3 Intrductin This wrkflw describes the steps and prcedures used t clean, rehuse, scan, and catalg phtgraphic negatives in the Archive f Malian Phtgraphy. Examine & Clean Negatives Lay ut supplies 1. Cttn swabs Examine Negatives fr Orientatin & Cnditin Cncerns 1. Put n cttn glves befre handling negatives t prevent fingerprints. 2. Identify emulsin side vs. nn-emulsin side, because emulsin side mre delicate: a. Emulsin side has a matte surface in image areas, glssy surface in nn-image areas. b. Nn-emulsin side has a cntinuus glssy surface. 3. Examine cnditin t determine cleaning needs Clean Negatives 1. Wear cttn glves befre handling negatives. 2. Place negative n clean supprt (acid-free paper), emulsin-side dwn. 3. Carbn anti-static brush cleaning: a. Carefully brush bth sides f negative with carbn brush, keeping negative flat n clean supprt. Gently pull brush frm ne side f negative t the ther in ne smth mtin. Repeat if necessary. ONLY if needed: Alchl cleaning (ONLY if fingerprints r stains are present): a. Pur 10 ml. alchl int plastic beaker. b. Dip swab int alchl t dampen. c. Rll ver surface gently in area f stain, let dry. D nt scrub. d. Change t clean cttn swab when dirty. Page 3 f 13

4 e. Flip ver and clean ther side if necessary (emulsin side is mre delicate s clean with care). Slvent cleaning (ONLY fr stains that dn't cme ff with alchl): a. Exchange cttn clves fr purple glves. b. Spray small amunt f slvent n Pec pad r cttn swab (d nt spray directly n negative surface). c. Rll ver surface gently in area f stain. Let dry. D nt scrub. d. Change t clean Pec pad r cttn swab when dirty. e. Flip ver and clean ther side if necessary (clean emulsin side with care). Preserve & Rehuse Negatives Rehusing Supplies Paper envelpes Cttn glves Pht bx Pht-safe black permanent marker Scissrs Steps fr Rehusing Scanned Negatives 1. Be sure yu have n cttn glves befre tuching negative. 2. When starting t wrk n a new bx, write the name f the new bx n the utside f the bx, fr example NEH_SAKALY_ Place negative n clean supprt atp a clean table. 4. Prepare paper sleeve/envelpe by cutting t crrect size t fit negative (fr example cut in half fr ne r tw negatives, leave whle fr three r fur negatives). 5. Write the name f the riginal bx n the tp f the envelpe (fr example Sakaly January 1958) 6. Write n the envelpe the new filename (negative number) and with phtsafe black permanent marker (ex: NEH_SAKALY001_195801_001). 7. If there is an envelpe that held the negative in the riginal bx, recrd the infrmatin written n this envelpe n the new envelpe belw the bx name a. ENV: (i.e. write the infrmatin exactly as it appears n the envelpe s it can be easily identified in the future) 8. On the small piece f paper that will remain in the riginal bx, write a. Name f the riginal bx (Sakaly January 1958) at the tp left b. The new filename at the bttm (ex: NEH_SAKALY001_195801_001). c. A brief descriptin (n mre than 5 wrds) f the image, fr example "Tw wmen in the studi" r "Wman and child at wedding" Page 4 f 13

5 9. Put the small piece f paper in the riginal bx (r in KAKI envelpe) 10. Place negative inside new envelpe, emulsin-side dwn. 11. Place new envelpe in new bx standing upright in numerical rder (based n file name/negative number) 12. Repeat prcess fr each negative. Prepare Digital Files and Flders n Cmputer (befre scanning and catalging) 1. Turn n pwer strip -- Scanner can ONLY be plugged int the 110V transfrmer. 2. Turn n cmputer and scanner. 3. Open the flder f the Phtgrapher (NEH_Sakaly) n the cmputer hard disk. 4. Open r create a sub-flder fr the new bx (NEH_Sakaly001). 5. Open r create a new sub-flder crrespnding t the name f the riginal bx (NEH_Sakaly001_195801) 6. Cpy the file named NEH_MODELE_EXCEL in the sub-flder relative t the riginal bx and rename it with the name f the riginal (NEH_Sakaly001_195801) Page 5 f 13

6 Scan Negatives ** DO NOT scan during lightening. 1. Turn n pwer strip -- Scanner can ONLY be plugged int the 110V transfrmer. 2. Turn n cmputer and scanner. (Epsn Perfectin V700 Pht Scanner) 3. Click n EpsnScan t pen. a. Mde: Prfessinal Page 6 f 13

7 4. Chse pre-set ptin "Mali Pht" in a new parameters field (see diagram belw a. Dcument Type: Film with film hlder b. Film Type: Black and White Negative c. 16 bit grayscale d ppi e. 100% scale (target size) -- adjust + r - as needed t get 100% f. All frmatting ptins and cmpressin shuld be ff (we DO NOT want image sharpening, grain reductin, digital ice, clr restratin, etc.) 5. Open PAINT.NET applicatin (t view images after scanning). 8 6. Scanning the negatives a. Open scanner and place negative in hlder b. Make sure that film hlder (Dual MF Film Hlderä fr Epsn V Series) is placed n the scanner with the ntches at the bttm. c. Spray scanner and hlder with canned air t clear away dust particles. d. Place 6-8 negatives (the number that will easily fit) in film hlder with emulsin side up OR (if bwed) with cnvex side facing up (if this means that the emulsin side is facing dwnward, the scanned image will need t be flipped in PAINT.NET and saved after scanning. e. Place glass n tp f negatives (t hld them in place during scanning) -- be sure that the etched side is facing dwnward (t prevent glare during scanning). 7. Click n "Preview." 8. Select ALL negatives t scan by drawing bxes arund each (leaving a bit f extra space arund the edges) t select. Be sure that yu are in "nrmal view" (NOT "thumbnail view") Page 8 f 13

