3 HART SYSTEMS supplies equipment and customized software for use by your associates to take a scanned inventory. HART SYSTEMS also supplies Area Stickers printed with consecutively numbered special bar codes. The Hart Area Stickers are placed on every fixture in advance of the inventory and are the key control to ensure that every fixture is inventoried. The Host Computer at Hart Systems contains all of the programs and files required for your inventory. The Mini System that you received is all set up and ready to use. You simply connect the telephone line attached to the system to a phone jack and plug the power cord into an electrical outlet. The scanners are then initialized via the modem and are given to your employees. All your scanning associate has to do for each fixture is: a. Scan the bar code on the Hart Area Sticker, b. Scan or key the bar code on each merchandise ticket, or key the Department & Price, c. Key the quantity, if required, d. Upon completion of the sticker, scan the Hart Area Sticker again to complete the sticker. e. Write the totals displayed on the scanner screen on the Hart Area Sticker, f. Place a red flag (section marker) on the sticker to show it has been counted. g. Repeat the above steps for each of the remaining fixtures. The scanner will display the Associate # and the total Scan Count of that sticker and will save all of the inventory details. Your associate will write the information on the Hart Area Sticker and repeat these steps for each of the remaining fixtures. At certain points during the inventory, each scanner will be brought back to the Mini System so all the inventory details can be sent (transmitted) to Hart. Reports can be accessed by logging onto the Hart web site. The Missing Stickers Report will inform you of any missed stickers. When all the stickers are accounted for, you will perform the steps necessary for completing the inventory. The final step is to re-pack the equipment for shipment to the next Base or back to HART SYSTEMS. This manual is designed to lead you step-by-step. It should be read and understood before Inventory Day. Good preparation is always the key to a timely and accurate inventory. HAVE A QUESTION??? 4 DO WHATEVER YOU CAN TO SPEED UP THE SCANNING Make sure that all fixtures are neat and that the merchandise is arranged in a uniform manner. Pay special attention to displays. Check that all merchandise has a scannable ticket. Where possible, face tickets so that they can be easily seen and scanned. Double check for merchandise in out of the way nooks and crannies (under registers, in cabinets, back room, etc.); make sure it s ready to be counted. All merchandise is to have the product UPC visible, facing outward whenever possible. In the back room or warehouse this may not be possible all the time. In these instances a shelf label should be used. If a shelf label is used, legibly write the full UPC, including the check digit below the label. In bulk areas, write the number of selling units in a case on the box with the product UPC showing or on the box containing the shelf label. A FLOOR PLAN (MAP) OF YOUR STORE SHOULD BE CREATED You should create a detailed Floor Plan a few days before your scheduled inventory. Make sure that all of the merchandise fixtures in your store are represented on the Plan. You will be recording the sticker numbers on the Floor Plan, so use paper large enough (a large piece of cardboard works well). NOTE: Large stores should have a floor plan for each department You will be using HART AREA STICKERS to control the fixtures on the Floor Plan. Each store on the Base will be assigned a different range of Hart Area Stickers. The stickers for each store will be sent to the Base in separate binders, each labeled with the appropriate store number and name. A specific range of sticker numbers has been pre-assigned to each store and is pre-loaded into the scanners that are sent from Hart. It is imperative that each store receives the binder that is labeled for their store. The stickers are attached to Fixture Stickers Sheets. There are 20 removable stickers on each sheet, which means that there are 20 sticker numbers on each sheet. Each sticker has a pre-printed 9-digit control number (printed in the box labeled CONTROL NO.). The first 4 digits are the series, the next 4 digits in parentheses are the Sticker Number, and the last digit is a control check digit. For the most part, you will only be concerned with the 4-digit Sticker Number. Page 2

5 2.3 The Sticker Number is always 4 digits long. This 4-digit number (in the parentheses) is part of the control number and is also printed separately on the sticker, in the box labeled STICKER NO. The first three numbers are the page number and the fourth number is the sequence of the sticker on the page (0-9). NOTE: There are always two pages (set up as columns) to a sheet of stickers. 2.4 The picture below is an example of a Hart Training Sticker (a sheet of these Training Stickers is included in this manual as Exhibit B). On the Training sticker below, the 9-digit control number is 3347(171-0)1; 3347 is the series, is the Sticker Number, and 1 is the check-digit. The sticker includes a scannable bar code and boxes for recording information. After a sticker has been ended, the scanner will remind the user to write their associate number in Box 1 ( Scanned By ) and the scan count of that sticker in Box 2 ( Count ). 2.5 HART TRAINING STICKERS Exhibit B in this manual contains one sheet of Training Stickers. These stickers are only to be used for Training never use these for counting Live inventory. The system can identify these stickers as Training stickers and it will not include the inventory data scanned on them in your final results. It will, however, include the sticker numbers on all printed reports so that you may train with the entire system. You can identify Training Stickers in two ways. First, they are PINK in color (you will never receive pink stickers to be used for Live inventory). Second, the series number on these stickers is always Page 3

