Aubin Cnsulting Services BD21-2 The Drawing Management system in Autdesk Architectural Desktp (ADT) is a great tl fr managing prject drawings! Using this rbust set f tls, we can set up the levels f ur building and quickly generate flr plans and mdels relative t these levels. Hwever, level management is nly the beginning f the Prject Management system in ADT In this infrmatin-packed sessin, we will explre the Prject Brwser and learn hw t create, lcate, and manage new prjects. We will then explre the Prject Navigatr in cmplete detail and demystify terms like "Cnstruct" and "Element." We will als explre Prject Templates, Prject Data, and XREF Cleanup. Once yu have seen the ease f use and pwer f the Prject Management System in ADT, yu will never g back t ding prjects the ld way again. This sessin fcuses n ADT 2006, but ADT 2004 and 2005 and Autdesk Building Systems users are welcme t attend as well. 3 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 Drawing Management Intrductin This dcument cntains a cllectin f tips and tricks that yu will find useful when wrking with the Autdesk Architectural Desktp 2006 Drawing Management system. The Drawing Management system, als referred t as ADT Prjects is a pwerful system f tls used t manage XREFs, Levels and pltting Sheets fr prjects f all types and sizes in ADT. The Drawing Management Interface in ADT 2006 is cmprised f tw tls: The Prject Brwser which is used t brwse, lad existing and create new prjects, and the Prject Navigatr Palette which is used t interface with all aspects f the current prject. The Drawing Management system is a feature f Autdesk Architectural Desktp 2006 (ADT). Autdesk Building Systems (ABS), which is built upn the fundatin f ADT, can als take full advantage f this tlset. If yu are using the 2004 r 2005 versins f ADT r ABS, much f the cntent cvered in this paper and this sessin will still be valid t yu. Hwever, please nte that there are significant differences in the tw versins and time and space d nt permit full cverage f bth versins. With this in mind the primary fcus will be the current versins ADT and ABS Prject Brwser Prject Brwser is used t lcate existing prjects, lad the current prject and create new prjects. Launch the Prject Brwser frm the File menu (see Figure 1). Figure 1 The Prject Brwser (File menu) 1. Prject Image A custm-defined BMP image can be assigned t the prject and displayed here. Fr example, lad the client s lg here. 2. Current Prject Inf The Name, Number and Descriptin f the current prject will display here. 3. Back Click t g back t the previus flder. 4. Up One Level Click t g t parent flder. 5. Brwse Prject Click t pen a standard Brwse Windw t lcate and lad prject files (prjects have an APJ extensin). 6. Prject Histry Click t brwse fr prjects that were previusly active (see image inset fr additinal histry view ptins). While in the Histry view, yu can right click and remve items frm the histry list as well as reset the list. 7. Prject Flder Click t brwse fr prjects within the flder tree. This ptin gives access t My Cmputer, My Dcuments, My Netwrk Places and any additinal lcatins that yu add t the AEC Prject Lcatin Search Path (see Figure 5 2 belw). 8. Prject Bulletin Bard The user-defined Prject Bulletin Bard Web Page, a fully custmizable prject-specific HTML Web page. ADT starts with a simple generic page, yu can lad yur wn custm ne in the Prject prperties. 9. New Prject Creates a new prject within the current flder. 10. Refresh Prject Refreshes the current flder. 11. Prject Bulletin Bard Navigatin Tls Typical brwser functins fr the bulletin bard page. 2

4 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 Prject Navigatr The Prject Navigatr Palette (Windw Menu r CTRL + 5) prvides the cmplete interface t all files used in a prject. Use Prject Navigatr t set up Levels and Divisins and t create, pen and XREF Cnstructs, Elements, Views and Sheets (see belw fr terminlgy). Prject Navigatr behaves like ther ADT Palettes and may be dcked, flating transparent and set t aut-hide (see Figure 2). Figure 2 The Prject Navigatr Palette (Windw menu) ADT Prjects are rganized int several file types named Cnstructs, Elements, Views and Sheets. The Prject Navigatr Palette cntains tabs t manage each f these (Cnstructs and Elements are bth fund n the Cnstructs tab) and Prject tab fr managing the prject s verall parameters such as Levels and Divisins. Icns appear alng the bttm f each tab fr cmmn functins. T see a cmplete list f tls and cmmands, right click in the file list. (See Figure 2). Drawing Management Features and Benefits The ADT 2006 Drawing Management system ffers many features and benefits. Using Drawing Management gives yu a lgical easy t use interface t all f yur ADT prjects large and small. Drawing Management frmalizes the relatinship between the several disparate files used t create the typical ADT prject. While Drawing Management is nt required t use the ther features f ADT 2006, ding s allws yu t gain the fullest benefits frm ADT. Mst f the tls that wuld therwise be separate and disparate functins are brught tgether int a unified prcess thrugh the Drawing Management system. Drawing Management ffers the fllwing key features: Level Management Once yu have established each flr level in the Prject Navigatr, the sftware will manage all flr t flr