1 An Exhibitr s Guide t the 2018 Annual Student Exhibitin Purpse f the Annual Student Exhibitin The Annual Student Exhibitin (ASE) is an pprtunity... fr students t cmplete requirements t graduate with a degree and/r receive a Certificate, fr student-artists t present their artwrk in a grup exhibitin installed in a museum venue where they can display, share, and market their artwrk, skills, and capabilities t gain experience required f a practicing artist, fr student-artists t cmpete fr varius schlarships, awards, and prizes, fr students, family, faculty, alumni, trustees, patrns, partners, and staff t celebrate art and art making in a series f events which define the particular cmbinatin f museum and schl that is the Pennsylvania Academy f the Fine Arts. 3 Artists Eligibility t exhibit in the ASE: 1. Credit and curricular requirements f the prgram f study must be met: Certificate/BFA Prgram Certificate Prgram exhibitrs must have an aggregate f ninety (90) PAFA Certificate Prgram credits accumulated within five years f the date f their first Annual Student Exhibitin. 120 credits are required fr their secnd ASE. Bachelr f Fine Arts Prgram exhibitrs must have an aggregate f ne hundred and twenty-six (126) credits accumulated within five years f the date f the exhibitin. The tw semesters leading up t the ASE must have been spent as a full-time Certificate/BFA Prgram student at PAFA. Students graduating in December are allwed t participate in the Annual Student Exhibitin the fllwing spring. Graduate Prgram T be reviewed and subsequently recmmended t receive the Master f the Fine Arts Degree, secnd year graduate students must present wrks in exhibitin as evidence f their graduate thesis prject. All Students Required t cmplete and/r pass required credits, classes, and lectures as well as meet all financial and library bligatins, and be in gd standing at PAFA. 2. 4 PAFA rganizatin and cntext fr the ASE: Schl f Fine Arts: The Dean f the Schl f Fine Arts guides and versees all aspects f the ASE t include the faculty, Dean f Students, Directr f Graduate Prgram Services, shp managers, Directr f Academic Affairs, and schl exhibitins. The Dean f Students versees the Registrar, the Directr f Student Services and the Directr f Career Services. They manage the flw f infrmatin and pprtunities t exhibitrs and ther students t include eligibility t exhibit, meetings f exhibitrs, wrkshps and panel presentatins, the prductin f the Spring Prize cmpetitin and ther awards, and exhibitr invlvement with the Wmen s Bard Preview event. Museum Department The Directr f the Museum versees the Curatrs, Cnservatr, Preparatrs, Digital Assets Manager, and Directr f Museum Educatin t prvide supprt t exhibitrs. This includes scheduling and preparing galleries fr the exhibitin and prviding advice t exhibitrs. Develpment Department The Executive VP f Develpment versees the cnfirmatin f spnsrs fr prizes and events and crdinatin with the Wmen s Bard fr the ASE Preview event. Facilities Management Department The Directr f Facilities Management prvides technical advice regarding accepted standards fr mechanical and electrical matters, supprts preparatin f the exhibitin area, and versees the nging maintenance f exhibitin spaces. Finance Department The Chief Financial Officer versees the prcessing f payments fr awarded prize mney and sld artwrk and the Directr f Infrmatin Technlgy and the gathering f title, price, and ther infrmatin frm artists abut exhibited artwrk t facilitate labeling and sales. Human Resurces and Administratin Department Executive VP f Human Resurces and Administratin versees the Vice President f Visitr Experience and Events Management, the Visitr Experience Supervisr, and Retail Manager wh prvide a framewrk f vital services t the ASE: gallery safety and security, peratin f the freight elevatr, the retail rganizatin t facilitate sales, and the prductin f special events. Marketing Department The Chief Marketing Officer versees prductin f prmtinal materials, digital media, and prgrams fr the ASE and facilitates scial media utreach. 4