6 3.1 Since the Hart Area Stickers are the key control to ensure that every fixture is inventoried, properly laying the stickers on the merchandise fixtures is essential for a timely and accurate inventory. Be sure to read this entire section before placing any stickers on the fixtures. 3.2 Stickers MUST be in place on the fixtures before the inventory begins. This procedure will take a couple of hours, so plan accordingly. 3.3 Hart Systems provides the Area Sticker Control Log (Form # 001, which is the last page in this manual) to assist in laying the stickers (in addition to your Floor Plan). This Log is used to record the stickers assigned to the fixtures in each area of the store. List each area, the beginning sticker control number and the ending sticker control number assigned for that area of the store. REMEMBER: Each store on the Base has been pre-assigned a different range of sticker numbers; When the supplies are received from Hart, it is imperative that each store receives the stickers assigned to their store. 3.4 A member of store management should be in charge of laying the stickers. This is a two person job. The General Manager and another key associate should work together to complete the laying of the stickers. The stickers should be removed from the Fixture Stickers Sheet and attached to each fixture using a consistent method. Use the Floor Plan and the Area Sticker Control Log in this process. The associate will physically lay the sticker on the fixture, table, etc. and call out the 4-digit sticker number (found on the actual sticker - to the left of the bar code) to the General Manager. The General Manager will then record the range of sticker numbers used in a specific area of the store on BOTH the Floor Plan and the Area Sticker Control Log (i.e to 419-3). The purpose of this procedure is to make it as easy as possible to locate specific stickers throughout the inventory (for recounts, missing stickers, etc.). 3.5 For large stores, each department should have a Floor Plan and Area Sticker Control Log. These need to be kept by the communications system of the respective department during the inventory. Page 4

7 3.6 The stickers must be laid in a consistent manner. Start with the first sticker number in your pack of stickers and lay the stickers in numerical order. Do not skip sticker numbers. This is very important and will greatly aid the inventory process should a sticker become lost. 3.7 The associates will be scanning from left to right as they move from one sticker to another. They will scan a sticker, scan all of the merchandise associated with that sticker, end the sticker, then scan the next sticker. Lay the stickers so that it will be easy to see where one sticker ends and the next sticker begins Some fixtures will require more than one sticker. The number of stickers is usually determined by the amount of merchandise on the fixture or the size of the fixture. In general, the more stickers that are used, the better. ADDITIONAL TIPS FOR LAYING STICKERS The sticker should be laid on the fixture as close as possible to the first piece of merchandise to be scanned. Do not place stickers directly on merchandise. If the merchandise is sold or moved, the sticker may be lost. The stickers will adhere to most surfaces. Place the sticker so that it can be easily reached and that there is room for the scanner to scan the sticker. Place the stickers in a logical sticker number order. The system is designed to immediately alert a counter if he/she skipped a sticker (but only if they are in order). Place the stickers so that they can easily be seen and written on. The person scanning the sticker will write information directly on the sticker. Do not place the sticker on surfaces that might be damaged when you remove it. The best advice is - if you wouldn t use scotch tape on the surface, don t use a sticker on it. Section Markers can be used to create clear section breaks (See section 8.7). Page 5

8 3.10 As you walk through the store, make sure that all of the merchandise to be counted has been assigned a sticker. It should be fairly easy to see which merchandise is assigned to which sticker. If you discover a fixture that does not have a sticker laid on it, use your leftover stickers. Be sure to use the very next sticker after the last sticker number used. This sticker must be recorded on the Area Sticker Control Log and Floor Plan Never destroy or throw away any stickers. Every sticker must be accounted for. If a sticker becomes torn, use scotch tape to repair the sticker SET UP AN EXCEPTION FIXTURE During the actual inventory, there may be some items that will not scan, do not have bar codes on them or are rejected by the scanner. These items should be set aside on the Exception Fixture (this is an area created to hold these items). Any physical area can be designated as the Exception Fixture. The scanning associates should not slow down their scanning to research these items. They should simply place the merchandise on the side, continue scanning, and move the items to the Exception Fixture after the current sticker has been completed. This merchandise will be researched and counted throughout the inventory by a person designated by you, preferably a member of management. Page 6

9 You will receive a number of boxes containing all of the components you will need. The boxes will be sealed with tape. When opening the boxes, be careful that they are not damaged because you will use the same boxes to return the components to Hart Systems. Cut the tape with a knife, do not rip the tape off. There are two types of boxes. One will contain the Communications System, scanners, paperwork and supplies and the other will contain additional scanners, if applicable. Box Type U- contains the Communications System (consisting of a scanner cradle with an internal modem), scanners, supplies and all of the paperwork needed for the inventory. One or two scanners will be located on top in a removable foam insert. The Communications System will be resting in a foam insert below. Box Type S - contains any additional scanners, and supplies. The S number indicates the number of scanners in that box. 4.4 Remove the scanners from the foam insert, then remove the foam insert itself. The Communications System is in the foam cavity below, with the cradle pointing upwards. The power cord and modem phone line are in a cutout behind the Communications System. Remove the Communications System from the foam. The Communications System must remain intact! Do not remove any plugs or cords from the system itself. Once a scanner is taken out of its foam cavity, do not put it back into the cavity until the inventory is complete. Friction from the foam can release static electricity that can result in the loss of inventory data As each box is opened and the contents removed, you must check to make sure that nothing is missing. The box(es) will be reused, so put all of the foam inserts back and store the box(es) in a safe place. As each box is opened and the contents removed, make sure that all of the components have been received. If any equipment is missing, contact the Hart Help Desk immediately (see Exhibit F). The SUPPLY BOXES contain the following items: Batteries. Binders labeled for each store on the base that will have the Hart Area Stickers and the manual. Colored Dots. All of the supplies you will need, including disks and section markers. Page 7

