2 RECEIVE COMPONENTS/SUPPLIES You will receive one or more equipment boxes containing all of the necessary components for Inventory. The box will be sealed with tape. Cut the tape with a knife, do not rip tape off. When opening the boxes, be careful. Try not to rip or damage the box. You will use the same boxes to return the components to Zebra Retail Solutions ( ZRS ). Inside one equipment box, you will find: Scanners (2) Access Points (one is back up) Scanner chargers - It is strongly recommended that you charge all of the scanners before inventory NOTE: The scanners will have 15+ hours of battery life, however you should charge the scanners prior to your inventory. It will only take approximately 1-3 hours to fully charge. Remove the Scanners from the foam insert, then remove the foam insert itself and continue with the following layers. You will also receive: A Shipping Instructions envelope, containing labels and documents used to ship the box back to ZRS when the inventory is complete. The Shipping Envelope is located in the clear, plastic pouch affixed to the inside lid of the equipment box. To ensure the return paperwork is not misplaced, leave the envelope in the pouch until you are ready to ship back your equipment. ZRS also sends (1) supply box. The Inside the supply box, you will find: Sticker sheets Section Markers Quick Start Guide Manager s Reference Manual (you are reading this now) Control ID Bar Code - you will need this form to set-up the scanners for your store. (1) Internet Password flyer. You will use this flyer to access Inventory reports and functions via the ZRS/Hart Website. If any of the equipment or supplies are missing, contact ZRS Client Care immediately at Page 2

4 SET UP ACCESS POINTS - CradlePoint 95 WiFi Connectivity Overview The ZRS NexGen Inventory System provides instant communications at the end of each sticker. The Internet reports are updated in real-time. Each location was provided two Access Points. One Access Point should provide sufficient coverage for Inventory. The other access point can be used as a back-up unit. If you use both Access Points, please keep them at least 150 feet (46 Meters) apart from each other. VERY IMPORTANT!!! 1. For optimum range, place the Access Point in the middle of the store and as high as reasonably possible. 2. Try to avoid any known areas with difficult cell coverage. 3. In the event that your location has no cell coverage, please call ZRS Client Care for further instructions. The CradlePoint router ( Access Point ) can be connected anywhere in the facility with an accessible power outlet. To set-up the Access Point: 1. Clear a flat surface area with access to a power outlet. 2. Place the following items in the area: Access Point USB Aircards Scanners Control ID 3. Connect the power adapter for the Access Point into the port on the back and then plug into an available outlet. 4. Insert the USB Aircard into the USB port in the back of the access point. TWO (2) USB Aircard types were received for the main Access Point - one for Verizon and one for AT&T; Use the Aircard for the respective carrier that has the best coverage in your area. Once the Access Point has been connected to the power outlet and the USB Aircard has been connected, the Power Status (green), Wireless indicator (green/blue), and USB Status (green/blue) should be lit (see below). Remember to connect the access point before scanning any live Inventory data. 6. One (1) access point should provide sufficient coverage for your inventory. If you find there are areas of the store that have insufficient coverage (example, the stockroom), set up the second access point. Place the second ( Secondary ) access point in your low coverage area, closest to an available power outlet and a minimum of 150 ft. (46 Meters) from the first access point ( Primary ). DO NOT insert the other USB Aircard into the Secondary access point! The Secondary AP will communicate via the Primary AP. You need only plug the Secondary AP into an available power outlet. Once the Secondary unit has been plugged in and connects with the Primary access point, the Power Status (green) and Wireless indicator (blue) should be lit. Power Wireless VERY IMPORTANT!!! 1. The Primary access point must be connected to a USB Aircard and fully operational for the Secondary access point to work. 2. Do not place the Secondary access point to close to the Primary. This will not increase the range of coverage. Keep them at least 150 feet (46 Meters) apart from each other. 3. Do not connect a USB Aircard into the Secondary access point. The Internet reports are updated in real-time. VERY IMPORTANT!!! 1. For optimum range, place the Access Point in the middle of the store and as high as reasonably possible. 2. Try to avoid any known areas with difficult cell coverage. 3. In the event that your location has no cell coverage, please call ZRS Client Care for further instructions. The CradlePoint router ( Access Point ) can be connected anywhere in the facility with an accessible power outlet. To set-up the Access Point: 1. 10 SET UP ACCESS POINTS - CradlePoint 600 Ethernet WiFi LAN Connectivity Overview The ZRS NexGen Inventory System provides instant communications after each sticker is counted. The Internet reports are updated in real-time. The primary connection for the Access point will be via your Network connection (Cisco Switch). If you are unsuccessful connecting via your Network, follow the set up instructions for WIFI SIM connection (prior page). The CradlePoint router ( Access Point ) will be connected to the Ethernet Network port in your store. The Access Point should be placed as close as possible to this area, where there is an accessible power outlet. To set-up the Access Point: 1. Connect the power adapter for the Access Point into the port on the back and then plug into an available outlet. 2. Connect the Ethernet cable (supplied) to the port on the right side of the Access Point, then Insert the other end of the Ethernet cord directly into your Network port, in your Cisco Switch (DO NOT plug into the Cisco Router). 12 SET UP SCANNERS Now that the access points are up and running, start registering the scanners. Set Language: The scanners are received set to English language. To set the scanner for another language: From the Scan or Key Control ID screen, press the Menu button on the scanner Touchscreen. Select Language from the pop-up menu that appears. From the second pop-up menu that appears, select the preferred language: English (Default) French (Canada) Set Up Scanners: 1. Scan the Control ID bar code. Page 12