5 Artwrk Original. Artwrk exhibited in the ASE must be riginal and have been dne in cnjunctin with study at the Schl f the Pennsylvania Academy f the Fine Arts. Phtgraphs r digital images f riginal wrk may nt be shwn in place f riginal artwrks. Types. Artwrk exhibited in the ASE by an artist may be a cmbinatin f: discrete bjects installed in the space assigned t the artist an arrangement f bjects installed in the space assigned t the artist intended as a single artwrk an ephemeral experience, such as: Perfrmance Nte: The exhibitr must crdinate advance ntificatin and permissins t avid interference with adjining artists. Electrnic media Nte: The exhibitr is respnsible fr equipment acquisitin and installatin, technical crdinatin, and mdificatin f equipment peratin t cmply with security and safety directives (vlume, timers, brightness, etc.). During Exhibitin. Artwrk exhibited in the ASE will nt be remved frm the museum galleries during the exhibitin. With this is in mind, exhibiting artists shuld btain all required images t dcument their artwrk prir t installatin in the event the artwrk is sld. After Exhibitin. Fr artwrk that was exhibited in the ASE, yet remains in museum galleries after de-installatin: remval and determinatin f dispsal f the artwrk is at the cnvenience f the Schl Exhibitins Crdinatr. Requirements. Artwrks t be installed in ASE gallery spaces must: 1. meet museum and schl plicies... regarding prhibited and restricted materials, regarding public visitr safety, health, and security cncerns. regarding artwrk with ptentially difficult cntent. 2. be prperly prepared fr installatin. 3. be marked with artist name, artwrk title, year made, material. 5
6 4. be registered in a temprary data base t track and accunt fr art wrks, prduce wall labels, and designate as fr sale (with price) r nt fr sale. Cnsequences. Artwrks that d nt meet these listed requirements will be remved frm the exhibitin. The exhibitr respnsible may be asked t crrect discrepancies. Discrepancies must be crrected t the satisfactin f authrized staff. Artwrks may be remved at the discretin f authrized staff at any time during the installatin r during the exhibitin if determined t pse a risk t the safety, health, r security f visitrs, staff, the envirnment, r the building. Explanatin f Requirements. 1. Museum and schl plicies: A. Materials. 1) PROHIBITIONS: T avid infestatin f galleries, the fllwing materials are prhibited: -Live plant matter -Dried plant matter, sil; unless successfully treated prir t use. -Live r dead animals r insects. -Fd, animal prducts, seeds, etc. -Fur, feathers, unprcessed wl, repurpsed wl such as that fund in sweaters, stuffed uphlstery, r rugs; unless successfully treated prir t use. 2) CAUTIONS (case-by-case apprval required). The fllwing materials require an infestatin pre-check cnsisting f string material n white paper fr several weeks and/r sealing material in a plastic bag t bserve activity, r treating by freezing r heating: -Tanned hides remved f fur/hair. -Bnes stripped f flesh, cnnective tissue, and marrw. -New wl, unwrn garments in natural r synthetic fibers. -Salvaged wd in gd cnditin withut signs f current r past infestatin. -Respnsibly cntained liquids (excluding fresh bld), as lng as they d nt cntribute t a mld-inducing envirnment. 6
