5 About surescan Online Help Information in the online help opens in a separate window from your desktop application. You can resize the window and position it anywhere on the screen. You can access this online help in any of the following ways: From the surescan menu bar, select Help -> Contents OR From the toolbar, click and then click in the window. Result: The online help opens in a separate window with a table of contents on the left and the first topic on the right. When the online help is open, the title bar of the window shows the title of the current topic. Below the title bar is a row of buttons: Hide / Show changes its name depending on whether the left panel is visible or not and allows you to toggle between hiding the panel and showing it. Back button allows you to review topics that you have previously visited in your current session. Forward button allows you to move to topics that you visited before you clicked the Back button. Print allows you to send the content of the current help window to a printer. Below the buttons in the left panel are four tabs: Contents lists the organization of the topics as they would appear in a complete document. You can open books and topics from this tab. Index allows you to look up keywords that are in alphabetical order. Search provides a way for you to find specific words and phrases through a full-text search. Glossary lists the terms unique to suresmile. Click the Glossary tab to see a list of all terms and definitions. On the right side of the window is the main text area. Above the text are "breadcrumbs" that show you your location in the table of contents. You can click on links in the breadcrumbs to move to a higher level in the table of contents. Some topics include a "See Also" button at the bottom of the page. When you click that button, a list of related topics pop up for you to navigate to additional information. If only one related topic is available, clicking the See Also button takes you directly to that topic. To return to the previous topic, click the Back arrow at the top of the window. 1

6 Getting Started with surescan The surescan software uses the same user name and password that you have in suresmile. Important! Do not turn off the computer where surescan is installed. If you turn off the computer, file catalyst is turned off and the scan data will not be transmitted. To start surescan as a desktop application: 1. To start surescan, double-click the surescan icon on your desktop. Result: A log-in window appears. 2. Enter your suresmile user name and password. Result: The Open Patient or Practice Selection window opens. If you do not have a multi-site practice, go to step Click Next. 4. Highlight your practice and click Next. Result: The Practice Initialization window shows a process log. 5. Click Finish to speed up the initialization. Result: When the initialization is complete, the Open Patient window opens. 6. Double click on a patient in the list, or highlight the patient and click OK. Exit surescan To close surescan at the end of each day: 1. Select Exit from the File menu. 2. If you have made changes to an open patient record, click Yes at the Save Patient? prompt. OR If you already saved and closed the patient record, click Yes at the "Close suresmile? prompt. Note: If you attempt to shut-down the surescan computer while data is being transferred, the warning below appears. After the data is completely transferred to OraMetrix, the warning window closes and you can then shut down the computer. If you want to shut down your computer while the data is being transferred, click Exit to Allow Shutdown. Be advised however, that shutting down your computer while data is still being transferred results in the incomplete transfer of your scan data and you will have to retransfer the remaining data a later time. 2

7 Getting Started Main Menu Menu Purpose Menu Options File The File menu lists options for managing patient records, printing information and reports, and exiting surescan. Open Connection... Close Connection New patient... Open patient... Save Patient Close Patient Import... Exit Edit The commands in the Edit menu enable you to edit text as you would in a wordprocessing program. Undo Redo Cut Copy Paste Delete Go The Go Menu allows you to navigate between areas in surescan. As an alternative, you can select a page listed on the Patient Overview page (home). Patient Overview\Alt+Home Demographics Examination Photos X-Rays DL-Images Scan Tools Help This menu provides access to other tools for administrative use only. You can select the following from the Help menu: Choose Context... to use context-sensitive help, which takes you to a specific topic when you click on a button or label. Note: Context-sensitive help may not be available for all buttons and labels. Choose Contents... to open the Help window to the Table of Contents. Choose Search... to type a word or phrase to find in the online help. Choose Index... to use a list of words and phrases that point to specific topics. Choose For suresmile practice web area... to log in to your practice on the web. Choose Suresmile System Information... to view the system summary regarding hardware resources, and the software environment on your computer. Choose About suresmile... to view surescan installation information that you may need if you call suresmile Customer Care. 3

8 surescan Online Help Main Toolbar The icons in the Main toolbar are displayed at the top of every surescan page. Most the icons are inactive until you open a patient record. Main Toolbar Icons Icon Click to start a new patient record. Icon Description Open When a patient record is open, click this icon to close the patient record and return to the Open Patient window. Save Click to save a patient s record after making any changes. If you close the patient record without clicking the Save icon first, the Save Patient window opens. Click Yes to indicate you want to save the currently open patient. Note: Since each surescan computer at your practice site communicates to the database on your suresmile server, you cannot save multiple patients simultaneously. If you try to do this you receive a message to try again in a few minutes. Print Click to open the Print window. On most pages you have two or more choices. The suresmile Screen Shot choice prints what you see on your computer screen. Current Pane prints all of the fields and data on the page in a report format. On pages with multiple panes, the various panes are listed. Click the Preview button to determine what you want to print. Click Setup to choose your printer s formatting options. Note: A printer must be networked to your surescan computer to use the print feature. Click Cancel to dismiss the Print window. Cut Click to delete highlighted text. Copy Click to copy highlighted text. Paste Click to paste text or an object you have copied and placed on your clipboard. Undo last change Click to undo the last change made. Select the drop-down arrow to view a list of open undo items. Redo last undo item Click to repeat the last undo change. Select the drop-down arrow to view a list of open redo items. Home Click to return to the Patient Overview, where you can access patient information. Spelling Click to check spelling in patient-related notes. Patient Online - Click to open the patient's record in suresmile on the web. Note: You must already be logged into suresmile on the web for the patient record to open automatically. Otherwise, the suresmile login page will open, and you will need to manually open the patient record. Context Help Click to activate context-sensitive help. A question mark appears next to your cursor and 4

9 when you click on a button or field, the online help opens with the appropriate topic displayed. Getting Started Note: Context-sensitive help may not be available for all buttons and labels. Information Click to display a detailed list of product information for a patient. Dental Examination Click to open the Dental Examination window. Use this window to update dentition information throughout treatment. Customer Hold Items When you open a patient with at least one product on hold, the Customer Hold Items window opens and the hand icon turns red. When the hold is resolved, the hand turns green. If an order has missing prerequisites, the hand turns yellow. Patient-Related Notes Click to access, view, or edit patient-related notes. The window displays notes that have already been entered in the top text box. To enter more notes, click on the notes icon. Click in the bottom text box and type patient-related information, and then click OK. Photos Click to access patient photos. Double-click on any photo to enlarge it. Select Photos from the Go menu to manage and manipulate the photographs. X-Rays Click to access patient x-rays. Double-click on any x-ray to enlarge it. Select X-Rays from the Go menu to manage and manipulate the x-rays. DL Images Click to access imported digital lab images. Double-click on any image to enlarge it. Select DL Images from the Go menu to manage and manipulate the images. Insert Image from clipboard Click to add an image from your clipboard. 5

10 surescan Online Help Start a New Patient Record To start a new patient record: 1. From the File menu, select New Patient... Note: You can also click the New icon window. in the toolbar or click Add Patient at the bottom of the Open Patient Result: The New Patient window opens. Red indicates required information. 2. Type the last name of the new patient; press the <Tab> key to move to next text box and type the patient's first name. 3. In the Date of Birth text box, click in month, date, and year text to type over the default date or click the dropdown arrow to select a date from the calendar. 4. In the Doctor's Name drop-down, select the treating doctor; and then select a name from the Staff Member drop-down menu. 5. Click in the Bond Date box. Note: The date defaults to today. If you know the bonding date and it is not today, click in the month, date, and year text to type over the information or click the drop-down arrow to select a date from the calendar. 6. Click the Demo check box if the record is for training or demonstration purposes. Patient records tagged as Demo patients are not processed by OraMetrix. 7. Click in the Note text box and type in notes, if needed. (250 characters maximum) 8. If your practice is multi-site, select the Owning Site for the patient. This location will be where patient's wires are shipped. 9. Click OK or press the <Enter> key on the keyboard. If a window opens alerting you that the patient is a demo or real patient, click OK. Note: The 8-character Patient ID is created automatically using two letters (the first letters of the patient's last and first names) and a 6-digit number. 6

11 Getting Started Open Patient Record To open a patient record, follow these steps: 1. From the File menu, select Open Patient... or click the open patient icon. Result: The Open Patient window appears with two tabs: Tasks and Patients. 2. To find a patient from the Tasks tab, click one of the headings to sort the list by Last Name, First Name, HRID, Description, DOB, or Product. OR To find a patient from the Patients tab, use the following techniques to filter or sort the list: To filter the list, click the letter button for the patient's last name (or the # button for legacy demo patients who have an ID that starts with a number). To sort the list, click one of the headings to order the list by Last Name, First Name, HrID, DOB, State, or Type. 3. To go to the selected patient record, click OK. OR Double-click a patient record. Result: The Patient Overview page opens and the Patient ID, patient last name, patient first name, date of birth and age in years are displayed at the top left of the surescan window in the blue title bar. Close Patient Record To close a patient record, follow these steps: 1. Click the folder icon. OR From the File menu, select Close Patient. 2. If you have made changes, the system prompts you to save. Click: Yes to save your changes. No to close the record without saving your changes Cancel to keep the record open. Save Patient Record As a best practice, save the patient record immediately after making significant changes. To save the record, do one of the following: Click in the main toolbar to save the patient record. From the File menu, select Save patient. When the Save Patient window opens, click Yes to indicate that you want to save the currently open patient. 7

