4 Patient Waive Preferences The Patient Waive Preferences screen allows waive amounts for Cost, Markup, Fee and Deductible to be set for a patient. This prevents having to manually waive amounts within the Claim Summary screen for each prescription. Launching the Patient Waive Preferences Screen To launch the Patient Waive Preferences screen: 1. Open the Patient folder. 2. Press or click the 3 rd Party tab. 3. Press or click the Waives button. The Patient Waive Preferences screen appears. You have an option to select the Detailed or the Global radio button. Detailed Radio Button Amounts can be waived for specific fields for all of a patient s prescriptions. 1. Select the Detailed radio button to waive specific amounts for Cost, Fee, Markup, and Deductible. 2. Enter the amounts to be waived in the Cost, Fee, Markup and/or Deductible field(s). 3. Enter an amount in the Acceptance Threshold field, if required. This allows the prescriptions to pass adjudication without any intervention up to and including the amount entered. 4. Click the OK button. Example If the amount for the Deductible is set to $2.00 and the third party returns a deductible of $6.11, only $2.00 will be deducted, leaving a balance of $4.11 to be applied to the last financial payer (i.e. Cash, Accounts Receivable or Nursing Charge). 5 Global Radio Button An overall waive amount can be set in the Global field for each prescription. This amount will be deducted from the Patient Pays amount in the Claim Summary after the adjudication. 1. Select the Global radio button. 2. Enter the overall amount to be waived in the Global field. 3. Enter an amount in the Acceptance Threshold field, if required. This allows the prescriptions to pass adjudication without any intervention up to and including the amount entered. 4. Click the OK button. Example If the Global waive amount is set to $6.00, and the third party returns the Deductible of $2.00, Fee of $0.00, Markup of $15.00 and Cost of $89.93, then the global waive amount is first applied to the Deductible and, therefore, the Deductible will be reduced to $0.00. Then the remaining global waive amount ($ $2.00 = $4.00) is applied to the Markup and this waive amount (i.e., $4.00) is displayed in the Markup field. 6 Record Keeping: Batch Scanning A new Batch Scan feature allows for continuous scanning with minimal user intervention. This feature lets you perform the following: Scan the barcoded hardcopies and/or prescriptions in Single scan mode: In this mode, the scanning will be done on one side of the image and the scanned image will be automatically linked to the respective prescriptions. Scan the barcoded hardcopies and/or prescriptions in Duplex scan mode: In this mode, the scanning will be done on both sides of the image and the scanned images will be automatically linked to the respective prescriptions. Note: The Batch Scanning of multiple barcoded hardcopies can only be performed using Fujitsu Fi-6125LA scanner. All other scanners will scan only one page at a time. The Label Set A barcode has been added to the Half Label and the Daily Laser Label to easily link all prescription-related documents together when scanning multiple pages from the Workbench. The barcode will appear in the lower section of the hardcopy, and on the last Auxiliary Label. Adhere the Auxiliary Label barcode to the written prescription or other relevant prescription-related document, so that it can be identified during batch scanning. 7 Launching the Scanned Image Review Window 1. From the Workbench, select the Prescription tab and then press or click the Completed tab. 2. Press or click the 2D barcode image located at the left bottom of the screen. The Scanned Images Review window appears.. Performing the Batch Scanning To perform the batch scanning: 1. Open the Scanned Images Review window. 2. Place the documents to be scanned in the scanner hopper. 3. Select the Duplex Scan checkbox, if required. 4. Press or click the Batch Scan button. Once the scanning is completed and the barcodes are read, a count-down for 15 seconds will appear. 5. Load more copies into the scanner hopper, if desired, during the count-down period; otherwise, press or click the Close button to close the count-down. Once complete, all the patient names of the scanned images will appear in the Patient pane. 6. Reconcile all the scanned images. 7. Press or click the Confirm button. All the scanned images will be saved and attached to the corresponding prescription and the window will close. Note: If there are any unresolved images, an error message appears. Press or click OK and to resolve this error, see Resolving Images Labeled as Needs Review section below. If you close the window prior to selecting the Confirm button, the scanned images will NOT be saved. PharmaClik Rx Customer Care at ptscustomercare@mckesson.ca or call

8 Resolving Images Labeled as Needs Review If the barcode cannot be read on an image, a Needs Review message will appear in red text in the Patient pane. To resolve this, perform the following: 1. Highlight the row to view the scanned image. 2. If you can identify what Rx # is associated with that image, type it in the Linked Rx field and press the Tab key. 3. The Needs Review message will then change to the patient s name associated with the prescription. Note 1: If there are multiple barcodes on a scanned copy that need to be resolved, enter the prescription number with a backslash (/) and press the Tab key. Note 2: If you resolve a Needs Review prescription where the patient s name already exists in the list, that prescription will be added to the images already scanned for that patient. 9 To view and/or navigate the scanned images: 1. To view a scanned image of a prescription, select a patient name from the Patient pane. The scanned image will be displayed on the right pane with the appropriate Linked Rx # populated in the Linked Rx field. Note: In the Duplex Scan mode, you can view the front and back of a scanned image by pressing or clicking the toggle image button located on the top left corner of the displayed scanned image. 2. Use the image navigation controls to move (forward or backward) through the scanned images. Note: The image navigation field displays the current image number and the total number of images linked to that patient, i.e. (1 of 5). 3. If the displayed image size is too large or too small, adjust it by clicking the up/down arrows next to Zoom. Alternatively, enter a zoom value (in percentage) in the Zoom field. 4. If the displayed image was scanned sideways, press or click the rotate buttons to turn the image 90 degrees clock-wise or counter-clockwise. Note: In the Single Scan mode, the rotate buttons will only rotate the displayed image whereas in the Duplex Scan mode, both sides of the image are rotated. 5. If desired, change the description type from the Description drop-down list. Note: The default Description type will be Prescription. If multiple barcode images are detected during the scanning process, the Description type will be automatically set to Written Prescription. However, this can be overwritten by typing or selecting another description from the drop-down list. 6. To remove an image, select the desired patient row on the Patient pane and press or click the Remove button. 7. Use the Rescan button to rescan the images. Note: In the Single Scan mode, the displayed image will be replaced whereas in the Duplex Scan mode, both sides of the image will be replaced. 10 Scanning and Linking the Drug Record Book A Batch History tab has been added to the Groups folder. The Batch History screen lists all batches for the group along with their current status, i.e. Completed; In Progress (currently processing) and Pending (scheduled date is still in the future). This tab allows you to scan the Drug Record book and link it to the respective prescriptions within the batch. The graphic below describes the various features of this screen: To scan and link the Drug Record Book to Group batches: 1. Place the Drug Record Book in the scanner hopper. 2. Search for and select the Group. 3. In the Groups window, select the Batch History tab. 4. Find the batch for which you would like to attach the Drug Record Book. Highlight that row. 5. Select the required scan mode by pressing or clicking either the Single Scan or the Duplex Scan button. The Preview Image window appears and the scanning process begins. 6. Once the scanning completes, If desired, load more copies in the scanner hopper, and press or click the Duplex Scan button or the Next Image button. Note: The Next Image option is particularly useful when scanning is done by the Plustek scanner. 7. When the scanning is complete, the description type defaults to Drug Record Book. If desired, choose a different description type from the Description drop-down list or type in your own description. 8. Press or click the Accept button. 11 Navigating the Batch History Tab To view the scanned Drug Record Book for the entire batch, press or click the paper clip icon. The View Batch Attachments window appears.