13 2. Key your Store Number and press ENTER (ENT). 3. The scanners will register shortly after pressing ENT. Press the Continue button to finish the registration when prompted. 4. The ENTER EMPLOYEE ID screen will be displayed - Registration is complete. 5. Repeat steps 1 and 2 for all scanners. 6. Verify the Scanners have Registered Successfully: After pressing Continue in step 3, the P should disappear from the bottom of the screen. If the P still appears, it could mean your Access Point is not connected, or the Scanners are out of range of the access point. Page 13

14 PLACING THE FIXTURE STICKERS FIXTURE STICKERS will be used to designate product in groups and allow for items to be counted and audited throughout the Inventory process. The Sticker Log, provided by BQ, will be used to track locations of each fixture sticker. The stickers arrive attached to Fixture Sticker Sheets. There are 30 removable stickers on each sheet, which means there are 30 sticker numbers on each sheet. Each sticker has a pre-printed 9-digit control number; the first 4 digits are the series ; the next 4 digits (in parentheses) are the Sticker Number ; the last digit is a control check-digit. For the most part, you will only be concerned with the 4-digit Sticker number. The Sticker Number is always 4 digits long. This 4-digit number is part of the control number and is always printed separately on the sticker, in the box labeled STICKER NO. The first three numbers are the page number and the fourth number is the sequence of the sticker on the page (0-9). There are always three pages (set up as columns) to a sheet of stickers. The picture below is an example of a Fixture Sticker. On the sample sticker below, the 9-digit control number is 6900(001-0)5; 6900 is the series, is the Sticker Number and 5 is the check-digit. The sticker includes a scannable barcode and boxes for recording information. After a sticker has been ended, the scanner will remind the counter to write their Initials in Box 1 ( Scanned By ); DO NOT write the final count on the sticker. Page 14

15 TRAINING STICKERS Exhibit B on page 53 of this guide contains one sheet of Training Stickers. These stickers are only to be used for Training - never use these for Live inventory. The system can identify these stickers as Training Stickers and it will not include the inventory scanned in your final results. You can identify Training Stickers in two ways. They are PINK in color The series number is 3347 When placing fixture stickers: The stickers MUST be in place on fixtures, slat walls, shelves etc. BEFORE scanning begins. Utilize no more than TWO (2) people to place the stickers - the Manager who will record the sticker numbers on to the Fixture Log, and another key employee to place the stickers on the fixtures. DO NOT SKIP OR SEPARATE THE STICKER SHEETS. Every sticker must be accounted for. Separating the sticker sheets will create large gaps of missing stickers. Start with the very first sticker on the first sheet and work down the first column. Continue on to the top of the second column, working down then on to the third column of stickers. Once a sheet of stickers has been used, continue on to the next sheet. Save the used sticker sheets. The 4-digit sticker number and 9-digit control number appear on the sheets. This will aid in keying the sticker ranges in a later step. Never destroy or throw away any stickers. Every sticker must be accounted for. If a sticker becomes torn, use scotch tape to repair the sticker. If the barcode on the sticker is unscannable, the sticker number can be key-entered. Page 15

