1 SPEC /8 1.0 PURPOSE This specification describes the requirements and procedure for requesting new drawing numbers, requesting drawing files for revision, and submitting drawings for archiving. This specification is applicable to Engineering Consultants that work for Vale. 2.0 GENERAL For the purposes of this document, the Engineering Consultant shall be referred to as the Engineer. For overflow and outsourced engineering jobs where an Engineering Outsourcing Coordinator (EOC) is assigned to a job, the workflow outlined in Appendix C is applicable. For major projects, generally over $50M or projects where an EOC is not assigned, the Vale Project Engineer will perform the functions of the EOC as it relates to drawing control. In these cases the workflow outlined in Appendix D is applicable. Correspondence for the processes outlined in the workflows will be done primarily by REQUESTING DRAWING NUMBERS AND DRAWING FILES The Engineer shall submit a request to the EOC for drawings and or drawing numbers using the drawing request form (NAV-TE-0018). Each request must include a Vale Engineering job number and title, Consultant name, and date. The Consultant field may be used for additional information (consultant job number, contact name, phone number, address, etc). During the design process, if additional drawings or numbers are required, a new request form must be submitted. Reserving a New Drawing No When submitting a request for new drawing numbers, only the Plant Number and the number of drawings is required. This is also applicable to requesting vendor drawing numbers (see example 1). Check-out Drawing For drawing check out, the drawing number is filled in as either the full 12-digit drawing number, or as the 8 digit format (2-digit plant number, followed by a dash, followed by the last 6-digits that form the drawing number) (see example 1).

2 SPEC /8 Example 1: Requesting a CAD Copy Only If a copy of a drawing is required for duplicating drafting information (not revising) (example: copying the background for another drawing for drafting efficiency), the form can be used to request a CAD copy only. (see the following example) Upon receipt, of the Drawing Request form, the EOC verifies that the request is valid and forwards it to Vale s Drawing Control. Vale Drawing Control will forward the reserved numbers and/or drawing files to the Engineer via SUBMITTING AND RETURNING DRAWINGS FOR ARCHIVE Prior to submitting drawings for archive, Vale s Drawing Checker Utility (part of border.mvba) must be run by the Engineer on all drawings (except Vendor drawings) to ensure that the drawings are compliant with Vale s Drawing Management System (jdms). Upon issuing the engineering package for construction, the drawings are submitted for archiving to Vale Drawing Control (drawingcontrol@vale.com). A copy of the Drawing Checker Report (in Excel format) indicating that the drawings have successfully passed the checker utility, must be included with drawing submission. Each drawing must also be accompanied by a PDF file as per Vale SPEC VENDOR DRAWING SUBMISSION As noted in SPEC-08012, it is not necessary for Vendor Drawings to have the Vale standard border. However, in order for the drawings to be archived into Vale s system, the Engineer must submit the vendor drawings for archive accompanied by a vendor drawing list using the Vale bulkload template available on Vale s website. (template NAV-TE-010) Note: a Drawing Checker Report is not required for Vendor drawings. 6.0 CANCEL REQUESTS AND VOID DOCUMENTS Cancel Reserved Number In the event that more drawing numbers were reserved for a project than actually required, the numbers must be cancelled. Vale Drawing Control must be notified using the Consultant Drawing Request form (NAV-TE-0018), (see example 2). Cancel Check Out When a drawing is checked-out, it becomes locked and unavailable to other users. During the course of the project, if it is determined that a checked-out drawing does not require revision, the check out must be cancelled. This is done by notifying Vale Drawing Control using the Consultant Drawing Request form (NAV-TE-0018), (see example 2). Example 2 Void Document During the course of a project, if an existing drawing is superseded or becomes void as outlined in SPEC-08010, Vale Drawing Control must be notified. The Drawing Checker Report must be submitted along with the voided CAD files (not required for CIT only files)..0 DRAWINGS - NON-COMPLIANCE ISSUES The jdms system has specific requirements for reading the drawing attributes and populating the drawing database as defined in the standards for drawing requirements. If the system cannot read the attributes on a drawing, the system will reject the drawing.

5 SPEC /8 9.0 REVISION AND TRANSITION NOTES Revision notes describe: what was changed, and if applicable, why it was changed, and the plan to implement the change, including whether changes are retroactive. Note: The revision notes are a summary of the changes and may not necessarily be a complete list. A risk code is entered for each revision and if applicable, the revision notes will describe how risk was addressed for the revision. Risk Code A Risk Category This revision is a minor change and/or introduces no risk. B C Risk has been addressed for this revision by the reviewer and approver. Low risk or no new hazards identified. For this revision, a PHR or other risk management tool has been used to address risk and minimize hazards. This risk assessment has been documented and is available through Central Engineering.