12 surescan Online Help Print Icon You can print patient-related information if a printer is networked with your surescan system. Use the printer icon in the main toolbar to print the 2D window in the current view (Demographics, History, Examination, Photos, and X-rays). Note: If you wish to connect suresmile to your printer, please call suresmile Customer Care for assistance. To print topics: 1. Open the appropriate page or product. 2. Click to open the Print window. 3. Select a page, and click Print to send the report to the printer. Before printing, you can click Setup, to choose from your printer s formatting options, and then click OK. You can also click Preview, if needed, to view the report, and then click Close. 4. Click Cancel to close the Print window. Dental Examination Icon The Dental Examination window contains four tabs associated with patient characteristics: Teeth, Brackets, Notes, and Compare. This information may be entered and updated throughout treatment under the Examination section of the Patient Information tab or in the window accessed through the Dental Examination icon in the main toolbar. To view dental exam information from the toolbar: 1. Click in the Main toolbar. 2. If multiple scans have been taken, click the drop-down arrow from the prompt, select either the main dental exam or a scan order, and then click OK. Result: If you selected Main, the main Dental Examination window opens. If you selected a scan order, the Dental Examination window opens for that scan order. Patient-Related Notes You enter patient notes using the icon in the main toolbar. After you open the Patient Notes window, it stays open while you are working on a patient even if you go to another page. The window is also resizable and retains the same size and shape from the last time you used it. When you close a patient record, the Patient Notes window closes automatically and saves your notes. To add or edit patient notes using the Patient Notes window 1. Click the Patient Notes icon in the main toolbar. Result: The Patient Notes window opens with all previously entered notes in the top text box. 2. Click in the bottom text box and type your notes. 3. Click one of the following: Add to move you notes to the upper text box save your notes. Clear to erase what you just entered and start over. Close to close the window. Important: Make sure you click Add in order to save your notes before you close the window. 8

13 Getting Started Photos The Photos icon in the main toolbar provides access to a patient's record regardless of which page you are on in surescan. To view patient photos: 1. Click the Photos icon in the main toolbar. Result: The Image Selection window opens showing a collage of photographs. 2. Choose the appropriate set of records by date from the Image Set drop-down box. 3. Select a specific photograph in the collage and click OK to open a larger view in the Image Viewer window. Tip: Double-click the image to open it without having to click OK. 4. (Optional) Click to use the Region Markup Tool.. Go to Region Markup Tool for more information. 5. (Optional) To display a grid over the image, click the Grid icon. 6. (Optional) To edit the image, click the Image Editor Menu for a list of options. Go to Image Editor Controls for more information. 7. To close the Image Viewer window, click Close at the bottom of the window. 8. To close the Image Selection window, click Cancel. X-Rays The X-Rays icon provides access to patient x-rays throughout suresmile. To view patient x-rays: 1. Click the X-Rays icon in the main toolbar. Result: The Image Selection window opens showing a collage of x-rays. 2. Choose the appropriate set of x-rays by date from the Image Set drop-down box. 3. Select a specific x-ray in the collage and click OK to open a larger view in the Image Viewer window. Tip: Double-click the x-ray to open it without having to click OK. 4. (Optional) To display a grid over the x-ray, click the Grid icon. 5. (Optional) To edit the image, click the Image Editor Menu icon for a list of options. 6. To close the Image Viewer window, click Close. 7. To close the Image Selection window, click Cancel. 9

14 surescan Online Help DL-Images The DL-images icon displays the same Image Selection window as the Photos and X-Rays icons, except the Image Type is set to DL-Images. This storage area allows your Digital Lab Technician to store images from his or her work that help communicate issues from the Digital Lab side. The stored image could be a screen shot, for example. Watch for notes from your technician directing you to look at these images. To view DL images and toggle between image types: 1. Click the DL-Images icon in the main toolbar. Result: The Image Selection window opens showing a collage of DL images. 2. Choose the appropriate set of DL-images by date from the Image Set drop-down box. 3. Select a specific DL image in the collage and click OK to open a larger view in the Image Viewer window. Tip: Double-click the DL image to open it with having to click OK. 4. (Optional) To display a grid over the DL image, click the Grid icon. 5. (Optional) To edit the image, click the Image Editor Menu icon for a list of options. 6. To close the Image Viewer window, click Close. 7. To close the Image Selection window, click Cancel. Information Each patient product is associated with a history log that lists information such as the date ordered. The information icon in the main toolbar displays all products. To view history information, expand or collapse each section by clicking the plus sign (+) or minus sign (-) next to each section title. Click Print to print out the information as you have arranged it onscreen, and then click Close when you have finished reviewing information. 10

15 Patient Overview Page The Patient Overview page is displayed when you open a patient record or start a new patient record. The patient ID, birthdate, and age are in the title bar of the Patient Overview page when the patient case is open. A list of the other available pages is located on the left side of the screen. These pages are also listed in the Go menu. Patient Overview Demographics Examination Photos X-Rays DL-Images Scan Note: After you move to another page from the Go to Page panel on the left side of the screen, click the to return to the Patient Overview page or use the Go menu to advance to another page for this patient. The Patient Overview page displays key information about the patient in the following sections: Items: products with their current state and modified date Simulation Models: model names with their current state and modified date Aligner Prescription: This section applies to Aligner case types only. If the patient has an Aligner case type, you can use this section to enter the aligner prescription as part of your ordering process. The information will be transferred to the patient's record in suresmile on the web as well. If you open the patient in suresmile, the values you entered in surescan will be displayed in the Aligner Prescription section in suresmile. Correspondingly, if you enter the Aligner Prescription info for the patient in suresmile first, they will also be shown in the Aligner Prescription section in surescan. If you leave the Aligner Prescription section blank, the patient is treated to the default values set for the form. (Note: This section replaces the Aligner Prescription Form PDF used in previous versions of surescan and suresmile.) Notes: filter by standard, user only, or all Diagnosis: class, bite, severe, and custom information Treatment: type, appliances, and custom information Elapsed treatment time: months, weeks, days (no longer-functional in surescan; refer to the patient overview in suresmile for this information) Treatment card: options to import or view a PDF of the treatment card (no longer supported - upload treatment card in suresmile on the web) Photo: most recent facial/smile photo in the lower-right corner of the patient overview page 11

16 surescan Online Help Items To sort the Items section, click a heading: Product, State, and Modified Date. Result: A down arrow indicates the items are sorted by that column in ascending order. An up arrow indicates the items are sorted by that column in descending order. Click the heading again to sort in the opposite order. Tip: Double-click an item in the list to open it. Simulation Models To sort the simulation models, click a heading: Name, State, and Modified Date. Result: A down arrow indicates the models are sorted by that column in ascending order. An up arrow indicates the models are sorted by that column in descending order. Click the heading again to sort in the opposite order. Notes Product notes are color-coded and can be sorted by type. Green background = Practice-side notes written by doctor or staff. Purple background = OraMetrix-side notes written by Digital Lab technicians. You can filter notes to view: Standard Notes - Notes automatically generated by suresmile User Notes Only - Notes manually typed by the practice or the Digital Lab technicians All Notes - Standard Notes and User Notes 12

17 Patient Management Diagnosis and Treatment Sections The Patient Overview page has two sections for adding patient diagnosis and treatment information. Use the check boxes and drop-down lists to select common diagnostic and treatment options. The surescan software automatically completes some of the diagnostic or treatment information for you. Diagnosis Section on the Patient Overview Page The information categories in the Diagnosis section are listed below: Category Class: (drop-down list): Class I Class I/II Class II Class III Other Content Parameters Default: blank entry until you make a selection. Can be auto-populated if still blank based on suresmile feature-point analysis of approved diagnostic or initial therapeutic model. If you manually select the class, then suresmile will not automatically update it. Bite: (drop-down list): Normal Cross-bite Deep-bite End-on Open-bite Default: all check boxes are blank. Multi-select is enabled. If Normal checked, all other check boxes are disabled. Additional bite types can be defined under the Search tab in the suresmile Preferences. Severe: (check boxes) Default: all check boxes are blank. Overjet Crowding Spacing Asymmetry Impaction TMJ Custom: (user-created dropdown preferences) Default: blank Multi-select is enabled Note: Custom preferences must be defined in suresmile. 13

18 surescan Online Help Treatment Section on the Patient Overview Page The information categories in the Treatment section are listed below. Category Types: (drop-down list) Lingual Surgical Extraction Expansion Interdisciplinary Content Parameters Lingual - Automatically checked if any brackets are bonded lingually. If lingual brackets are detected, then you cannot uncheck this option. Surgical - Automatically checked if MACROS have surgery checked on one arch or both. If a surgical MACROS check box is checked, then you cannot uncheck this option. Extraction - Automatically checked if extractions are indicated on the Buildup/IPR tab of the setup. If automatically checked, you cannot uncheck this option. Expansion - Can be checked if expansion was part of the treatment plan and if the doctor wants to use this as a search criteria. Because this is an optional selection, it is not automatically populated in the treatment section on the patient overview page. Interdisciplinary - Automatically checked if surgical. Appliances: (drop-down list) None TADs Herbst Forsus MARA Default selection is none. Multi-select is enabled. Note: Additional appliances must be defined in suresmile. Custom: (user-created dropdown preferences) Default is blank. Multi-select is enabled. Note: Custom preferences must be defined in suresmile. 14

