8 With 13 Standing Committees ADGAS responds to the needs of its staff Alongside its efficient organizational structure, ADGAS has more than a dozen standing committees addressing different topics and areas that add value to the Company s business and to the welfare and interests of its employees. Having decided to explore the responsibilities and roles of these committees in ADGAS News, we wanted to start first by a general overview of these committees and the main areas they cover. To this end, ADGAS News met with Mr. Fouad Al Wahedi, Strategy and Corporate Development Division Manager, and asked him to give our readers an idea about ADGAS standing committees and how do they address the various issues that fall within their scope of responsibility. Here are some highlights from the interview: ADGAS News: Mr. Al Wahedi. How do standing committees in ADGAS complement the work of our divisions and business units? Mr. Al Wahedi: Standing committees are committees that mainly include members from various divisions or from the most relevant divisions, to perform a set of activities and deliver certain added value across the company. To give a few examples, we have three committees that are concerned with the commercial aspect of our work. One is the Main Procurement and Contracting Committee (MPCC), the other is the Local Procurement and Contracting Committee (LPCC) and finally the Tender Opening Committee. The aim of these committees is to ensure that all purchase and contracting activities performed in compliance with ADGAS and ADNOC s policies and procedures, that they are based on complete and accurate information and carried out with utmost fairness and transparency in the selection process. In such committees, we usually try to introduce new members every couple of years, allowing new members to get experience and share knowledge we call Moubadara Scheme, which is an umbrella that embraces two subcommittees so to speak: Moubadara itself, which is a suggestion scheme that encourages employees to think and come up with improvements in every aspect of our business, and rewards those suggestions that are viable and applicable. The other sub-committee is what we call Production Business Improvement Suggestions (PROBIS), which focuses on suggestions related to the technical aspect of our work. It addresses industrial issues, process improvements, etc. Now, when we receive a suggestion in Moubadara, we look into it and if it is related to technical or industrial issues, we forward it directly to PROBIS, if the suggestion is HSE related, we route it to the HSE Committee and so forth. ADGAS News: We feel that you have left an important committee, which is Tarahum Fund, to the end of the list for a purpose! Mr. Al Wahedi: In fact I wanted to give this committee some more focus because I feel that it is still widely unfamiliar to our employees. Tarahum Fund is a relief scheme to help employees in such cases that may not be covered by the policies and procedures in force. And the idea was well received and admired by our shareholders and sister OPCO companies alike. The Fund, which is fed by subscribing employees, has its own guidelines and terms of reference, and it really helps those in emergencies and urgent need by granting up to AED 50,000 that are later repaid on monthly bases and without any interest. We feel that such an excellent as the idea wasn t properly promoted and explained to our employees as we have only 100 members in the fund. Efforts are now being made to promote the services of the Fund and attract more employees to it. ADGAS News: Well, Mr. Al Wahedi. This was a very good overview of our committees, and we are going to expand on each one of them in our coming issues. We appreciate the time you have given for this. Thank you Mr. Al Wahedi: Not at all. You are always welcome. Residential Utilities Reduction Incentive Awards In line with the Company s corporate commitment to environmental protection and in the larger interest of Sustainability initiatives, an Incentive Scheme was devised and launched by the Abu Dhabi HSE Committee on a pilot scheme basis during 2010 to promote the habit of optimizing, and thereby reducing, the consumption of water and electricity at homes. Mr. Fouad Al Wahedi, Strategy and Corporate Development Division Manager ADGAS News: What about the HR function? We know that there are several committees there as well. Mr. Al Wahedi: Yes, indeed. One of these committees is the Job Evaluation Committee whose job is to review and evaluate the proposals that come from division managers on the changes made on certain jobs and their roles and responsibilities, new job descriptions, etc., to ensure the HR policies and procedures are well performed in terms of grading, benefits and categories. Another one is the Contractors Recruitment Panel, which reviews the recruitment of contractual staff to ensure that proposed contractors are well qualified and suitable for the job. ADGAS News: Maybe not all employees are aware of all these committees, because when you usually say ADGAS Committees, the mind always jumps to ADGAS Social and Recreational Committee (ASRC), whose activities are more seen and publicized. Mr. Al Wahedi: That s right. The ASRC, previously known as Baunounah Club Committee, is very well known for organizing all sorts of social events and functions, in terms of sport, leisure and entertainment. They organize fishing competitions, adventures, trips, language and skill enhancing courses, etc. And there is an equivalent committee on Das Island, namely, Das Island Social and Welfare Committee, which organizes activities that ensures the welfare and entertainment of our Das employees. Another equally important and known committee is the HSE Committees in both Abu Dhabi and Das Island. This committee is responsible for supervising all HSE issues and activities in the Company and organizing campaigns and events to highlight ADGAS commitment to HSE issues. They also monitor incidents and record near-miss reports, suggest HSE procedures and policies, etc. Besides these, there are a number of committees that address specific issues in ADGAS, like the Flaring and Emission Reduction Working/ Advisory Committee, and this committee monitors ADGAS performance in terms of flaring and emissions, review the programs that reduce flaring and emissions and suggest certain courses of action. Another important committee is what In order to determine the percentage of reduction achieved, a baseline of utilities consumption and payments made by employees over a 6-month period from April to September 2010 was used for comparison with the same period of the previous year. Eighty six employees living in Company leased residential accommodation have achieved reduction in utilities consumption Group photo of awardees ranging from 5% to 39%. Mr. Hasan Al Marzooqi, Senior Vice President (Administration) presented Incentive Awards to the Winners. The award presentation function was attended by Mr. Abdullah Al Dhaheri, HR Division Manager, Mr. Salem Al Ameri, Chairman of Abu Dhabi HSE Committee and the Committee Members. Mr. Al Marzooqi appreciated the remarkable efforts made by the employees in reducing consumption of electric power and water, and encouraged continued commitment to reduce energy consumption, stressing that this commendable initiative launched by the HSE Committee will significantly contribute to the Company s Sustainability drive, Mr. Al Marzooqi added. 14 ADGAS News ADGAS News 15