10 5.1 A table or other flat surface area is required. It must be near an electrical outlet and a phone jack with outside-line capability. The following items will be placed on the table: The Communications System. Scanners. Inventory Control Form An electrical plug and a modem phone line are attached to the system. Insert the plug into an electrical outlet and connect the modem phone line to a phone jack with outside the store capability. If you need to use a phone jack that has something plugged into it, remove that line and insert the Hart modem line directly into the phone jack. You have received a Mini System with either an INTERNAL or EXTERNAL modem (the INTERNAL modem system is pictured below). When the plug is inserted into an electrical outlet, the Charging and Comm lights on the cradle should turn on. The lights will remain on for just a few seconds. (On the external modem system, the HS and MR lights on the modem should turn on as well. The modem lights will remain on. This indicates that both of these components are receiving electrical power.) If these lights do not turn on, check the electrical connection. The Communications System is now ready to use. Scanner Cradle Scanner Connect plug to electrical outlet. 11 A Scanner is a small computer with a built-in laser: Scanners are shipped by Hart Systems with a battery installed. Depending on the actual scanner usage, you should expect four to six hours of battery life. The scanner uses one 9 volt battery. Eveready Alkaline Energizer batteries must be used. See Exhibit D for battery installation instructions. Before starting the inventory, you must set up the scanners to receive the inventory programs from Hart Systems. To do this, complete the following steps: 1. Using one of the scanners, scan the Inventory ID Bar Code on the Hart Inventory Control Form (this number may also be key-entered). NOTE: The Inventory ID Bar Code on this form must be scanned (or keyed) every time you place the scanner in the cradle to communicate with Hart Systems (sending data or receiving reports). It is your unique Inventory Identification Number. For this reason, it is very important that you do not misplace it. It should be kept next to the Communications System throughout the entire inventory. 2. The scanner will prompt you through setting up the scanner and entering specific information, such as your Store Number. Follow the scanner prompts. 3. When prompted to place the scanner in the cradle remember the phone line from the modem must be connected to the phone jack. Hold the scanner with the screen facing you as you lower it into the cradle. The four silver contacts on the back of the scanner must touch the four silver contacts on the cradle. 4. Follow the instructions on the scanner screen. Do not remove the scanner from the cradle while it is communicating. After a few minutes, you will hear three special tones indicating that the scanner may be removed from the cradle. 5. Repeat these steps for all of the scanners. 6. The scanners are now ready to use. 12 Before or during the inventory, you will need to key the Sticker Range that was used in the store. From the Main Menu on the scanner, enter Selection 7 for Sticker Range. At the Enter the RANGE of Hart Stickers Used screen, pictured below, key the beginning sticker control number in the field labeled First and press ENTER. Enter the RANGE of Hart Stickers Used FIRST: ( _-_)_ LAST: ( _ -_)_ E=EXIT The sticker control numbers are 9 digits long, for example, 1111(111-1)1 and are printed on the sheets that the stickers were peeled off of in the boxes labeled CONTROL NO. They should also have been written on the Floor Plan and the Fixture Sticker Control Log while the stickers were being placed on the fixtures. Use these documents to aid in entering the starting and ending control numbers for the entire store. Key the ending sticker control number in the field labeled Last and press ENTER. The scanner will display a screen to verify that the Sticker Range entered is correct. Follow the instructions on the screen. NOTE: The Range of Stickers will need to be entered into ONLY one of the scanners. 7.3 The sticker range will be sent automatically to Hart when (1) you send scanned data, OR (2) it may be sent after it is entered using Option 3, Send Data to Hart, from the scanner Main Menu (See Section 9). The sticker range will be used in reviewing reports and determining the percentage of stickers completed in the store. 7.4 During the inventory, you will be able to modify the Sticker Range based on additions and deletions of sticker numbers used. Each time the Sticker Range is modified, you will need to enter the first and last sticker number of the new sticker range for the entire store. To modify the Sticker Range, follow the instructions above. Page 10

13 The Area Number and the 1 6 digit Associate Number must be entered into each scanner before it can be used (see Exhibit D - Scanner Operations). All scanning associates should be trained before they begin scanning. Spend a few minutes training the associates as a group before giving them their individual assignments. They should all be familiar with the various functions of the scanner as well as the proper inventory procedures. The Training Guide (pages 30 33) is a very helpful aid and should be used during your associates training session. 8.3 Refer to Exhibit A for a complete step-by-step guide to scanning, as well as explanations of all of the different scanner functions. Also, review Exhibit E - Inventory Specifications & Considerations for additional system information. 8.4 IMPORTANT NOTES ABOUT SCANNING: 1. 20% PRICE DEDUCTION When keying in a price for items in the Greeting Cards section, the scanner will automatically deduct 20% of the Keyed Price. The scanner will inform you it is making the deduction and will display the new price on all reports. 2. SCANNING STICKERS OUTSIDE THE VALID RANGE When the scanners were set up for the selected store, the RANGE OF STICKERS for that store were loaded into the scanner. (The range of stickers are loaded from the Hart host computer to the scanner.) If a sticker is scanned that is outside of the valid range for that store, the scanner will NOT accept the sticker. For example, if you attempt to scan a sticker that is assigned to store 003, with a scanner that was initialized for store 002, the following message will be displayed on the scanner: STKR 1234(567-8)9 is assigned to Store 003 This scanner is initialized for Store 002 Press C to Continue Page 11

14 8.5 START THE LIVE SCANNING: Give the following items to each of your scanning associates: 1. A pen or marker for writing on the Hart Area Stickers. 2. A few sheets of section markers (red flags) to use during scanning (see section 8.7). 3. A Scanner. IMPORTANT: If a scanner is not used for a period of thirty minutes or longer, you will be required to scan or key your Inventory ID Bar Code in order to continue (the scanner screen will display a message informing you of this). Remember, your Inventory ID Bar Code is located on the Hart Inventory Control Form, which should be readily available throughout the inventory. 8.6 SCANNING ASSIGNMENTS: In order to provide for a timely inventory, it is important that the associates are given appropriate scanning assignments. Follow these guidelines when handing out individual assignments: Assign Difficult areas first. This includes unit-intense, tedious or hard to reach areas. Spread the people out. Do not position your associates too close together. 8.7 SECTION MARKERS: Section Markers are the pads of red flags that you received with your supplies. They can be used to (a) create clear section breaks and (b) identify each completed sticker. a. To create clear section breaks, place the Section Marker on the fixture vertically where you want the section break to be. b. To identify completed stickers, place the Section Marker over the bar code on the Hart Area Sticker when it has been completed. This will not only be a visual aid in seeing which stickers have been scanned, but also will prevent another associate from re-scanning stickers in error. Page 12