19 Patient Management Demographics Page The Patient ID, First Name, Last Name, and Birth date boxes contain the information from the New Patient window. To complete the demographics information, follow these steps: 1. Select the treating doctor from the Orthodontist drop-down list. 2. Press the <Tab> key to move through the boxes to type information such as the patient s address and phone number. Note: The boxes marked with an asterisk (*) are required. 3. After you enter the required information, click to save your changes. To assign staff to a patient record: 1. Open the patient record and go to the Demographics page. 2. Select the staff person from the Staff list. 15

20 surescan Online Help Dental Examination Page Use the Dental Examination page to check the characteristics of the dentition for tooth modeling. This page contains four tabs associated with patient characteristics: Teeth, Brackets, Notes, and Compare. The text box on the Notes tab is specific to this section. Notes recorded here are not accessible from anywhere else in suresmile. To access the Dental Examination page, do one of the following: Click Examination in the panel on the left. OR Select Examination from the Go menu. Result: The Dental Examination page opens. Teeth Tab When you start a new model order, the Dental Examination page opens with the Teeth tab selected. Information that you enter on the teeth tab is used by the Digital Lab in combination with a scan to create models. Any additional information you can provide from your observations of the patient helps to improve tooth modeling. Keep in mind as you work that: It is critical to Digital Lab processes that the patient s record is updated for missing teeth. The Dental Examination tooth chart is also displayed when you order subsequent products after the initial scan. Be sure to make changes as needed to keep the chart up-to-date with the patient s current characteristics. Add information from dental exam To complete the patient s tooth exam as part of an order, open the Dental Examination page and follow these steps: 1. In the tooth chart, click a tooth that you want to change so that it matches what is in the patient's mouth. 2. Select the appropriate tooth option from the list on the left side of the screen: Present, Missing, Unerupted, or Impacted Note: If a tooth is missing because it is impacted, choose the impacted option. 3. If you mark a tooth as unerupted. select the Model check box if you want the Digital Lab to model the tooth as if it were already fully present. 4. Click to check additional properties as appropriate: Partially Erupted, Primary, or Supernumerary tooth. If a tooth has no visible contact with the adjacent mesial tooth, click the contact bar between teeth on the tooth chart to remove the bar. Tip: A time saving approach to this task is to use the Set all contacts/clear all contacts to set or clear all contacts at once, and then set or clear contacts for individual teeth. 5. Use the Reset Tooth/Reset All buttons to remove your changes to the selected tooth or all teeth. 6. Use the buttons under Miscellaneous as time savers as you work. 16

21 Patient Management Brackets Tab Brackets Tab - Dental Examination Page Select the Brackets tab to record a patient s bracket prescription and manage bracket sets. You can enter the patient s bracket prescription under the Bracket tab before or after the bonding appointment. However, the information must be entered and updated prior to completing a Therapeutic Model or Partial Scan order. The Digital Lab requires a current and correct bracket prescription to process these types of scans and create custom archwires. You can assign brackets one tooth at a time or choose from existing bracket sets. This tab also allows you to create a new bracket set that can be used with any patient. Why is identification of the brackets so important to a suresmile patient's treatment? The accuracy of each bracket model is critical since brackets are part of the formula for computing the patient's custom wire design. To determine a bracket's position relative to a tooth, The Digital Lab uses a registration process to precisely position the bracket from the bracket library to the scan data. Different slot size warning When you add a bracket to a dental exam that already contains one or more brackets (or a bracket set), you get a warning if the slot size of the bracket being added is different from the slot size of those brackets already added in the dental exam or the bracket set. If you really intend to add a bracket with a different slot size, click Apply. If you intend to add more brackets for this case with different slot sizes, select the Ignore further warnings check box. Show Intra-oral photos during bracket selection When you select a tooth on the Dental Examination page and click Apply bracket..., the Brackets window opens and displays an intra-oral photograph appropriate to the tooth selected. If you want to view a different photograph than the one automatically provided, click the name above the current image to bring up the Image Selection box. Note: If the photograph is not displayed, click the << Show Image button. If the tooth selected is.. 22 surescan Online Help Apply Bracket To assign a single bracket, follow these steps: 1. Select the Brackets tab. 2. Select a tooth in the tooth chart or the list of tooth numbers under the Brackets tab. Note: The Palmer Notation system is used to identify teeth in suresmile. 3. Click Apply bracket... Result: The Brackets window opens. The Use bracket preference filter checkbox is checked by default, so that only the brackets you specified in suresmile on the Preferences page under the Brackets tab are shown. (See the suresmile help topic Bracket Preferences for more information.) The list is further filtered for the type of tooth selected in the tooth chart. To see a complete list of all brackets supported by suresmile, uncheck the Use bracket preference filter checkbox. 4. At the lower-right corner of the list of available brackets are two sets of numbers, such as 132/16435 Brackets. The first value is the number of brackets that fit the criteria you have selected. The second value is the total number of brackets in the database. Tip: If you need to select a different tooth, - Click the < (less than) key or the > (greater than) key on your keyboard to move left and right through the arch OR - Click another tooth number in the Target Tooth drop-down list. 5. Filter the bracket list by selecting from the following fields: Manufacturer Family Slot Width Quadrant Tooth More Part No. 6. (Optional) To further refine your search, click the button to the right of the More box. Result: The Bracket Filter window opens. Click any of the drop-down arrows to select additional bracket features. Click OK to return to the Brackets window. 7. Type the manufacturer s part number in the Part No. field. As you type, the bracket list narrows to include brackets that match the partial number until you finish typing the number that corresponds to one bracket. 8. Find the appropriate bracket, highlight it, and click Apply. 9. Repeat steps 2-7 to assign more brackets as needed. 10. Click OK to accept the last selection and close the Brackets window. Tip: You can press the <Page Up> or <Page Down> keys on your keyboard as a shortcut to moving to the next target tooth. Note: surescan allows you to select a bracket designed for another tooth. For example, you can assign a lower incisor bracket to an upper lateral. There is no warning if you make an unusual bracket selection. 18

23 Patient Management Tip: The Brackets window provides several visual cues to help you select the intended bracket: The bracket list contains a picture of the bracket and a textual description including order number and prescription. You can view the bracket in 3D in the upper right corner. Point to the area, press and drag to rotate the bracket as needed. The bracket s green background is beveled on the corner corresponding to the bracket s quadrant: upper left, upper right, lower left, and lower right. 11. (For lingual cases only) Check the Upper jaw bonded lingually and/or the Lower jaw bonded lingually check boxes as appropriate. Note: Weldable brackets are listed in the Brackets window among bondable brackets. Tip: The Brackets window will display all brackets in the suresmile bracket library until you filter down to the brackets applicable to your office. You can start from a narrower list by indicating your bracket manufacturers in the suresmile Preferences. 12. Click the Save icon in the toolbar to save your changes. Note: After you apply a new bracket or bracket set and submit the therapeutic model, the changes are logged in the product notes associated with the model. Apply Bracket Sets To assign a bracket set: 1. From the Dental Examination, select the Brackets tab. 2. Click Apply Bracket sets. Result: The Bracket Sets window opens. 3. In the Target drop-down list, select the arch to be assigned brackets from this set. Note: If you do not make a selection, all teeth will be assigned. 4. Select an existing bracket set from the drop-down list, such as Ormco Mini Diamonds. 5. Click Apply. 6. Click Close to close the Brackets Sets window. Note: After you apply a new bracket or bracket set and submit the therapeutic model, the changes are logged in the product notes associated with the model. To remove a single bracket 1. Under the Bracket tab, select a tooth number in the tooth chart or in the list of tooth numbers. 2. Click Remove Bracket. To remove All Brackets 1. Click Remove All Brackets. Result: A confirmation window opens. 2. Click Yes to remove all brackets, or No to keep the current bracket assignments. 19

24 surescan Online Help Make Bonded/Not Bonded You can assign brackets to the patient at the beginning of treatment, at the bonding appointment, or at any other time prior to ordering a therapeutic model. The Make bonded/not bonded buttons allow you to distinguish between the bracket prescription planned for this patient and brackets that are actually bonded. The following table explains when to use these buttons. To affect one tooth, you must first select it in the Brackets list. Button Make all not bonded Make not bonded Make all bonded Make bonded When to Use Prescription has been determined, and the patient is not bonded. Prescription has been determined, and the tooth will be bonded later. The patient has been bonded with this prescription, or the bonding tray has been checked. The tooth has been bonded with this prescription. When setting up the bonding tray, check the tray against the brackets assigned for this patient. They must match. If the tooth chart is not current, follow the steps for assigning brackets. If the bracket assignments are correct and the patient is bonded, click Make All Bonded. Tip: The bracket s background in the tooth chart turns white when you select Make Not Bonded, and green when you select Make Bonded. Lingual brackets have a blue background. Upside-down Bracket If the bracket is bonded upside down, use the Bonded upside down option on the right side of the screen to avoid processing issues in the Digital Lab. To assign a single bracket: 1. Select a tooth number in the tooth chart or from the list of tooth numbers under the Brackets tab. 2. Click Bonded upside down. A red line appears to mark the tooth in the tooth chart. 3. Repeat steps 1-2 for each bracket bonded upside down. Combine Bracket Sets You can apply a partial bracket set on top of another set. For example, if you have a bracket set that contains clear brackets for the anteriors and another that contains metal brackets for the posterior teeth, you can apply both to make a combined set for a patient. To combine bracket sets: 1. Select the first bracket set. It may be a partial or complete set. 2. Apply another bracket set, but this one should be partial since it overwrites the previous set. Result: Any teeth with assigned brackets in both sets are replaced with the brackets in this second set. 3. Select individual tooth numbers and make additional changes as needed for this patient. Notes Tab Use this tab to enter notes during the dental examination. Most users prefer to use the Patient-Related Notes icon in the main toolbar because they can enter and view those notes from any page. 20