7 Prcedure fr case-by-case apprval: a) Early Ntificatin. Cntact Schl Exhibitins t discuss the desire t wrk with these materials early in the planning prcess, ideally prir t the due date f the Artist Prpsal. Schl exhibitins will cnsult with the Museum Directr and the Museum Cnservatr t seek apprval fr the material t be installed in the museum. Authrized staff will apprve r deny requests; in sme cases they may be able t suggest alternative materials t the exhibitr that are suitable fr museum use. b) Artist Prpsal. The exhibitr will indicate in the Artist Prpsal sectin f the Applicatin t Exhibit in the Annual Student Exhibitin that these materials are a prpsed part f the artist s artwrk. Artwrks will be remved frm the exhibitin if restricted materials are part f the installatin and the artist did nt prvide ntificatin in their prpsal. c) Prfessinal Fumigatin f Hides, Bnes, Salvaged Wd, and Fibers. Artists granted permissin t use restricted must have thse materials prfessinally treated and prvide certificatin t Schl Exhibitins. After treatment, materials must be kept wrapped and sealed in plastic t avid re-infestatin until they are integrated int the artwrk r installatin. B. Safety, Health, and Security. 1) Artwrk must remain intact and safe. All exhibitrs are t ensure that the wrks n display d nt disintegrate during the curse f the exhibit, r pse a safety threat t the public. PAFA reserves the right t mve r remve such wrk frm the exhibitin. 2) Certificatin f interactive, functinal, r mechanical artwrk. Artwrk intended t have audience r exhibitr participatin must be certified t be sund and prperly cnstructed s as t functin safely. Certificatin at the exhibiting artist s expense must be btained frm a licensed structural engineer r mechanic t guarantee that, when used as designed, the results will nt cause bdily injury r damage t PAFA s facilities, This certificatin must be btained prir t the safety walk-thrugh; therwise, physical interactin with r peratin f the bject is prhibited. The exhibitr must pst signs that are prminent and describe danger warnings, descriptive prcedures, and ther necessary infrmatin. 3) Certificatin f Electrical Cmpnents. Artwrks that cntain electrical cmpnents must meet current electrical cde. Artwrks cmpnents that include wiring fabricated by the artist must be inspected and certified by a qualified electrician; dcumentatin f that certificatin must be prvided. 4) Cmpliance with Accepted Cnstructin Standards. Installatins with platfrms, stairs, and walls t which visitrs will be invited t walk, enter, r interact in any manner must meet building/egress/fire/cnstructin cdes and standards. 7
8 5) Odr r fragrance. Artists will indicate n their artist prpsals if their artwrk will give ff a strng dr r fragrance that may give ther humans an unhealthy reactin. A schl exhibitins representative will discuss with the artist in a studi visit prir t the installatin f the exhibitin. 6) Small r fragile bjects that culd be easily pilfered r damaged shuld be presented in a vitrine, a clear cabinet that can be lcked, r attached with threaded rds, blts, screws, museum wax, r wire t a wall, shelf, r pedestal. If the artwrk is nt adequately secured as determined by the Directr f Security, exhibitrs will sign a waiver relieving PAFA fr respnsibility fr damaged, lst, r missing artwrk. 7) Insurance. Student art wrks are cvered by the PAFA s insurance plicy frm the day and time that all student installatin is cmpleted until the start f student de-installatin. 8) If an bject is determined t be a safety, health, r security risk after it has been installed: a) The artist respnsible will remve the bject frm the galleries. The artist will either reslve the prblem and re-install the bject, r nt reslve the prblem and nt re-install the bject. b) If an artist des nt remve r adjust the bject immediately nce cntacted, then PAFA staff will remve any materials r bjects that pse a risk t safety, health, r security f visitrs, staff, the envirnment, r the building. c) Persns invlved in making the determinatin t remve bjects will be the Dean f the Schl f Fine Arts, Directr f the Museum, authrized museum staff, the schl exhibitins mechanic, Dean f Students, and the Directr f Security. d) While staff will take care in handling an artist s prperty, PAFA is nt respnsible fr any damage t prperty when bjects must be remved expeditiusly. C. Artwrk with ptentially difficult cntent. 