15 ENTERING PIECE COUNTS You will be required to conduct piece counts on 5% of the stickers in your store, which will be randomly selected by the system. After a sticker is ended, the scanner may prompt the employee to enter a Piece Count (# of units that were scanned for that fixture). Manually count the items on that fixture and key the amount into the scanner. If the entry is correct, the sticker will be ended and the Write On Sticker screen will be displayed. Write the information displayed on the scanner screen onto the sticker. If the Piece Count is not correct, you will be given another opportunity to enter the correct Piece Count. If after the second attempt the Piece count still does not match, the sticker will be cancelled and must be scanned again. NOTE: For every three (3) stickers that have been cancelled due to an incorrect Piece Count during one scanning session, a password must be entered (See Exhibit E and Exhibit G). BATTERY INSTRUCTIONS At some point, the battery in the scanner may need to be changed. The scanner will let you know that the battery is low by displaying the message Low Battery on the screen. At this point, there is still a little life left in the battery. The proper procedure for changing a battery is: 1. Finish scanning the sticker you are currently working on, 2. END the sticker, 3. SEND DATA TO HART (see section 9), 4. POWER the scanner off. 5. Change the battery (see Exhibit D for more information). IMPORTANT: If the scanner contains Live Inventory Data, the Data should be sent to Hart BEFORE changing the battery. Page 13

16 8.10 WALK THE STORE: After the scanning has begun, walk the store to ensure that all of the fixtures in the store have a Hart Area Sticker on them. The system will control that all of the stickers are accounted for, but cannot know if every fixture was actually stickered. Pay special attention to all out-of-the-way nooks and crannies (ex: underneath registers, closets, back room, etc.). If you find that there is merchandise without a sticker, you may assign a new sticker to the merchandise. Remember to record this sticker on your Floor Plan and Area Sticker Control Log and re-enter the sticker range on the scanner (See Section 7) START CHECKING a. The checking can start at any time. Naturally, the stickers must first be scanned before they can be checked. b. Manually count all of the merchandise on each sticker, and check that it equals the scanned count written on the sticker. c. If the scanned count is correct, place a check mark on the sticker. d. If the scanned count is incorrect, the sticker will need to be rescanned. e. If your store contains merchandise in certain Jewelry or Electronic Departments, you may also have to perform Mandatory Recounts. See Section 10 for more details. Remember: Any scanner can be used to RESCAN a fixture. The date and time is set into every scanner; therefore, the first scanning of a sticker will be ignored and the second scanning of the sticker will be used. Page 14

17 8.12 RESCANNING STICKERS The scanner will only recognize ONE occurrence of the same sticker number. If a sticker is scanned more than once, even with different scanners, the scanner will compare the date and time of the two versions and accept only the most current version. A rescanned sticker will completely replace the original scanned version of that sticker. For example: An employee ends a sticker with 100 pieces and then realizes that they forgot to include 2 pieces. If they rescan the same sticker, scan the 2 pieces that they missed, and then end the sticker again they have now replaced the original sticker with a new version containing only 2 pieces (not 102 pieces)! The proper procedure in this case would be to simply move those 2 items to the next sticker that has not yet been scanned SCAN THE EXCEPTION FIXTURE Throughout the inventory, merchandise that will not scan, does not have a bar code, or is rejected by the scanner should be placed on the Exception Fixture that was previously set up (see section 3.12). The scanning associates should not slow down their scanning to research these items. They should simply place the merchandise on the side, continue scanning, and move the items to the Exception Fixture after the current sticker has been completed. This merchandise will be researched and inventoried throughout the day by a person designated by you, preferably a member of management. Page 15

18 9.1 Approximately every two hours during the inventory, the scanners should be taken to the Communications System in order to send their data to Hart Systems. To do this, the scanner can be at either a Scan Hart Sticker screen or at the Main Menu: 1. From a blank SCAN HART STICKER screen, a. Scan the Inventory ID Bar Code on the Hart Inventory Control Form. OR a. Press MENU (the D key) to return to the Main Menu (see Exhibit A for all special key functions). b. At the Main Menu, Select Option # 3 - Send Data to Hart. c. Scan the Inventory ID Bar Code. 2. Place the scanner in the cradle and follow all scanner instructions. Remember: Do not remove the scanner from the cradle while it is communicating. After a few minutes, you will hear three special tones and the scanner screen will inform you that it should be removed from the cradle. 3. After the scanner is finished communicating, information about the status of the inventory will be displayed on the scanner screen: If there are any stickers that require a mandatory recount, the scanner will make three quick beeps when removed from the Mini System; the scanner will display a message letting the user know how many stickers need to be verified (See Mandatory Recounts Section 10). The Inventory Status Screen will always be displayed after sending data. This screen will provide the user with Summary information about the inventory including the Total Stickers transmitted to Hart, the % of the total stickers transmitted to Hart (only if the Sticker Range was entered) and the total units scanned up to that point. 19 10.1 Certain departments must be verified 100% of the time when they are inventoried. When transmitting data to Hart, the scanner will alert the user if any stickers need to be verified. After transmitting the data, if there are stickers that must be verified, the scanner will alert the user by making three quick beeps and displaying the following screen indicating how many stickers need to be verified: 5 Stickers to be verified. Print these Stickers from the Sticker Verification Report on the Internet C = Continue If you are not monitoring the Communication Station, the Sticker Verification Report should be accessed online to see if there are any stickers that need to be verified. To verify any sticker that requires a Mandatory Recount, follow these steps: 1. Log onto the Hart Web-site (See Section 12). 2. Click Reports Continued and select Stickers To Be Verified. This report lists every sticker that needs to be verified, the area the sticker was scanned, the Associate who scanned the sticker, the number of units included on the sticker, The retail value of the sticker, the Current Status of the sticker (Original Scanned or Rescanned) and the scan time. 3. You can drill down to the Sticker Detail Report (See Section 12.16), by clicking on any of the Sticker Numbers that are displayed on the Sticker Verification Report. 4. From the Sticker Detail Report, click on the Print/ Button that is located on the top right hand side of the screen. 5. A printable report will generate on the computer screen. When it is loaded, print the Sticker Detail Report. 6. Locate the Sticker(s) that needs to be verified. The Floor Plan and/or Area Sticker Control Log can be used to locate the sticker. 7. Once the fixture is located, double check the fixture to ensure an accurate count. 8. If the count did not match the fixture, the sticker will need to be rescanned or have Corrections keyed (see Section 11). You can use any sticker to rescan the fixture. 9. If the sticker was counted accurately, remove the sticker from the Sticker Verification Report (see Section 10.2). Page 17

