3 Chapter Specifications for Electronic Data Deliverables Introduction / Purpose This document is the Virginia Department of Transportation s (hereafter referred to as VDOT) specifications for required electronic (computer) data as it relates to engineering design project deliverables. In addition to the traditional hard-copy delivery items, VDOT will require supplementary electronic data delivery items. This data will be in the formats specified by this document. In general, design data is to be provided in GEOPAK format, Digital Terrain Model (DTM) data is also to be provided in GEOPAK format, and graphical data is to be provided in the MicroStation format. Organizations wishing to perform professional surveying and engineering services for VDOT are required to deliver electronic data as specified by this document. This specification also requires organizations to accept and utilize pertinent electronic input data as provided by-vdot.. VDOT CADD Manual 8-3 of 33 Electronic Data Deliverables

4 8.2 Background The Virginia Department of Transportation (VDOT) is committed to the development of an advanced interactive graphic tool for highway design called Interactive Graphic Automated Engineering System (IGAES). The chosen approach for achieving the IGAES concept is based on the implementation of GEOPAK as a Civil Engineering Design System including DTM functionality that is extended by incorporating other VDOT-driven enhancements and MicroStation for drafting. 5 8.3 Scope Electronic data deliverables are required at the following Project Development Stages, archiving is required except where noted: Preliminary Field Inspection (PFI) Stage Public Hearing (PH) Stage Field Inspection (FI) Stage Utility Field Inspection (UFI) Stage Right-of-Way Acquisition (Partial Take) Stage Right-of-Way Acquisition (Total Take) Stage Right of Way Revision Submittals Pre-Advertisement Conference (PAC) Stage (not archived) Plan Coordination Review (not archived) Pre-Award Revisions Advertisement Plans Stage (Advertisement Submission) Construction Revision As Built Additional details for preparation of deliverables can be found at the following links: Electronic Plan Submission Process Flow Chart and the QC Checklist along with Electronic Plan Submission Stages documentation and Form LD-436. 6 8.4 File Descriptions of the Electronic Deliverables This section describes the kinds of electronic data delivery items which are required by one or more of the types of services included in the scope of the project Design Data This item refers to the collection of engineering data which is used to both specify the design (input data) and describe the final results (output data) Graphical Data This item refers to the CADD (dgn) file(s) which depict design data as plan sheets, typical sections, summaries, etc. It also refers to PDF Files which are now required. Acceptable format is PDF. As of July 1, 2009 the required file format will be PDF files for all electronic submissions due to signing and sealing. The naming convention for PDF files is: project number_sheet number. Example: C501_01.pdf, For more information on naming conventions, see Chapter 1, Section 1.5 and Chapter 3, Section 1 in this manual. VDOT Personnel see Generating and Submitting PDF Files for instructions Digital Terrain Model (DTM) This item refers to all data associated with the development and use of the DTM VDOT Standard Data This item refers to a group of files provided by VDOT which contain standard symbology, graphical file setup procedures, etc Text Files This item refers to files which contain reports, listings, etc Spread Sheet Data Files This item refers to structured computational worksheets such as Microsoft Excel Engineering Estimate This item refers to data input through Trns Port, VDOT's electronic estimating software. 7 8.5 Specification for Electronic Data Items Each contract will specify the required hard-copy deliverables. In addition to these hardcopy items, electronic data will also be required. Hard-copy and Electronic data MUST MATCH. This section specifies the format for each kind of electronic data. Detailed file specifications and formats are included. DESIGN DATA: Design data will be in GEOPAK's file format ASCII PROJECT FILE (APF) format GEOPAK Files The following is a list of GEOPAK files and a description of their contents: job###.gpk File - This binary file is created when the user starts a coordinate geometry (COGO) session for the first time or when created through Project Manager. The file may be appended during the design process. All coordinate geometry elements are stored in this file. Multiple users can access this file at the same time, and only one file should be created for each project. The "###" is the only variable in this filename. It represents a job number (up to 3 alphanumeric characters) unique to a project and is defined by the user upon creation. fname###.ioc File (Example: align999.ijd) - ASCII input file for loading data during a COGO session. "###" represents the job number and "oc" is the operator code (users initials). User assigns filename characters as indicated with the example. fname###.ooc File (Example: align999.ojd) - ASCII output file created by GEOPAK during a COGO session. Variables are the same as defined above. User assigns filename characters as indicated with the example. fname.inp File (Example: desxs.inp) - Any ASCII input file for running GEOPAK processes. Name is user defined with an.inp extension. fname.dat File - A binary file that contains string and point information to be used for digital terrain model construction. fname.tin File - A binary file containing triangular surfaces also known as the digital terrain model (DTM). Project-name.prj File - Binary file resulting from the creation of a new project. fname.x File - ASCII input files that define criteria data as well as redefinable variable data. The following is a list of files with a description of their contents, when a user creates a run. These files are placed under the projdbs folder in the user s folder. Project-name.00f File - Resource file for running reports and cross section quantities. GRAPHICAL DATA: Graphical data will be in MicroStation DESIGN FILE format. Additionally, all graphical data must conform to VDOT graphics file and CADD standards in accordance with VDOT s policies and manuals, (i.e., CADD Manual, Survey Manual, Road Design Manual and I&IM s.) DIGITAL TERRAIN MODEL DATA: DTM data will be compiled by GEOPAK. The data files will represent the completed models with all required surfaces. Completed models will consist of: all survey data base segments (points and discontinuity lines) all surface data bases (terrain, subterranean) all design data Each surface will be triangulated. 9 8.6 Creating Cross Section Plot File for Electronic Submission The following procedure will not work properly if you have dropped status of cross section sheet cells. Create a new MicroStation file using the appropriate seed file (geopakxsht.dgn or mgeopakxsht.dgn) and name the file the same as the project number _x.dgn (Example: v02 c501_x.dgn ) GEOPAK Cross Sections Reference up mainline cross section sheet file in Falcon. 10 Then use Copy Attachments with a depth set to 1 Fence and Copy cross sections from reference file in MicroStation. (Make sure you offset the copied cross sections from the original stack. This is necessary because all cross section reference files will attach at the same location which would make it difficult to distinguish between the copied cross section and the new attached cross sections). 11 Next detach all reference files. Make sure you reference the files in order starting with file that contains cross section sheet 1. Reference up all other pertinent cross section files one by one and repeat the previous steps. Copy the cross sections so they are just above the previous cross section sheets. They should be in the same order they would come in the plan assembly (bottom to top) The Cadd section will plot the cross sections to PDF upon a request from the Designers. Make sure the sheets are named and numbered properly or they will be returned to you to redo. Designers should send an with a brief description of the project including the following details when the cross sections need to be plotted. Operationally, the software constructs the cross section features derived from the mosaic of shapes first. Then, the software constructs the remaining portions of the cross section through the application of criteria emanating out from the outer edges of the mosaic of shapes. A tool that allows the user to pick from standardized items and special applications for drafting. VDOT CADD Manual 8-17 of 33 VDOT Standard Data

