2 BOYS & GIRLS CLUBS OF TAMPA BAY CORPORATE BOARD OF DIRECTORS MEETING MINUTES YANKEE PAVILION May 10, 2012 Members Present: Greg Hearing, Lynn Dumais, Luis Garcia, Shelley Kolseth, Scott Jacobsen, Karl Brandes, Vic Holcomb, Chris Roederer, Donald Smith, Marc Spencer, Manny Alvarez, Anne Carney, Jim Dean, Adam Diasti, David Epstein, Oscar Horton, Lori Liburdi, Phil Malcolm, Karen Mincey, Stephen Shear, Ryan Skubis, Jennifer Swindal, Leo Diaz Others Present: Brad Baumgardner, Ricky Gallon, Chris Letsos, Debbie McCarthy, Cassandra Thomas, Koni Cassini. Consent Items: Minutes of the January 12, 2012 meeting and the April 2012 Financial Report were provided to the members for their review prior to the meeting. A Motion to approve the Minutes was made and seconded. Motion passed. Motion to approve the April 2012 Financial Report was made seconded. Motion passed. Prospective Board Members, Keith Lawless and Koni Cassini, were discussed. A motion to elect both members onto the board was made and seconded. Motion passed. Planned Giving Terry Balko, with BGCA, presented information regarding planned giving through Boys & Girls Clubs of Tampa Bay. Copy of the presentation was made available to all board members and included information about major gifts and the options available for financial commitments. Great Futures Breakfast Vic Holcomb and Anne Carney provided an update regarding the Great Futures Breakfast, set to take place in early December. Meeting with the Tampa Bay Forum resulted in them providing the venue and parking for free, with food available at cost. Vic Holcomb s mother has agreed to sponsor the breakfast. Every board member was given a packet containing information outlining the event concept, sponsorship opportunities, program ad opportunities, and commitment form. Phil Malcolm, from Triple AAA, has agreed to sponsor the printing of the programs. Strengthening the Board Scott Jacobsen reported that letters were sent out to the board concerning board dues. A recap of the board give-or-get was discussed and board engagement was encouraged. Scott asked that every board member sign up to serve on an additional committee and that those who did
3 not sign up would be assigned to a committee. Board recruitment was discussed and it was suggested that people who could provide key resources be considered a main focus. Marketing Update Phil Malcolm spoke about the concept currently used within Boys & Girls Clubs of Tampa Bay (Hope. Impact. Opportunity.), will be replaced with the national office campaign of Great Futures Start Here. Phil will be working with Cassandra from the Development office on the new strategy and is looking to expand the marketing committee to include board members with access to specific resources or interest in marketing/public relations. Community Relations Report Ricky Gallon provided an update on events involving our youth: - Teen social in February, March and April - Bowling at MacDill Air Force Base with more than 90 teens - Old Navy and Gap Summer Camp at two locations - Deloitte & Touche Impact Day Project - Annual Fishing Trip - 2 nd Annual Tampa Housing Authority Basketball of Champions Tournament - Straz Center partnership Development Report Cassandra Thomas discussed notable gifts received for the month of April. Provided an update on Steak Dinner no date has been set. Discussed inviting American Idol contestants to the dinner for a performance. Unveiled the blue door concept and how it will be used in the community (Whole Foods 5% Day and Painting with a Twist s Paint with a Purpose program). PSA through Brighthouse networks was also discussed. Pasco County/Grants Report Chris Letsos provided a spreadsheet on Club Member growth. Average daily attendance is up 2%; teen attendance has increased by 4% and there are currently 51% of Club Members attending the Clubs three or more days per week. The East Pasco Round-Up raised $55,000 and Will Weatherford secured $1 million for a new Club to be built in Lacoochee. Since its opening, Lacoochee has raised between $ K. This is significant to the youth and families since 96% of the population served in Pasco are on free lunch. President s Report Brad Baumgardner provided materials on key performance indicators, which helps to determine the progress of the board. He discussed the importance of board engagement and refueling passions through Club tours. A motion to approve that Foundation funds would be available, if needed, to the Corporate Board was made and seconded. Motion passed. Brad and Ricky will begin work on government relations week, which will encourage board members to invite people for Club site visits.