20 10.2 RECONCILING THE STICKER VERIFICATION REPORT Once all the Mandatory recounts have been performed and any errors have been corrected, you will need to check off all the stickers that were verified in order to remove the stickers from the Sticker Verification Report. To do this: 1. Log onto the Hart web-site (see Section 12). 2. From your Inventory Overview screen select Inventory Functions and then select Sticker Verification Checkoff. 3. On the right hand side of the report, there are check boxes lined up with every sticker number that required a Mandatory Recount. 4. Check off every box for every sticker that has been verified (you can verify up to 80 stickers in a single session). 5. Click the OK button. 6. The computer will process your request for a few moments. Once the information has been updated in our system, you will receive a message letting you know the Sticker Verification process was completed successfully. 7. On the Completed Successfully screen, click the OK link to go back to your store s Report Menu. Page 18

21 11.1 Corrections are performed online and should be your primary means for resolving any minor incorrect counts discovered during the inventory. For instance, if one item was counted incorrectly on a fixture, in most cases the most efficient way to resolve that count is to use the corrections function online. If on the other hand there were many errors on a sticker, in most cases it would just be easier to rescan that sticker. Keying Corrections: a. Choose the Key Corrections option from the Reports Selections menu on the Internet. b. Key your Associate # and press the TAB key. c. Key the 9-digit Hart sticker number to be corrected and Click OK. d. You will now be viewing the Sticker Detail report To Change an Item on the Sticker: a. Click on the line number you would like to correct and the process correction screen will be displayed. b. Make the necessary corrections to either the UPC or quantity or both and then Click OK. This will replace the original entry on the sticker. c. The Sticker Detail will then be displayed with the changes you just made. If you have more UPCs that need to be modified on the sticker, Click on the next line item that needs to be corrected. NOTE: If the item you are keying corrections for is not on your master file, you can also change the Department and Price entry for the item as well To ADD an Item to the fixture: a. From the Sticker Detail screen, Click ADD and the process correction screen will again be displayed. b. Key in the UPC and the Quantity for the item you wish to enter and then Click OK. c. The Sticker Detail will again be displayed, with the added item appearing at the bottom of the report. d. When you have completely finished keying corrections, Click the MENU button from the Sticker Detail Corrections report to return to the Report Selections menu. Page 19

22 12.1 There are several reports provided with the Hart Mini System which will help you manage the inventory and verify the results. These reports are valuable tools for ensuring the speed and accuracy of your inventory and can be printed at various times throughout the inventory. This section will describe these reports and offer suggestions on when to print them and how to use them. You will be able to access all reports from the Stores computer by accessing the Hart web site. These report update in real time as data is sent to Hart via the Mini System and will remain posted throughout the year for your reference INTERNET REPORT ACCESS To access the Internet Reports: Log onto the Navy s Intranet on your store s computer. Click the link for Hart Systems. The computer will then prompt you for a user name and password: The user name will be: The password will be: hs86401 inv * The user name and the password are both case sensitive and must be entered in lower case. After entering the user name and password, you will be at the Report Selections menu for the Navy Exchange. Choose Store Inventory Reports from the menu. You will be prompted to enter your store number. Enter your Richter store number and click on the OK box. This will bring you to the Report Selection menu for your store. All the reports are described in the same order they are posted on the Internet. NOTE: Clicking on any of the underlined items in any report will drill-down to more details in the category. For example, clicking on a Hart Sticker Number on the Sticker Summary report will allow you to view the Sticker Detail report. From the Sticker Detail report, you can drill-down to another level to view the Item Detail report by clicking on the bar code. Page 20

23 12.3 EMPTY STICKER REPORT This report lists all of the stickers that were scanned as empty. An empty sticker represents a fixture which contains no merchandise. This report is used to check that all fixtures that were scanned as empty are actually empty fixtures. This report will print in three columns. The middle column will list all of the empty stickers, the left column will list the stickers scanned immediately prior to the empty stickers, and the right column will list the stickers scanned immediately after the empty stickers. Knowing which stickers were scanned before and after an empty sticker can help in investigating possible mistakes INVENTORY SUMMARY REPORT This report provides very detailed information about your store and can greatly assist in both monitoring your progress and reconciling your inventory. This report shows a summarization of the status of the inventory at the time it is accessed. The report lists information such as, the total stickers counted, the number of missing and empty stickers, the Associates who scanned those stickers, the total units and the total extended dollars inventoried MISSING STICKERS REPORT Every fixture sticker is accounted for by the system. The system will either: If a sticker range is entered, calculate every sticker not yet transmitted to Hart and reports every sticker not accounted for on the Missing Stickers Report. If a sticker range was not entered, the system looks at the lowest sticker number which has been transmitted, and the highest number, and then it searches for every sticker in between. NOTE: Hart recommends you enter a sticker range for your inventory for the most accurate reports. See Section 7. This report has two sides, the left for Downloaded Stickers and the right for Missing Stickers (stickers that have not been transmitted to Hart). After all of your scanning is completed for the entire store and all of your scanners have transmitted their data to Hart, you will need to print a Missing Stickers Report to ensure that all the stickers used in the store were scanned and the data sent to Hart. At the end of your inventory, this is the most important report, because it tells you if you have missed scanning any stickers (merchandise)....continued on next page Page 21

