1 INDIAN INSTITUTE OF TECHNOLOGY KHARAGPUR Tender No. IIT/GG/SKG/Furniture/ /2 Date: Sub: Furniture for new Experimental Petrology Laboratory Indian Institute of Technology, Kharagpur, an Institute of National Importance is intending to procure and installation furniture for the new Experimental Petrology Laboratory, Department of Geology and Geophysics, IIT Kharagpur on two part bids (sealed) and on turnkey basis. Interested vendor with adequate credential and experience for supply, installation of furniture for laboratory/office with state of the art facilities are requested to send their sealed bids under a two cover system as per requirement mentioned in the tender document. Interested vendors are requested to send their sealed bids as per Technical Specifications (Annexure - I & II) and General Terms & Conditions, along with signed Declaration (Annexure - III) under a Two-bid system. Price bids will be opened (to be notified separately), only of those firms, who will be found technically qualified/short listed, after evaluation of their technical bids. 2 GENERAL TERMS AND CONDITIONS 1.Earnest Money Deposit (EMD): An amount of Rs. 10, (Rupees Ten Thousand only) in the form of Demand Draft be enclosed along with the Technical bid. The EMD shall be from any Nationalized Bank and to be drawn in favour of Indian Institute of Technology Kharagpur, payable at Kharagpur. Any bid without EMD will not be considered. This will be refunded to the unsuccessful vendors once the process of technical and price bid opening is complete. The EMD of the bidder awarded with the contract will be refunded after completion of the total project. No interest is payable on refunds. EMD shall be forfeited if the selected vendor accepts the supply order, but is unable to execute the same as per the required quality. 2.Selection: Selection will be based on compliance to eligibility and statutory requirements and the price components quoted by the bidder. The bidder may be required to show samples which will be used in the product (plywood, laminate, hinge, handle, lock, telescopic channel etc.). The commercial bids of only those agencies who would qualify based on Technical Bid documents and whose submitted samples will be of acceptable quality (as determined by the committee) will be opened and usually the lowest bidder (as per the evaluation criteria) will be awarded the contract. Rate must be quoted only in the prescribed format. Bidders quoting in other formats are liable for rejection. 3. Initially L.O.I may be issued to the L1 bidder for fabrication and installation of one wall cabinet as per specifications mentioned in tender notice which will be considered as benchmark for the total execution. If these items supplied by the bidder meet the specifications in the said tender subsequently purchase/work order may be issued to them for total execution of the project. However if they fail to meet the specifications then the L.O.I issued to them may be cancelled and cost of supplied items for the above mentioned sample work (fabrication and installation of one wall cabinet) will be borne by the Institute on pro-rata basis. 4. The quotations should reach the undersigned on or before 8 th Feb 2018 up to 3:00 PM. 5. Opening of Bids: The Technical bid will be opened by a technical committee on 8 th Feb 2018 at 4:00 PM. The date and time for opening of Price (Commercial) bids will be intimated to the technically qualified bidders in due course of time. 6. Late Tenders: Any Tender received after the due date and time of submission as mentioned above shall not be accepted. 7. Bid: A bid once submitted shall be the property of IIT Kharagpur and shall not be returned to the bidder at any time. 8. Conditional offers: Conditional bids will not be accepted on any ground and shall be rejected straightway. If any clarification is required, the same should be obtained before submission of the bids. 9. Rejection of Bid: A bid submitted with false information will not only be rejected but the bidder may also be debarred from participation in future tendering process.

3 10. Canvassing: Canvassing in any form not only invites disqualification in this tender but may also result in debarring the bidder from participation in the future tendering process. 11. Price: Prices may be quoted in Indian Rupees only. 12. Validity of Quotation: The validity of quotation should be 120 days from the date of opening of Price bids. 13. No extra cost: Materials such as pipe, bricks, sand, stone-chips, cement, paint etc. if required for the installation of the above items and other fixation work will have to be supplied by the bidder free of cost. 14. Rate: The rates quoted must be inclusive of all charges at IIT Kharagpur. a. In case of any increase/decrease in quantity of furniture, the corresponding prices will be increased/decreased on prorate basis. b. The bidders must submit their price bids in the format given in Annexure V. 15. Warranty: All furniture should have 3(three) years comprehensive onsite warranty from the date of successive installation. 16. Delivery: The stores are required to be delivered at the Institute under the suppliers own arrangement free of additional charges. The damage or loss in transit if any will be at the risk and cost of the vendor. If the material or finished work is not found acceptable, the vendor shall arrange for the replacement of materials required for re-executing the work as per contract. 17. Installation: The items ordered must be delivered, installed and commissioned within a period of four weeks (28 days) from the date of placing the purchase order or availability of site whichever is later. The installation will be considered complete and warranty period will commence only when all the furniture is installed, commissioned and are working satisfactorily. 18. Consignee: All stores are to be consigned in the name of Head, Department of Geology & Geophysics, Indian Institute of Technology, Kharagpur , West Bengal. 19. Way Bill: This may be issued only against formal request from the vendor and Proforma Invoice in original. 20. Quantity & Specification of Stores: As given in Annexure-I and II. The stores offered should be conforming strictly to the specifications given. The Institute reserves the right to reject such stores, if found unacceptable on these grounds. 21. Deviation from Specifications: It is in the interest of the bidder to study the specifications in the tender thoroughly before quoting so that if the bidder makes any deviations, the same are prominently highlighted in the body of the technical bid. If you need any optional items in order to meet our specifications, you are requested to quote for the total including the option required to suit our requirements; otherwise, your tender will not be considered at all. 22. Payment: Payment (100%) will be made through bank transfer to the account of the successful bidder, normally within 30 days from the date of receipt of bill or of the stores in good