heights in all prject files. Clear Delineatin f Prject Cmpnents With the intrductin f Cnstructs, Views and Sheets, ADT 2006 presents a clear standard fr lcatin f mdel cmpnents, adding anntatin and pltting. Ease f Use Prject Navigatr intrduces drag and drp ease t XREF Management. Simply drag a file frm Prject Navigatr and the sftware takes care f the rest. Maintains a Prject Database All prject files are tracked and maintained in Prject Navigatr. In additin, a cmprehensive list f prject data are maintained and can be fed t prject schedules, tags, title blcks, filed cdes and even prject bulletin bards. Autmated View and Sheet creatin Once yu have determined the structure f yur building (develped its Cnstructs) creating reprts, adding anntatin and setting up Sheets is made easy with a simple wizard interface and drag and drp. Integratin f the AutCAD Sheet Set functinality Sheet Set functinality is fully integrated int Prject Navigatr making the rganizatin, publishing, etransmiting, archiving and pltting f Sheets easy and pwerful. Autmatic Re-pathing and View Regeneratin Whenever a change t file lcatins and file names ccurs, Prject Navigatr will autmatically ffer t re-path all XREFs in the prject. In additin, whenever a 3

Level Management Prjects in Architectural Desktp cnsist f a cllectin f drawings saved in ne f fur types. Elements (cmpnents withut explicit physical lcatin within the building) and Cnstructs (cmpnents with an explicit physical lcatin within the building,) frm the building blcks f a cmpsite Building Infrmatin Mdel. Reprts in the frm f Views (fr wrking) and Sheets (fr printing) are develped frm this Building Infrmatin Mdel t cvey a particular subset f infrmatin. The basic framewrk f a prject begins with an infrmatin stre, r database, f descriptive prject data. These data include items like Name, Lcatin and Prject Number saved in easily accessible XML data files. They als allw us t sub-divide the Building Mdel bth hrizntally int (physical) Levels, and functinally int (physical r virtual) Divisins. Divisin A separatin f building mdel data. Divisins typically represent a physical separatin such as a vertical slice thrugh a building mdel, (like a Wing, an Annex r an Additin.) They are mst typically used fr large scale prjects. Level A physical flr in a building. Levels can be established fr actual building stries, and als fr mezzanines, basements and ther partial levels. Yu als use Levels t establish Grade level and Rfs. Create a level fr any place where a persn can walk flrs, mezzanines, crawl spaces, grade, rf, etc. (See Figure 3). Figure 3 Divide yur building int Levels and Divisins t create yur prject structure Clear Delineatin f Prject Cmpnents Standard industry practice and the US Natinal CAD Standard (NCS) recmmend the creatin and maintenance f tw types f file: Mdel files and Sheet files. This practice is widely used in the industry and ffers many benefits. Mdel File A file cntaining actual building data drawn at full size (1 t 1 scale.) This is a file in which all f the day-t-day wrk is perfrmed. Sheet File A file that is used exclusively fr printing drawings. N data is saved in this file. It typically cntains nly a title blck and external references t the prject s varius Mdel files. Mdel files are referenced t Sheet files fr printing (r as apprpriate, ther Mdel files). Mst daily wrk is perfrmed in Mdel files. In cntrast, Sheet files exist slely fr printing final dcumentatin sets fr distributin. One r mre Mdel files are gathered by the Sheet file, cmpsed n a title blck sheet, scaled prperly with prper Display Cnfiguratin active, layers and bjects visible, and then printed. The Sheet is saved in this state, (much like a saved reprt in a database,) s that dcuments can be printed any time, at a mment s ntice. T perfrm physical edits and design changes, return t Mdel files and perfrm them there. Thse changes will appear in the Sheet file the next time the XREFs in that Sheet are reladed. The Sheet file s ready-t-print status is maintained nly if all prject team members agree t wrk nly in Mdel files and nt in the Sheet files. 4

6 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 Architectural Desktp 2006 seeks t frmalize the creatin f prject files based n the Mdel/Sheet cncept in the Prject Management system tl set and accmpanying prcedures. T fully realize the gals f the Mdel/Sheet file system, ADT prvides the Prject Navigatin system that we have begun t see in the passages abve. This system incrprates the industry standard use f Mdel and Sheet files and intrduces an additinal layer f granularity (View files) t help frmalize the prcess. This is necessary simply because Mdel/Sheet file recmmendatins as published in the NCS and its predecessr the AIA CAD Layer Guidelines, are nt written specifically fr ADT r even fr AutCAD. Therefre, when we apply these recmmendatins t the specific tlset ffered by ADT, we find that the Element, Cnstruct, View and Sheet framewrk greatly enhances ur ability t fully achieve the NCS (AIA) Mdel/Sheet file intent. Nte: Sme f the recmmendatins made in the UDS Mdule 01 (part f NCS 2.0,) refer t the earlier AIA CAD Layer Guidelines - Secnd Editin dcument. The verall intent f these dcuments has been summarized here. Hwever, fr the cmplete explanatin f these recmmendatins and all supprting