24 The Missing Stickers Report should be reviewed in conjunction with your Area Sticker Control Log, Floor Plan and any unused stickers. All missing stickers must be accounted for. It may be necessary to scan a missed sticker and its merchandise and then send the data to hart before going any further. You must check that the First (Lowest) Sticker and the Last (Highest) Sticker on the report equal the Lowest and Highest sticker numbers that you used for the store s inventory. These are the first two lines on the report. Stickers that are identified as MISSING STICKERS must be investigated. 1. If you are printing this report at the end of the inventory, make sure that all scanners containing data have transmitted their data. 2. If it is concluded that a live sticker and its merchandise have been mistakenly overlooked, they must be scanned and the data transmitted to Hart. 3. If an unused sticker number appears on the report, it must be labeled as NOT USED. NOTE: As you try to determine whether a missing sticker is Live or Not Used, you should check the counts of the stickers immediately before and after the missing sticker. An associate may have forgotten to end the previous sticker (and just kept scanning the merchandise) or may have included the missing merchandise in the following sticker 12.6 PRODUCTIVITY ANALYSIS REPORT This report lists the total units and scanning time by associate. The last line shows the average productivity for all associates and the total units scanned per hour for the entire inventory. If you see that an associate has a much lower productivity rate than the average, you should follow up with them and see if they need further instruction STICKER SUMMARY REPORT This report displays the total units that was counted for every Hart Area Sticker. Use this report to update the Floor Plan by marking the areas of the store were inventoried as the scanners are downloaded. This report can be run to sort in either Sticker # order or by Transmit Time order so you can easily see when new stickers are transmitted to Hart. DEPARTMENT SUMMARY REPORT This report lists the Total Units and Extended Retail & Extended Cost for every Richter Department as well as the total of all Richter Departments for the entire inventory. 25 FINANCIAL SUMMARY REPORT ALL AREAS This report lists, by Lawson department, the total units and extended retail & extended cost for the entire inventory, including a summary of the total dollars and units per area. FINANCIAL SUMMARY REPORT BY AREA This report list, by Lawson department, the total units and extended retail and cost for all the inventory counted in a specific area of your location. DEPARTMENT DETAIL REPORT This report lists every entry counted in any Richter Department throughout the inventory. It provides the Item #, Description, Quantity, Retail and Extended Retail for all merchandise counted in the Richter Department that the report was run for. RECOUNT AUDIT TRAIL REPORT This report lists all of the stickers for which corrections were made. For each entry, the report provides the sticker number, the Original Associate who scanned the sticker, the Associate who checked the sticker, the UPC #, the Richter Department, as well as the units and extended dollars for each entry. INVENTORY ACCURACY RECOUNT REPORT This report will list and compare the final dollar count, total quantity, monetary difference, and unit difference for each sticker that was scanned more than one time. It will also list a summary of these discrepancies in a table. HIGH UNIT FIXTURE REPORT This report lists the stickers in your store that had the highest quantities counted on them. This report is also available by area. HIGH DOLLAR ($) FIXTURE REPORT This report lists the stickers in your store that contained the highest retail value and the report is available by area STICKER DETAIL REPORT This report has a line-by-line detailed listing of every item on an individual sticker - in the order in which it was entered. This report is a valuable tool for ensuring that each associate is following the proper scanning procedures. It can be printed at any time, for any fixture sticker that has already been transmitted, and should be compared against the actual fixture. You will have to supply the computer with the 4-digit Sticker Number(s) that you would like to print. Page 23

26 12.17 PRINT STICKER DETAIL RANGE This report option allows you to run the sticker detail reports for a range of stickers. When selected, just follow the on screen prompts to generate the report. Please note: Because of the large size this report, you will need to download the report as a.csv file on your PC ITEM DETAIL REPORT This report lists all of the individual stickers, number of units for that sticker, and the associate number that scanned the sticker for a particular item number. It will also list the total number of stickers, live units, live dollars, and training stickers, units, and training dollars the particular item number appeared on. INVENTORY CONTROL REPORT This report provides a detailed summary of the different aspects of the inventory. Once your inventory is complete, this report should be printed and kept with your inventory records STICKER TO BE VERIFIED REPORT This report list every sticker that requires a mandatory recount. See Section 10 of this manual for specific instructions about conducting mandatory recounts. STICKER VERIFICATION This report allows you to check of any stickers that have been satisfactorily verified. Once a sticker listed on the Sticker Verification report is reconciled, you should access this report option and check off the sticker(s) that have been verified so that they are dropped from the Sticker Verification Report. See Section 10 of this manual for specific instructions about conducting mandatory recounts. NOT ON FILE REPORT This report list every item counted during the inventory that was not on your master price file. Page 24

27 13.1 ENTER THE LAST SALES DATE In order to close the inventory, you will need to enter the last date of sales for your store. To enter the Last Sales Date, select Option 5, Last Sales Date from the scanner s Main Menu. The data must be sent to Hart. NOTE: You will not be able to close your inventory until you have entered the last date of sales for your store. If you attempt to close the inventory without entering in this information, after the scanner finishes communicating to Hart, it will prompt you to enter the Last date of sales in order to close your inventory Once you have finished scanning all of the merchandise on every fixture in your store and have sent all of your data to Hart, you should view the Internet reports to review and reconcile your inventory. After you are satisfied that you have accurately inventoried your store, you may Close the Inventory. CLOSE THE INVENTORY Complete the following steps: 1. From the Main Menu, Select Option 9 - Close Inventory. You may use any one of your scanners to initiate the Close Procedure. If there is any data in the scanner, you will need to send that data to Hart before you may proceed. 2. Follow the scanner instructions. Eventually you will see the following screen: You MUST select #9 CLOSE INVENTORY on all other scanners. When ALL scanners display this screen, place just ONE of the scanners in the Cradle. continued on next page... Page 25