18 Labels Macros Sheets Standards Superelevation Labeling tools allow a user to place smart labels in a MicroStation drawing. These labels have the ability to calculate XYZ coordinates, station, offset, direction, length, radius, degree of curvature, etc. of the associated element. It also allows you to pick symbology from the D&C Manager. Special applications for creating tangent lines, curve widening, labeling R/W pluses, creating Superelevation Diagrams, and numbering cross section sheets, etc. Contains motif files and layout standards for plan/profile sheet clipping. Contains standard tables of design speeds for curves. Contains standard superelevation tables VDOT Insertable Sheets - (as requested) Insertable sheets can be copied into a MicroStation file by means of referencing the desired drawing. VDOT personnel can locate the insertable sheets through the Falcon Document Manager under the eng-ser folder. For the entire list of insertable sheets, set your Falcon/DMS database to Central Office and Central Office Environment. Then scroll to the eng-ser Folder and select insert for imperial sheets or minsert for metric sheets. Some of the insertable sheets have been moved to the MicroStation Cell Library. See Appendix A for a list of the insertable sheets that now reside in sheet 2000.cel. The Consultants can locate the insertable sheets under the download folder within their ftp server site provided by VDOT. The appropriate Insertable Sheet (Now a Sheet Cell) does not have to be included in applicable plan assemblies to explain the level structure anymore. Although the following Insertable Sheets are now available in the sheet2000 Cell Library as a cell, the CADD Level Structure sheets are no longer required as part of the plan set. 95 CADD LEVEL STRUCTURE SHEET 86 CADD LEVEL STRUCTURE SHEET This sheet is not to be assigned a one series sheet number and does not have to follow the Alignment Data Sheet in the Plan assembly. 19 8.7.8 Other VDOT Data Other items will be made available as necessary. All data files provided by VDOT to consultants are identified by a data ID. Since all of these files are subject to change during a project s life cycle, consultants may periodically receive new data files. All electronic data delivery items will be accompanied by a COVER LETTER identifying the version of all formats and software used in its development and the date ID of VDOT standard data files. Except as agreed, VDOT will NOT accept any graphical data with more than one date ID for any of the VDOT standard data. Text Files: Report text files will be delivered in Microsoft Word + format. And GEOPAK output listings will be in ASCII text file format. Spreadsheet Data Files: Spreadsheet Data Files will be delivered in Microsoft Excel + format. Data files will be complete and include any databases, print procedure files, etc. VDOT CADD Manual 8-19 of 33 VDOT Standard Data