materials, yu are encuraged t refer t the abve referenced dcuments. ADT 2006 Mdel Files: Element A discreet piece f a design withut explicit physical lcatin within the building. Often they represent cmpnents that are repeated mre than nce in the design. Elements are drawing files that can be XREFed t ther files (Cnstructs, Views, Sheets r even ther Elements) as prject needs dictate. Elements are als ideal fr saving data related t the prject that des nt get inserted directly int the prject drawings, like test files, sketches r libraries. Cnstruct A unique piece f the building ccurring within a particular zne (Divisin) n a specific flr (Level) f the building. They are distinguished frm Elements by their unique identifiable physical lcatin within the building. Cnstructs are drawing files that are XREFed t ther files (ther Cnstructs, Views and Sheets) as prject needs dictate. A Cnstruct is like a piece f a jigsaw puzzle. Each piece is unique and all are required t shw the cmplete picture (See Figure 4). View A wrking reprt f the building mdel. A View gathers all f the Cnstructs (and their nested Elements) required t crrectly represent a specific slice (r view) f the building. They als serve as ideal lcatins fr prject anntatins like dimensins and tags. Views are drawing files that are XREFed int Sheets as prject needs dictate. Figure 4 Each Cnstruct is like a unique piece in a jigsaw puzzle Fr example, imagine a 3 stry cmmercial building. Yu might create Elements t represent a typical egress stair, typical restrm layuts and even furniture gruping cnfiguratins. Yu wuld have at least ne Cnstruct fr each flr, althugh there culd (and ften wuld) be several. Fr instance, in many cases it is advantageus t separate the interir frm exterir cnstructin. In this case, yu wuld have a First Flr Interir Cnstruct and a First Flr Exterir Cnstruct. Nested within interir Cnstruct wuld be the Elements fr stairs and tilet rms. A similar structure wuld be established fr each f the ther flrs. If sme unique element ccurred n ne r mre f the upper flrs, such as a Curtain Wall that spans frm secnd t third n three sides f the building, it wuld be built in its wn Spanning Cnstruct. (Spanning means that it belngs t tw r mre divisins r levels at the same time). This Cnstruct wuld then be referenced t bth (r all) f the flrs t which it applied. Again, each piece f the puzzle (Cnstruct) is unique, what yu must determine fr each prject is hw many pieces yur puzzle will cntain. 5

7 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 When yu were ready t begin creating cnstructin dcuments t cnvey yur design, start creating Views. A View allws yu t create a unique snapsht f a prtin f the building. Fr instance, if yu wish t wrk n the 3 rd Flr East Wing in plan, yu wuld create and wrk in a View that wuld gather and crrectly represent all f the Cnstructs (and their nested Elements) that are required by that physical prtin f the building. Anther similar View culd be made f the same physical slice f the building but fr a reflected ceiling plan, and yet anther fr furniture r finishes. Views are nt limited t just plans. Views can be made t accmmdate the creatin f Sectins, Elevatins, Schedules and even full 3D Mdels as well. Be careful hwever t distinguish the wrking nature f Views frm the utput r pltting nature f Sheets. Figure 5 Views assemble certain pieces f the puzzle as required t cnvey a particular type f drawing ADT 2006 Sheet Files: Sheet A just fr printing reprt f the building mdel. While Elements, Cnstructs and Views are all t be cnsidered Mdels as defined by NCS/AIA, the ADT 2006 Sheet exactly emulates the purpse and intent f the NCS/AIA recmmended Sheet file as nted abve. A Sheet file will gather all required building mdel cmpnents (Views and nested Cnstructs and Elements) and cmpse them n a title blck sheet, at a particular scale and ready t print. Sme g further t prmte that these items be placed in Layut space n tp f viewprt images f the prject files. While bth f these appraches are certainly pssible and neither is necessarily discuraged by the ADT tlset, the apprach champined by this text is as indicated in the definitin f Sheet abve. It is the psitin f this text that Sheets shuld be set up nce and maintained frm then n as fr pltting nly files. The gal is t prvide a set f files (ne fr each physical paper sheet in a dcument set,) that are always ready t be pened and printed with n advance ntice r tweaking required. 6

8 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 When prject team members are allwed (r encuraged) t wrk in Sheet files, it is pssible r even likely that they will leave the drawings in a state that is less than ideal fr ready printing. Fr instance, ne might clse the drawing with Mdel Space active, r change the LtScale, r accidentally frget t freeze r thaw the crrect layers r activate an imprper Display Cnfiguratin. These are just sme examples f the types f small mundane settings that if set incrrectly at the time f pltting can frce re-printing. Nt nly is this frustrating t the persn making the plts, it needlessly wastes time, paper and mney. It is therefre strngly recmmended that Sheets be used fr pltting nly and all wrk be perfrmed in Elements, Cnstructs and Views. Mre specifically, edits t the physical gemetry f the mdel are t be perfrmed