4 order and condition, whichever is later after successful installation and due certification by Head (GG). 23. Advance: No advance payment will be given. 24. Guarantee: The bidder has to declare that the goods sold to the buyer under this contract shall be of the best quality and shall be strictly in accordance with the specifications. 25. Dispute: In case of dispute, the matter will be settled mutually, failing which the decision of the Director shall be final and binding on the bidders.

7 ANNEXURE II (Furniture Specifications) 1. Sample storage wall hanging cabinets with shelves (Fig. 1; Item No. 1; 1 piece) The Wall cabinet frame should be made with solid plywood. The solid plywood frame sizes should be 9 feet (Length/width) 30 inch (Height) 15 inch (Depth). The carcass should be fabricated out of 19 mm resistant to termites and borers solid plywood used for sides, bottom, top and back (such as Century, Merino, Green brand) including side PVC edge banding. The carcass should be laminated with 1.0 mm thick laminates (Century, Merino, Green make) including side PVC edge banding used for side, bottom, top. All laminate pasting to be done by D3 grade adhesive with roller to have zero gap. The shutter should be made from 19 mm resistant to termites and borers solid plywood (such as Century, Merino, Green make) with both sides (inside 0.8 mm and outside 1.0 mm) laminate pasting (Century, Merino, Green make) including side PVC edge banding. The size of the granite top should be 9 feet (L) 27 inch (D). It should have under-bench three drawers and four shutters as per drawing. The shutter and drawer frame should be made with solid plywood. The solid plywood frame sizes should be 9 feet (Length/width) 39 inch (Height) 27 inch (Depth). Teak wood framed table with granite top (2 pieces) The table frame should be completely made with Teak wood, which will be provided by us. The bench would be of 760 mm or standard height. The solid teak frame sizes should be of 4 4 inches for the table. The width and depth of the table should be 5.5 feet 3 feet ( mm). The tabletop should be made of at least 18 mm thick pre-polished high quality natural granite with jet-black color of even surface. The edges of the granite top should be rounded and mirror polished of approved profile. Granite top should be polish from the bottom also. The granite top should be backed by at least 6 mm resistant to termites and borers solid plywood (such as Century, Merino, Green make). All legs of the tables should be mounted on high durability PVC buffer. 10. Solid Teak wood table with plywood at the three sides (1 piece) The table frame should be completely made with Teak wood, which will be provided by us. The bench would be of 900 mm or standard height. The solid teak frame sizes should be of 4 4 inches for the table. The width and depth of the table should be 5 feet 3 feet. The tabletop should be at least 1-inch thick polished high quality teak wood of even surface.

15 The wooden top should be bordered with vertical 19 mm resistant to termites and borers solid plywood (such as Century, Merino, Green make) from 3 sides. Height of the plywood would be 400 mm. Under-bench cabinet should have 1 drawer. The carcass of the cabinet should be constructed with 19 mm resistant to termites and borers solid plywood (such as Century, Merino, Green make) with both sides (inside 0.8 mm and outside 1.0 mm) laminate pasting (Century, Merino, Green make) including side PVC edge banding. The bench would be of 900 mm or standard height. The solid teak frame sizes should be of 4 4 inches for the table. The width and depth of the table should be 4 feet 3 feet. The tabletop should be at least 1-inch thick polished high quality teak wood of even surface. Under-bench cabinet should have 1 drawer. The carcass of the cabinet should be constructed with 19 mm resistant to termites and borers solid plywood (such as Century, Merino, Green make) with both sides (inside 0.8 mm and outside 1.0 mm) laminate pasting (Century, Merino, Green make) including side PVC edge banding.