16 PLACING THE FIXTURE STICKERS - Continued Employees must scan from left to right as they move from one sticker to another. First the sticker must be scanned, the merchandise associated with that sticker must be scanned and counted, the sticker will be completed, and then the counter can move on to scan the next sticker. Place the stickers so that it will be easy to see where one sticker ends and the next sticker begins. Section Markers ( red flags ) can be used to aid with this. Some fixtures will require more than one sticker. The number of stickers is usually determined by the amount of merchandise on the fixture or the size of the fixture. In general, the more stickers that are used, the better. There should be at least one sticker for each display or fixture. Do not have more than 50 items in a sticker. As you walk through the store, make sure that all of the merchandise to be counted has been assigned a sticker. If you discover a fixture that does not have a sticker on it, use one of the leftover stickers. Use the very next sticker after the last sticker number that was used. This sticker must be recorded on the Sticker Log. SECTION MARKERS Section Markers are the pads of red flags that were received with the supplies. They can be used to (a) create clear section breaks and (b) identify each completed sticker. a. To create clear section breaks, place the Section Marker on the fixture where the section break should be. b. To identify completed stickers, place the Section Marker over the bar code on the fixture sticker when the sticker has been completed. This provides a visual aid in seeing what stickers have been scanned and will prevent another employee from re-scanning stickers in error. Page 16

17 RESEARCH AREA Set up a Research Area. During the actual inventory, there may be items that will not scan, do not have bar codes on them or are rejected by the scanner. These items should be set aside in the Research Area (this is an area you will set up to hold these items). Any physical area can be designated as the Research Area. You will assign 1 or 2 stickers to this area. The scanning employees should not slow down their scanning to research these items. They should remove the item from their current sticker and place the items to the side, continue scanning, and move the items to the Research Area after the current sticker has been completed. These items will be researched and scanned throughout the inventory by a person designated, preferably a member of management. Page 17

18 KEY STICKER RANGE Before or during the inventory, the range of stickers that were place in the store must be keyed into the system. This is done via the ZRS/Hart web site using the following steps 1. Log onto 2. Click on the Client Login button, on the upper right side of the screen. 3. Using the detail from the Internet Password flyer sent with the inventory equipment and supply box, enter the store specific User Name and Password (both entries must be in lowercase) and press ENTER or click on the OK button. For example: User Name: hx23501 Password: buil Click in the Enter Store Number field and enter the store number. 5. Press TAB to advance to the Enter Password field. Enter your store-specific password and press ENTER or click on the OK button. 6. You will now be connected to the Inventory Overview for the store. Click on Inventory Functions from the menu bar. NOTE: If the Inventory Overview or any reports do not display correctly, update your Compatibility View settings (IE only). a. From the IE Menu Bar, select Tools (newer versions of IE, click the gear icon ) then Compatibility View Settings. b. A dialogue box will pop up and will already be in the Add this website field. c. Click Add, then click Close. d. The screen will refresh on its own and will appear correctly. 7. Click on Enter Sticker Ranges. Separate sticker range must be entered for each area of the store (Backroom, Sales Floor). Up to 5 individual ranges per Area can be entered. 8. At the field labeled Starting Sticker, key the 9-digit sticker control number of the very FIRST sticker placed in the area that is being keying and press the TAB key. 9. Next, at the field labeled Ending Sticker, key the 9-digit sticker control number of the very LAST sticker placed in the area that is being keying, and click OK. Press TAB to enter the remaining range(s). 10. When finished entering the range(s), click OK. Page 18

19 11. A confirmation screen will be displayed to indicate that the range(s) have been accepted. Click OK. NOTE: If the range entered was not accepted, an error message will be displayed and the range should be checked and re-entered. 12. When entering the sticker range(s) has been completed, click CLOSE. During the inventory, Sticker Range(s) can be modified based on additions and deletions of sticker numbers used. Each time the Sticker Range is modified, follow the instructions outlined in this section to adjust the existing range via the ZRS/Hart web site. Example of a Fixture Sticker: 4-Digit Sticker Number 9-Digit Sticker Control Number OUTSIDE AUDITOR PROCEDURES Some locations have been selected to have an Outside Observer present at the inventory. In this event, the store will be notified by Bearquarters in advance. 1. The Outside Observer will be equipped with a Zebra Outside Audit scanner and reporting login, which will be used to access reporting and complete an audit of the store s inventory process. 2. The Outside Observer will scan and transmit select stickers in the store and review reports for discrepancies. 3. For any discrepancy found where the Outside Observer's scan does not match the Original scan, the Outside Observer will then research to determine if the Original scan is incorrect. 4. The Outside Observer will review with the Manager all stickers that they have determined the Original scan to be incorrect. The Manager must correct these stickers by either rescanning the sticker in Regular Mode or Keying Corrections to the sticker to resolve the discrepancy (ies). Page 19

22 SCANNING PROCEDURES REMEMBER: The Access Point must be plugged in and connected BEFORE scanning begins. SET EMPLOYEE ID Key the 6 digit Employee ID and press ENTER. START A STICKER After entering the Employee ID, scan the Fixture Sticker. Page 22

