2 Getting started with Search and Apply Introduction It is now possible to search for courses available to all year olds using Search, the UCAS Progress online prospectus and then apply for those courses through the system. Search and Apply can be found at: This leaflet will take you through the process. Using UCAS Progress you can look for courses and save them to your own Favourites page and then go on to apply to the providers that you like. You can find out information about providers (e.g. schools, colleges, academies, work based learning providers, free schools, special schools, training providers, FE colleges, sixth form colleges, school sixth forms, independent schools etc) and how to contact them. Step 1: Search Go to From the homepage you can search for courses, subjects or providers by typing into the search boxes. In the search box, you will need to put in your postcode or the name of the town where you would like to study. You can then select: the distance you would like to search away from that postcode or town the age range of the courses you would like to search for. You can type in either the course (or subject) you are interested in, or the provider where you would like to study, or both. The site will then return results linked to any of the choices that you have made. Use the different search methods to find a course that you are interested in. Step 2: Course or Provider Results Information When you search for a course or provider they will initially be displayed in a list format. The results are displayed with the courses nearest to your location at the top of the list. On this page you can see: courses searched for by distance to your location providers displayed by distance to your location a map view displaying all providers in your location. 1
3 You can also filter your results by: provider type course level course type start date. A: Course view On the course results page, you will be provided with a list of relevant courses. From this page you can select courses to add to your favourites and access further information about the course. B: Provider view On the provider results page you will be provided with a list of potential providers offering courses within your area. Underneath the name of the provider it will highlight how many courses they deliver. You can click on this link to see the courses. When you click on the name of the provider you will then be taken to the provider s own page which gives a detailed description of them. On the right hand side of this page it will list all of the venues where they deliver courses and display these on a map. Under each of the venue names there is a View details link. If you click this you will see the address of the venue and also a link to the courses delivered at that venue, for example View Year 11+ courses (60). C: Map view From this page you can see where the different providers are located by the pins on the map. When you click on the pin you can: see the name of the provider see how many relevant courses they offer add the provider to your Favourites page. You can also filter these results using the Filter Your Results section on the left hand side of the page. If you have been given a login by your school, college or provider then follow steps 3 and 4.
4 Step 3: Adding a Course or Provider to your Favourites Find a course or provider that you are interested in. From the Course results page, click on Add to favourites. This will prompt you to log on to the website where you will then be able to save your courses. This will save the details of your selected course or providers into your Favourites page as shown. Continue to search and add additional courses of interest in the same way. You can also save providers into your Favourites page. To see the courses you have selected click on the top button marked Favourites. If providers are taking part in the Apply system it is possible to send an application through UCAS Progress. To be able to make an application you must first save the courses to your Favourites page. Step 4: My Account Details You can get to your account details page by clicking Account. On this page you can: view and change your and telephone number view and reset your username view and reset your password decide on data sharing permissions. (Opt in to s from UCAS Progress)
5 Step 5: Making an application filling out your Profile section Before you can make an application you need to fill out your profile section. After you have logged in you will see a tab at the top named Profile. Click on this and you will see a summary page with all of the sections clearly displayed. It will also show you how you are progressing and what still needs to be completed. Your Profile Contact details You are encouraged to keep this section up-to-date with your current details e.g. mobile number and address. Personal details This section contains information about you, such as nationality, where you went to school, whether you need any extra help etc. This can be updated at anytime. Qualifications This section allows you to add any qualifications that you have or are going to take, plus the grades that you have achieved or are predicted. This can be updated at anytime. Your teacher might do this for you. Work history This section allows you to add any work experience or jobs that you have done or are currently doing. You can update this at anytime. Personal statement This is a free text box that allows you to add supporting information about why you want to apply for the course(s). Reference The reference will be added by your school if it is required by the provider you are applying to. The profile section is made up of five sections that all need to be completed before you start your application. They are: personal information, qualifications, work history, personal statement and contact details. Each section has a number of questions to fill out, some of which are mandatory - these are marked with a red asterisk*. At the bottom of each section you can either save what you have done or mark the section as complete. Once you have completed a section you can still make changes by clicking the blue update button at the top. The top five sections need to be ticked as complete before you can submit your application. If the provider that you are applying to requires a reference your school will complete this for you. If you have the ability to apply online through UCAS Progress you will see an Applications tab when you log in to your account.