25 Patient Management Compare Tab Each time you submit a model order following a scan, suresmile makes a copy of the patient s current dental exam including tooth properties and bracket prescription. The Compare feature can compare dental exams from the most recent to any previous scan. The comparison results mark the teeth that changed with a red line. To compare dental exams: 1. From the examination page, click the Compare tab. 2. Select a scan from the drop-down list under the tab. Result: If there are changes, they are displayed graphically as red lines on the tooth chart and as text in a listing below. Submit an Order When you have completed the dental exam and performed other tasks required by the different types of models, follow these steps to submit the order: 1. When you are ready to submit the order, scroll down the Dental Examination page and click the Submit button at the bottom of the page. the Submit Order dialog box opens. 2. Adjust the setup approval and wire insertion dates as needed. 3. Check or uncheck the Deliver with Brackets check box as appropriate. If the model is part of a Standard case, then the check box is checked by default. You can still uncheck the check box if you want to order an unbonded therapeutic model. If the model is part of an Aligner case, the check box is unchecked by default. You cannot recheck it, since you cannot order an aligner with a bonded model. 4. If the model is part of an aligner case, you can submit the aligner prescription form at this time. See procedure below 5. Click Submit. Note: Orders for models from OraScans must be submitted from the scan station used to capture the scan data. Orders for models from CBCT scans must be submitted from suresmile. 21

26 surescan Online Help Resolving Customer Holds To resolve a customer hold: 1. Open a patient record with a hold. Result: The Customer Hold Items window opens listing every hold associated with the patient record. Notice the window has several parts. You can expand and collapse information in the window. Scroll down to see a table listing the elements of the Customer Hold Items window. Tip: If you close the Customer Hold Items window and want to reopen it, click the red hand toolbar. on the main 2. Click the name of the hold once and read the notes from the DL technician. 3. Double click the name of the Customer Hold to be taken to the appropriate area of the software to resolve the hold. For example, if the hold is LR3: Verify and correct brackets, you will be taken to the Brackets tab on the Dental Examination page. The tooth chart is highlighted in red to show you all brackets on hold. 4. For a bracket issue, continue to the steps below. Otherwise, fix the issue and then release the hold. Note: Generic holds will not respond to double-clicking since it is unclear where you need to go. Explanation of Customer Hold Items window What is it? Where is it? What is it for? Product name First drop-down Lists the product with the problem. (All ordered products are available in case you want to look at another item.) Hold cycle Second dropdown The number of times that an item has been on hold. Includes the date that the item was placed on hold. An asterisk marks the current hold. Hold category Column header Headers organize your holds by category since you might have multiple brackets, x-rays and photos needed, etc. Hold name Text in bold Hold notes Gray area at bottom of window The text before the colon indicates the item that is the problem. Explanation and instructions from the Digital Lab. You must select a hold name to view the notes. To resolve specific customer holds: 1. Open a patient case with a hold. Result: The Customer Hold Items window opens with a list of hold items. Tip: If you close the Customer Hold Items window, click the red hand hand icon is green, there are no holds. on the main toolbar to reopen it. If the 2. Note: Digital Lab technicians choose from the standard notes to provide more accurate, consistent communication on a hold. 27 Patient Management If the hold relates to a specific item, you are taken to the appropriate area of surescan to resolve the hold. Action: Take the appropriate action to resolve the hold per the Digital Lab technician s description and continue to step 4. If the hold is non-specific, it will not respond when you double-click it. Double-click in the message area under a hold item, and do one of the following: o Type a note regarding the hold and click OK. o Click Yes in the confirmation box to release the hold now. OR o Click No to return to the Customer Hold Items window without releasing the item. After resolving the hold, return to the Patient Overview page. If the Customer Hold Items window is not still open, click the red hand in the main toolbar. 4. Check the Done check box next to the item you just resolved. Result: The Release button becomes available. 5. (Optional) If there are multiple customer holds, double-click the next hold item to continue. 6. When you have checked one or more of the Done check boxes, click Release to release the checked holds. You can then close the Customer Holds Item window and close the case. 23

28 surescan Online Help Correct and Register a Bracket Note: If you are resolving a bracket customer hold by selecting a different bracket, you must do so in the copy of the dental examination associated with the scan. Do not go to the Dental Examination page since only the copy of the dental examination associated with the scan is used to process the scan. The Dental Examination page is set to read only while the scan is being processed because it is not used to process a model order. 1. From the Dental Examination page, under the Brackets tab, select a tooth number in the tooth chart or in the list of tooth numbers. 2. Select a bracket, if needed. Note: The tooth associated with a customer hold item is already selected for you if it is identified in the hold. Brackets on hold are highlighted in red. 3. Click Apply Bracket and change to the correct bracket. 4. (Optional) Click Show Mesh to register the bracket. If you register the bracket yourself, you will help ensure that the data is correct. Note: The Show Mesh feature appears only if the scan data is derived from an OraScanner scan or if the CBCT scan has had a supplemental scan attached to it. Otherwise, the Show Mesh check box does not appear on the Brackets tab. a. In the 3D window, use Object Navigation to position the bracket in the scan data. b. Click Register Bracket. If the message is "Positioning Successful," click Close to return to the Customer Hold Items window on the Patient Overview page. Note: Occasionally a Digital Lab technician may determine that the bracket is incorrect even though you have received a "Positioning Successful" message while registering the bracket yourself. If the message is "Positioning Failed," adjust the position and repeat the previous step. Note: At any time, you may leave the Register Bracket task to the Digital Lab if you are sure the bracket you have selected is correct. Be sure to make a note to the Digital Lab. 5. Click Close. 24

29 Patient Management View Hold History To view hold history: 1. Open a suresmile case that had items on hold but which were released. Note: The Customer Hold Items hand on the main toolbar should be green. 2. Click the green hand to open the Customer Hold Items window. 3. Click the drop-down menu at the top of the window and choose the product that was previously on hold. 4. Click the name of the hold item once to select it. Result: Notes from the DL technician open in the text box at the bottom of the window. 5. When you have finished reviewing the information, click the close window button in the upper-right corner of the window. Restart Work on Rejected Products The records of patients with rejected items at the Digital Lab are shown in red, and the associated products are highlighted in red under the Patient Details. You can view the reason for a rejection without opening a patient record. You may open a patient record with a rejected product, but you cannot order additional products that require this product as a prerequisite. For example, if a therapeutic model is rejected you will be unable to order a setup prescription. When you open the patient, you will be prompted to resolve the situation. To view the hold or to reject details, follow these steps: 1. In the Patient Details area, click a product shaded in red. Result: A Product Notes window opens with an explanation of the issue and instructions typed by a Digital Lab technician. 2. Click Close when you have finished reading the product notes. To restart work on a rejected product: 1. After viewing the reject information in the Patient Details, open the patient record. 2. In the Items box, double-click the product highlighted in red. Result: A message displays asking if you want to restart work on the rejected product. 3. Click Yes if you are ready to resolve the problem. OR Click No to be reminded to resolve the problem later. 4. Resolve the problem by following the instructions typed by the Digital Lab technician in the Product Notes. For example, add scan data where needed. 5. Close the patient record or continue working in it, as appropriate. 25

30 Photos and X-rays The tools for planning treatment rely on quality photos and x-rays imported into the patient s suresmile record. The main toolbar includes the icons for accessing photos and x-rays at any time. However, the features for importing and editing images are located on the Photos and X-rays pages. New Image Sets To start a new image set: 1. Choose Photos or X-Rays in the Go menu. 2. Click New in the Image Sets area. Result: A calendar opens. 3. Use the calendar to select the date that the records were taken. 4. Click OK. Result: The Image Set Name window appears. 5. Type a name for the image set, and then click OK. Note: It is not necessary to type the date. Delete Image Sets 1. Click the Image Sets drop-down arrow and select a record set. 2. Click Delete in the Image Sets area. Result: A confirmation window opens. 3. Click OK to confirm the deletion. Edit Image Sets 1. On the Go menu, click Photos or X-Rays. OR On the Patient Overview page, under the left Go to Page column, click the Photos or X-Rays links. 2. Click Edit in the Image Sets area. Result: A calendar appears. 3. Use the calendar to select the date that the records were taken. Result: The Image Set Name window appears. 4. Type a name for the image set, and click OK. 26