in Elements and Cnstructs while all text, ntes, dimensins and ther anntatin is reserved t View files nly. Relatinship f all the parts S nw that we have defined all f the individual cmpnents, let s try t understand hw they all fit tgether. One analgy that wrks fr illustratin purpses is that f a tree. A tree has a trunk that supprts the entire tree. Frm there it has majr branches and then smaller branches and leaves. If we diagrammed ur prject navigatr using the tree as a mdel, the Cnstructs wuld be the tree s trunk, the branches wuld be Views, and the leaves wuld be Sheets. Figure 7 The interelatinship f Cnstructs t Views t Sheets. Anntatin and View Files Let s cnsider sme f the ratinale behind the rganizatinal philsphy f the Drawing Management system. It is intended that yu make a separate View file fr each unique type f drawing r dcument required in yur cnstructin dcument sets and ther prject deliverables. Specifically, each type f drawing, change in scale and/r change in discipline wuld require a separate View file with its wn unique anntatin. In this way, we can include cmpletely unique anntatin, dimensins and ntes in each View and ultimately their assciated Sheets withut the traditinal mrass f layer cnfiguratins and ther issues inherit t husing data required by several drawing types within the same file. This apprach slves many cmmn prblems inherit t prcess that has evlved fr mst AutCAD drawing files in prductin tday. Cnsider the fllwing cmmn prblems with cnstructin dcument anntatin in drawing files: Varius drawing types ften have similar but nt identical anntatin needs Similar r even identical anntatin is ften required at multiple scales in different drawings Prject requirements ften require multiple user access t files As a pint f discussin, cnsider the simple matter f adding Rm Tags t the Spaces f a prject. While it is true that this type f anntatin wuld be required in nearly every type f plan (flr plan, reflected ceiling plan, MEP plans, etc.), each drawing type has its wn unique and ften incmpatible needs and requirements fr these labels. Fr instance, in the architectural flr plan, the best psitin fr a Rm Tag might be in the center f the rm. Hwever, when we switch t the reflected ceiling we ntice that this psitin, while ptimal fr the flr plan, 7

9 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 places the symbl directly n tp f a light fixture r ther ntes making the RCP drawing difficult t read. If yu mve the label fr the reflected ceiling, when yu return t the flr plan, yu might nw be bscuring infrmatin in the flr plan. Furthermre, yu may wish t have ne type f symbl fr the flr plan (including bth the Rm Name and Rm Number fr instance), while in the reflected ceiling r the MEP plans yu may wish t see the Rm Number nly. Traditinally, these wuld require a symbl with multiple embedded layers. While a wrkable slutin, the reliance n layer cnfiguratins ften leads t imprper settings in the Sheet files which ultimately lead t wasted plts, wasted time and wasted mney. Nt t mentin that each f these alternate tags is actually a cmpletely separate symbl that is placed n a unique layer, therefre the attribute data within thse symbls must be duplicated acrss multiple versins f the symbl and manually crdinated as changes ccur. Anther cmmn anntatin prblem arises when a mdel file must be used at tw different pltted scales; such as an verall plan and an enlarged detail plan. In this case, anntatin must be scaled differently fr each pltted scale. Traditinally, this wuld again require several scale-dependent layers, symbls and dimensin styles with redundant and manually crdinated data input. With separate View files, the slutin t bth prblems is simple. There is n cnflict between multiple cpies f the same symbl, because each drawing has ne cpy f its wn unique anntatin. With separate View files, yu wuld have tw cmpletely separate symbls, each inserted within its wn unique View file. In ther wrds, ne symbl is used by architectural fr 1/8 plans and an entirely different symbl culd be used by MEP fr the same r different scales. Only the discipline(s) that needed the View in questin wuld reference it, ther disciplines simply ignre the file. At first, this seems t merely spread the redundancy acrss multiple files rather than within a single file acrss multiple layers. Hwever, this is where the intelligence f the ADT Prject Management system cmes int play. All tags thrughut the prject, regardless f the specific drawing int which they are inserted reference the same Prperty Set Data at the Cnstruct level. In ther wrds, ADT tags merely reference the data that is attached t the bjects. The data whether graphical r nn-graphical, belngs t the bject itself, which means that it always lives in the Cnstruct. The tag simply reads this data and prperly displays it in any View file. In this way, the Rm Names and Numbers remain synchrnized thrughut the set, even thugh each drawing has its wn unique set f tag bjects. Each f thse tags can be in a different physical lcatin relative t the assciated Space (inside the rm, utside the rm, centered, nt centered, it makes little difference). Each f thse tags can use a different symbl which displays different prperties and each f thse tags can be inserted at their wn unique scale. Therefre, when the View is dragged t the Sheet, all anntatins will appear at the crrect size fr pltting withut any further effrt r layer mechanics required! Figure 8 Cmparing different Views f the same Cnstructs. Finally, if Views are maintained fr each type f drawing, many persnnel issues are reslved as well. It becmes very easy t have tw individuals wrking simultaneusly n different anntatin tasks at the same time. One persn can wrk in a flr plan View, while anther wrks in the reflected ceiling. Bth are able t anntate their respective files independent f ne anther. MEP can wrk n their wn view and freely mve a rm tag ut f the way withut requesting the change be perfrmed by the architect in his r her backgrund file. Hwever, 8