9 ADGAS organizes the Media and Crisis Management workshop In cooperation with the National Media Council and the College of Media at Shrjah University, ADGAS Corporate Communication and Public Relations Department organized a workshop on Media and Crisis Management at Abu Dhabi Intercontinental Hotel on May 25, Dr. Mohamed Ayish delivers Presentation way that reinforces trust and supports good reputation. He stressed that the positive and proactive approach to deal with a crisis requires us first to admit it, to provide the media with sufficient information about it so there won t be any room for rumors, to define stakeholders and how to deal with each one of them and provide legislative bodies with the right and correct information. In all cases, honesty and transparency would convince the public and retain their loyalty to the organization. Dr. Mohamed Ayish Emirates Airlines example Dr. Khayrat Ayyad, Associate Professor at the College of Communication, Sharjah University, presented a sample of professional handling of a crisis, reviewing how Emirates Airlines dealt with the volcanic ash crisis which plagued north Europe and caused huge disruption for air traffic, hundreds of cancelled flights and tens of thousands of passengers who filled Europe s airports, thus plunging the world s major airlines into a complicated crisis and losses. Emirates Airlines, which travel to 23 destinations in Europe, was able to turn this crisis into an opportunity. Through its state-of-the-art crisis management room, well trained staff and proactive approach, the company quickly responded by stopping or rescheduling the flights that were coming from Asia with passengers crossing Dubai in their way to Europe. It took the passengers that accumulated in Dubai airport to prestigious hotels, giving them full board facilities, with daily telephone calls to their families overseas, organizing trips inside the UAE for them and keeping two of its staff in each hotel to handle inquiries and complains. Through mobilizing its huge capabilities and putting in place a ready, well-devised strategy the company won the respect of stakeholders and passengers alike and greatly boosted the carrier s reputation, resulting in record profits after the crisis. Dr. Khayrat Ayyad Lively discussion After the three presentations, and a brief break, the workshop resumed with a session that was dedicated for interactive discussions between the audience, mostly PR and Media professionals, and the three academic presenters. The discussions stress the paramount importance of early preparedness for crises as this can be a matter of fatal implications for organizations. Many participants, especially from ADNOC Group of Companies, argued that similar workshops should be held regularly, involving the Groups senior managements. The workshop was concluded by handing out appreciation certificates of attendance to participants. The workshop was attended by Mr. Hasan Al Marzooqi, SVP (A), Mr. Jamal Naser, CEO of Emirates News Agency (WAM) and senior media, Mr. Ali Jasim, MCPR and communication officials in ADNOC Group Companies. Several reporters from WAM were also present. In his opening speech, Mr. Al Marzooqi said that this workshop is discussing one of the key issues of concern for public and private organizations in a world where sources of threats are increasing. The revolution of information and communication puts any crisis or accident under extensive light instantly and for the whole world to see. This makes the role of the media even greater and more vital in the common endeavor to minimize risks and mobilize efforts to face challenges through enlightened media and honest, balanced coverage. Our CC&PR Department was right to choose this subject for its workshop, reflecting growing awareness of its vitality, especially for the oil and gas industry which is the backbone of our economy, said Mr. Marzooqi. The National Media Council s support to this workshop is just an excellent example of knowledge sharing practices across our national organizations, academic institutions and public and private bodies to integrate their efforts, and in this occasion I should thank the media professors at the Sharjah University who share with us their insights and experience today, concluded Mr. Marzooqi. In an introductory speech, Mr. Jamal Naser conveyed the compliments of H.E. Sheikh Hamdan Bin Mubarak Al Nahyan, Minister of Public Works and Chairman of the National Media Council, to the workshop participants, stressing the Council s readiness to work together with all national organizations to ensure the progress and prosperity of the country. Handling and managing crises is one of the strategic subjects that received great interest from the UAE starting 12 years ago. And I believe that if we failed to deal properly with the media at times of crisis, the results could be doubled, Mr. Naser concluded. Three presentations The workshop consisted of three presentations/papers and a plenary session. It started with the presentation of Dr. Mohamed Ayish who helped in the organization of the workshop. His presentation gave a definition of the crisis and how to deal with it in a way that reduces damage, promotes public trust in the organization and ensures that this crisis will not happen again. Dr. Ayish listed what he called golden rules for communication in time of crisis. These include: don t hide the problem but move quickly to face it, don t be over-cautious with the media, don t overact, involve all stakeholders, be proactive rather than reactive, try to gain the support of the public through honesty and professionalism. Dr. Ayish stressed that in the digital age of mass social networks information can no more be controlled, which requires a more open approach. Professor Mohamed Kirat, Dean of the College of Communication at the University of Sharjah, presented a paper on Turning a Crisis into an Opportunity. He reviewed the techniques of turning crises into opportunities whereby organizations can deal with negative accidents in a highly professional and responsible ADGAS honors Earth Hour photographers Twenty Photographers from around the UAE were honored at the Earth Hour Award Ceremony that was held on the 11th of May, 2011 as a follow up to the Photography Competition 60 & Beyond Abu Dhabi which ADGAS has organized in conjunction with the Wednesday Photography Group.