23 SCAN TICKETS 1. After scanning the Fixture sticker, scan or key the bar codes for all of the merchandise on that fixture. A quantity of one (1) will automatically be accepted. Multiple quantities CAN be keyed entered. The MAXIMUM quantity allowed is 100. For Gift Cards only, the MAXIMUM allowed is 9, If the scanner makes a special sound, Follow the instructions on the scanner screen. All special messages can be acknowledged by pressing ENTER. 24 SCANNING PROCEDURES - Continued NOT ON FILE BAR CODES 1. The scanner will alert the counter if a scanned item (bar code) is not on the Master File. 2. Press ENTER and move the item to the side. 3. When finished the sticker, move the item to the Research Area. INCORRECT KEYING If information is keyed incorrectly, make corrections by pressing ESC (Escape) to clear the entire field or BKSP (Backspace) to clear the field one character at a time. Page 24

25 REVIEW / DELETE TICKETS 1. To verify previously scanned items, refer to the Review Grid, located in the center of the Scan Bar Code screen. Navigate through the Review using the Arrow keys on the scanner. 2. To delete a scanned item, locate the bar code in the Review Grid using the arrow keys. 3. Highlight the item and press the Delete Item button, on the Touchscreen. 4. Select Yes to confirm the deletion by either pressing the button on the Touchscreen or highlighting it using the arrows and pressing ENTER. Page 25

26 SCANNING PROCEDURES - Continued CANCEL STICKER Press the Cancel Sticker button on the Touchscreen and follow the instructions. NOTE: Only the sticker currently be scanned can be canceled. A sticker that was ended cannot be canceled. END A STICKER After all of the merchandise has been scanned for a particular sticker, the sticker must END - the scanner will save all of the data and automatically transmit to ZRS. 1. Scan the Fixture Sticker again. 2. Select Yes to confirm by either pressing the button on the Touchscreen or highlighting it using the arrows and pressing ENTER. Page 26

27 PIECE COUNTS You will be required to conduct Piece counts for the entire Fixture Sticker. After a sticker is ended, the scanner will prompt the employee to enter a Piece count (# of units that were scanned for that sticker). A manually count of the items on that sticker must be completed and the amount of items entered into the scanner. If the Piece Count is not correct, the counter will be given another opportunity to enter the correct Piece Count. If after the second attempt, the Piece count still does not match, the sticker will be cancelled, and must be scanned again. NOTE: For every three (3) stickers that have been cancelled due to an incorrect Piece Count, a Supervisor password must be entered into the scanner (23501). If the entry is correct, the sticker will be ended and the Write On Sticker screen will be displayed. Write your initials onto the sticker, in Box #1 and click OK to continue. Do Not Record the scan count onto the sticker. Page 27

28 SCANNING PROCEDURES - Continued DATA TRANSMISSIONS Once a sticker has been ended, the data is automatically transmitted to ZRS. Once the sticker is completed, place a section marker over to sticker, to represent it is completed. Any data scanned while out of range of the access point, will be saved then automatically transmitted once you are again in range. PENDING TRANSMISSIONS VERY IMPORTANT! When more than four stickers have been completed, check the indicator at the Scan Sticker Screen. The P indicates the number of pending sticker transmissions. If that number is not decreasing, bring the scanner closer to an access point. If the stickers still does not transmit, check the access point. Page 28

29 REVIEW PREVIOUS STICKERS SCANNED The Scan Sticker screen will display the last six stickers scanned, in the Review Grid, located in the center of the screen. CREATE AN EMPTY STICKER In the event that there is a stickered fixture for which there is no merchandise associated with it, the Fixture Sticker must still be accounted for. Perform START A STICKER and END A STICKER : Scan the Fixture Sticker and then END it immediately, without scanning any merchandise. Follow the scanner instructions. Page 29

30 SCANNING PROCEDURES - Continued END EMPLOYEE SCANNING SESSION When an Employee has completed their scanning assignments, they should log out and return the scanner to the Control Desk. At the Scan Sticker screen press the Logout button on the Touchscreen to log out, and the scanner will return to the Enter Employee ID screen. NOTE: If there are stickers in the scanner that have not yet been transmitted (for example, Employee is logging out while out of range of the access point) the scanner must be brought back into range before the Employee can log out. CLOSE OUT SCANNER If a scanner is not needed again for this inventory, the scanner must be closed out. 1. From the Enter Employee ID screen, press the Close Scanner button on the Touchscreen to close the scanner. 2. Follow the scanner instructions. The scanner will return to the Scan ID screen. Page 30