28 3. Complete steps 1 and 2 for all of the remaining scanners so that the screen on the previous page is displayed on each of them. 4. Place ONE of the scanners in the cradle. 5. The scanner will transmit to Hart and will close the Inventory. 6. After the scanner has successfully transmitted, the scanner will display the Inventory Summary Report. This is your official documentation of this inventory. From this report, fill in the required information on the Inventory Control Form and save the form for the store records. NOTE: All copies of the final inventory reports must be kept in this binder under the tab marked Final Store Reports. Page 26

29 14.1 Do NOT write on any of the original Hart boxes Before packing the boxes, read the shipping instructions printed on the Shipping Instructions envelope and any memos that may have been enclosed. All of the components will be shipped in the original boxes Box Type U - will contain the Communications System and scanners. First, place the Communications System in the foam cavity with the cradle pointing upwards. Place the cords in the cut-out behind the Communications System. Second, place the removable foam insert into the box behind the cradle and place scanners in the cut out sections. Third, place any paperwork in the box in front of the Communications System. Box Type S - will contain the additional scanners and supplies. Place the scanners into the foam cavity. Tape up the boxes. NOTE: It is very important that the equipment is shipped back according to the agreed upon shipping schedule. If you have any questions regarding the shipping of the equipment, please contact the Hart Help Desk at (800) or (631) Be sure to retain your copies of the shipping receipts after the equipment has been shipped back to Hart. You may need to refer to them at a later time to provide proof of shipment. Page 27

30 15.1 In the event you are unable to access the Hart Internet Reports, Hart supplies reports in the scanner that can be used to control the various aspects of the inventory. The Internet should be the primary means of viewing reports. The scanner reports should only be used as a backup To View Reports: At the Main Menu on the scanner, Select Option #4 View Report. The scanner will display the following screen: ** VIEW REPORTS ** 1 = View Reports In Scanner 2 = Communicate with Hart Systems for updated reports SCREEN 1 Enter Choice: _ NOTE: Any scanner can be used to View Reports. If Option 1 is chosen, the reports displayed will reflect data from the last time that you communicated with Hart Systems for reports with this scanner. This may not be the most current information. If Option 2 is chosen, the following screen will be displayed: 1 - Send All Reports, With NO Sticker Details Report 2 - Send ONLY Sticker Detail Report SCREEN 2 Enter Choice: _ If Option 1 is chosen, after communicating with Hart and receiving reports all reports will be displayed on the Report Menu with the exception of the Sticker Detail (see Report Menu A in section 15.3). If Option 2 is chosen, after communicating with Hart and receiving reports only the Inventory Summary and the Sticker Detail reports will be displayed on the Reports Menu (see Report Menu B in section 15.3). 31 For either option, you will be prompted to scan the Inventory ID number and place the scanner in the cradle for communications. The most current version of the reports will then be sent back to that scanner. If you are unsure whether or not the report data currently in the scanner is the most current, communicate with Hart using Option 2 from Screen 1 on the previous page to receive the most current report information. Every time you communicate with Hart for updated reports, the report information is updated and the version number increases by 1. Therefore, your scanner will display the most current report version number, as well as the date and time that these reports were last updated. It is very important to make sure that you are working with the most current reports. IMPORTANT NOTE: If Option 2 is chosen from Screen 1 on the previous page to obtain the most recent report information and there is inventory data in the scanner, it will not be sent to Hart. This inventory data will remain in the scanner until Option 3 on the Main Menu, Send Data to Hart is chosen. Any information that has not been sent to Hart will not be included in any reports After you have noted the Date, Time and Report Version number, press C to continue. You will see one of the following screens: Report Menu A (NO Sticker Details) Report Menu B (Sticker Detail Reports ONLY) REPORT MENU 1 - INVENTORY SUMMARY 2 - STICKER SUMMARY 3 - MISSING STICKERS 4 - EMPTY STICKERS 5 - PRODUCTIVITY CHOICE: =DOWN E=EXIT REPORT MENU 1 - INVENTORY SUMMARY 2 - STICKER DETAIL CHOICE: E=EXIT On Report Menu A, you may use the Down Arrow key to display more reports. For many reports, there will be more than one screen of information to view. If there are any other screens, you will see Up and/or Down Arrows on the last line of the screen. Press these arrows to move up or down, one screen at a time. Page 29

32 TRAINING GUIDE Store managers should schedule a pre-inventory meeting prior to the day of your inventory to review Physical Inventory procedures with the associates who will be scanning. PRE-INVENTORY MEETING: This meeting will cover learning and practicing the functions of the scanner as well as learning the procedural steps involved in scanning the merchandise. This training pertains to the associates who will actually be scanning the merchandise during the inventory. BEFORE TRAINING: Make sure that all of the scanners have been initialized. Become very familiar with the scanner and its functions (see Exhibit A in this manual). Lay the Hart Area Stickers on all of the fixtures to be counted throughout the store. TRAINING: Assemble all of the scanning associates together and give the following materials to each of them: Scanner A few sheets of section markers (red flags) Pen THE TRAINING SESSION SHOULD TAKE ABOUT MINUTES. Give a short speech that touches on the following points: The scanner is a small computer with a built-in laser that reads bar codes. All of the inventory data will be saved in the scanner and then transferred to Hart periodically by communicating to Hart with the Mini-System. Page 30

