entered. Means: There is a field that requires infrmatin fr yu t cntinue. Fix: Enter the necessary infrmatin. *ERROR* Invalid CRN, t add sectin ADD, COUNT QUERY HITS fr valid CRNs. Means: The CRN yu entered des nt exist in the system. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then the curse yu are trying t pull has been deleted. This curse cannt be retrieved and will need t be rebuilt. *ERROR* Sectin credit hurs/ceus must be in curse credit hur/ceus range. OR *ERROR* Sectin billing hurs must be in range f curse billing hurs. Means: The hurs yu placed int the Credit/Billing Hurs fields were higher than the maximum Credit/Billing Hurs listed in the system. Fix: Enter the maximum hurs listed n the screen r zer depending n the request. Meeting Time/Lcatin Errrs *ERROR* Rm cnflict, HELP availability, COUNT QUERY HITS schedule. Means: There is anther curse in the rm yu wish t use during the time yu wish t use it. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then the rm is ccupied by anther curse during the time that yu want. If the curse is suppsed t be crss-listed with anther curse then cntact the Scheduling Specialist s that he r she can place yur curse in the rm fr yu. *ERROR* Bth begin and end time must be entered. Means: Yu have entered a beginning r end time but failed t enter bth. Fix: Enter the missing beginning r end time r make the curse TBA. *ERROR* Invalid rm number; press LIST fr valid cdes. Means: The rm yu entered des nt exist in the system. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then yu are unable t prceed until the rm has been created in Banner. 30

31 *ERROR* Insert will cause time cnflict within sectin. Means: Yu have entered multiple meeting times fr a curse and tw r mre f thse meeting times are in cnflict with each ther. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then yu will be unable t prceed until the meeting times within the sectin are reslved. Instructr Related Errrs *ERROR* Persn nt an instructr, press LIST fr instructrs. Means: The persn yu are attempting t add as the instructr f the curse yu are wrking n is nt an instructr. Fix: Duble-check yur infrmatin fr accuracy. If it is accurate then ntify the Scheduling Specialist that yu wish t make an individual an instructr in Banner. Yu will als need t have yur Department Chair. Once the persn is an instructr yu will be able t add the instructr t the curse. *ERROR* ID des nt exist; press LIST fr name/id search. Means: The ID yu entered des nt exist in the system. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then yu may try t use the instructr s scial security number r try a name search. If yu are nt able t pull the persn using this infrmatin then yu may need t find ut if the persn has been fully added t Banner. *ERROR* Sessin has n meeting times defined fr sectin. Means: The Sessin Indicatr t the left f the instructr ID des nt match the Sessin Indicatr t the right f the Meeting Dates End Time. Fix: Adjust either Sessin Indicatr s that they match exactly. *ERROR* Instructr Schedule Cnflict, Press HELP fr Available Instructrs. Means: The instructr is scheduled t teach anther class during the time that the curse yu are wrking n meets. Fix: Duble-check yur infrmatin fr accuracy. If yu entered the infrmatin as it was presented then ntify the Scheduling Specialist if yu wish t verride this errr. *WARNING* Instructr ttal percent respnsibility and sessin des nt equal 100. Means: Either the Percent f Respnsibility r Percent f Sessin clumns d nt equal 100. Fix: Adjust either clumn until they ttal 100. *ERROR* Primary instructr must exist fr sectin.