1) Cnflicting gals. PAFA must balance gals that may cnflict: t celebrate ur artists freedm f expressin as well as serve the visiting public (including schl grups) and nt vilate their sensibilities. 2) Artist Prpsal. Artists will indicate n their artist prpsal if the artwrk intended fr installatin is pssibly bscene, depicts vilence in a graphic manner, r has ther ptentially difficult cntent. 3) Review Prcess and Reslutin. Schl exhibitins may determine a need t cnsult with the Directr f the Museum, the Dean f the Schl f Fine Arts, the Dean f Students, the VP f Human Resurces and Administratin, and/r the Chief Marketing Officer t determine hw t reslve the matter. Examples f pssible actins t reslve the matter include: a) Printing a disclaimer n the utside f the exhibitin prgram. 8
9 b) Shielding the artwrk frm casual bservatin. c) Psting a warning sign. d) Remving the artwrk frm the exhibitin. 2. Prepared Artwrk. Overview. The exhibiting artist is respnsible fr prper prir planning f the preparatin and presentatin their artwrk in cnsultatin with faculty, the ASE staff, and ther available resurces. T be brught int museum galleries the artwrk must be materially and structurally stable. Artwrk and supprting structures must be cmplete, dry, and ready t be installed and exhibited. Preparatins f artwrk such as varnishing, tuch-ups, staining, and et cetera are nt permitted in museum galleries. Schl exhibitins staff will direct that wet and ill-prepared artwrk and structures be remved frm the galleries and nt installed. A. Heavy wall-munted bjects may be prepared with a cleat, d-rings and braided wire, r anther safe and secure methd f hanging. B. Pedestals are cnstructed r prvided by the exhibitr. Pedestals must have felt glides installed n the bttm edges t prvide ease f mvement fr installatin adjustments f lcatin and t prtect the wd flr. Exhibitrs will remve pedestals after de-installatin. C. Framing r stripping material may be as deep as necessary t hld the artwrk and may nt exceed 1.5 inches in width n the face f the art. 1) A student may make a special request fr a waiver f the 1.5 inch frame rule n a separate sheet f paper submitted with their Applicatin t Exhibit in the Annual Student Exhibitin. The Faculty Cmmittee will review requests fr exceptin. 2) Students wh d nt fllw the 1.5 inch rule and wh d nt submit a request fr an exceptin, but wh hang artwrk with nncmpliant frames will be referred t an ad hc cmmittee cnsisting f members f the faculty t determine if the exhibitr may cmpete fr awards and participate in the exhibit. D. Presentable Artwrk. Sides f unframed canvases r cradled panels shuld be clean and presentable. E. Un-stretched canvas may be prepared fr installatin by inserting grmmets alng the edges f the canvas, attaching the canvas t a wd strip that has d-rings and braided wire, r attaching directly t the wall with apprpriately sized nails r screws. F. Wrks n paper shuld be framed t prvide prtability and prtectin. If that is nt pssible r desired, wrks n paper may be matted, munted t a backing bard, r secured directly t the wall with pins, nails, r magnets. Wrks n paper may als be installed with a cvering f glass r Plexiglas attached t the wall. G. Electrical and Electrnic Cmpnents f Artwrk. The exhibitr is respnsible fr the safety and functinal preparatin and presentatin f electrical and electrnic cmpnents f artwrk. The cmpnents must meet cde and be 9
10 certified if required as described in paragraph 1, sectin B, subsectin 3 abve. The exhibitr must install artwrk that will functin fr the entire length f the exhibitin: equipment must safely turn ff n a timer withut damage, vide must lp, equipment must rebt when timer turns pwer back n, and equipment must have prper ventilatin s that it remains an acceptable temperature and des nt verheat and becme either a fire hazard r damaged. H. Structures. All structures will be f a mdular design and may nt be fabricated in the galleries during the ASE student installatin time perid. After the mdules are cnstructed utilizing the plan develped by