20 8.8 Generating and Submitting PDF Files * Database Fields When you are ready to create PDF files for Current Drawings, Pre Advertisement Conference, Final Submission, Pre-Award Revision or Construction Revision you must first make sure the following fields are filled in correctly in Falcon DocMan to insure that the PDF files are submitted properly General Information The Description and Document # must be filled in for each plan sheet. In the Document # field, place the sheet number. If the sheet number is 1 thru 9 place a zero (0) in front of the sheet number. (For example if the sheet number is 1c the Document # should be 01c.) If the file is not a plan sheet, then the field should be blank. VDOT CADD Manual 8-20 of 33 Generating/Submitting TIF Files

21 Keywords The project information must be filled in with your project number as shown below. The route number should be 4 digits, such as 0123 and the section number 3 digits. County/City is a pick list Format Keyword The Engineer, Designer, District and County should be filled in for informational purposes. The File Format Keyword field for Generate PDF is a required database field. The user should use the down arrow to select one of the choices. 22 The stages to Generate PDFs are as follows: Remember to select SAVE. The choices above will indicate what stage the PDF files are being submitted for. The CADD support staff will make the PDF files available on the Falcon Web Suite under Current Drawings if current drawings is selected. If Plan Coordination Revision or any stage after is selected, the PDF files go directly into the Falcon Web Suite under Plan File Room Generate PDF File Once all the required database fields are set, the dgn files are ready for the user to use MicroStation V8i Plotting software to generate the PDF files. To create a PDF file open the dgn file in MicroStation. Fence the file the same as if you were going to plot the sheet. Then go to File - Print. Print box will open. At the top click on Pen Table then click Attach. The Pen Table box will open. Select the appropriate pen table and click Open. VDOT CADD Manual 8-22 of 33 Generating/Submitting TIF Files

23 Now click on the Bentley Driver search tool. Pick the LD PDF File Generator.pltcfg file and then click Open. The size will be set to 35 X 23 inches. Do not change the size even if it s a metric project. Click on Print then Save. This will create the PDF file. To view the PDF file go to \\501coidms01\location&design$\Z2nd sub tifs\central Office *Note: As of July 1, 2009 the required format will be PDF files. All information referring to PDF Files will be revised to show the creation of PDF files. This change is to coincide with the new policy concerning the Signing and Sealing of plans. 24 8.9 Media for Electronic Data Items All delivery items will be provided to VDOT in one of the following media forms: CD-ROM using ISO 9660 Standards Yellow Book Mode 1. (Preferred method if data is larger than 10 megabytes). VDOT's FTP Site ftp.vdot.virginia.gov See Chapter 7, Section 8 for instructions. VDOT's Falcon Web Suite. 25 8.10 Overview of Electronic Data Required at the Survey Stage Document Data DOCUMENT OR README FILE: Example: "SUPC#.doc" This file contains general information about the survey and may be ASCII or Microsoft Word format containing the following information: Route Number Project Number County and District Project description/description of all files Date of beginning and completion of survey Horizontal and Vertical control data Length of survey Field personnel Utility owners and addresses Description of VDOT control monuments and benchmarks List of control points used that are not in the file Survey report and transmittal memorandum Any notes or recommendations concerning unusual conditions affecting the survey ALIGNMENT FILE: Example: "s(upc#).dgn" - This file contains the alignments for the survey being conducted. PLANIMETRIC FEATURES and UTILITIES: Example: "s(upc#).dgn", MicroStation 2d file, (version ) to current VDOT standards in accordance with VDOT s policies and manuals, (i.e., CADD Manual, Survey Manual, Road Design Manual and I&IM s). DTM: files are required as follows: Example: "s(upc#).dat", GEOPAK (version ) "DAT" file. This file contains raw XYZ data. and serves as a backup. Example: "s(upc#).tin",geopak (version 2004+) TIN file. This file contains a completed triangulated surface database. Example: "sdt(upc#).dgn", GEOPAK (version ) "DGN" file. 33 8.17 VDOT Software License(s) Request Process Process for requests Consultant requests license(s) from VDOT if they have been awarded a VDOT project. Download, fill out and submit VDOT Software License Request Form (LD-893). All License requests must be made only by Prime Consultant/Contractor. Consultant Coordinator verifies project and forwards form to CADD Support Section. CADD Support Section reviews form and sends a license key that activates all Design software to the Consultant/Contractor directly. Licenses issued are for the life of the contract. The Consultant/Contractor will then submit a list of the Computers and primary users names to VDOT Requirements for Justification of Additional License(s) Consultants are to use above Form to request additional licenses. Need additional license s) for sub consultant/contractor. The request should be instigated by the Prime; however, the sub may also request a license key if Consultant Coordinator verifies project. The same procedure as above must be followed for sub-contractors. Need additional license(s) for additional work. The request should be instigated by the Prime; however, the sub may also request a license key if Consultant Coordinator verifies that additional work requires different software or additional sub contractors.
