2 Dear spinning mill partner, We have had very prmising develpment with ur Cttn made in Africa (CmiA) Initiative in the past few years. The quantities have increased significantly and, which is even mre imprtant, many f ur partners have made the strategic decisin t increase the quantities f their sustainable cttn usage. Since CmiA ffers the raw material which is sustainable and fr the mass market, we always will be an imprtant part f the sustainable strategies f retailers and brands all ver the wrld. In 2017 CmiA lint cttn prductin reached 496,000 MT which have been cultivated by mre than 1 millin smallhlder farmers in 10 cuntries. Arund 90 millin textiles frm 36 internatinal retailers and brands have been labelled with CmiA. Our spinning mills are nt anymre nly the supplier f ur CmiA yarns but became an imprtant part f the CmiA value chain. We have further develped ur Tracking System which allws all parties t have an verview abut the usage f ur cttn. Due t the cmplexity f the Tracking, we have added sme requirements fr the reprting f the spinning mills. Please help us t make ur Tracking System 100% reliable. 3 The Spinning mill is ur mst imprtant partner in the prgram and must fulfill sme imprtant duties as registered mill. The quality f the yarns yu are prducing must nt be influenced by CmiA. The quality requirements are requested by yur custmers, the ready garment prducers. CmiA is NOT a quality, yu can use any cttn t prduce CmiA yarns, s n quality limit fr yur peratins takes place. The spinning mills are required t fllw the system requirements f ur Mass Balance System (MB). That means the cttn may be used in the nrmal prductin line and des nt have t be treated separately. In ther wrds, the CmiA yarns are nt necessarily prduced with African cttn. In case yu need t prduce a yarn fr light clurs and yu need t give a guarantee fr that yu can use e.g. US cttn fr that yarn, declare it as CmiA and we will deduct the amunt f sld yarn frm the quantity f CmiA cttn yu have purchased. We are cntrlling the balance virtually, nt in the prduct. T be able t infrm yur custmers as detailed as pssible, we need t get as many details abut yur prduct lines as pssible. When getting registered, yu will receive a template which is asking sme detailed questins yu need t answer. The fllwing steps are necessary fr registratin: Befre getting registered with us, yu have t purchase CmiA cttn. The prf fr purchasing CmiA cttn must be submitted t the AbTF. Please nte: NOT all African cttn is CmiA cttn. Please ask especially fr CmiA cttn. The CmiA cttn must be purchased frm designated cttn traders. They will cnfirm in writing that the cttn is frm the CmiA prject areas. We dn t need t see the prices, yu can blank them ut. Designated cttn traders are: 3

4 An updated list f nminated cttn merchants is always available n: The spinning mill needs t be a registered partner and have a valid registratin number, the registratin fee is 1, Eur. After receiving the payment, a registratin certificate valid fr 12 mnths will be issued by the AbTF. If ne custmer shuld request the yarn prductin accrding t the Hard Identity Preserved (HIP) system, the spinning mills must fllw the Chain f Custdy guideline which can be prvided by the AbTF. In case a spinning mill purchases CmiA cttn and sells the yarn int the BCI supply chain, they need t be registered with the BCI t be able t prcess the cttn. If CmiA cttn is purchased and registered in the BCI cttn tracer, it cannt be declared as CmiA cttn anymre. This is als valid vice versa! The spinning mills must NOT add ANY surcharge n the yarns sld as CmiA (if the MB system is fllwed). Mnthly dcumentatin abut the CmiA lint cttn purchasing and yarn sales activities (please in Kg, nt in lbs) must be sent t DSS which is ur Back-Office Management (BOM) fr the tracking system: Mrs. Rupali Vagal Mr. Ketankumar Chauhan (r.vagal@directin.biz) and (k.chauhan@directin.biz) The spinning mill is nt allwed t sell mre yarn than CmiA cttn has been purchased. The spinning mills must send a mnthly reprt abut the CmiA yarn sld. Any time yu are purchasing new CmiA cttn please prvide us and DSS the purchase dcuments f the cttn trader. Shuld yu sell a yarn in a material mix e.g. 50/50 cttn plyester, yu just have t reprt the cttn part in the yarn nly! The Tracking System has an average wastage calculatin f 16% integrated. This means, we are adding 16% f each yarn sales quantity which is reprted by yu, t be able t have the apprx. quantity f lint cttn being used. If yur cmpany is calculating with anther wastage factr please infrm us accrdingly. When yu sell yarns fr the custmer Ott Grup, yu will nt have t differentiate between the different retailers in the Ott Grup (e.g. bnprix, Witt, Heine r Ott). If yu sell fr ne f the cmpanies, it is enugh t name as retailer Ott grup. In case the cmpany which is buying the yarn frm yu is NOT the prducer f the prduct (e.g. a fabric mill), yu must fill the excel sheet with bth, the Yarn Sld t and the Ready Garment / Prduct Prducer. Shuld yu be a vertical prducer, yu still must reprt yur yarn usage t us. Yarn sld t and Ready Garment Prducer supplier will be the same name in that case. 4

5 It is very imprtant fr us t knw the final client name (name f Eurpean/ US retailer) as we need t knw if the client has the license t sell CmiA prducts. Therefre, please make sure that yu can prvide this infrmatin by asking the ready garment/ prduct prducer fr which cmpany they are prducing. The frmat is shwn belw. Shuld any f the infrmatin nt being given, the DSS team is ging t cntact yu until all requested data are received. These dates are the basis fr ur cntrlling tl, the tracking system. If the reprt is nt prepared n a regular basis, the certificate will nt be extended. Please help us t make ur Tracking System 100% reliable.