31 AUDIT PROCEDURES 20% of the stickers in your Backroom AND 20% of the stickers on the Sales Floor must be blind Audited. The manager will be responsible for selecting the stickers to Audit. Audited stickers must PASS (match Original count) in order to count towards the 20% requirement (more details follow). The system will not allow an Employee to Audit stickers that they previously scanned in Regular mode (Original scan) or failed twice in a previous Audit. When a scanner is set for Audit mode, the stickers and merchandise barcodes scanned will be compared to the original count. 1. From the Enter Employee ID screen, key the 6 Digit ID and press ENTER. The Scan Sticker screen will be displayed. 2. From the Scan Sticker screen, press the F2 button on the key-pad, followed by the Menu button, on the Touchscreen, and a sub-menu will appear. a. From the sub-menu, press Audit Mode or highlight the option using the arrow keys and press ENT (Enter). 3. The scanner will display an alert: a. Press Yes to enter Audit Mode. b. Press No to exit and return to the Scan Sticker screen. 4. The scanner will begin downloading all stickers that are available for Audit. a. Once the download is complete, the **Audit** Scan Sticker screen will be displayed. NOTE: In addition to displaying **Audit** at the bottom of the screen, the screen color will change from blue ( Regular mode) to red ( Audit mode). Page 31

32 AUDIT PROCEDURES - Continued 4. Scan the Fixture Sticker a. Scan the Fixture Sticker that has been previously counted/ or listed on the Stickers Available for Audit list on the scanner. 5. Scan Merchandise a. Follow the same procedures as scanning in Regular mode. b. Multiple quantities can be keyed. 6. End Sticker After all of the merchandise associated with the sticker has been scanned, scan the sticker again to end it. The scanner will compare the Audit scan to the Original scan. Page 32

33 7. It is critical that the following steps are fully reviewed and understood to ensure an accurate and complete Audit process. In order for an Audit to PASS and count towards the 20% requirement, it MUST match the Original scan. If an Audit matches the Original scan, the Audit is complete and PASSED and will count towards the 20% requirement. If an Audit does not match the Original scan, the Audit is NOT COMPLETE and the Employee will be required to Audit it again. If the 2nd Audit scan matches the Original scan, the Audit is complete and PASSED. and will count towards the 20% requirement If the 2nd Audit scan matches the 1st Audit scan, the Audit is complete but FAILED and will not count towards the 20% requirement. The Audit details will replace the Original scan details. If the 2nd Audit scan does not match either the Original scan or the 1st Audit scan, the Audit is NOT COMPLETE. The Employee must notify a manager that the sticker could not Match and select another sticker to Audit. The sticker will no longer be available for that user to Audit. Audit Scan has matched the Original Scan. Audit is Complete and PASSED. Continue on to next sticker. Audit Scan has not matched the Original Scan. Audit is Incomplete; Scan sticker again, in Audit Mode. If this message is received upon ending a second Audit scan, notify the Inventory Lead and continue on to the next sticker. Audit Scan has not matched the Original Scan, but has matched a previous Audit scan. Audit is Complete but FAILED. The Audit details will replace the Original details. Continue on to the next sticker. NOTE: If a sticker is not successfully audited after THREE (3) attempts, a Supervisor Password (103171) must be entered into the scanner. Page 33

34 AUDIT PROCEDURES - Continued 8. To EXIT Audit Mode: a. From the **Audit** Scan Sticker Screen, press the F2 button on the key-pad, followed by the Menu button, on the Touchscreen, and a sub-menu will appear b. From the sub-menu, press Audit Mode. c. Click Yes to exit Audit Mode. d. The scanner will return to a Scan Sticker screen, in Regular mode. Page 34

35 HOW TO ACCESS REPORTS After data has been sent to ZRS, it is processed on the Host Computer. Throughout the inventory, detailed information can be obtained by viewing various reports via the ZRS/Hart web site. These reports are very useful in controlling the various aspects of the inventory. ACCESSING THE REPORTS ONLINE To access the inventory reports via the web: 1. Log onto 2. Click on the Client Login button, on the upper right side of the screen. 3. Using the detail from the Internet Password flyer sent with the inventory equipment and supply box, enter the store specific User Name and Password (both entries must be in lowercase) and press ENTER or click on the OK button. For example: User Name: hx23501 Password: buil Click in the Enter Store Number field and enter the store number. 5. Press TAB to advance to the Enter Password field. Enter the store-specific password and press ENTER or click on the OK button. 6. This will connect to the Inventory Overview for the specific. The store number and store name will be displayed on the top. Clicking on any of the underlined items will drill-down to more details in that category. NOTE: If the Inventory Overview or any reports do not display correctly, update your Compatibility View settings (IE only). a. From the IE Menu Bar, select Tools (newer versions of IE, click the gear icon ) then Compatibility View Settings. b. A dialogue box will pop up and will already be in the Add this website field. c. Click Add, then click Close. d. The screen will refresh on its own and will appear correctly. 7. Additional reports by store can accessed by clicking on Additional Reports, located at the upper left corner of the screen, and making a selection from the drop-down menu. 8. On the upper right hand side of the report screen is a button to format the report for printing. Click on this link if you wish to print any of the reports. 9. To exit out of one report, click on the CLOSE button at the top of the screen to return to the Inventory Overview. NOTE: To Refresh a report that is currently being viewed, click on the button at the top right of the screen. Page 35