9 9. Click "All" buttn n the left t ensure that ALL f the negatives are selected. 10. Verify save file settings (see image belw fr settings): a. Click n file icn n the bttm right b. Select flder t save image (Example: NEH_SAKALY001_195801) c. Set image frmat type t TIFF d. Chse lcatin where t save: Select Name (Example: NEH_SAKALY001_195801_001) Page 9 f 13

10 11. Click n Scan a. Be sure nt t disturb the table during the scanning prcess r the resulting images will be blurred. Due t this cncern, the scanner shuld be placed n a separate table frm the ne with the cmputer and cleaning supplies. b. This prcess shuld take abut 10 minutes. During this prcess, yu may enter the catalg infrmatin fr the previusly scanned images t make the mst efficient use f yur time. 12. T view scanned image, pen it in PAINT.NET by clicking n "File" and "Open" a. If negative was placed in the scanner with the emulsin side dwn, be sure t flip the rientatin in PAINT.NET befre saving. 13. T save the final scanned image, click n "file" and select "Overwrite." 14. The file size shuld be abut 58 MB. 15. Fr subsequent scans thrughut the day, after clicking n "Preview," simply mve the dtted bxes t the apprpriate place t select each negative t be scanned and be sure t click n "All" t ensure that ALL f the negatives will be scanned. 11 Catalg Negatives Open the AMP catalg template in Excel and save it as a new file using specified file naming cnventin (NEH_Sakaly001_195804). 1. Add new item in numeric rw - in chrnlgical rder - fr each negative 2. Prject Name (NEH) 3. Cllectin (Phtgrapher s last name; ex: Sakaly) 4. Phtgrapher Name (Full name f phtgrapher - Frmat: Last Name, First Name) 5. Prprietr Name (persn making cllectin available t prject; Frmat: First Name Last Name) 6. Dates f Original Material (Original date f negative - Frmat: Mnth-Year) 7. Surce Bx (Original bx infrmatin; ex: mnth and year "Bx January 1958") 8. Current Bx (name and number f new bx; ex: SAKALY 003 r NEH_KOUYATE001); see naming dcument fr file and flder naming cnventins 9. Digital Flder Name (ex: r NEH_KOUYATE001_195808); see naming dcument fr file and flder naming cnventins. 10. Unique Identifier (filename withut extensin, fr example NEH_SAKALY003_195801_001) 11. Title (if there is ne) 12. Descriptin_French (Describe the subject and cntent f the image) a. Use capital letter fr prper names and initial wrds in descriptin and a perid at the end f descriptin. b. Because we have created a phtgraphic genre drpdwn menu, we d nt need t include redundant infrmatin in the descriptin (i.e., studi, reprtage, prtrait, etc.). 2. The primary purpse f the descriptin is t infrm general audiences abut specialized knwledge r infrmatin that may nt be readily apparent in the image itself. This may include: The name f pictured individuals, particularly if they have specific histrical, plitical, r scial significance; This is als true f a persn s prfessin r scial rle (religius leader r title, plitical figure r title, ppular musician, hunter, dancer, actr, writer, activist, dctr, prfessr, blacksmith, grit, tailr, phtgrapher, etc.); A specific city, village, r ther lcatin that might nt be bvius t the viewer; Fashin and pp-cultural trends that wuld nt be bvius t freign audiences, such as the name f particular hairstyles, head ties, dress styles, patterns n printed clth, emulated pses f mvie prtagnists r musicians, etc.; The cntext f the phtgraph (vting activity, cultural festival, natinal celebratin, hliday, cup d etat r ther plitical event, etc.); Specific prps (telephne, flwers, ty gun, radi, mt, autmbile, tea pt, painted framing device) and accessries (watch, funtain pen, glasses, sunglasses, cigarette, hat, pith helmet) are als imprtant; Page 12 f 13

13 When backdrps are unique (striped, flral, arabesque, painted scenery), they shuld be indicated in the descriptin; Anything else that seems culturally, histrically, plitically, r scially imprtant that wuld nt be bvius t freign audiences. 3. Yu DO NOT need t list infrmatin that is VISUALLY OBVIOUS, except that we d want t help visitrs search the cllectin accrding t certain themes. Therefre, it may be useful t state sme visually bvius infrmatin, such as: If the genre is grup prtrait, it may be useful t state the number and gender f individuals in the descriptin (a man with tw wmen, fr example), if it is a family, if it is a grup f children, etc.; It may be useful t indicate a prfile pse (but nt a frward ne); It may be useful t reference particular gestures (such as snsrnli and shaking hands) and fabrics (such as wax print, basin, T-shirt with smething culturally relevant n it, etc.). 4. Hwever, it is NOT necessary t state ALL that yu see: standing versus sitting, t the right r left f smene, pants and shirt, dress, clrs f things (especially since the phts are predminantly black and white and we may nt knw the exact clr f items), etc. Back-Up Prcess Each PC has its wn separate external hard drive. When a bx is cmpletely prcessed, manually backup all files (TIFFs and Excel catalg) nt this external drive. After the back up has been made, transfer a cpy f the metadata catalg t the apprpriate translatr. Page 13 f 13
