2 Dear Fundraiser Jan 20 Thank you for enquiring about our Balloon Race Guide. Launched in 996 our guide has helped hundreds of charitable organisations raise many thousands of pounds. With our help organising a balloon race couldn't be easier. We take away all of the worry of deciding how many balloons and how much balloon gas to order and the risk that goes with it. Our system works so that you have received your income from the sale of balloons before you even have to buy anything. We then supply you with customised race tickets, balloons and gas to meet your needs. Our race kits offer you risk-free fundraising and a guaranteed profit. For full details see our examples inside. We recommend a selling price of.60 and the potential profit projections shown are using this figure. Selling 20 balloons will potentially earn you 23 in profit and this rises to 288 where 000 balloons are sold. You can sell quantities in between these figures or over the 00 quantity. Detailed on the following pages are the steps to organise your balloon race as well as entry form and poster photocopy masters from which you can reproduce your own copies to get your advertising under way. You will need to start advertising for entries 4 weeks before your launch date to ensure that you have sold the maximum amount of entries before you order your balloons and gas. Is it environmentally friendly? The acceptable way to run a balloon race is to only release items that are biodegradable. All our balloon race kits contain these items. Our balloons are made from latex which is a natural product which will break down at the same rate as an oak leaf. Our race tickets are made of thick paper and DO NOT involve string or the use of plastic valves when attaching tickets to the balloons. Quick tip A good prize will encourage people to buy more than one balloon. A Cash Prize could be offered straight from your income or you could approach a local company about having a prize donated in return for some free advertising. Simply explained, it is a competition where entrants buy a balloon which has a numbered ticket attached; this balloon is then released. The buyer of the balloon that travels the furthest and has its ticket returned to the organiser is the winner. A prize is then awarded to the buyer of the balloon as well as to the person who returned the winning ticket. How much is it going to cost us? The way our system works you have your money from the sale of entries before you have to pay anything out. Once you have sold the entries you simply come and tell us how many entries you have sold and then we will supply you with exactly the quantities of balloons, gas and customised race tickets. We take all the worry out of trying to predict how many balloons you will sell. Our Simple Guide to organising a race Balloon Races The responsible way to do it All entries are sold in advance. We then supply you with enough balloons, tickets and gas to meet your requirements and can also supply extra balloons and tickets on a sale or return basis so you cannot fail to make a good profit from your Balloon Race. 3 Step Balloon Races simple steps to risk free fundraising 4 weeks before launch day Photocopies of entry form and poster are printed and given to children to take home and sell entries and collect money. You can promote a lot earlier if you wish to maximise sales 2-4 weeks before launch day Money and forms returned to organisers. Entries sold are numbered on entry forms by organisers. 2 weeks before launch day Order balloons, race tickets and gas from Bags O' Fun to cater for the number of entries sold plus sale or return extras. Launch day Balloons are inflated, knotted and neck placed through hole in ticket. Released en-masse. Additional entries can be sold on day via sale or return balloons and tickets. After launch day Collect returned tickets and plot their landing position on a map to ascertain who is your winner. If you haven t received your copy print one from our website please give us a call on l See the range online at Setting yourself a target Set yourself a realistic target with regard to the number of balloons that you want to sell as well as a realistic price. You need to set your launch date and work backwards on your timetable for organising your race. Step Start promoting! 4-6 weeks before launch date Shown overleaf are examples to allow you to produce your own entry forms and posters. On the entry form you will need to fill in the price that you want to charge as well a date, by which you would like all entry forms returned. (Approximately 4 days before launch date.) We recommend a selling price of.60 per balloon but you are free to choose your own price. As you are pre-selling the entries you may need to register and obtain a licence from your local authority relating to the lotteries and amusements act*. Once you have added these details to the entry form all you need to do is duplicate them; one for each child to take home. The children are encouraged to sell the entries on the form (each line represents a balloon) so it is possible to sell a total of 2 balloons per entry sheet. The children then collect the monies as the entries are sold and this is then brought back to the school by the closing date. (4 days before launch date) The poster (also enclosed) can be copied and put up around the school to remind the children to sell the entries and bring the forms back to school. For releases of 000 and above or if there is an airfield nearby permission* needs to be obtained from the Civil Aviation Authority. This is simply a matter of filling in a form and sending it off to the address shown on the form at least four weeks before your release. 