Navigate to the directory on a local or network drive where the file is stored. 7. Click the filename to select it, and then click Open or double-click the filename. Result: The image imports into the suresmile patient record. Tip: You can also right-click an image box, and then choose an import option. To import a digital image set stored as local files, follow these steps: 1. Choose Photos or X-Rays in the Go menu. OR Click Photos or X-Rays in the left panel on the Patient Overview page (home). 2. Click the Image Set drop-down arrow and select a record set. OR Click New to start a new set or Edit... to add images to an existing set. 3. Click the relocation box, which is the area just to the left of the "Import from File" button. Result: A dark blue outline indicates that the box is selected. 4. Click Import From File. Result: The Open window appears. 5. From the Files of type drop-down list (JPEG or Windows bitmap), select the type that corresponds to the data you want to import. Tip: The Open window includes features for sorting files. Click the arrow in the upper right for a list of options including Icons, which displays thumbnails of the images to help you select the correct file. 6. Navigate to the directory on a local or network drive where the files are stored. 7. Drag a bounding box around the filenames to select the set, and then click Open. Choose Photos or X-Rays in the Go menu. OR Click Photos or X-Rays in the left panel on the Patient Overview page (home). 2. Click the Image Sets drop-down arrow and select a record set. OR Click New to start a new set or Edit... to add images to an existing set. 3. Click an empty box with the appropriate caption beneath it such as Frontal (or Lateral Ceph in the X-Rays section). Result: A dark outline indicates that the box is selected. 4. Make sure that the device is connected to the system and ready to communicate with another device. 5. Click the Import From Device button. Result: A window offers a list of sources. 6. Click the appropriate device in the list, and then click Select. Result: The associated software launches automatically. 7. If you are importing from a camera, you may see a layout of images to choose from. Select one image only. OR If you are importing from a scanner, see the manufacturer s instructions for operating the scanner to capture one image. 8. Repeat Step 3 through Step 7 for each photo or each x-ray. Full Size Tip: You can also right-click an image box, and then choose an import option. To display an image at its original, full size, follow these steps: 1. Click any image in the layout to select it. Result: A preview of the image appears at the right. 2. Click Full Size in the Image Management area. OR Double-click an image in the layout to display it full size. OR Right-click an image in the layout and choose View Full Size. Result: The image is displayed full size. 3. Click the Show Grid check box to display the grid. 4. Click Close in the lower right corner to close the view. 28

33 Photos and X-rays Moving Images 1. Click the image in the layout or relocation box to select it. 2. Point to the image, and then press and drag the image to an empty location in the layout and release. Note: If you drag the image to a box that already has an image in it, the images switch boxes. Delete Images 1. Click the image in the layout to select it. 2. Click Delete in the Image Management area. OR Right-click an image and choose Delete. 3. Click Yes to confirm your decision. Export Photos, X-Rays, or DL Images You can export an image from the Photos, X-Rays or DL Images pages by right clicking on one of the thumbnail images and following these steps: 1. From either the Photos, X-rays, or DL Images page, right-click a thumbnail image in the gallery and click Export. Result: The Save As window appears. 2. From the Save as type drop-down list (JPEG or Windows bitmap), select the type that corresponds to the type of file you want to create. 3. Navigate to the directory on a local or network drive where you want to store the file. 4. Click in the File name text box and type a name for the file. 5. Click Save. 29

34 surescan Online Help Image Editor Controls The Photos and X-Rays pages both have the same image editing tools. In addition to displaying a grid on the image or cropping it, you can magnify it, rotate it to correct its orientation, or alter its brightness and contrast if the original image is dark or faded. A Keep View feature allows you to retain the changes made to the view of an image from any record view in the software. Crop 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. To select the Crop tool, click. 3. Position the pointer where you want a corner of the image to begin. 4. Press and drag to draw a red box over the area you want to keep, and then release the mouse button. Result: The image is cropped and a confirmation window opens. 5. Click Yes to permanently crop the image. Grid Note: Undo will not restore a cropped image. 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. Click the grid icon to turn on the grid. 3. Press G on your keyboard to indicate you want to interact with the grid. 4. Click to select or deselect grid lines. Result: Selected lines are highlighted. Tip: Click the intersection of two grid lines to select both. Keep View Retain your changes to the view of the image using the Keep View button. Your changes will be stored when you save the patient record. If you do not save the patient record, the changes will not be kept. To save views: 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. Manipulate the image as needed. 3. To retain your changes, click Keep View on the Image Editor toolbar. Restore / Reset Views After making changes to a view that you want to save, click Keep View from the image tools drop-down menu and be sure to save the patient record immediately or when you exit. Later, you can come back to the image and do one of the following as needed: Choose Restore View to return the image to its orientation the last time you selected the Keep View option. Choose Reset View to return the image to its original settings. 30

35 Photos and X-rays Magnify To magnify an image: 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. Click the image-tools icon to select zoom options, and choose from the selections: Fit to window - reduces or magnifies the view of the image to its best fit in the window. Zoom in - increases magnification incrementally each time it is selected. Zoom out - decreases magnification incrementally each time it is selected. After an image is magnified, press and drag to "pan" the image. Brightness/Contrast To change the brightness and/or contrast of an image: 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. Click the image-tools icon and select Brightness/Contrast to open the Adjust Image Brightness and Contrast controls. To increase the brightness of the image, drag the brightness slider to the right or enter a number between 1 and 99. To decrease the brightness of the image, drag the brightness slider to the left or enter a negative number between -1 and -99. To increase the contrast of the image, drag the contrast slider to the right or enter a number between 1 and 99. To decrease the contrast of the image, drag the contrast slider to the left or enter a negative number between -1 and Click OK. Rotate To rotate an image: 1. Select an image in the layout. Result: A preview image appears in the Image Editor on the upper-right side of the screen. 2. Click in the image tools menu icon to select rotation option, and choose from the selections: No Rotation - resets the image by removing your previous rotation choices since the last time the record was saved. Rotate 90 CW - rotates the image clockwise. Rotate 90 CCW - rotates the image counter-clockwise. Rotate flips the image horizontally and vertically. Custom Rotation - enter an exact amount for rotation, then click OK. Mirror Horizontal - flips the image horizontally. 31

36 surescan Online Help Use the Lip Trace Tool The Lip Trace Tool can be used with a therapeutic model, setup prescription, or treatment simulation. To trace the lip line of the facial smile photo and cut out the teeth in the photograph: 1. Open the simulation or model for which you want to trace the lip line. 2. In the main window, select the Smile Photo from the list of standard views. 3. In the header of one of the side display windows, click to display the same facial smile photograph. Tip: Make sure the facial smile photograph is from the same image set (make sure the dates match) as the facial smile photograph displayed in the main window. 4. In the side window with the facial smile displayed, click the Lip Trace drop-down menu in the side window header. You have four options. Option Show Lip Trace Add Lip Trace Subtract Lip Trace Delete Lip Trace Action Shows current lip trace. Trace the lip line. Result: Changes cursor to pencil tool. Erase a portion of the lip trace. Result: Changes cursor to pencil tool. Removes a lip trace. 5. Trace the inside lip line in the photograph on the side window to define the smile line. Result: After you trace, a blue mask covers the teeth in the photograph. The teeth in the smile photograph in the main window are simultaneously cut out so that the model behind the photo shows through. Tip: Use the Subtract Lip Trace and draw a circle around any parts of the masked area that need to be erased. 32

37 Photos and X-rays Region Markup Tool Region Markup Tool The region tool allows you to mark up to three areas of concern on a photograph or x-ray with a color-shaded area or region. You can then refer to the area in your notes to the Digital Lab so that the technician knows exactly the area you want to refer to regarding a particular matter. The Region tool menu in the side-window headers allows you to use your cursor to quickly place a colored region on a photograph or x-ray. Use the Region Tool to Add an Area To mark a region on a photograph or x-ray: 1. In the side window header above the photograph or x-ray you want to mark, click the Region tool menu. Region #1 (red) is selected by default. 2. Click Region #1 (red), Region #2 (green), or Region #3 (blue). 3. Click Add Region Area. Result: Your cursor turns into a pencil shape. 4. Click and drag your cursor around the area you want to highlight. When finished, release your mouse button. Result: As you trace, a shape masks the area in the photograph or x-ray in the color you selected. 5. When finished, click Keep View in the side window header to save your changes. Use the Subtract Region Area Tool to Modify an Area To remove a region on a photograph or x-ray. 1. In the side window header above the photograph or x-ray you want to mark, click the Region tool menu. 2. Click Region #1 (red), Region #2 (green), or Region #3 (blue). 3. Click Subtract Region Area. Result: Your cursor turns into a pencil shape. 4. Click and drag your cursor to subtract or remove a portion of the colored area. When finished, release your mouse button. Result: A portion of the area is erased. 5. When finished, click Keep View in the side window header to save your changes. 33

38 surescan Online Help Image Set Composer The Image Set Composer is a stand-alone utility that allows you to pull images from any location accessible to your computer into an image set that is automatically imported into surescan. You can drag and drop images from Windows Explorer. Once in the layout, you can edit or save out individual images as needed. If you have installed an integrated third-party imaging package, such as Dolphin Imaging, a button becomes available that allows you to push records into surescan with just a few clicks of the mouse. Create Image Sets You can pull images into the Image Set Composer from a folder on the network or a computer drive, and then push these images into a new suresmile patient record. You follow the same steps for adding images to an existing record. Follow the steps below to create the montage. Delete images, add rows, and label image types as needed. Once you have assembled your montage, save an image set and initiate processing to import the records into surescan. If necessary, you can delete an image set or export individual images. To start the Image Set Composer: 1. Double-click the surescan Image Composer icon on your desktop. Result: The software opens. 2. Click the Source Program drop-down arrow and select User, if necessary, and then click Next Step. To start a new patient: 1. If this is a new patient with no suresmile patient record, enter the patient's Last Name and First Name. Carefully, type the name as it appears in your imaging system or other system so that the records match. 2. Click the Date of Birth drop-down arrow and select the correct month, date and year. a. To change the year, click in the year on the title bar and scroll up and down to the correct year, or type in the correct number. b. To change the month, click in the title bar and choose from the list or use the arrows to scroll left and right through the list of months. c. To change the date, select it on the calendar. 3. Click Next Step. 4. Enter patient contact information, if needed, and click Next Step. Result: The Photo & X-ray Import screen appears. 5. Load images into the Import page by dragging them from Windows Explorer or selecting them from a folder. To associate images with an existing patient record: 1. Enter a patient's first and last name and click Find to select a patient already entered in suresmile, and then click OK to select it. OR Click Load from suresmile to list all patients in the suresmile database and select a patient from the listing. 34

