1 7 Welcome Theatre Families to the school year! It is going to be another action packed year for students, faculty and parents. As your new TPA president, I am excited to be a part of this phenomenal group. What is the Theatre Parents Association? What do we do? How can you be involved? The mission of the TPA is to assist, promote and support the DSOA Theatre Department. Through our fundraising efforts, we are able to sponsor scholarships and grants, purchase needed equipment, organize fun activities and help our students participate in statewide competitions. Unfortunately, the money received from the school district is not nearly enough to support the impactful activities we provide for our theatre students. Through the collection of your Student Enrichment Contributions (SEC) and our coordinated efforts in ad sales, concession sales, and participation in SunFest, we are able to raise funds to provide unique opportunities that benefit our Dreyfoos theatre students. Professional master classes, theatre department supplies and equipment, Thespian Bacchanalia, cast & crew parties, end of the year banquet and senior gifts are just a few of the items/events the money raised by TPA sponsors. The funds raised from last year s efforts allowed us to purchase upwards of $30,000 in equipment, supplies, and classes for the theatre department. We celebrated our cast & crew with show shirts, opening night receptions, and a beautiful Bacchanalia celebration. We provided numerous scholarships for our seniors to attend Chicago Unified Auditions and the District and State Thespian competitions. AND WE WANT TO DO SO MUCH MORE! We seriously need your help. IT S VERY EASY. There are numerous opportunities to help throughout the year. You are not committing to anything by signing up. You are just agreeing to receive our department newsletter and be notified of the need for volunteers for a particular event - you choose what fits your schedule. SELL AD SPACE IN OUR PLAYBILL PROGRAM. You will find the student sales presentation and ad sales forms in this handbook. SPONSOR A PERFORMANCE. If you know of a corporation (or individual) interested in furthering the arts, ask them to sponsor an event or production. GET INVOLVED! Come to the TPA general meetings, read the newsletter, and follow us on Facebook to stay in the loop. Join us for SUNFEST 2019! Volunteers are needed for this incredible fun-filled weekend. Last year we raised over $15,000. With YOUR involvement, there is potential for so much more! Adult Members of every Theatre Family are EXPECTED TO CONTRIBUTE 15 VOLUNTEER HOURS EVERY SCHOOL YEAR to help the Theatre Department. You can volunteer at SUNFEST, serve cast & crew meals, work the box office or concession stand, join a special events committee, help with the Playbill, join the marketing committee and many other jobs. 5 11 Dear Theatre Department Students, Parents & Friends Every year, the Theatre Parents Association produces a Theatre Season Playbill, which is distributed to every audience member at every Theatre Department performance during the year. This program is a glossy, high-quality book one of the most professional-looking programs of any high school in the state. The proceeds from ad sales are our Department s largest and most significant fundraiser! This Playbill is a Win-Win-Win for every Theatre Department supporter Students Win - 40% of each ad sale (with the exception of Senior Send-Offs) funds the TPA scholarship program. This program provides both need-based and merit-based scholarships that are open to every Theatre Department student for theatre department activities (as approved by the Scholarship Committee). These activities include District and State Festivals, FTC, Chicago Unified Auditions, Cast & Crew meals, and the Thespian Banquet. Ads start at $75. If a student sells just two small ads, it raises enough to fund admission to the ITS District Festival or the Thespian Banquet. Students also earn lab hours for the time spent pitching ads one hour for every documented attempt, whether or not an ad is placed. (Not valid for Senior Send-Off). The Ad Sales Form, the Sales Presentation Verification Form, and the Scholarship Application can be found in this handbook and online. Advertisers Win The Dreyfoos Theatre Playbill will be distributed this year at more than 40 performances to over 6,000 audience members. Because Dreyfoos is a magnet school, students, and therefore audience members, are from all over Palm Beach County. This breadth of demographic coverage appeals to many business advertisers. Theatre Department Wins 60% of each ad sale supports the TPA s endeavors to help make the Dreyfoos Theatre Department one of the top high school theatre programs in the country. Funds are used for cast and crew celebrations, staff and adjudicator meals, the thespian picnic, Bacchanalia and other fun events, as well as buying much needed equipment and supplies for the Department. Because this is our major fundraiser, we encourage everyone to get out there and sell ads. The deadline is Friday, September 14th so don t delay! 8 14 STUDENT ENRICHMENT SUGGESTED CONTRIBUTION DUE DATE: October 1, 2018 The Theatre Department requests each Theatre Family contribute at least $100 per student annually to the SEC Fund. Your tax-deductible donation will help defray student expenses, including production costs, master classes, guest artists, classroom supplies (paint, make-up, fabric, etc.) and fieldtrips. It also will allow the Department to make quick, incidental purchases during last minute crunch time before openings. If $100 is not realistic, please consider donating an amount that is. Every dollar helps! ADDITIONAL STUDENT ENRICHMENT CONTRIBUTION The Theatre Department asks for a contribution of at least $100 per Theatre Student but, if you (or your business) would like to donate more, the Department would greatly appreciate it. Additional SEC funds mean more Guests Artists, Master Classes, Visiting Chorographers and Guest Directors. And your donation may allow less advantaged students the same benefits as your own child. Your tax-deductible contribution will help the Theatre Department as a whole. 9 Wanna Be a Producer? This year, the Theatre Department will produce four major shows and several showcases. These productions are costly licensing fees, elaborate sets, costumes, props, make-up, wigs and technical equipment. Ticket sales often fall short of covering all production costs, so other Department funds must be used to supplement. But when production costs are underwritten by a Producer, ticket revenues and production budgets can be redirected to enhance our students arts-based education and theatrical training. All Theatre Producers will be recognized and acknowledged for their generous contribution benefits will be comparable to underwriting, and may be negotiated and customized to suit a Producer s preferences. Possible benefits include signage, premium Playbill ads, signed production posters, and meet & greats with casts and crews.