the student and apprved by PAFA schl staff and museum staff, the mdules may be mved t the exhibitr s assigned space and assembled n a nt t interfere basis with ther exhibitrs during the ASE student installatin time perid. I. Perfrmance. An exhibitr s request t prpse artwrk with a perfrmance cmpnent will be made in the Artist Prpsal sectin f the ASE Applicatin t Exhibit. The artist prpsal must address required crdinatin, cnsideratin f lgistics, any impact n adjacent exhibitrs, and ther cncerns in a detailed plan. A subsequent written request t be reviewed by authrized museum, schl, and PAFA staff will be required after cnsultatin with a schl exhibitins representative. Any apprved perfrmance must avid interference with adjining artists. 3. Signed Artwrk. Artwrk must be legibly marked with the fllwing infrmatin n the back r bttm f the piece: artist name, title f the artwrk, medium, and year made. This reduces cnfusin fr the ASE staff and a ptential wner. It is suggested that the artist als sign their artwrk. 4. Infrmatin and Data Input, Labels, and Sales. A. Artwrk Registratin. After artwrk is installed in the gallery, exhibiting artists will fllw the instructins that will be prvided t cmplete entry f specific infrmatin fr their installed artwrk. Decisiveness by the exhibitr regarding titles and prices is paramunt: after the deadline, the infrmatin prvided by the exhibitr is transferred frm the database, where it was gathered, t the retail IT prgram, where it will be turned int frmatted wall labels and inventry recrds. Infrmatin cannt be changed after submitted by the artist. B. Labels. Artist and artwrk infrmatin is frmatted and printed n a standardsized sheet f bnd paper, which is placed within the bundaries f the exhibitr s assigned space, usually n the left side f the arrangement. Cnsult the example diagram in the ASE Applicatin t Exhibit. C. Sales. The artist decides if an artwrk is fr sale r nt fr sale. If nt fr sale, the artist will prvide an insurance value fr the bject. 10
11 1) Ownership. If an artwrk is fr sale and that artwrk is sld, then rights, cntrl, and wnership f that artwrk changes. [Fr example: An artist has submitted an artwrk fr cnsideratin in an exhibitin separate frm the ASE. The artwrk was purchased at the ASE; the purchaser nw wns the artwrk. The artist must btain the purchaser s permissin t lend the artwrk. It is nt the respnsibility f ASE and retail staff t crdinate such agreements.] 2) Pricing Guidance. Regarding an artist s decisins t establish prices n artwrk, exhibitrs shuld gather infrmatin by visiting lcal cmmercial galleries, by discussing with established artists including faculty, and by attending career wrkshps and panel discussins that are ffered. 3) Cmmissin and Sales Tax. When pricing artwrk fr the ASE, exhibiting artists shuld cnsider the 30% sales cmmissin; additinally, purchasers pay sales tax. 4) Sales checks will be available n July 9, Please ntify the Directr f Student Services (studentservices@pafa.edu) if yu d nt want yur check mailed t yu and wuld prefer t pick up in persn at the Student Services Office n the 3rd flr f the Hamiltn Building. PAFA reserves the right t decrease funds frm ASE sales checks fr unpaid accunt balances. 5) Only artwrk installed in the exhibitin will be sld. Cpies r editins may be acquired directly frm the artist. All artwrks fr sale are sld as is. 6) Special Handling. An exhibiting artist must cntact the ASE Staff t advise and assist n de-installatin f sld artwrk that requires special handling due t weight, fragility, cmplex cnstructin, high value, r ther cmplicatins. Examples include: unframed wrks n paper, un-stretched canvas, ceramic bjects, and glass bjects. Based n past experience, purchasers ften ask artists t help deliver and install artwrk that requires special handling. 11