39 Photos and X-rays Note: If you type in the patient s name and a record already exists in suresmile, you must enter the patient s name exactly as it appears in suresmile. If the name and birth date are not the same (for example, the patient s nickname is used), the system assumes a new patient record should be created. 2. Click Next Step. 3. Enter patient contact information, if needed, and click Next Step. Result: The Photo & X-ray Import screen appears. 4. Load images into the Import page by dragging them from Windows Explorer or selecting them from a folder. Import and Arrange Images Import Images from a Folder You can pull images into Image Set Composer from a folder on the network or a computer drive. To load Images from a Folder: 1. Click to browse to your image folder. 2. Browse to the drive and folder where your images are located. 3. Click the Views icon and choose Thumbnails to display miniature views of your images. 4. Click to select an image. Tip: To select multiple images, press SHIFT on the keyboard and click to select a range or press CTRL and click to select specific additional images. 5. Click Open. 6. Follow the steps in All Image Sets and Review Processed Patients to complete the import of the images into surescan. To arrange images: Point to an image, and press and drag to move it to the correctly labeled location in the layout. Uploading when patient record is open If your image management system is integrated with surescan, you can upload the patient s photos even while a patient s record is open in surescan. If you are unsure whether your image management system is integrated with surescan, contact suresmile Customer Care. Note: When uploading photos from an integrated system, you must first close the patient in surescan before surescan replication can occur. Load Images using Windows Explorer As a shortcut to loading images into Image Set Composer, you can open Windows Explorer and drag images from the window into the image layout. 1. Follow the steps to start Image Set Composer until the Photo & X-ray Import screen appears. 2. On your desktop, double-click your My Computer icon or open Windows Explorer. 3. Browse to the folder that contains the images to be loaded. 4. Click the Views icon and choose Thumbnails to display miniature views of your images. 5. Point to an image in the window, and then press and drag to move it to the correctly labeled location in the layout. 35

40 surescan Online Help Tip: You can select multiple images to copy into the layout using SHIFT+click and CTRL+click. You can even press and drag to select images in a bounding box. To select the entire contents of a folder, highlight any file in the folder and press CTRL+A to select all. 6. Follow the steps in the help topics All Image Sets and Review Processed Patients to complete the import of the images into surescan. To arrange images: Point to an image, press and drag to move it to the correctly labeled location in the layout. Delete Images from Set To remove images from a layout, select an image, or multiple images, and click Delete Image. Rotate or Flip Images in the Layout To rotate or flip images: 1. Select an image in the layout or in the All Images list. 2. Click one of the side buttons to rotate or flip the image. 3. To undo an image edit, click the button next to the rotate and flip buttons. Tip: Double-click an image for a magnified view, and double-click it again to return to the thumbnail view. Add To enlarge the layout with additional spaces, click Add. Change Image Type If an image is labeled incorrectly or labeled "No Type," click the Image Type drop-down list and select the appropriate label. All Image Sets 1. Click in the text box under the All Image Sets title and enter a new name for an image set. Use an informative name that is also unique from the names of other image sets in the record. Note: You will need to click in another area of the screen before the name is added to the All Image Sets listing. 2. If the images in the set were not taken today, click the Image Set Date drop-down and select the correct date from the calendar. 3. Select images to be included in your new image set. OR Select image names in the All Images list to be included in your new image set. Result: Each selected image now has a red outline. 4. Click to include the selected images in the Image Set box. Only the images listed in the Image Set box will be in the new set. 5. Click, if needed, to remove images from the Image Set box. 36

41 Photos and X-rays 6. Click Finish to complete the creation of the new image set. Note: The set will not be imported into surescan until you follow the steps to Review Processed Patients. OR Click Cancel to start another patient s image set. You can also delete an image set, if necessary. Save Image As 1. Select an image in the layout and click to open the Save As window. 2. Type a new name for the file and select a file type, if needed. 3. Browse to the location to store the image copy and click Save. Delete Image Set To remove an image set, click a name in the Image Set list and click Delete Image Set. Review Processed Patients You must review the session to push the image set into surescan. 1. In the File menu, choose Review Session. 2. Highlight additional patient names as needed to select the patient records to be pushed. 3. Click Accept. Note: Allow minutes for communication of the records to surescan to be completed. If the patient does not have a record in surescan, it will automatically be created. 4. Click Exit to close the window. At any time, you can check Image Composer to see a list of patients that have image imports pending. Pending for Import 1. In the File menu, choose Show Pending. 2. Click Refresh if all pending patients are not displayed. 3. Click Exit to close the window. 37

42 surescan Online Help Multi-select and Display of Images You can select two or three photos, x-rays, or 3D images from the Image Selection window and copy them into a modeless or floating Multi Image Viewer, so you can easily refer to them as you work on a case. You can arrange the images horizontally or vertically and place them on a second monitor. How Does the Multi Image Viewer Work? When you select several images from the Image Selection window and click OK, the first three images you select are copied to a multi-image viewer that is modeless or floats in the main window. Change the layout of the images from vertical to horizontal by resizing the window. Click the header of an image in the Multi Image Viewer to open the Image Selection window and replace the image with another. Click the in the Multi Image Viewer header to remove the window. The original images in the Image Selection window are unaffected. Use the Multi Image Viewer to Display Extra Patient Images To display extra patient images in the Multi Image Viewer. 1. Open the Image Selection window by clicking the Photos, X-Rays or DL-Images icons on the toolbar.. 2. Hold down the CTRL key of your keyboard and select two or three images to display in the Multi Image Viewer. 3. Click OK. Result: The Image Selection window closes and a floating window opens containing the selected images. Resize the window as need to change the horizontal and vertical layout of the images. Drag the window to another monitor if needed. 4. Click in the top right corner of the window to close. Caution: If you close the Multi Image Viewer, you must repeat steps 1-3 to recreate the window. 38

43 Photos and X-rays Replace Images in the Multi Image Viewer Follow the steps below to replace photos, x-rays and DL images in the Multi Image Viewer. Use this procedure to mix image types (that is, photos, x-rays, or DL images) in the viewer. Important You can only combine images from the same image set (same date). Before you begin Review the procedure for selecting images and opening the Multi Image Viewer as explained in Multi-Select and Display Extra Patient Images. 1. From the Multi Image Viewer, click the header of the image you want to replace. Result: The Image Selection window opens. 2. From the Image Selection window, click the image you want to add. Click one of the Image Type icons to change which types of images are shown. 39

44 surescan Online Help 3. Click OK. Result: The Image Selection window closes and the image you selected replaces the image in the Multi Image Viewer. Note: If you select an image from a different image set (different date), all other images in the Multi Image Viewer are also replaced with images from the same image slot position in the new image set. 40

45 Photos and X-rays Renaming Optional Image Slots In addition to the nine standard images on the photos page, there are 15 optional image slots. You can rename the optional image slots in the Image Selection window. You can give an image slot a patient-specific custom name or a practice-wide custom name. Assigning a Practice-wide Name to an Image Slot Double-click on the title of any empty optional image slot and change its title. Once you save and close the patient, this image slot retains its new name for all patients. Example: If you open patient Jane Doe and change the title of the first empty optional image from Optional #1 to Misc. #1, after you save and close patient Jane Doe, this change is applied practice-wide. The title Optional #1 is replaced with Misc. #1 for all patients in the practice. Assigning a Patient-Specific Name to an Image Slot When you import photographs or x-rays and add an image to an image slot, you can give that image a name that is specific to the patient case. Example: You open patient Jane Doe. You import a photo and add it to the Optional #1 image slot. You double-click on the title under the photo and rename it Overjet Oblique. After you close Jane Doe, if you open another patient and open the photos page, the first optional image slot is empty and is named Optional #1. You can also rename a photo already imported into an optional image slot. This new name will be specific to the patient case. Example: You open the photos page for a patient and notice one of the titles is incorrect. You highlight the title and rename the photo correctly. If you open another patient and open the photos page, the same image slot is either empty or contains another unique image. The image slot is either named Optional #X according to its position or it has a patientspecific title. If you move a patient-specific named photo to a different slot in the image set, its name travels with it. The empty slot regains its original, practice-wide name. Example: You import a photo into the image set slot Optional #4. You double-click the title and rename it to Overjet Profile. You drag and drop the image into image set slot Optional #3. The empty slot regains the name Optional #4. Rename Empty Optional Images To rename empty optional image slots: 1. Go to the Photos or X-Rays page. 2. Double-click in the title of the empty optional image slot you want to change. Result: The title is highlighted. 3. Type a new title and then press Enter. Result: A confirmation box opens telling you that the change will apply practice-wide. 41