5 Step 2 As entry forms are returned with the money, each entry sold is then progressively numbered on the sheets (blank lines obviously not numbered!) This then gives you the total number of balloons sold - and subsequently your income. Step 3 As entries are returned Ordering from Bags O' Fun Once you have sold your balloon entries all you need to do is drop in to the shop or post off the enclosed order form and your payment; letting us know how many entries you have sold. Balloon gas is available in three different sizes of cylinder as shown in the table opposite. The prices include loan of a filling kit to enable you to fill the balloons for your release. *When choosing your cylinder remember that the number of balloons filled is an approximate figure so we recommend that you order a bigger cylinder than you need as experience shows that large numbers of balloons can be sold at the launch event and this will give additional gas in the event of balloons being overfilled. 4 days before launch date 8 Balloon Race Guide 20 Choosing your balloon gas Balloon gas can then be collected from our shop in Colchester or we can organise delivery for you. Delivery charges are not included in the above prices but are shown on the enclosed order form. If you choose to have your gas delivered it will arrive 2 or 3 working days before launch date between 0800hrs and 730hrs. Please let us know of any delivery restrictions. Collection of the empty cylinder is included in any delivery charge. A refundable cylinder deposit of 0.00 is taken at time of ordering and this payment must be sent with your order for balloons, tickets and gas. Your deposit is refunded from Bags O' Fun after the cylinder and filling kit has been collected or returned to the shop. Once we have received your order and payment we will supply you with enough balloons, customised race tickets and gas to fill your requested number of balloons. You will need to give us a cut-off date for the return of the released tickets (usually 3-4 weeks after launch date) this will then be printed on the tickets along with a return address. The tickets supplied will also be numbered from 000 to the amount that you have sold. With this system no names have to be written on the tickets you simply look up the number on the entry sheets to find your winner. Step 4 Launch Day Work backwards from the time that you wish to launch the balloons. Latex balloons depending on temperature, will begin to lose some of their buoyancy while waiting to be released, so filling should be timed to end just before the release. It will take one person approximately one hour to inflate and knot 0 balloons. As you fill each balloon, knot and then place the neck of the balloon through the hole in the ticket not the knot! Remember not to overinflate them as this will use more gas. It is advisable to fill the balloons in an area where they can't escape! A room or tent will do. You can sell additional entries on the day and we can supply you with race tickets, balloons and even ribbon if you intend to sell balloons for the children to keep. Balloons and tickets can be supplied on a sale or return basis on unopened bags of 0.** Additional tickets are supplied without a return address or race ticket number so that you can add on the day as you need to. 6 Releasing the balloons You may want to release all of the balloons in one go which creates a very colourful sight. If you have a reasonable number of balloons, you could fill a different colour in each net for added spectacle when you release. We are able to supply balloon release nets ranging in size from 200 balloons to 2000 balloons. These are available to purchase and can be used for future Balloon Races or for balloon drops at Discos or Dances. Step Deciding on a Winner As entries are posted back to you their landing position needs to be plotted on a map. Once you have reached your cut off date (usually three weeks after launch date) you have to decide which ticket has travelled the furthest; it is not unusual for the balloons to travel to France, Germany and beyond! Once you have the winning race ticket number all you need to do to find the sender is look up the corresponding number on your entry sheets. You then need to contact both the sender of the winning balloon as well as the person who found the ticket to notify them that they have won a prize. The finder of the ticket should be rewarded by you in an appropriate way - perhaps a gift token if a UK finder or an international moneyorder.
