1 1/5 1.0 PURPOSE This specification is intended to provide guidance to the Engineer (Internal or Consultant) in regards to Vendor Information Requirements. It outlines the expectations for requesting Vendor Drawings and Vendor Information. The specification is also applicable to Fabrication and Shop Drawings. 2.0 GENERAL Vale s definition of Vendor, Fabrication and Shop drawings is outlined in SPEC For the purposes of this document, vendor, shop and fabrication drawings shall be referred to as Vendor documents. All vendor documents shall be created in the English language. 3.0 VENDOR INFORMATION The Engineer shall request the following information from the vendor: Vendor Drawings (including where applicable): o Dimensions o Shipping weights o Lifting Requirements o Installation requirements o Commissioning/Start-up requirements o Set Points, Calibration information (including Dimensions and Weights) Data Sheets Performance Curves Electrical Schematics/Wiring diagrams Hydraulic, Pneumatic, Instrumentation/Control diagrams Other typical information required, where applicable includes: Operating and Maintenance Manuals Spare Parts Lists with attributes to meet KLASSMATT standards Troubleshooting Trees Warranty Information Linkone Manuals (if applicable) QA Documentation Registration Documentation (TSSA/ESA, etc.)

2 2/5 4.0 FILE FORMAT It is not necessary for vendor drawings to be on Vale standard borders. All vendor drawings are to be produced using CAD (Microstation or AutoCAD is acceptable). Vendor information is submitted in PDF format accompanied by native electronic files where available. 5.0 VENDOR DRAWING NUMBERS AND FILE NAMING Vendor information that contains data that is relevant to Engineering or Design, is assigned a Vale Engineering Vendor Drawing number and the information will be archived in the jdms system. This will generally include: Vendor Drawings Data Sheets Performance Curves Electrical Schematics/Wiring diagrams Hydraulic, Pneumatic, Instrumentation/Control diagrams Other information relevant to Engineering or Design Vendor drawing/document numbers are formatted as per Vale Engineering Specification SPEC The design team leader or consultant will reserve the required number of vendor drawing numbers. and assign the numbers to the vendor during the vendor drawing review process. In addition to the Vendor's drawing number, the Vendor shall insert the assigned Vale drawing number in the lower right hand corner of the drawing. Multi-Page PDF s In some cases, multi-page vendor information may be submitted under one Drawing/Document number. For example: a set of associated steel details may be grouped, where only the erection drawing is assigned a Vale vendor number and all the associated detail sheets are attached as a multi-page PDF for archiving. In this case, the first page of the file shall be treated as a cover page, indicating number of pages, and that the document is a Multi-page document. All pages must bear the drawing number and sheet number. 6.0 ENGINEERING APPROVALS Vendor drawings are submitted with the Vendor logo and approval signatures in the drawing title block. Each vendor drawing shall be checked and approved by a Professional Engineer (where applicable).

3 3/5 7.0 VALE REVIEW OF VENDOR DRAWINGS Vendor drawings are submitted to Vale s Design Engineer (Vale Engineering or Engineering Consultant) for review, prior to fabrication, in PDF format. Reviews by Vale s Design Engineer are of a cursory nature to ensure general compliance with Vale standards, industry best-practices and/or suitability for purpose. The reviews do not relieve the vendor of their contractual obligations. No responsibility for the design is assumed by Vale. The reviewer will stamp the review print, sign, date, and indicate acceptance (or not) of the drawing in one of three ways: No Comments Revise and Address Comments Revise, Address Comments and Re-submit The comments will be marked in red and stamped by the reviewer, either electronically or by hand. Mark-ups by hand will be scanned to electronic format. Reviewed drawings will be returned to the vendor in PDF format, and a copy filed in the project files. The assigned Vale number shall be included in the vendor drawing review mark-up as noted above. Any discussions with the vendor will be recorded and filed in the project files. messages are acceptable records. Upon receiving the final documents, the reviewer verifies that any review comments have been addressed by the vendor..0 ARCHIVING OF VENDOR DRAWINGS/DOCUMENTS Vendor drawings are archived electronically into the Drawing Management System. The submitted CAD and PDF drawing files must have identical file names with different extensions (example: G-A00001.dgn, and G-A00001.PDF). The drawings must also be accompanied by a completed vendor drawing list using the Vale bulk-load template available on Vale s website (template NAV-TE-0107). In rare cases where drawings or other documents are only available in hard copy format, they must be scanned and electronically submitted for archive. The hard copies are then forwarded to the Project Coordinator/Manager. 9.0 REVISING VENDOR DRAWINGS IN ARCHIVE Vendor drawings are not normally changed by Vale or Consultants. However, for example, if a dimensional change was made in the field, it may be desirable to capture that information on the drawing.

4 4/5 To record the information, the entire vendor drawing including original border information, is inserted into a Vale border. The original vendor information is not altered or erased, however the drawing is electronically marked-up and clouded to flag that a change was made. The Vale border and revision block is revised to record the change. No information within the vendor drawing s original border is altered. The vendor s revision number is not incremented. The Vale drawing revision number is incremented. As with any other Vale Engineering drawing, the checking, approval and review process still applies REFERENCE DOCUMENTATION The following documents are related to this specification and shall be used to their latest revision: SPEC SPEC-0002 SPEC-0003 Engineering Services General Instructions Drawings - Administrative Requirements Numbering,Titles,Files,etc Drawings Technical Requirements - General

5 5/ REVISION AND TRANSITION NOTES Revision notes describe: what was changed, and if applicable, why it was changed, and the plan to implement the change, including whether changes are retroactive. Note: The revision notes are a summary of the changes and may not necessarily be a complete list. A risk code is entered for each revision and if applicable, the revision notes will describe how risk was addressed for the revision. Risk Risk Category Code A This revision is a minor change and/or introduces no risk. B C Risk has been addressed for this revision by the reviewer and approver. Low risk or no new hazards identified. For this revision, a PHR or other risk management tool has been used to address risk and minimize hazards. This risk assessment has been documented and is available through Central Engineering.