46 surescan Online Help 4. Click Yes if you agree. 5. Save and close the patient. Result: For any patient in the practice, when you open the photos window, this image slot retains its new name. Rename Existing Optional Images To rename optional image slots containing existing images and titles. 1. Go to the Photos or X-Rays page. 2. Double-click in the title of the empty optional image slot you want to change. Result: The title is highlighted. 3. Type a new title and then press Enter. 4. Save and close the patient. Result: The new title is specific to this patient case only. Other cases are unaffected. 42

47 Scanning In suresmile, you can use one of three technologies for capturing scan data for your suresmile models: OraScanner or orascanner 2 Optical scanner (i.e., ioc/itero, 3Shape Trios) CBCT scanner (i.e. CareStream or i-cat) You can derive a scan from five sources: STL/PLY data from a 3rd party vendor (impressions or plaster models for use for diagnostic or final models only) An OraScan of a plaster model An intraoral OraScan of a patient An intraoral scan of a patient using a suresmile-certified optical scanner An in-vivo scan of a patient using a suresmile-certified CBCT scanner The Scan page supports all of these approaches. OraScans Using the OraScanner or orascanner2, you can take in-vivo scans for diagnostic models, therapeutic models, premium therapeutic models, update scans, and final models. Selecting a Case Type A suresmile case is a preselected set of products associated with a patient's treatment. Select the case when you start the patient record, or anytime up to the point you are ordering the therapeutic model. Whether you start the therapeutic model order in surescan or in suresmile on the web, you will NOT be able to submit the order until you select the case for the patient in suresmile. If you do not plan to order a therapeutic model for a patient, (e.g., if you order a diagnostic model and use it to fabricate aligners) you do not need to select a case. When a case type has not been selected, the following message is shown at the bottom of the Scan page. Whenever you have an option to order model or scan that will incur an extra fee, a dollar sign is shown the New button. Note: surescan also displays a Select Case Type reminder on the Tasks tab on the Practice Overview. To select a case type for a patient from the Scan page 1. From the Scan page, click the online link in the message at the bottom of the Scan page to open the patient overview page for this patient in suresmile on the web. Tip: You can also click the globe in the main toolbar on any page in surescan to open the patient overview page for the patient in suresmile on the web. 44

49 Scanning Note: You must already be logged into suresmile on the web for the patient record to open automatically. Otherwise, the suresmile login page will open. You will need to log onto suresmile and manually open the patient record. 2. From the Patient Overview page in suresmile on the web, click the Edit button. The Patient Profile page opens. 3. Click Change Case Type. Select a new case type (see below for more info) and click Save Changes. 4. Toggle back to the Scan page in surescan. Close and then reopen the patient. Got to the Scan page and scroll down. 50 surescan Online Help Using the OraScanner Start an OraScanner Session The OraScan Station provides a touch screen for the convenience of the operator. Since the operator wears gloves at chairside, it is easier and more sanitary to use the stylus to make on-screen selections. Remember to press the stylus gently to avoid damaging the screen. To start a scan session, follow these steps: 1. Log onto surescan. 2. Start a new patient record or open an existing patient record. 3. Select the Scan page on the Patient Overview page (home). Result: The Scan Overview page appears with previously captured scans listed in the left windowpane. 4. Touch the drop-down arrow for the model you want and choose OraScan to indicate that you are using the OraScanner to take a scan. 5. Touch the New button associated with a scan type under suresmile Treatment. Result: A new scan session appears with empty windowpanes and additional tools in the toolbar. The windowpanes on the left side of the screen list the appropriate segments for this scan type (now marked as NOT SCANNED). During a scan, the model will display in the Main windowpane. The Scanning Sequencer helps guide you through the scanning steps. You can use the arrows on each side of it to go to the previous or next step in the sequence. Use the drop-down arrow to skip to any step. Although the steps for the bite scan will not be listed for update scans, all other scans include the following steps: Idle - not ready to scan Upper Jaw - ready to scan the upper arch Lower Jaw - ready to scan the lower arch Bite - ready to scan the bite (positioned as needed for 3D modeling) Complete Work - ready for next step Back to Overview - return to the Scan Overview screen Return to the Scan Overview screen by clicking the large yellow folder or by advancing the sequencer to Complete Work. The button allows you to place an order as outlined in "Order Model from Scans." Dental Exam information, available from the Dental Exam icon in the Main toolbar, must be updated prior to placing an order. Each time the OraScanner flashes, it captures the image reflected in the mirror. This image is called a frame. Frames must overlap to build a model. When you have completed scanning and stop the OraScanner, the software runs a process called Network Registration to match frames and eliminate any unconnected images. After Network Registration is complete, you can visually check the model for acceptability. 46

51 Scanning Start a Segment The OraScanner must first be activated prior to recording a scan. When activated, the orascanner camera is engaged. This allows you to get into position. When the camera is available, a green button displays among the four buttons to the right of the sequencer. These four buttons light according to the operation of the camera and can be used as controls. The operations in order from left to right are resume scan, start scanning/ready to start, start recording, and stop scanning. To start scanning a segment, follow these steps: 1. Touch the Sequence List arrows or click in the left window to select the section you want to scan, such as Upper, Lower, or Bite. 2. Start the camera using either of the following methods: Touch (the second green button) on the touch screen. Depress the foot pedal. Result: You will hear a steady clicking sound when the camera is ready to acquire images. 3. Once the OraScanner is properly positioned, start recording images using any one of the following methods: Touch (the third green button encircling an R) on the touch screen. Press the <Spacebar>. Depress the foot pedal (a second time). Result: You hear a quick and steady clicking sound and the camera light flashes quickly when the camera is recording. Note: The OraScanner mirror will warm to a temperature between 98.6 and degrees Fahrenheit (37-48 C) during use. This prevents the mirror from fogging during intraoral scans. 4. Move the OraScanner over the teeth using recommended scanning techniques and a steady pace that allows overlap between images. Result: If the OraScanner loses its place during the scan (when a scan breaks), you will hear a distinct beep. The flashing of the camera light slows down, and a red rectangle appears on the screen. The rectangle marks the last frame captured by the OraScanner. Tip: Look closely at the direction of the arrow within the red rectangle. The direction of the arrow denotes the direction of the mirror just before the break occurred. 47

52 surescan Online Help Add to a Segment If you discover missing data after registration is complete from the initial scanning, you can enter add-on mode and complete the scan. To operate the OraScanner in add-on mode, follow these steps: 1. Start the camera using either of the following methods: Touch (the first green button encircling a plus [+] sign) on the touch screen Depress the foot pedal. Result: You will hear a steady clicking sound when the system is ready to acquire images. 2. Touch the screen to select a frame as a starting point at which you need to fill in data. Note: You may need to use Camera Navigation to move the image before making your selection. 3. When scanning is complete, visually evaluate the scan. Ensure that you added the missing anatomy. 4. Repeat Step 2 through Step 4 to fill in any other missing data, as necessary. 5. Stop recording images using any one of the following methods: Touch (the fourth red button) on the touch screen. Press the <Spacebar>. Depress the foot pedal. Result: Registration begins when you stop recording. The length of time the system takes for registration corresponds to the number of frames you captured. Note: On rare occasions, you may notice that registration results in multiple segments for an arch. This indicates that surescan was unable to register these pieces chairside. However, Digital Lab technicians will use additional tools to complete the segment during the processing of your order. When you finish capturing the required anatomy of all segments for the scan type, you can place your order. Resume a Segment To resume scanning a segment, follow these steps: 1. Slowly back up the OraScanner over the area to resume scanning from the last frame captured. Tip: To prevent breaking while scanning, move somewhat slower and in only one direction at a time. Note: To increase the orascanner ability to resume scanning, it may be necessary to select another frame containing data that the camera can recognize. OraMetrix recommends selecting the occlusal surface of the molars and the premolars, or either the lingual or labial surface of the anteriors (never the midline). 2. Touch the screen to select a frame. 48

53 Scanning Notes: You may need to use Camera Navigation to move the image before making your selection. If the OraScanner loses its place on the anteriors, do not select a frame at the midline to resume scanning. The central incisors are too similar and the software may get confused in this area. 3. Position the OraScanner mirror over the frame and line up the direction of the arrow in the frame with the end of the mirror. Note: The OraScanner can also be turned 90, 180, and 270 and it will recognize the frame. Result: Scanning automatically resume once the OraScanner finds its place. Important: OraMetrix recommends selecting the occlusal surface of the molars and the premolars or the lingual or the labial surface of the anteriors (never the midline). When adding more data to an existing scan, you must capture at least two surfaces of a tooth to aid in registration. Capture all three surfaces if possible. Do not start or stop scanning on the midline. Do not include more than three teeth in the added scan. Complete a Segment Ensure the proper anatomy for the scan type was captured. If you need to fill in an area, follow the directions for resuming scanning in the previous section. You must fill in two surfaces such as labial/lingual of the anteriors and occlusal/lingual or occlusal/buccal of the posteriors. To complete a segment, follow these steps: 1. Stop recording images using any one of the following methods: Touch (the fourth red button) on the touch screen. Press the <Spacebar>. Depress the foot pedal (a third time). Registration begins when you stop recording. The length of time the system takes for registration corresponds to the number of frames you captured. When registration is complete, the model will spin to help you visually inspect it. Note: The total number of scan frames appears in the upper left of the main window after registration is complete. See Frame Count Recommendations for more information. 2. Wait for the model to spin to a view that you need to examine, and touch the main window to stop the model. Note: You may need to use Camera Navigation to move the model. 3. If you captured the required anatomy for the scan type and need to scan a different segment, see Start a Segment and repeat the steps in that procedure to scan the next arch or bite. OR If you did not capture the required anatomy for the scan type and need to add data to your scan, proceed to Add to a Segment. 4. When you finish capturing the required anatomy of all segments for the scan type, you can place your order. 49