10 BD21-2 Level and Prject Management in Autdesk Architectural Desktp and Autdesk Building Systems 2006 since bth f their respective View files reference the same Cnstructs, if ne shuld pen ne f thse Cnstructs and mve a partitin, delete a Dr r change the underlying anntatin prperty data, the change wuld be updated in all assciated Views. Fr all these reasns and many mre, the Drawing Management system in ADT is designed arund the philsphy that each drawing type and scale requiring unique anntatins shuld be cnfigured within its wn separate View file. One r mre f these Views can be dragged t the same Sheet, s there will nt necessarily be a ne-t-ne crrespndence between the Views and Sheets. Fr example, fr a small scale prject there wuld likely be fur separate flr plan View files (ne fr each flr), yet if space permitted, they all culd be placed upn the same Sheet. Remember the tree analgy abve. Cnstructs are clse t the trunk, while the Views and Sheets branch ut frm them. The mre peple wh need a piece f data, the clser it shuld be t the rts (like gemetry and schedule data). The mre specialized the item (like discipline specific anntatin), the further ut n the branches it shuld be placed. Fllwing this lgic yu can begin t make decisins abut where certain prject items ught t be placed. We have already discussed Walls, Drs, Windws and ther real pieces f the mdel. They belng t Cnstructs and are required by everyne. Rm designatins are really tw separate cmpnents: the label r tag itself, and the data t which the tag refers. The fact that a particular rm is named: Office is real (thugh admittedly nt in a physical sense). While we cannt physically tuch the ntin f its being named Office, n ne can dispute that its designatin as such is as real as the Walls frm which it is cmprised. Hwever, the label that indicates it as being Office is a cmpnent f a particular drawing, and is nt real in the sense that tags are nt cnstructed with the building nr painted upn the ffice flr. Therefre, the tag being anntatin nly, is placed in a View but attaches t the data cntained in the Cnstruct which infrms it that the Space in questin is in fact: Office. Further ut n the branches wuld lay the Sheet which has the unique purpse f cmpsing n paper a certain subset f infrmatin fr a particular dcumentatin need. Ease f Use Wrking in Prject Navigatr makes prject management very easy. All files assciated with the prject are listed in Prject Navigatr in ne f the fur flders (Cnstructs, Elements, Views and Sheets), r a sub-flder within these. Open files by simply duble clicking their name n the palette. T XREF ne file t anther using Prject Navigatr, duble click the hst file t pen it. Simply drag frm the Prject Navigatr int the drawing windw in ADT. XREFs will use Attach and write a cmplete path using the UNC naming cnventin. The exceptin is Cnstructs dragged t ther Cnstructs. When this ccurs, Overlay XREFs will be created instead. New files can be created via the right click menu n the palette, r by dragging drawing data frm the current drawing t the flder in Prject Navigatr where yu wish t create the new file. Maintains a Prject Database Several bits f infrmatin are stred abut yur ADT prjects. These data can be mdified at any time. Sme f the data are fixed pieces f infrmatin such as the prject name and number. There are als plenty f userdefinable fields such as address and phne infrmatin fr the varius parties with interest in the prject. This data is stred in a main prject infrmatin file, which is a text file with an APJ extensin. The APJ file lives at the rt f the prject flder. It is the APJ file that the Prject Brwser in ADT shws when yu brwse prjects. In additin, each drawing file added t the prject has an assciated data file with an XML extensin. Prject data (saved in the APJ file) can be edited directly within ADT. An XML editr is nt required, neither is any knwledge f XML. If yu wish t edit the fields in the prject database, click the Prject tab f the Prject Navigatr, then click the small Edit Prject icn at the tp right crner. There yu can mdify the basic prject settings. If yu want t edit, add r delete the extended data fields, click the Edit Details icn. In the Prject Details dialg are listed all data categries, fields, and the add and delete icns. (See Figure 9). 9