6 Step 6: Sending an application Ensure your profile is complete. To start a new application click on the Applications tab. On this page you will be able to keep track of all of your applications and what stage they are at.to start a new application click the blue Start a new application button. You are then asked to choose which provider you would like to apply to. The next page asks you to choose which course(s) you would like to apply for at your chosen provider. This will be from the list of courses that you saved earlier as Favourites. You are then asked to Save application. Click on the blue button to get ready to send the application. Once you have chosen your courses you will be asked to put them in order of preference.
7 You will then be taken to the draft applications page where you will see the application you have started and the course(s) that you are applying for. The provider has the option to ask you a number of additional questions. If they have chosen to do this you will see them listed here. You can click the blue button Go to questions and answer them. You need to answer these questions before you can submit your application. If you do click to Submit the application before you have answered them you will be taken to the questions page. If the provider has not selected any additional questions you will be able to submit your application from this page. If you have not completed all of the profile sections you will not be able to submit your application and you will see a message asking you complete your profile. Once your profile is complete you will then be able to submit your application. Once you have clicked to Submit the application you will be asked to read and agree to information about sharing your application details. You will need to agree to the terms and conditions of sharing your data outlined here if you would like to submit your application. If you do not agree you will not be able to carry on with the application process. Once you have submitted your application you will then see the processing screen. This screen will explain that the application is being processed and should be sent to the provider within 30 minutes. Your school might want to check your profile information or add your qualifications for you. If this has not been done before you submit your application, the application will not be sent until they have completed this. If you want to make any changes you can do this by deleting this application and going back into your Profile, making those changes and starting your application again. If you would like to change the course(s) you will also need to delete your draft application and start again.
8 Step 7: Acknowledgement If you click View you will be able to see whether your application has been acknowledged. If it has, the details will be visible on that page. At this stage you can withdraw your application and start again. You can also send a message to the provider to ask any questions you might have about your application. The provider will respond to you online. This acknowledgement will help you know what to expect next. When your application has been received by the provider they will acknowledge that it has been received and you will be notified through the UCAS Progress system. You can view the acknowledgement in the Applications section of your account. If the provider has added any notes you can view them here. Step 8: Receiving an offer If a provider makes you an offer, they will let you know by sending the offer to you through UCAS Progress. You will be able to log in and view this offer in the third tab Offered. If you click the blue button marked View you will be able to see the details of the offer.
9 The provider can send an offer to you in the system. If the offer is a conditional offer the conditions, e.g. 5 GSCEs Grade A-C, will be visible in the top box. If you are sent an unconditional offer you have got a secure place at that provider which does not depend on your grades. You can accept this offer by clicking the blue button Accept this offer If you have decided that you do not want to attend this provider you can reject this offer by clicking the blue button Reject the offer. You can still withdraw your application if you would like to, in which case a message will be sent to the provider informing them about the withdrawal. You can add your own words to this message to let them know why you want to do this. You can accept as many offers as you like. If you have any questions that you would like to ask the provider at this stage, you can send a message to by clicking the blue Send a message button. When you have accepted an offer, if you log in to your account you will see that the status of the application has moved to the fourth tab Accepted. You can click on the blue View button to see the conditions of your offer at any stage. Once you have recieved more than one offer you will be asked to put your offers in order of preference.
10 Step 9: Receiving an alternative offer You may have applied to a provider to study a number of courses, but when speaking to that provider decided that there are more appropriate courses for you. If you agree, the provider will then send you an Alternative offer which shows you, firstly the courses that you have applied for, and then the courses that you and the provider have agreed are better suited to you. If you want to, you can accept the alternative offer through UCAS Progress. Step 10: Enrolment When you start the course(s) at the provider of your choice, the status of your application then changes to Enrolled. Enjoy your course! Now you are well on your way to your next learning opportunity. Good luck, and remember holds useful information to help you think about your options. Use Search and Apply to research and apply for your learning options, and to find information and resources to help you in your decisions.