36 REPORT DESCRIPTIONS INVENTORY OVERVIEW This report displays a summary of the inventory, which includes the total number of stickers sent to ZRS and the number of Missing and Empty stickers. It also displays the total units for the entire store. STICKER SUMMARY This report displays the total units scanned on each of the stickers sent to ZRS. Once all of the stickers have been sent to ZRS, this report will display the Total Units in the entire store. Clicking on any sticker number will drill-down to the Sticker Detail Report for that sticker. MISSING STICKERS This is the most important report, it lists all of the stickers that are Missing (have not been scanned and Sent to ZRS). Check the following items on this report: 1. Check that your first and last stickers, keyed via the ZRS/Hart web site earlier, are correctly identified in the header of the report, Sticker Range. If either one is not displayed, the sticker range must be re-keyed. 2. All stickers that are listed under the Missing Stickers column must be either scanned or identified as Not Used. Process any Not Used stickers as EmptyStickers. (See page 22). Remember: Any stickers that have been scanned but have not yet been sent to ZRS may still appear as Missing on this report; therefore, be certain that all scanners have transmitted. EMPTY STICKERS This report displays all of the stickers that were scanned as empty. An empty sticker is a fixture which contains no merchandise. This report is used to check that all fixtures that were scanned as empty are actually empty fixtures. Page 36

37 PRODUCTIVITY This report displays the total units scanned and the units per hour for each employee. STICKER DETAIL This report displays a line-by-line listing of every item on a particular sticker, in the order in which it was entered. This report can be used to ensure that each employee is following the proper scanning procedures. The Sticker Detail report may be viewed on the ZRS/Hart web site by: Viewing the Sticker Summary, then clicking on the selected sticker number, OR Selecting Sticker Detail from the Reports Menu, then keying the 4-digit Sticker Number. RESCANNED STICKER This report lists all of the stickers that were rescanned (scanned more than once). The most current scanning of a sticker is always the one that is accepted. Clicking on the Date/Time a particular version of a sticker will drill-down to the details of that version of the sticker. NOTE: If an employee is continually rescanning stickers, especially if there are multiple occurrences of the same sticker, follow up with that employee to see if he or she needs additional instruction. STICKERS BY EMPLOYEE ID This report displays the total units and time scanned for each sticker scanned by the selected employee. You will need to enter the Employee ID you would like to review. ITEM LOCATOR This report lists every sticker that a particular item is associated with, including the total Units and the Employee ID of the employee that scanned it. The item barcode will be needed to review. KEYED QUANTITY REPORT Displays every item Barcode for which a quantity was keyed, including the Sticker the item appears on, the item Description and the total quantity keyed. Page 37

38 REPORT DESCRIPTIONS - Continued CANCELLED STICKER Displays every sticker that was Cancelled due to an incorrect piece count, including the Employee that scanned the sticker, the scanned count, the piece count entered and the difference. CORRECTIONS AUDIT TRAIL Displays all corrections that have been keyed, including the Employee that scanned the sticker, the Employee that keyed the correction(s), the Original Units, the Corrected Units and any Net Change. AUDIT REPORTING AUDIT SUMMARY REPORT Displays all stickers that have been successfully Audited, with the sticker s current Audit Status (Passed or Failed). Passed: Stickers successfully audited where the Audit Scan matched the Original scan. These stickers count towards the 20% Audit requirement. Failed: Stickers successfully audited where the Audit Scan did not match the Original scan. These stickers will not count towards the 20% Audit requirement and the Audit Details will replace the Original Details. Any Failed audits that have a unit variance of 5 or more must be reviewed for accuracy. Any discrepancies found must be corrected by rescanning the sticker in Regular mode or Keying Corrections. Also displayed is the Sticker #, Area, Original Units, Original Ext. Retail, Audit Units and Variance Units; Drilling down on the Sticker # will display the Audit Variance Report. AUDIT VARIANCE REPORT Displays a line item detail for each item that was in variance on the sticker (Audit scan did not match Original scan). IF the sticker Audit was Passed (Audit scan matched the Original scan), the variance will be 0. Page 38

