2 NOTICE INVITING QUOTATION No: IIMK/CIVIL/273/ dt Sealed Quotations are invited by the Director, Indian Institute of Management, Kozhikode, Kerala, from experienced Civil contractors for Modification of Director s Office and providing cabin in the EPGP office 1. Quotationers should quote their rates for each item. 2. Quotations not properly filled, mutilated, with incorrect calculations or generally not complying with the conditions are liable to be rejected. 3. Each page of the Quotation should be serially numbered and signed. The covering letter should clearly specify the total number of pages in the Quotation submitted by the Quotationer. 4. Quotation is to be signed by the authorized signatory. Unsigned Quotations will summarily be rejected and no correspondence shall be entertained. 5. The Quotation shall remain valid for acceptance for a period of 90 days from the date of opening of Quotation. 6. The rates quoted shall be inclusive of cost of materials, labour & hire charges of equipment, taxes (Sales tax, service tax, etc) & duties, handling, transporting and other incidentals for proper completion of the work. 7. The rates have to be quoted in the prescribed form issued from the Institute. 8. E M D amounting to ` 11,000/- should be furnished while submitting the Quotation in the form of Demand Draft / Deposit at call receipt / Fixed Deposit (beneficiary being IIMK), etc. of a scheduled bank. Quotations received without E M D or with E M D in any other form than stated above are liable to be rejected. The EMD will be refunded to the unsuccessful Quotationers within one month of the acceptance of the quotation. 9. Performance guarantee (Security Deposit): Within Seven days of the award of the contract, the Contractor shall furnish to the Institute a bank guarantee / Demand Draft / Deposit at call receipt Fixed Deposit (beneficiary being IIMK) for a sum equivalent to 7% of contract value as Performance guarantee (Security Deposit) valid for the duration of the contract period. 10. After acceptance of the Quotation, the Quotationer shall sign the necessary contract agreement in non-judicial stamp paper worth Rs 200/within five days of intimation in the prescribed form. Expenses for the agreement including cost of stamp papers etc. shall be borne by the Contractor. 11. Retention money: Retention 5% of the bill amount shall be deducted from payment. Page 2 of 21

3 12. The Retention money / Security Deposit shall not bear any interest. 13. The Security deposit shall be returned after virtual completion of the work and the retention money shall be refunded after the defect liability period of One year. 14. The work shall be taken up immediately on receipt of Work Order and completed within 45 (Forty five) days. For any delay in completion, penalty will be 0.5% of the quoted amount per week subject to a maximum of 2.5 % of the quoted amount. 15. All Safety measures should be taken while carrying of the work at site. 16. All materials used shall be ISI or approved equivalent. 17. The contractor, during execution of work shall ensure that they shall not cause any damages to the structure where the work is under taken. Any damage caused to the building has to be made good at the contractors own cost. 18. During execution of the work the contractor shall ensure the work will not be effected the working office. 19. Upon Completion of the work all the areas (All floors, doors, windows, surface, etc) should be cleaned. 20. The payment shall be effected for the bill submitted, after satisfactory completion of the work, on the basis of actual quantity of work carried out. 21. The Contractor shall observe all the existing rules and regulations regarding labour employment and shall indemnify and keep the Institute indemnified from all the claims in this respect. 22. No alternations in Quotation forms shall be made by the Quotationer and if any such alteration is made, the Quotation is liable to be rejected. 23. The acceptance of Quotation will rest with the Institute, which does not bind itself to accept the lowest Quotation and reserve to itself the authority to reject any or all of the Quotations received, without assigning any reasons. 24. Normal payment terms acceptable to the Institute shall be 30 days of satisfactory completion of the entire works. 25. During the warranty/defects liability period, the contractor shall be responsible for attending to all defects pointed out by the institute, and shall replace the defective parts/items at no extra cost. 26. Demurrages and penalty, if any, paid by the supplier due to his/her fault shall not be borne by the Institute. Page 3 of 21