12 Space Applicatin and Assignment Prcess. 1. Applicatin t Exhibit in the Annual Student Exhibitin. T be cnsidered t exhibit in the ASE, an artist is required t cmplete and submit an applicatin by the date due. The applicatin has three parts: artist cntact infrmatin and ther infrmatin fr the schl staff and ASE staff, an agreement between the Schl f the Pennsylvania Academy f the Fine Arts and the exhibitr regarding cmpliance with all ASE rules, regulatins, and requirements, an artist prpsal 2. Infrmatin fr cmpletin f an artist prpsal: A. Lcatin and Characteristics f Museum Galleries 1) The ASE will be installed in the Hamiltn Building museum galleries: 1st Flr: Fisher-Brks Gallery (FB),Frances Maguire Gallery (FM), 2nd Flr: Walter and Lenre Annenberg Gallery (WLA),Schl f Fine Arts: Gift f the Wmen s Bard Gallery (SFA),Tuttleman Sculpture Gallery (TSG), and Sculpture Study Center (SSC) 2) Exhibitin space within the galleries includes: Permanent Exterir Walls Temprary Mila walls Other temprary walls Flr space as a result f the gallery cnfiguratin 3) ASE artwrk culd ptentially be installed in areas nt cnsidered gallery space, such as the Hamiltn Building entrance lbby r the Lenfest Plaza. 4) Height f the varius walls within the Hamiltn Building Galleries: 1st Flr: permanent wall: 16ft 6in, temprary Mila wall: 11ft 6in 2nd Flr: permanent wall: 10ft, temprary Mila wall: 8ft 2in B. Gallery Cnfiguratin and Exhibitr Planning. 1) Gallery Cnfiguratin Planning. Cnsultatin amng museum staff, the Directr f Facility Management, and schl exhibitins staff determines the cnfiguratin f museum galleries fr ASE based n permanent walls, available temprary walls, and ptential cnstructed walls. 2) Cnfiguratin Requirements. Cnfiguratin will cnfrm t safety regulatins, prvide fr sufficient exhibitin space, and prvide an appealing experience fr visitrs. Minr adjustments in gallery cnfiguratin may be made as artist prpsals are assessed. 3) Basis fr Exhibitr Planning. Fr the artist at the start f the applicatin and planning prcess, basic knwledge f gallery lcatin and characteristics 12
13 cmbined with baseline planning assumptins prvide ample infrmatin t develp an artist prpsal. a) Fr Certificate/BFA exhibitrs, there are three mdels f exhibitin spaces: Wall nly Flr nly Half-wall and half-flr Artists are t develp a realistic prpsal t best exhibit their artwrk. Assignments t individual artists will be made t best utilize available gallery walls and flr spaces. b) Fr MFA exhibitrs, mdels f exhibitin spaces cannt be defined due t the nature f the graduate prtin f the ASE. C. Exhibitr Planning: Gallery Installatin Plicies. 1) N Adhesives, Paint, and etc. n Exhibitin Walls. Exhibitin walls and spaces will nt be altered with paint, ink, drawing materials, pigment, charcal, tape, adhesives, r ther permanent r semi-permanent marking materials. Use small, insignificant, erasable guide marks made with a #2 pencil t determine placement f artwrk. 2) Prtect Flrs. Prtect wd, stne, carpeted, and painted flrs with plywd, Masnite and/r pads when mving and installing heavy bjects 3) Prhibited materials in museum galleries include varnish, paint, charcal, dry pigments, and ther friable materials. 4) Prhibited Pwer Tls. Pwer saw and pwer sander use is prhibited. 5) Wet Artwrk Prhibited. Wet artwrk is nt permitted in the galleries (fr bth gallery maintenance cncerns and as a curtesy t yur fellw exhibitrs). 6) Artwrk May Nt be Suspended frm Ceiling. Artwrk is nt t be suspended frm ceilings due t bth structural and visitr safety cncerns. 7) D Nt Blck r Hang Artwrk frm Safety Devices r Lighting Tracks. Objects r materials may nt be hung frm the safety devices, fire suppressin system cmpnents, r lighting tracks. Fire extinguishers and fire strbe bx cvers may nt be cvered r sealed by artwrk. 8) Prevent Dispersin f Lse Material. Cntain dry, pwdered, r lse material with a barrier r cntainer t prevent dispersin f material thrughut gallery and t prevent damage t flrs. 9) Damage t Galleries. If unreasnable damage caused by installatin f artwrk by an exhibiting artist ccurs t museum galleries, then the artist that caused the damage is financially respnsible fr restratin, t be determined by the Museum Chief Preparatr and the Schl Exhibitins Crdinatr. 10) Emergency Egress. Artists may nt place artwrk and pedestals n the flr within their assigned space in a lcatin that interferes with emergency egress. 13