The ther XML files (ne fr each drawing in the prject) are created autmatically by ADT when files are edited in Prject Navigatr. There is n UI (User Interface) fr these files. These files are edited autmatically when changes are made in Prject Navigatr. If yu brwse yur prject in Windws Explrer, yu will see bth the APJ (Autdesk Prject Infrmatin) and the XML files. Never delete r mve thse files, it will have an adverse effect n the prject. In additin t the APJ and XML files, the AutCAD Sheet Set file has a DST extensin and will be fund in the same flder as the APJ. All f the Sheet Set data is stred in this cmpiled file. Unlike the APJ and XML files, the DST is nt a text file and cannt be edited utside f AutCAD/ADT. Figure 10 APJ, DST and XML files as seens frm Windws Explrer. D NOT delete. All f the data that is stred in the APJ file is easily accessed in ADT Schedule Tables via a Prject Prperty Set. In additin, any Schedule Table can be created and printed in the drawing set, r exprted directly t Micrsft Excel. In this way, cmplete quantities, square ftage calculatins and prject data can be extracted frm yur ADT Building Mdel and pst prcessed t frm reprts f the critical data imprtant t a prject team. This aspect f ADT prjects is perhaps ne f the mst widely untapped areas f ptential readily available t ADT users. Autmated View and Sheet creatin Views are generated autmatically based n the prmpts in a wizard and the level structure f the prject. If changes ccur in the prject that affects a particular View, it can be regenerated with a single right-click. Creating a new Sheet is a simple tw-step prcess. Right click a Sheet Set r Subset and chse New>Sheet. Open the new Sheet and then drag a View (r a Mdel Space View indented beneath it) frm Prject Navigatr t the drawing windw f the new Sheet. This simple prcess will XREF the View file n an apprpriate layer in Mdel Space, create an MView in Paper Space Layut, place the MView n a nn-pltting layer, set it t the prper scale, Display Cnfiguratin and ptinally restre a Layer Snapsht. The MView will autmatically have its viewprt scale lcked. If calluts and ther field cde references exist, these will all be updated t reflect the drawing s psitin upn the Sheet. 10

D nt switch t Mdel Space first. Drag the View nt the Sheet Layut. All XREFs will be attached in Mdel Space n a unique layer. Use the grips t adjust the size f the viewprt if necessary. Prject Title Blcks by default use Field Cdes that link t the Prject Data cntained in the APJ and Sheet Set files. S this data shuld als input and update autmatically simply by creating the Sheet. Autmatic Re-pathing and View Regeneratin Shuld any changes t file names, flder names r lcatins take place, yu will be prmpted by Prject Navigatr t Re-Path the prject t reflect these changes. Always answer yes if prmpted. If yu answer n, yu will nt be given anther pprtunity t re-path later. Therefre, yu wuld have t edit all XREF paths manually a very tedius prcess. In additin t re-pathing, the system will als prmpt yu t regenerate Views shuld the level settings change. If yu rather nt wait t be prmpted, yu can re-path the prject yurself at anytime by clicking the Re-Path icn n the Prject Navigatr and yu can Regenerate a View by right-clicking n it in Prject Navigatr. (See Figure 12). Wrking with Prjects Figure 12 The Re-path icn n the Prject Navigatr Nw that we have reviewed many f the features and benefits f the Drawing Management system, let s take a clser lk at a few imprtant cncepts and techniques. Prject File Naming There are almst as many ways t name files as there are firms using ADT. Hwever, as different as the naming scheme in ne firm might be frm that f anther dwn the blck, there are many similarities frm firm t firm. In mst cases, yu will easily be able t adapt yur existing scheme int the use f Prject Navigatr withut t much difficulty. While ADT impses n required methd fr naming files, there are certain guidelines that can assist users in the naming f their files. The mst imprtant cnsideratin when develping a file naming scheme fr ADT Prjects is t be very careful nt t chse names that cntradict the intended use f a particular type f file. In ther wrds, Cnstructs are nt Plans r Elevatins, therefre they shuld nt have names like Plan01, 01 Flr Plan r A-FP01. Cnstructs are actually mdels and are used generate Plans, Sectins, Elevatins, Details and 3D Views files. It is View files that are specific types f drawings like Plans, Elevatins and Sectins. Therefre, it is recmmended that yur file naming fr Cnstructs nt include any reference t a particular type f drawing and rather be descriptive f the Cnstruct s cntents. Use drawing type naming fr View files. In mst cases, yur firm already has a mdel file and sheet file naming cnventin well established. 11

Belw is a summary f ptential file names based n the recmmendatins f the US Natinal CAD Standard as adapted t the Prject Navigatr and suggestins made here. Fr cmplete infrmatin and t purchase a cpy f NCS visit: An NCS Mdel file name is cmpsed f a Discipline, plus a drawing type Cde, fllwed by an enumeratin (which typically crrespnds t the flr number), thugh nt always. (Elevatins fr instance wuld just be numbered sequentially in any lgical rder). Fr example: A-FP01 = Architectural First Flr Plan A-EL01 = Architectural Elevatins (first grup f elevatins. There culd be thers named 02, 03, etc.) The hyphen is used between discipline and cde, but nt between cde and number. NCS Recmmends the fllwing cdes fr Mdel files Use these designatins fr View file names: FP = Flr Plan SC = SeCtin SP = Site Plan DT = DeTail DP = Demlitin