TENDER DOCUMENT FOR DIGITAL PHOTOGRAPHY / STILL SHOOT TO PROMOTE GUJARAT TOURISM Tourism Corporation of Gujarat Ltd. intends to do a still shoot with the Gujarat Tourism Brand Ambassador Mr. Amitabh Bachchan at certain identified destinations and in a studio. There will also be a separate shoot to capture the scenic beauty, fairs, festivals, cuisines, handicrafts, dance, etc. of certain identified destinations. The still shoot will cover the destinations of Somanth, Dwarka, Gir, Rann of Kutch and Gandhiji s landmarks. It should capture the beauty, diversity and spirituality of Gujarat in such a way that it offers the viewers a high quality and engaging experience about Gujarat. The Photographer / Photography Agency may submit bids as per following guidelines A. Guidelines for Submission: Interested Photographer / Photography Agency with requisite experience, may submit required documents in two packets (Technical & Financial Packets) as detailed below:- Pre Bid Meeting: (To be addressed by M/s. O & M) Date: 24th March, 2010, Time: 12 p.m. Venue: Tourism Corporation of Gujarat Ltd., Block No.16/17, 4th Floor, Udyog Bhavan, Sector 11, Gandhinagar , Gujarat. (Concept for the campaign will be shared at the pre bid meeting). Last Date for submission: 31 st March, 2010, by 2 p.m. B. The Bid should contain the following documents:- Packet 1 (Technical Bid) The Photographer / Photography Agency has to submit the concept for implementing the above assignment along with the technical expertise, experience, proof for similar assignment handled in the past and other relevant details as a part of technical bid along with the format Part A. All the above documents should be put in an envelope sealed and superscribed as Technical Packet for Digital Photography / Still Shoot for Khushboo Gujarat Ki Campaign and the envelope should carry the tender number, due date for submission along with the name, address, telephone number, address of the photographer / photography agency.

4 Packet -2 (Financial Bid) The Photographer / Photography Agency has to submit the financial bid for implementing the assignment as per the format enclosed Part-B. The financial bid should contain all expenses involved in the assignment like transportation, accommodation, out of pocket expense, etc. The detailed financial cost should be put in an envelope sealed and superscribed as Financial Packet for Digital Photography / Still Shoot for Khushboo Gujarat Ki Campaign and the envelope should carry the tender number, due date for submission along with the name, address, telephone number, address of the photographer / photography agency. The covers containing both the technical and financial sealed packet should be put in a big cover, sealed and superscribed as Technical & Financial Packets for Digital Photography / Still Shoot for Khushboo Gujarat Ki Campaign. The big cover should be addressed to: The Managing Director, Tourism Corporation of Gujarat Ltd., Block No.16/17, 4th Floor, Udyog Bhavan, Sector 11, Gandhinagar , Gujarat. C. Technical Eligibility / Criteria for selection of the agency The photographer must be a professional photographer with minimum 5 years of experience in commercial photo shoot The photographer should have the experience of having done a still shoot on Tourism (National/ International) or for Multinationals brands like Cadbury, Vodafone, etc. The photographer should have a well trained production team for the shoot Preference will be given to a photographer who has the experience of working with celebrities from the Indian Film industry. D. Scope of work: This includes two separate projects: Project A: o Still Shoot with Mr. Amitabh Bachchan on location/ at various identified destinations. This shoot will have to be done when on location for the TVC production shoot. o Still Shoot with Amitabh Bachchan in a studio Project B o Still shoot of various identified locations and destinations. Requirement: o Photographs with Mr. Amitabh Bachchan on location o Photographs with Mr. Amitabh Bachchan in a studio o Photographs of identified locations and destinations o Number of photographs will be as required by the creative firm. The work/ cost includes: Photographer s assignment charges

5 Photography to be done with professional digital (D3) camera with minimum 12 mega pixel Pre production meeting and recce Still shoot production crew, casting, hire of camera & lights, other equipments, studio hire, costumes, make-up, props hire, setting, green screen, location hire, procuring all necessary permissions for shoot, catering, transportation etc. Post production like basic system correction of the images, etc. Travel, boarding and lodging for the entire production and technical crew across all the locations in Gujarat Delivery in the required format PSD format, Tiff format, JPEG format, etc. in a DVD and CD Raw stock of the still shoot will be the property of the Ministry of Tourism Corporation of Gujarat Ltd. Govt. of Gujarat and the same is required to be handed over to Tourism Corporation of Gujarat Ltd. The following is not included in the scope of work of the Film Production Company: Fee and travel for Mr. Amitabh Bachchan and his accompanying core members. F. Tender Fee The tender fee of Rs. 1000/- has to be deposited along with the technical bid. G. EMD: The bidders shall have to submit EMD of Rs by way of Demand Draft in favour of Tourism Corporation of Gujarat Ltd. payable at Gandhinagar along with technical bid. The EMD will be converted in to security deposit in case of successful bidder which will be returned after the successful completion of assignment. In case of unsuccessful bidder, the EMD will be returned H. Terms of Payment 50% advance payment along with the work order against the bank guarantee by the production house. 30% payment after the first cut presentation of the still shoot 20% balance payment on satisfactory delivery of the material in all the required formats I. Special Clause: The Corporation reserves the right to accept or reject the tender without assigning anyreasons. The above clauses can be amended on a mutually agreed basis. This contract is subject to the Gandhinagar jurisdiction
