Vince seconds. Approval of Prior Minutes Motion to approve February minutes. Durelle motioned. Anne seconds. Executive Committee Nothing to report Finance $4000 withdrawn to purchase aluminum trailer total cost $4200 additional info in equipment Bank paperwork needs to be returned to update board positions. Draft letter to Rick updating matching donation. Elisa: drop off bank paperwork Erin: letter to Rick
2 Committee recommends Emilie Gross of Dayton, OH to be hired as early season coach May June 2017 Background checks to be completed for new hires and updated for those who last completed in 2015 or coach/chaperone juniors. Ed motioned. Erin seconds. Coaching Committee Junior Committee Keep Nancy from FL in mind as a backup coach if there is an unexpected vacancy this year. Rich driving arriving June 5 or 6 Eddie to fly arriving June 1 or 2 (Elisa to purchase ticket) Emilie to fly arriving May 7 or 8 (Elisa to purchase ticket) Update checklist for scullers regarding use of ARA equipment. Working on housing options. 2 leads. Dryland training: progress is on track with expectations for those who are regularly participating. Parent meeting/junior social at Get Air 1 April 4 6 Megan Clark will be the junior team manager Dimond principal interested in advertising ARA for juniors Need flier for junior recruitment. Elisa: coach travel arrangements Mike: sculling checklist Erin: follow up with Dimond principal Jasmine: flier Vince: go fund me ok from family TM: post info if Vince receives ok 2
3 An ARA family had an unexpected death find out if go fund me account information may be shared with ARA members via weekly update. Membership/Communications Transitioning to google team s to be linked to position not individual names, Ed is setting up top level, committee liaisons will be responsible for setting up committee groups and keeping them up to date. There will be document storage for each committee which should provide good reference material as people transition in and out of jobs. Need to make a plan for document organization so only current/useful info is held. Volunteer hours are not tracking correctly. Let Ed know if you are noticing a problem before season is in full swing. At The Catch articles are due April 15. Add Maintenance Days Class manager positions: LTR - Yvette (Shannon to cover) LTS Robby with help from Mike Junior Camp Megan Clark Ed research volunteer hours Elisa: create a TM contract. Team Manager 2017 Class cards are available see TM PR volunteer Michelle Weston has FB access and is setting up an Instagram account and reestablishing the twitter account. Fairbanks LTS in conjunction w/race is still pending time and price confirmation w/ben. 3
4 Shell Pen move in April. Equipment April maintenance cx. Next maintenance dates: 20 May and 17 June in conjunction with classes. $1200 additional funds requested by Theo to retrofit new trailer plus additional $200 for full payment on trailer for a total of $1400 in additional funds. Ken: follow up with Laura re potential space at museum for maintenance Erin motioned. Ken seconds. Racing Committee In State: Fairbanks regatta for small boats June Moose Nugget July Fee this year $40/rower $10/$5 spectator adult/child Tail of the Bear TBD Big Head: September 23 Out of State: Greenlake: 5 Aug Seattle FISA: 6-10 Sep Bled Tail of the Lake: 1 Oct Seattle Janet will populate the racing calendar and draft updates for Regatta Meeting Dan generated a list of 2017 regattas for those not going to Bled to consider to be shared at the Ice Breaker and included in the article about Bled in At the Catch. 4
5 Special Events Ice Breaker May at Janeece and Charles Anne is coordinating ARA group for Bike for Women No plan for ARA to field a Heart Run team Ed and Janeece are working on an individual team building program on the water experience for local businesses, possibly to replace the Dave in the future. Merchandise committee inventoried gear on hand and will have a spring fling sale with items to be picked up at the Ice Breaker. There will be t- shirt grab bags for sale at the Ice Breaker Fundraising Committee Sample fabric for new hi- viz vest through JL shared New / Old Business 1. Jena Piacenti: Sand Lake Project 2. Liz Forsman: shell donation 3. Mike Chriss: summer intern 4. Brenna Hughes: adaptive New Gear: hi- viz cancer awareness visors men & women through JL Emory is working on new junior hoodie design JL openings for 2017: 5-11 June (to arrive before MNR, Bled rowers order now) July (to arrive before Big Head and outside Oct races) Oct (holiday purchases & upgrades) 1. Jena, 6 th grade teacher at Sand Lake Elementary, presented details of a landscaping project (arch entry, signs, path, seating area, stage) to be installed (based on funding) between the lake and shell pen, to the left of the pen. For info about project google sand lake makeover project google Looking for volunteer labor, $ and material donations from ARA members. Anne Blount will serve as liaison to request support from ARA as needed and to ensure installation doesn t conflict with boat movement to/from pen. Project info will be posted in Ed motioned. Anne seconds. Motion passes. TM post in weekly update 5
6 weekly update to allow members with community contacts or resources to donate as desired. Suggested that 5% of gross from 2017 Dave be donated to this project with final amount to be finalized in June. 2. Liz Forsman has purchased two 2X, one for $750 previously discussed and accepted, and a Pocock midweight/185 avg weight with new paint, shoes and tracks for $3500 (discounted $1500). She wishes to donate both boats and $1700 of ferry transportation and driving cost to ARA and requests a letter acknowledging donation for tax purposes. She will take the ferry from Bellingham 28 April and drive from Haines arriving in Anchorage 4 May. There should be room in the shell pen for all 3 boats. Liz will keep her boat if there isn t room on the racks. Ed has space to store all boats if weather delays opening shell pen. Boats should be added to ARA insurance prior to movement. Liz also provided info about free race advertising and suggested hosting a small boat regatta, ARA not able to take on another event but will pass to Ben in Fairbanks. 3. Mike Chriss provided info about UAA senior Michael Mendenhall who has applied for an internship with ARA based on his career interest in sports medicine/physical therapy/athletic trainer/injury prevention. ARA to sponsor him, Mike to be site supervisor, Anne to mentor regarding physical therapy, Joe and Robby to mentor as educators/team members, coaches to mentor as rowing experts. Available to start mid May. Broad goal: learn about the sport and develop an injury prevention program through observation using technology (filming from launch) to evaluate technique and tailor program to needs of rowers; master, novice, junior. As part of internship ARA to comp participation in LTR/LTS as he is available. Mike to write an article for At The Catch to intro to team. Anne motioned. Ken seconds, Motion passes. 7 4. Brenna Hughes updated on adaptive rowing. Seat needed costs $525, C2 adapter $45. Pontoons? Chest straps? Other parts? Discussion on logistics: coach qualification/availability (US Rowing coach is willing to fund her own trip up to assist, incoming coaches might be interested in gaining adaptive experience), equipment availability (compatibility/time to install adaptive gear), concern over having an adaptive rower on the water and unable to self- rescue, time and manpower involved to actually get on the water. How to structure payment for class without knowing level of interest in advance. Start with erg session for ability assessment this summer - cost depends on who buys adaptive gear (member or ARA) then brainstorm the best way forward.