Plan SH = ScHedules QP = equipment Plan 3D = ismetrics/3d XP = existing Plan DG = DiaGrams EL = ELevatin Technically, FP wuld be used fr any type f Plan and they wuld simply be enumerated. S, the first flr plan might be: A-FP01, while the first flr ceiling plan wuld be: A-FP02, r smething. Hwever, A-FP02 fr a ceiling plan n the first flr is cnfusing t mst peple and it is highly likely yu wuld run ut f cdes with nly tw digits. Therefre, the fllwing abbreviatins are used almst universally by mst firms instead: CP = reflected Ceiling Plan EP = Enlarged Plan RP = furniture Plan While A-3D01 wuld technically be crrect fr the name f a cmpsite mdel, I prefer this: CM = Cmpsite Mdel (This ne is my additin) S the file wuld be named A-CM01 (Yu culd als use A-CM00 fr the first cmpsite mdel in a set. It is nt that critical with which number yu start). NCS knws nthing abut Cnstructs. Since their names indicate drawing type and functin, they are best suited t use as View file names. Cnsider descriptive names fr Cnstructs such as: 01 Walls Stair (fr spanning Stairs) 01 Shell and Cre 00 Stair (alternative fr stairs) 01 Flr Rf 01 Flr Plate (nt Plan ) 01 Slab Fr Sheets, the NCS system is fine. They recmmend the number f the Sheet; which typically includes the discipline cde as well. The number is in tw parts, the first digit is a cde indicating drawing type, and the remaining tw are an enumeratin. 1 = Plans (Hrizntal Views) 6 = Schedules and Diagrams 2 = Elevatins (Vertical Views) 7 = Used Defined 3 = Sectins (Sectinal Views) 8 = User Defined 4 = Large Scale Views (Plans, Sectins & Elevatins that are nt Details) 9 = 3D Representatins (Ismetrics, Perspectives and Phtgraphs) 5 = Details 12

14 Examples: A-101 (Architectural First Flr Plan) A-102 (Architectural Secnd Flr Plan) A-103 (Architectural First Flr Reflected Ceiling Plan) A-201 (Architectural Building Elevatins) A-301 (Architectural Building Sectins) Here again, the cdes are very brad, s it is certainly pssible n a big jb t run ut f numbers. Many firms develp similar systems f naming, but cnceptually they are usually very cnsistent with these. One factr t cnsider, while there is neither functinal nr philsphical reasn why existing sheet file naming in yur firm cannt simply be adpted, the integratin f the Sheet Set Manager within Prject Navigatr intrduces sme hard cded assumptins abut Sheet file naming which may be different than yur current system. When yu name a new Sheet n Prject Navigatr s Sheets tab, yu input bth the Sheet number and the Sheet Title. These tw values, which will ultimately feed tw different fields n the title blck are by default cncatenated tgether t frm the Sheet File name. It is likely that this is in variance t hw yu name sheets tday. Whether r nt it will prve prblematic is anther matter. In mst cases it is arguable that this change in naming will have little t n impact n yur wrk flw r prcess. Cnsidering the level f autmatin that Sheet Set manager brings t the table. D give this new apprach sme serius cnsideratin befre adpting a cntrary plicy that may actually prve harder t manage. Prject Setup When the time cmes in a prject cycle t begin thinking abut hw many sheets f drawings will be required and what thse sheets will cntain, it is time t build a digital cartn set. Just like the traditinal cartn set, the digital versin will help make gd decisins abut prject dcumentatin requirements and the impact n budget and persnnel cnsideratins. One extra advantage f the digital cartn set is that it will evlve int the actual CAD files f the prject, which means that layut f a cartn set is actually the layut f the real dcument set! Dn t be cncerned with the finality that this seems t imply. The dcuments remain cmpletely flexible and editable, making this apprach cnsistent with the gal f prgressive refinement predminant in the use f ADT. Cautin: Please d nt skip this step when setting up yur wn prjects. Establishing the Building Infrmatin Mdel structure and the digital cartn set at the beginning f a prject is critical t success in using ADT tls and methds with that prject. Nw that we have taken a cmprehensive lk at the pieces f an ADT Prject, the final thing remaining is a list f steps t perfrm at the start f a new prject. The earlier yu perfrm these steps in the life f a prject the better fr all persns invlved. The value f develping a cmplete prject structure early in the life f a prject cannt be verstated. Take the time t d this early, and yu will be glad yu did. New t ADT 2006 is the ability t use a Template Prject fr setup f new prjects. A cpy f the Template Prject is made when yu start the new prject and all XREFs and files are repathed autmatically. This makes it very easy t start a new prject based upn an ffice standard. Think f the fllwing steps as a prcess t create a new template prject. 1. Open Prject Brwser, and create a New Prject. In Prject Brwser (File menu), brwse t a lcatin where yu wish t save yur prject. Chse the default template prject. (Very imprtant if yu want t use Prject Tl Palettes). Cnfigure the Name, Number and Descriptin and then create a New Prject. Cnfigure the Levels (and if using, Divisins). Start with the files that have n XREFs like site plans and base building cnditins and wrk yur way frward. 2. On Prject Navigatr, create a Site Cnditins Cnstruct. Open any Site Cnditins files (frm utside surces, previus prjects, clients, engineers, etc.) and run AUDIT and PURGE. Try t eliminate all extraneus data, gemetry, anntatins and layers. (Be sure t keep a backup f all riginal files. If yu want them easily accessible, create an Existing Files flder in the Elements flder and stre them there). Cpy any existing gemetry frm this file t a New Cnstruct and save it as Site r Terrain (if

