14 ACKNOWLEDGING THE PROBLEM A taskforce was set in 2015 Two main recommendations 1. Create a personalised portal, a single point of entry for the students 2. Create University wide governance structure to secure coordination of efforts This is where mystudies.au.dk started

15 ANOTHER PROJECT GAINING MOMENTUM - New regulations on student progress - AU wish to show the students their individual compliance - At the beginning this project did not use any user centric methods This is where the study timeline started

19 HOW WE MADE THE USERS VIEW THE DRIVER IN THE PROJECT - The project was allowed to work agile with prototypes (MVP). - Continuous user involvement (many small activities) - The project should not save money and should not change administrative procedures - The first project manager was not a part of the study administrative systems department

20 MVP Minimum {viable, lovable, testable} product Purpose: to observe real users interact with the product Do not go for perfect Perfect is waste of time We know nothing until we have seen the users interact with the product

33 THE CONFERENCE THEME Low involvement from communication department, but high on communication skills

34 COLLABORATION OF SKILLS - Conference theme: collaboration between communication department and Itdepartment is mentioned. - Department wise communication is not involved in this project. But their certainly are communication skills involved! eg UX consultants - Some of the data used to personalise the experience, is created by people who would not think of their job as communication. They do administrative tasks, the data is just a byproduct

38 THERE IS STILL AN IMPLEMENTATION TO COMPLETE - In some ways this is still just a extra touchpoint. - Web editors have not yet taken the consequences on their pages - Is this a risk with the MVP approach?

39 FUTURE GOVERNANCE - The product is never done (McGovern called it: launce and leave) - Avoiding slow disintegration (what was mit.au.dk 7 years ago?, he asked knowingly) - Who can govern both student communication, data and systems ( there is not perfect match in the business as usual units) - Who s going to read and care about all the reports and user data we create we need KPI s