54 surescan Online Help Frame Count Recommendations The segment name (Upper Jaw, for example) and number of frames are listed in the upper left side of the main window. The number of frames in the scan must fall within OraMetrix guidelines to avoid processing issues. Additional software features, explained in the following topics, allow you to view and make some changes to scans including renaming, undoing, and deleting. To help you avoid memory issues on the OraScan station and processing issues, OraMetrix has developed some frame count guidelines. As a rule, try to scan each arch in under 750 frames and the bite in under 100 frames. However, if you are experiencing an especially difficult scan, it is useful to know what level of performance to expect from the Digital Lab that must perform registration processes on the scan data prior to modeling teeth. The lab may encounter technical issues that slow down or even prevent the processing of a very large scan. The following guidelines are per arch: Frames per Arch Level Performance Up to 750 Ideal No performance issues during the scan or at the Digital Lab Acceptable Slight performance issues during the scan or at the Digital Lab Some Risk May experience memory issues while scanning including the inability to save the scan session High Risk Likely to experience memory issues. May be unable to save the scan. Digital Lab may be unable to process scan. The Scanning Station gives you an audible warning when you reach a large number of frames by sounding one long beep when you reach 900, two long beeps when you reach 1000, and three long beeps when you reach 1100 frames. If all segments of a scan (upper arch, lower arch, bite) add up to 2500 frames, the scan is very likely too large to register and must be rejected by the Digital Lab. In other words, a scan is very likely to fail registration at OraMetrix if upper and lower arch scans are both over 1250 frames. If you have not completed a scan of a patient and you have captured a risky number of frames, you have the following alternatives: Use the Undo feature to remove large sections and rescan those areas more efficiently. Delete an arch and rescan it more efficiently. Ask another assistant to help suction or retract so you can complete the scan more efficiently. If you scan each arch within about 900 frames or less, you will avoid memory issues on the Scanning Station as well as registration issues in suresmile. 50

55 Scanning Viewing Scans Camera Navigation controls allow you to move a model in three dimensions. The controls are available in the main window and turned off for the small windows. The yellow control temporarily adjusts the lighting on the model to illuminate tooth anatomy. To use camera navigation: 1. Touch a window to select it. Result: A blue border appears. 2. Touch to turn Camera Navigation on, if necessary. 3. Point to a control, and then press and drag to change the view of the model according to the following illustration. To move a scan from a window on the left to the main window, follow these steps: 1. Touch a window on the left to select it. Result: A blue border appears. 2. Touch to turn Camera Navigation off if controls are available. 3. Point to the middle of the selected window, and then touch and drag to the main window. 4. Use Camera Navigation as needed to view the model. 51

56 surescan Online Help Rename a segment The Properties window allows you to rename segments. To rename a segment, follow these steps: 1. Touch (Properties), or right-click in the left window and select Properties. 2. Type a new name in the text box. 3. Touch OK. Delete a segment Undo 1. Press and drag a copy of the segment to the main window. Result: The Delete command becomes available. 2. In the Edit menu, choose Delete Scan. Result: A window opens to confirm the deletion. 3. Touch Yes to delete the segment or No to cancel the deletion. As you are scanning, you can touch the Undo button to remove the previous section, up to the last break, and resume scanning. If you choose Undo multiple times, you will continue removing sections until you reach your starting point or the point the file was last saved. This feature also recovers sections that were deleted. Note: Once the section is undone it cannot be returned. There is no Redo feature. To undo a section: 1. Touch (the red button) to register the segment. 2. Touch to Undo the last section. Result: The section is removed and the segment moves to a left window. 3. Repeat the previous step as needed to undo more sections. Note: It is not necessary to move the segment back to the main window until you are ready to continue scanning. 4. Continue scanning by following the steps under Add to a Segment. Switch Segments You can switch the location of scan segments if you scanned out of the order in the Sequence List. To switch a segment: 1. Touch a left window to select it. Result: A blue border appears. 2. Touch to turn Camera Navigation off if controls are available. 52

57 Scanning 3. Press and drag the segment to another segment location. Result: The segments switch places. For example, if the Lower and Upper Jaw scans are reversed, select the Lower Arch and drag it to the Upper Arch section. Save Scan If you close the patient record without saving, your scanned segments will not be saved. Touch in the main toolbar to save the patient record. OR Close the patient record and when the Save Patient window opens, click Yes to indicate that you want to save the currently open patient. Opening an Existing Scan 1. Log onto surescan. 2. Open the patient s record. 3. Choose Scan in the Go menu. OR Select Scan on the Patient Overview page (home). 4. Select from the list of previously captured scans in the left window. Note: Each time you open the patient record, some of the 3D views under the Scan tab will be empty. The previous scans do not display by default since they are time-consuming to load. 5. Touch to load all of the scan data. Click Cancel after current segment if you do not want to load all sections. OR Touch a window to load the associated model into the main window. OR Point to a left window, press and drag to the main window. The associated model appears. Note: After the model completes registration processes at the Digital Lab, it loads more quickly. The overlapping frames captured during the scan are reduced to a single, more efficient, layer called Single Mesh. You can return to the Scan Overview screen by touching the large yellow folder. The button allows you to place an order. 53

58 surescan Online Help Completing Returned Orders A scan submitted as a model order may be rejected by OraMetrix if it does not contain the required anatomy for that scan type. If there is a problem with one segment (upper arch, lower arch, or bite), you can recall the patient and replace the rejected segment. Before you can start work on the rejected scan or a new scan, you must acknowledge the rejected scan. This step returns the order state to "Order In Work" so that the scan session can be edited. If you decide to take a new scan to replace the rejected scan, you must also cancel the rejected scan. To acknowledge the rejected scan, follow these steps: 1. Select the patient record, and click Open Patient. 2. Click the Scan tab. 3. Select the scan marked "Rejected by OraMetrix." 4. Click to open the Product Order window and read the notes or instructions from the Digital Lab technician. 5. Click Accept to acknowledge the rejected scan. Result: The Authentication window appears. 6. Type your User Name, if necessary, and your Password. 7. Click OK. Result: The order state returns to "Order in Work" and the Scan Overview screen displays. The scan session can now be continued or canceled. To cancel the rejected scan, follow these steps: 1. Go to the Scan page. 2. Select the scan to be canceled. 3. Click to open the Product Order window. 4. Click Cancel Product to cancel the rejected scan. Result: A confirmation window appears. 5. Click Yes if you are sure you want to cancel the scan. Result: The Authentication window appears. OR Click No to keep the scan editable. 6. Type your User Name, if necessary, and your Password. 7. Click OK. Result: The order state becomes "Canceled by Doctor Read" and the Scan Overview screen appears. You may now start a new scan session. To start a new scan session after canceling a rejected scan, follow these steps: 1. Click the Scan tab, if it is not already selected, to display the Scan Overview screen. 2. Click the New button in the appropriate area. Result: A scan session appears with "Therapeutic Model 2," for example, displayed as the current scan session. 3. Follow the steps for scanning, and then place an order again for a model. 54

59 Scanning Take an OraScan Bite Scan You can take an OraScan bite scan anytime. However, it is a good idea to take it either just before or after you perform the CBCT in-vivo scan so that your records are complete. How do I take an OraScan bite scan? 1. From the Scan page, order a CBCT In vivo Scan. Result: The Dental Examination page opens. Note: For more information or help on using surescan to order models from in-vivo CBCT scans, see the online help topic Order Models from Scans. 2. Click the Supplemental OraScan button on the lower right side of the page. Result: A confirmation box opens. 3. Click Yes. Result: The scanning window opens with the New Supplemental Scan Segment window floating in the middle of the screen. 4. Select the Bite scan option and click OK. Result: A Bite scan segment is created. 5. Perform the OraScan bite scan. For information on how to complete a bite scan, see the online help topic Bite Technique. Order a Premium Model with OraScanner Data Order a premium model if you require the higher accuracy of crown data from an optical scan along with the roots and bone from a CBCT scan. Tooth crowns are modeled to highest standards. An extra fee is charged for a premium model because it requires additional processing time in the Digital Lab. If the number of restored teeth requires premium modeling, we recommend attaching full arch data to obtain the most detailed and complete model of the patient. Important: Since premium models are a combination of a CBCT model and an OraScan or a 3rd party STL scan, and CBCT orders can only be made from surescan, premium models can only be ordered from surescan. FYI: An optical scan refers to data acquired with scanner technologies that capture surface anatomy; in other words, the anatomy that can be seen optically. These technologies include the OraScanner and certified 3rd party scanners (i.e. itero, TRIOS, CS 3500, 3M True Definition ). The scan may be intraoral (captured at a patient appointment) or of a plaster model. A typical use case for a premium therapeutic model would be if you wanted to create a surgical splint. If you scan more than 6 teeth per arch or 10 teeth total for a supplemental scan, suresmile requires that you order a premium therapeutic model instead of a normal therapeutic model. 55
