1 COMPLETING YOUR UCAS APPLICATIONS This guide follows on from the Registering on UCAS guide issued in June 2017 and it will take you step by step through the final steps of completing your UCAS applications: Updating the Education section with AS results and what you are studying to A2 Adding your university course choices Entering your personal statement Paying and sending to school for checking and completion with reference and predicted grades. Please use the UCAS help for full information and ask your tutors in the first instance if you are unsure of anything. Both guides are stored on the Poolfile at Q:\Other\UCAS & Post 18\UCAS. Go to the UCAS homepage and navigate to the APPLY 2018 button- quickest way is via Sign in tab on home page Click on Apply for 2018 Entry and log in as normal with your username and password. NB: Do not log in through Apply for 2017 or through Track. You will only use TRACK once your application has been sent by the school to UCAS.

2 Don t forget to verify your if you have not already done so. Click on link on welcome screen (see below). This ensures that UCAS will be able to communicate directly with you. Enter the code here that will have been sent to your personal address that you registered with UCAS You can get your code re-issued if you have mislaid it You will be taken to a screen confirming that your has been verified and can then move to other parts of your application.

3 Updating Education section with AS Results and A2 Subjects AS Results: Your overall AS grades must be entered under GCE Advanced Subsidiary. Remember that you do not need to enter individual module results unless one of your University choices specifically mention it as a requirement, e.g. Oxbridge. If they are excellent then it is probably worth putting them on but if they were not so good and, therefore you are re-taking some elements, then leaving them off might be better. If you put modules on, then you need to be transparent and put all of them and not hide a poor module result. Universities will be suspicious. Enter the Awarding Board, the Grade you got and the result date as August If you have already entered your AS subjects, you will just need to update the Pending result to the actual grade you got. AS Retakes: If you are planning some re-takes, then you must make a new AS subject entry with date as August 2018 and result as Pending. Again, you do not need to specify any module information but it may be if you are only re-taking one that you want to enter the Module description to show that you only underperformed in one part of the exam. Specifying a module here does not mean that you have to enter module information for your AS results. A2/BTEC: You need to add the subjects that you have decided to study to end of Year 13. Go to add qualification and select the following as appropriate: GCE Advanced Level = A2, BTEC Diploma (QCF) = BTEC in Sport / BTEC in Science but select Level 3 You fill in all details for each subject but FOR THE GRADE BOX, YOU SELECT PENDING. Obviously the award date will also be in the future, August This will generate boxes for the school to enter your Predicted grades. YOU NEED TO HAVE BOTH AS AND A2 ENTRIES ON YOUR FORM Remember to tick section completed box when you have finished. Completing the Choices section Click on Choices in left hand panel, and then Add Choice The video is helpful in taking you through the process.

4 Use the See List boxes to find your chosen institutions and courses (this helps avoid any possible errors in you typing in the codes). Do use the UCAS Search Tool link and the University websites to ensure that you are applying for the right courses. Click See list Select appropriate letter of alphabet Click on institution/course code Campus Code can be a little confusing. Once you have selected the institution and course code, the see list box by Campus code will indicate if there is more one location within the university at which undergraduate courses are taught. Many will just have Main Site or only one option in which case you select that. For Main Site, you will find that in this case it only puts a small hypen (-) in the code box. This is what it should be. If there is more than one location in the list, you need to double check on the specific university and course website or prospectus to see where the course is taught. Click See list Select appropriate campus. Click Save when you have completed other compulsory fields Start Date: Select from the list but this will generally be September 2018 unless you have decided to apply now for deferred entry in September If you are doing this, you need to have checked with your chosen institutions what their policy is towards deferred entry and what they expect to see in your Personal Statement about your plans for the year. Further details: Only complete this information if it is requested within the UCAS search tool or in the university or college prospectus. If you are applying for a combined degree, you will need to list the subjects that you intend to study. Living at Home: Answer as appropriate. Point of entry: The vast majority of you can leave this box blank as you will be applying to start in the first year of a course. By leaving the box blank and you will automatically be considered for the first year.

5 Enter 0 if you intend to take a foundation year - not all universities offer a foundation year so please check before applying. If you had some prior qualification or training and you had agreed with the university or college that they are willing to consider your application to start the course after the first year, you would enter the relevant number for the year, eg second year = 2, third year = 3, etc. Remember to SAVE and then repeat these steps to add your other 4 choices. Tick section completed NB: It doesn t matter what order you add them in there is no ranking or indication of preference at this stage Universities do not know what other unis you apply to Make sure you have a sensible range of entrance requirements at your best possible, what you actually achieved at AS and a safety at just below Completing the Statement section Click on Statement to take you to the following screen: Paste your Personal Statement from your Word document into the box NOTE the strict characters AND line limits you have to be within both 4,000 characters and 47 lines Click Preview to check your lines and characters You can edit the statement once you have entered it in the box Remember to press Save regularly so as not to lose any changes

6 The preview screen will show you exactly how many characters and lines you have used, together with line numbers Press Edit to go back to your statement to make amendments and re-check that you are within limits by clicking Preview again Repeat these steps (remembering to Save ) until you are happy Tick Section Completed NOTE the warning re plagiarism they do run software checks to pick up copied work View All Details Once you have finished your Personal Statement, you need to click View All Details. Double/triple-check all the information that you have entered, particularly that you have got all your exams entered correctly and the right university and course codes. Double check that you do meet the specific minimum course entry requirements. Tick section completed Paying and Sending Remember, This is only Sending your application to the school so that we can check through and add your reference and predicted grades. This is not sending it to UCAS the school will do this. If there are things that need to be amended or you decide to change your choices, we will be able to allow you to access your application to make minor amendments before it is finally dispatched to UCAS ( the school cannot access your application to make changes on your behalf) You need to pay at this stage so that there is not additional delay when the school is ready to submit your application. After clicking Pay/Send you will be taken to an Important Reminders screen. Read and press Next to go to the Declaration page.

7 You need to tick every box UCAS will be unable to process your application any further if you do not agree with all the statements. Read the Declaration so you fully understand to what you are committing. If you break any of the conditions, then you are at risk of having your application cancelled with no refund. Click I agree and then fill in the boxes on the next screen, Card Details, to make a card payment of 24. Tick Make Payment and then follow final instructions for sending your application. You will now be unable to amend/change your application unless you ask your Form Tutor to send it back to you.
