INTRODUCTION FRAMING OF TOPIC Mytstudies.au.dk is a typical case these years Administrative tasks have been digitised Data is valuable (the by-product of digital tasks) Putting stuff online via CMS doesn't require technical skills The students expectations increase

A BROAD INSTITUTION WITH FOUR FACULTIES - 4 faculties (but often you have interface with 6 or 7) - A history of mergers (Engineering, School of business)

DIGITAL LANDSCAPE Timetables (3½ of them) Pages on the open searchable web 2 of them Student selfservice ACADEMIC REGULATIONS AND PROGRAM DIAGRAMS
ACKNOWLEDGING THE PROBLEM A taskforce was set in 2015 Two main recommendations 1. Create a personalised portal, a single point of entry for the students 2. Create University wide governance structure to secure coordination of efforts This is where mystudies.au.dk started
ANOTHER PROJECT GAINING MOMENTUM - New regulations on student progress - AU wish to show the students their individual compliance - At the beginning this project did not use any user centric methods This is where the study timeline started
LIVE DEMO
DEMO
CONTINUOUS USER INVOLVEMENT
HOW WE MADE THE USERS VIEW THE DRIVER IN THE PROJECT - The project was allowed to work agile with prototypes (MVP). - Continuous user involvement (many small activities) - The project should not save money and should not change administrative procedures - The first project manager was not a part of the study administrative systems department
MVP Minimum {viable, lovable, testable} product Purpose: to observe real users interact with the product Do not go for perfect Perfect is waste of time We know nothing until we have seen the users interact with the product
FROM REQUIREMENTS TO HYPOTHESISE
Participant observation Observation A/B Splittest Analytics Think aloud testing Eye-tracking Click heatmap Qualitative Guerillia-test Kvantitativ Workshops Card sorting Diary studies 1:1Interviews Focusgroups Usabilla Questionnaire Questioning

DATA / USER INSIGHT DRIVEN Be ware of HIPPOS and camels
EXAMPLE
EARLY IDEA We which to inform and nudge the students so that student completion time will be shorter Let s make an app
OPEN-ENDED WORKSHOP - One internal with student counselling and a few administrative personnel - One external with a random selection of students.
REDEFINITION NEW CONCEPT

HIFI PROTOTYPES
EVOLUTION Launch Minimum viable product Hifi prototype Lofi prototype Product maturity Few users More users Many users Uncertain Risk Certain Open ended Research methods Observing

THE CONFERENCE THEME Low involvement from communication department, but high on communication skills
COLLABORATION OF SKILLS - Conference theme: collaboration between communication department and Itdepartment is mentioned. - Department wise communication is not involved in this project. But their certainly are communication skills involved! eg UX consultants - Some of the data used to personalise the experience, is created by people who would not think of their job as communication. They do administrative tasks, the data is just a byproduct
Good stuff User needs and wishes (Desirability) Technical and organisational possibilities (Feasibility) Business needs and wishes (Viability)
THE PROJECT IS COMING TO AN END what happens now?
THERE IS STILL A LOT TO DO A lot of features to create - Search (personalised) - Links to course and exam info - Deadlines
THERE IS STILL AN IMPLEMENTATION TO COMPLETE - In some ways this is still just a extra touchpoint. - Web editors have not yet taken the consequences on their pages - Is this a risk with the MVP approach?
FUTURE GOVERNANCE - The product is never done (McGovern called it: launce and leave) - Avoiding slow disintegration (what was mit.au.dk 7 years ago?, he asked knowingly) - Who can govern both student communication, data and systems ( there is not perfect match in the business as usual units) - Who s going to read and care about all the reports and user data we create we need KPI s