39 AUDIT REPORTING - Continued INVENTORY OVERVIEW - ACTIVITY BY AREA Monitor the Auditing progress by referring to the Activity by Area section of the Inventory Overview for your store; As stickers are Audited, and Passed, the % Passed will update in real-time. When the % Passed has reached 20% for both the Sales Floor and the Backroom, and you have no Missing Stickers, all auditing is considered completed. VARIANCE REPORTING The Variance Reports will compare the physical (scanned) counts for your store to the On -Hand counts maintained by your Corporate office, and will display any variances. The Variance report will not be available until your inventory is at 100% complete (NO missing stickers). The report will list the Top 40 SKUs for which there is a variance of $50.00 or more between the Total Physical Count and the On Hand count (either plus or minus ), and will display every sticker the SKU appears on and the quantity counted for each occurrence. Print out the report and review each fixture the items in Variance appear on to determine all units were counted correctly. Fields are available on the printout for you to note Correct Quantities or any comments. Any discrepancies you find are to be corrected by Keying Corrections to the sticker. Keying Corrections allows you to change quantities, delete items (change quantity to 0 ) or add new items. Page 39

40 KEY CORRECTIONS Corrections can be keyed from the Sticker Detail report, via the ZRS/Hart Website. 1. From the Inventory Functions tab, select Key Corrections. 2. Enter the Employee ID and press TAB. 3. Enter the 4-digit sticker number you wish to key corrections for and click OK. 4. The Sticker Detail Corrections screen will be displayed. IMPORTANT NOTES: 1. The ADD function must be performed individually - no more than one ADD can be performed at a time and no other functions (change quantity) will be executed when clicking the ADD button. 2. Barcodes that are not on file cannot be added at any time. Page 40

41 KEY CORRECTIONS - ADD ITEM 1. Click the ADD button and a new browser window or tab will open. 2. Key a valid bar code in the Item field and press TAB. 3. Key the quantity and click the Add Item button. 4. The window/tab will automatically close and the Sticker Detail Corrections screen will refresh; the added item will appear at the bottom of the report. Page 41

42 KEY CORRECTIONS - Continued KEY CORRECTIONS - MULTIPLE CORRECTIONS 1. To change a QUANTITY, the user keys the new quantity into the quantity field of the line item to be changed. 2. To REMOVE an item, the user keys a quantity of 0 into the quantity field of the line item to be removed (deleted). 3. Once all corrections are keyed, the user clicks SUBMIT. Added items must be performed individually. 4. After processing, the screen refreshes and the Sticker Detail Corrections report is updated with the corrections keyed. NOTE the item that was removed by keying a zero (0) quantity now appears with a blank quantity field (and will no longer appear on the Sticker Detail report) and the total quantity for the sticker has changed. Page 42

43 INVALID UPC ENTRY ALL Invalid UPCs recorded during the inventory MUST be entered via the ZRS/ Hart website. Once the inventory is complete, before it is closed, any and all Invalid UPCs must be entered. The Invalid UPC Entry form can be accessed from the Inventory Overview, via the Inventory Functions menu. When all of the Invalid UPCs have been entered, click OK and the data will be saved. More entries can be entered at a later time, but it must be done before the inventory is closed. The key entered data for all stores will be collected and forwarded to Bearquarters after Inventory is completed. Page 43

44 CLOSE THE INVENTORY Once all of the merchandise has been scanned on every fixture in the store and all of the data has transmitted to ZRS, the inventory can be prepped for close. Review reports via the ZRS/Hart website and reconcile the inventory results. Review the Empty Sticker Report to verify that all reported stickers are actually Empty (fixture contains NO merchandise) and were not scanned as Empty in error. There should not be ANY Missing Stickers. Review the Missing Stickers Report to verify that all stickers have been accounted for There should not be ANY Stickers Outside the Range. 20% of the Backroom and 20% of the Sales Floor must have passed an Audit. Review the Activity by Area section of the Inventory Overview to verify that each area is at 20% Passed. After ensuring that inventory has been accurately capture for the store, display the Inventory Overview, via the ZRS/Hart website. CLOSE THE SCANNERS The Inventory is now ready to Close. As the inventory is coming to completion, confirm that the scanners contain no PENDING data. Once this is confirmed, close the scanners. Before closing the scanners, make sure that: All of the merchandise on every fixture in the store has been scanned. Page 44