33 TRAINING GUIDE The Hart Area Stickers throughout the store represent individual fixtures, or sections of merchandise to be counted. Explain how the stickers were laid throughout the store. Use specific examples and show the differences between how the stickers were placed on the shelves as opposed to pegs, rounders or other types of areas. The SCANNING PROCEDURE is as follows: 1. Scan the Hart Area Sticker. 2. Scan all of the merchandise in that section. 3. Scan the Hart Area Sticker again, to END the sticker. 4. Write the totals displayed on the scanner screen on the Hart Area Sticker. 5. Place a red flag on the sticker to show that it has been counted. 6. Repeat the steps above for the next sticker. The scanner will inform you if the battery is low. If there is data in the scanner, you must download the scanner BEFORE changing the battery. The scanner normally makes a simple beep when you scan a bar code or key-enter information. If you hear any sound other than a simple beep, it means, Look at the scanner screen and follow the instructions. The scanner screen will Time-Out (become blank) if the scanner is not used for a couple of minutes. It does this to conserve the battery. This does not affect any of the data in the scanner. When this happens, press the Power key and continue from where you left off. When scanning a sticker, it is important to know where the sticker begins and ends (that is, which merchandise is associated with that sticker). The sticker is placed as close to the first piece of merchandise as possible and it ends at the next Hart Area Sticker. The associate should take a step back before scanning the sticker to identify where the sticker begins and where it ends. When beginning a new section (an aisle, for instance), begin at the far left and work from top to bottom, left to right. The Hart Area Stickers are consecutively numbered and, if scanned in order, the scanner will inform you if you have skipped one while scanning. The goal of the inventory is to count all of the merchandise in the store. If you see an area of merchandise that does not have a sticker placed on it, let the General Manager know. If a bar code cannot be scanned (the scanner will not read the bar code or the bar code is rejected as Not Valid ), try to manually key-enter the number using the scanner keypad. If an item cannot be scanned OR keyed into the scanner, (no ticket, Invalid number, etc.), it should be placed on the side. After the current sticker is ENDED, bring the merchandise on the side to the Exception Fixture (explain where this area is) to be investigated later. Do not stop scanning to research these items. All merchandise is to have the product UPC visible, facing outward whenever possible. In some instances in the backroom or warehouse this may not be possible. In these instances a shelf label should be applied. If a shelf label is applied to a product, legibly write the full UPC, including the check digit below the label. Check the alignment of the labels in the belt printer before making labels for inventory purposes. In bulk areas, the number of selling units within a case is to be written on the box with the product UPC showing or on the box containing the shelf label. Page 31

34 TRAINING GUIDE PRACTICE SCANNING: You may want to have the associates practice scanning, or simply watch you scan before beginning the live scanning. If so, you may either use Exhibit A1 Practice Scanning Sheet OR choose an area of merchandise to practice and place a Training Sticker (Exhibit B in this manual) on the fixture. SET THE SCANNER TO TRAINING MODE: At the Set Associate screen and before you enter the associate number, press the SHIFT key and then the T key. The scanner will display a message to confirm that it is in Training mode. If you have already entered your associate number, you may return to the Main Menu by pressing MENU ( D key). From there, enter # 4 for Set Associate. Scan the sticker and merchandise the same as if it were live scanning. At the end of each sticker, the scanner will display a message that asks if the associate wishes to continue this practice scanning in this special training mode. The associate should continue this practice scanning until they feel comfortable with the scanner and the scanning procedures. Remember: When the scanner is set for this Training mode, the stickers and the merchandise bar codes scanned or keyed will NOT be included on any computer reports or other output. After Training is completed, it is very important that the scanners are taken out of Training Mode for the Live scanning (otherwise, the work will be lost). Page 32

Q A Q A Q A Q A Q A Q A What if I lose my place in the middle of a sticker while scanning? The scanner has a Review function to help you locate your place. Refer to Exhibit A for more instructions. What if I scan a merchandise ticket in error? A merchandise ticket scanned in error can be deleted. Refer to Exhibit A. What if I become confused while scanning and I want to start the sticker over? The sticker can be canceled. Refer to Exhibit A for more instructions. What if I END a sticker and then realize that I made an error? The sticker and all of the merchandise should be rescanned. The date and time is set into every scanner. When a sticker is rescanned, the first scanning of the sticker will be ignored by the system and the second scanning will be used. When you rescan, you may use any scanner. What if a merchandise ticket is missing or unreadable? Place it on the side and continue scanning the rest of the merchandise on the fixture. After the sticker has been completed, call your Supervisor. How do I know if the scanner is ready to scan a bar code? When the words SCAN=ON are displayed in the upper right corner of the scanner display screen, you know that the scanner is ready to scan a bar code. Page 33

REVIEW PREVIOUS TICKET - If you ve lost your place in a sticker, or would like to verify what you ve already scanned: 1. At a blank Scan/Key UPC screen, press REVIEW (B key). REV and the total sticker quantity will appear. You will be looking at the last merchandise ticket scanned. 2. Press (up arrow) or (down arrow) to go backward and forward (the total sticker quantity will keep changing). 3. Press EXIT (E key) to continue scanning. CREATE AN EMPTY STICKER (No Merchandise on the Fixture) Perform START A STICKER and END A STICKER. Scan the Hart Sticker and then END it immediately by scanning the Hart Sticker again. INCORRECT KEYING If you keyed information incorrectly and you are still on the same screen, you can make corrections by pressing CLEAR and re-keying the information. BKSP (Backspace) deletes only the last character keyed. DELETE TICKET - If you scanned or keyed an item incorrectly and you are now at a new screen: 1. Press REVIEW (B key). 2. Press or to go backward and forward to find the ticket you wish to delete. 3. Press DELETE (G key) and follow instructions. 4. Press EXIT (E key) to continue scanning. CANCEL STICKER (DELETE ALL RECORDS FOR THIS STICKER) Press the CLEAR (CLR key) at a blank UPC screen twice and follow instructions.