14 11) Electrical Timers. The exhibitr is respnsible fr prper installatin f electrical and electrnic equipment; a timer, set frm 9 AM t 9 PM, is mandatry n all electrical and electrnic equipment t cmply with fire safety regulatins and t mderate pwer cnsumptin. 12) Availability f Electrical Outlets. There are a limited number f standard electrical utlets in exhibitin spaces; equipment that requires an excessive electrical lad is prhibited. Exhibitrs must indicate requirements fr electric pwer n the artist prpsal and every attempt will be made t ensure access t an utlet. 13) Extensin Crds and Surge Prtectrs. Use f multiple extensin crds in a series is strictly prhibited by cde. Surge prtectrs must be plugged directly int an electrical utlet (nt int an extensin crd, then int an utlet). Certain applicatins will be reviewed by the Sculpture Department representative, the Directr f Safety, Directr f Operatins, and the Museum Chief Preparatr fr feasibility. Adjustments t Assigned Exhibitin Spaces. Any adjustments t assignments will be determined by the Directr f Graduate Prgrams and Schl Exhibitins. F. Crdinating Installatin amng Adjacent Exhibitrs. Students exhibiting adjacent t ne anther shuld meet t discuss and agree amng themselves the lgistic details f installatin. Installatin Prcess 1. Space Preparatins. A. Mandatry Installatin Meeting. Apprximately tw weeks befre the scheduled start f student installatin there will be a mandatry meeting f all exhibitrs t review safety, plans, schedules, and ther matters regarding installatin. B. The bundaries f each vertical exhibitin space will be indicated by architectural futures f the gallery and by masking tape n cntinuus walls. The bundary may be mved when there is mutual agreement amng bth exhibitrs and the schl exhibitins mechanic. C. Flr Bundaries. Where necessary, bundaries fr three-dimensinal and installatin wrk will be demarcated with masking tape n the flr and wall. 2. Installatin Sequence, Assistance, Tls. A. Certificate/BFA installatin sequence: all artwrk t be hung n walls must be installed prir t free-standing artwrk. Exhibitrs with cmplex installatins f wall and flr artwrk will crdinate with adjacent exhibitrs in cnjunctin with schl exhibitins t ensure n time and efficient installatin cmpletin. 15

Mechanical Lifts. In first flr galleries, lifts will be available t install artwrk high n permanent walls. Fr safety reasns, students are prhibited frm perating lifts. If a lift is required t cmplete an exhibitr s installatin, the exhibitr must crdinate with ASE staff. E. Hardware. Sme essential hardware is prvided: d-rings, screws, nails, braided wire, and hks. Unusual, heavy-duty, r extremely delicate hardware is nt prvided. 3. Cnsideratins f Presentatin: Advice, Planning Arrangement f Artwrk, Labels, and Prize Wrk; and Other Matters. A. Advice. During student installatin, faculty will be available t prvide advice. ASE staff will be available t advise and assist. B. Planning Arrangement. Prir t installing artwrk n walls, it is advisable fr artists t develp a plan. One methd is t mark with lw tack masking tape n the flr in frnt f the wall an area equal t the height and width f the actual wall and experiment with varius arrangements f artwrk. C. Exhibitrs with walls will leave enugh space n the lwer left prtin f their presentatin t fit a 8.5 x 11 inch label sheet, with the bttm f the tp label sheet 40 inches frm the flr. D. Labels fr exhibitrs with flr space nly will be installed in an apprpriate lcatin n a vertical surface adjacent t the installatin f their wrk. E. Exhibitrs having Prizewinning Artwrk. Exhibitrs with artwrk that wn a prize are encuraged t include the prize artwrk in their installatin. Space fr prizes is limited and the number f prize artwrks displayed is based n available space. There is nt a guarantee that prizewinning artwrk will be exhibited. F. Unauthrized Signage. Persnalized signage such as tags, plaques, phtgraphs, digital images, artist statements, pems, award ntices, and dedicatins are prhibited. 16