4 27. The Quotations submitted shall clearly mention the name of the firm/person in whose favor the Work order is to be placed. Any request made after submitting the Quotation for changing the name of the firm in whose favor the purchase order is to be placed shall not ordinarily be entertained. 28. The Quotationer shall attach catalogues and other details of the products quoted. 29. The Contractor should have his/her own capability for repair and maintenance of the item quoted locally. 30. IIMK reserves the right to alter and revise the technical specifications or the required quantity of the items at any point of time. In case of such alteration, the Quotationers shall be duly notified. 31. Quotationers are to abide by all the Terms and Conditions detailed above. In case these terms and conditions are not acceptable to any Quotationer, he/she should clearly specify the deviations in his/her Quotation. IIMK reserves the right to accept or to reject them. 32. Every Quotationer is expected to inspect the site of the proposed work at his own cost before quoting his rates. He must also go through all the drawings and documents. It will be construed that the contractor has inspected the site and satisfied himself about site conditions, nature of work, availability of labour and materials and other relevant matters, before quoting his rates. 33. In case of any dispute, the decision of the Director of the Institute shall be final and binding on both the parties. 34. Approved make of Materials Plywood : Archid ply/century ply/ approved equivalent. Distemper : Asian/Berger/Nerolac Glass : Saint Gobain/Modifloat/approved equivalent Aluminium sections : Hindalco/Jindal/approved equivalent. 35. The Quotations along with all necessary documents in sealed envelopes should be sent to the following address, super scribing the name of work and Quotation number. Alternatively, the contractors can drop the Quotation in the Box, entitled Engineering Section kept near Reception Counter in Administrative Block. 5 37. Quotation documents received after the last date and time for receiving Quotations will be summarily rejected and no correspondence shall be entertained in this regard. 38. Quotation Document can either be obtained from the office of the Engineering (Civil) from to , up to 5.00 pm on payment of Rs 525/- by Demand Draft/Bankers Cheque/Pay Order drawn in favour of Indian Institute of Management Kozhikode payable at Kozhikode or the Quotation Document can be down loaded directly from the web site of the Institute. In case the Quotation Document is down loaded from the Institute s web site, the cost towards Quotation Document and the proof for having carried out similar works as stipulated should be enclosed while submitting the bid. Quotations received without requisite papers/documents including cost of Quotation Document, EMD, proof for having completed similar works (as mentioned above), etc. will be summarily rejected. 14 SCHEDULE OF QUANTITIES Item No. Qty Description Rate (`) / Unit Amount(`) Modular Work stations (Linear) OF Size 1800 x 600 mm Nos Providing and fixing modular work stations of Size 1800 mm x 600 mm, as per drawing and specifications as given below. 1) 600 mm width work top shall be made out of 25 mm thick exterior grade pre laminated particle board of approved make and shade as shown in drawings. The edge of the work top shall be covered with 3 mm thick PVC edge band matching to the table top laminate. The work top supported by 2nos of powder coated MS legs of appropriate size as shown in the drawing. 2) Providing and fixing 1 No powder coated metal key board tray of size 530 (W) x 350 (D) x 40 mm (H) with telescopic drawer slides. 3) Providing and fixing 1 No powder coated CPU trolley made of CRC steel. 4) Providing 2nos of metal race ways for UPS/Raw Power and Data/Telephone 1 No race way shall be provided beneath the work top and the other one shall be provided at floor/ skirting level. 5) The partition shall be made out of aluminium sections of appropriate size as shown in the drawing with approved colour powder coating. Panels will be covered with approved colour laminated board with combination of white board and soft board and finished with fabric of approved shade and make, including Page 14 of 21

The partition shall be made of aluminium frame with approved colour powder coating, panel covered with approved colour laminated board with combination of white board and soft board and is finished with fabric of approved shade and make, including perforated metallic modesty panel with powder coated finish of approved shade all as per drawing. The thickness of partition shall be 60 mm as per drawing and the height shall be of 1200 mm. The partition shall have level adjusting arrangement. Cost shall include all hardware items required like multipurpose lock, SS handles, Hinges, magnetic catchers, etc. of approved brand (Hettich or approved equivalent) and manufacture. Measurement shall be taken in squire meters of front face area of the storage unit (i.e. length of storage X height of storage unit). Necessary anchor fasters should also be provided for overhead Shelves. 6 Replacing ACP sheets 7.00 m2 Removing the existing lamination from the partition board and replacing the same with aluminium composite panel of 4 mm (total) thick, with required colour conforming to ASTM standards, including cost of C.P. brass/stainless steel screws, rubber gasket, Applying sealant, etc. complete as per drawings and directions of engineer-in-charge.