45 CLOSE THE INVENTORY After verifying that the inventory has been completed, close the inventory - via the ZRS/Hart website. 1. Select Inventory Functions on the Overview screen and click on CLOSE INVENTORY. 2. Follow the instructions and prompts that are displayed. If there are any Missing Stickers, Stickers Outside the Range, or you have not Audited 20% of the stickers in both your Backroom and Sales Floor, a message will be displayed informing you that one or more of the above conditions exist. Click the Close button at the top right corner and you will return to the Inventory Overview. You must resolve these issues before you may close the inventory. Contact ZRS Client Care for assistance. 3. Once the close inventory process has been completed, click the refresh button on the Inventory Overview and the inventory status will be displayed as Finished and your Inventory Close Confirmation Number for the inventory will be available. 4. Write the Inventory Close Confirmation Number on your Physical Inventory Checklist. Page 45

46 SHIP EQUIPMENT Do NOT write on any of the original Zebra boxes. Before packing the boxes, remove and read the shipping instructions. The Shipping Instructions are in a clear envelope, affixed to the inside flap of Box U. All of the equipment will be shipped in the original boxes. Apply the shipping labels to the covers of the two boxes, as specified in the Shipping Instructions. First, place the scanners into the foam cavities. Second, place the removable foam insert(s) into the box. Third, place the Access Point(s) back in the foam. Fourth, place any paperwork in the box. Tape up the boxes. Refer to the shipping instructions for more information. It is very important that the equipment is shipped back to Zebra Retail Solutions according to the agreed upon shipping schedule. If you have any questions regarding the shipping of the equipment, please contact ZRS Client Care at (800) or (631) Be sure to retain your copies of the shipping receipts OR record your tracking numbers, before the equipment has been shipped back to ZRS. You may need to refer to them at a later time to provide proof of shipment. Page 46

47 TRAINING GUIDE When a scanner is set for Training mode, the stickers and merchandise bar codes scanned or keyed will NOT be included on any reports or other output. If you do choose Training Mode, you must take the scanner out of Training mode before live scanning is to begin. This will ensure data scanned is not lost. 1. From the Enter Employee ID screen, press the Menu button, on the Touchscreen, and a sub-menu will appear. 2. From the sub-menu, press Training Mode or highlight the option using the arrow keys and press ENTER. 3. The scanner will display a warning: a. Press Yes to enter Training mode. The ***Training*** Enter Employee ID screen will be displayed. b. Press No to exit and return to the Enter Employee ID screen. Page 47

48 TRAINING GUIDE - Continued 4. Key a 6 Digit ID and press ENTER. The ***Training*** Scan Sticker screen will be displayed. NOTE: In addition to displaying ***Training*** at the bottom of the screen, the screen color will change from blue ( Regular mode) to orange ( Training mode). 5. Scan any Fixture Sticker. a. The scanner will display another warning, indicating that you are scanning in Training mode and that no data will be saved/sent. b. Press ENTER to continue. 6. From this point, you may scan merchandise bar codes and proceed with Training. Any stickers and merchandise scanned while the scanner is set for Training mode, will not be saved or transmitted. Page 48

49 The SCANNING PROCEDURE is as follows: 1. Scan the Fixture Sticker. 2. Scan the barcode on the merchandise ticket (the number may also be keyed if the bar code can t be scanned). 3. Scan all the merchandise on the fixture. 4. End the sticker by scanning it again. 5. Manually count the merchandise on the fixture, and key the total Piece Count into the scanner. 6. Write your Initials on the Fixture Sticker. DO NOT write the scan count on to the sticker. 7. Place a red flag on the sticker, covering the bar code, to show that it has been counted. 8. Move on to the next sticker. The scanner normally makes a simple beep when a barcode is scanned or keyed. If any other sound other than a simple beep is heard, it means Look at the scanner screen and follow the instructions. There are several different messages maybe displayed. Each item can be scanned individually without pressing the Enter key after each entry. The scanner will inform counters if the Battery is Low. If a Low Battery message appears, the counter must finish the sticker they are working on and then bring the scanner to a manager. The data will then be sent to ZRS, and the scanner will need to be charged. A re-scanned sticker will completely replace the original scanned version of that sticker. The date and time is set into every scanner. When a sticker is rescanned, the first scanning of the sticker will be ignored by the system and the second scanning will be used. If a sticker is ended and then an error is discovered, re-scan the sticker and all of the merchandise. When a sticker is re-scanned, the scanner can be used. The goal of the inventory is to count all of the merchandise in the store. If an area of merchandise does not have a sticker placed on it, let the manager know. Page 49

50 TRAINING GUIDE - Continued If a barcode cannot be scanned (the scanner will not read the bar code or the bar code is rejected as Not Valid ), try to manually key-enter the SKU or UPC using the scanner keypad. If an item still cannot be scanned OR keyed in to the scanner, (no ticket, invalid number, etc.), it should be placed on the side. After the current sticker is ENDED, bring the merchandise on the side to the Research Area (explain where this area is ) to be investigated later. Do not stop scanning to research these items.