17 G. Business cards. A small hlder fr business cards may be placed adjacent t the printed label that describes yur artwrk. The hlder may remain in place as lng as there are cards available in the hlder. During the length f the exhibitin, ASE staff will remve the hlder if empty. H. Cntact Infrmatin. A binder with artist cntact infrmatin will be at the entrance t the exhibit after the pening r psted nline. Prir t the pening, artists may wish t add a printed artist statement after their page. Purchasers f artwrk frm the ASE receive artist cntact infrmatin during artwrk pick-up. Purchasers have the ptin f prviding their cntact infrmatin t the artist at the pint f sale and will be prvided t the exhibitr in cnjunctin with sales checks. 4. Installatin Deadlines. If an artist des nt meet the deadline fr installatin published in this guide, Schl Exhibitins will review the circumstances causing the delay: A. Installatin will cease at the deadline. A student cmpeting fr a travel award will be eliminated frm cmpetitin fr a travel award. B. Fr a Certificate/BFA student, the appinted faculty will determine whether t allw the student t resume attempts at installatin t be cmplete prir t Preview event set-up, leaving the installatin f the artwrk as is, r remve the artwrk frm the ASE. C. The Chair f the Graduate Prgrams, in assciatin with the MFA faculty present, will make a determinatin abut graduate students. 5. Security and Safety During Prize Submissin, Student Installatin, Judging, and Reviews. A. Respnsibilities and Authrity f Security Officers. Security fficers psted in galleries during student installatin are respnsible fr the safety and security f students, faculty, staff members, artwrk, and PAFA prperty. Directin frm security fficers must be fllwed. B. ID Cards. Students, faculty, and staff must have their PAFA identificatin cards with them at all times. C. Fd and beverages are prhibited in the museum galleries t avid damage t artwrk. D. Guest Helpers. Exhibitrs must sign in any guest helpers in the Visitr Lg at the Hamiltn West Lbby receptin desk. E. Brad Street Entrance. Artwrk may nt enter the exhibitin spaces thrugh the Brad Street entrance. F. Cautin and Warning Signs. Exhibiting artists are respnsible fr warning, cautin, and usage signs fr specific individual artwrks r installatins. The 17
18 signage must be easy t understand and highly visible. Design and prductin f signs are the respnsibility f the exhibiting artist. G. Daily Clean-up. During student installatin, exhibitrs will clean their area at the end f each day. Plan yur time accrdingly H. Safety Walk-thugh. An effrt will be made t fresee and rectify ptential safety vilatins during the planning phase and during installatin. Additinally, a safety walk-thrugh will be held upn cmpletin f student installatin. Participants will include the PAFA Safety Manager, the Directr f Facilities Management, and schl exhibitins persnnel. Artists that are required t make crrectins t the installatin f their artwrk will be ntified. Crrectins must be cmpleted prir t the Wmen s Bard Preview Event Set-up. 6. Phtgraphy in Museum Galleries. A. Casual Phtgraphy f Own Wrk. Students may phtgraph their gallery installatin after the public pening during regular museum hurs. N pieces may be remved r rearranged fr this purpse. B. Phtgraphy in Gallery with Special Phtgraphic Equipment. T btain a phtgraph f their installed art wrk using equipment such as tripds and lights, exhibitrs shuld plan t cmplete n Mnday, May 14 r Mnday, May 21 between 10 AM and 3 PM when museum galleries are nt pen t the public.