Yu can build a simple 3D Terrain mdel suitable fr (architectural visualizatin) using the Drape Tl n the Massing Tl Palette. T use Drape, yu need a series f Plylines that represent yur site s cnturs. 3. Imprt any Existing drawings int Prject Navigatr. Open any Existing Cnditins files (frm utside surces, previus prjects, clients, engineers, etc.) and run AUDIT and PURGE. Try t eliminate all extraneus data, gemetry, anntatins and layers. (Be sure t keep a backup f all riginal files. If yu want them easily accessible, create an Existing Files flder in the Elements flder and stre them there). Fr Interirs prjects, separate the permanent items frm the nn-permanent nes. Using Cut and Paste t Original Crdinates r Drag and Drp t Prject Navigatr, mve the permanent gemetry int a Base Building Cnstruct, and mve the rest t an Existing Cnditins and/r a Demlitin Cnstruct as apprpriate. Fr ther prjects, simply right click the Cnstructs flder and chse Save Current DWG as Cnstruct r use Drag and Drp t Prject Navigatr. (If yu use Save as Cnstruct, yur new Cnstruct will nt use yur ffice standard template. If yu wish t upgrade existing drawings t yur firm s template which is desirable fr maintaining Display Cntrl cnsistency, Cpy the gemetry ut f the existing file and then Paste it t Original Crdinates in a new Cnstruct). 4. Create any Typical Elements such as Cres, Tilet Rm Layuts r Shell Cnditins. 5. Create new Cnstructs fr Clumn Grids, Cre, Stairs, Enclsure r Shell, Spaces (and Ceiling Grids), and Partitins. Create nly thse Cnstructs required by yur prject type. If yu have typical layuts and cnfiguratins, create these as Elements first, and then drag them int the apprpriate Cnstructs. Mve, Cpy, Mirrr and Rtate Elements as required by the design. These are yur Base files. 6. Open each Cnstruct and establish crss-references. Drag and Drp frm Prject Navigatr the ther Cnstructs that yu wish t see underlain. (When dragging a Cnstruct t anther Cnstruct XREF Overlay is used autmatically). Fr example, the Partitins shuld reference the Grid, Stairs, Cre and Enclsures if present. At an early stage in the prject, simply add dummy gemetry as a placehlder fr majr building elements that yu will add and mdify later. The gal is prject setup. S wherever prject specific design data is nt available, place in dummy gemetry based n yur best educated guess. 7. Create additinal Base Files as Required. Duplicate each f the Base files (Grid, Stairs, Cre and Enclsures) as many times as required by the quantity f flrs and anticipated number f design variatins and cmplexity in the prject. (Yu can d this easily with the Cpy Cnstruct t Levels right click functin). Fr instance, yu may have five Cre Plans, but nly tw Clumn Grids. (If yu are unsure at this pint in the prject, make an educated guess, remember if tw flrs have the same Cre, r Grid, use an Element fr the Cre r Grid gemetry and then drag this int the Cnstruct fr each flr). 8. Duble-check all settings in each flr. Re-path the XREFs as required. Fr instance, if the Clumn Grid is the same as the First Flr, but the Cre is different, the Grid XREF will require n change, while the Cre must be renamed and re-pathed. (Dn t frget, yu can simply detach the wrng XREF, and Drag and Drp the crrect ne easier than manually repathing). When yu chse the Cpy Cnstruct t Levels ptin, it is very likely that the default names used by Prject Navigatr will be unsatisfactry. Be sure t rename them and then use the Re- 14

Fllw similar steps t create any additinal Cnstructs as necessary, (Cnstructs such as Furniture, Equipment, etc). Fr Cnstructs that are nt similar t anything else in the prject, simply create them frm scratch. 10. Create a Cmpsite Mdel View. Simply right click the Views flder n Prject Navigatr, and chse New View Dwg > General View. Fllw the wizard and chse all Levels, Divisins and Cnstructs. Open this Cmpsite Mdel and check yur prgress. Open any Cnstructs and make adjustments t the files as necessary based upn bservatins in the Cmpsite Mdel. 11. Create additinal Views fr Flr Plans. T create a Flr Plan View, use the same prcess as a Cmpsite Mdel, but check nly ne Level in the Wizard. Yu can als chse t exclude certain Cnstructs frm any View as apprpriate fr the type f View yu are creating. Create as many Flr Plan Views as required Flr Plans, Reflected Ceiling Plans, Furniture, Equipment, etc. Create a Mdel Space View in each Flr Plan View file and name it whatever yu desire the title f the drawing n the Sheet file t be. Add Titlemark Calluts. 12. Create Sectin and Elevatin View files. Use the Callut rutines t generate Sectin and Elevatin View files. Fr Sectins, chse all Cnstructs like the Cmpsite Mdel. Fr Elevatins, include nly exterir Cnstructs like Shell cnditins, Site and Rf. This will speed 2D Sectin/Elevatin Generatin time. 13. Create Detail Views Use the Callut rutines and create detail Views. (It is nt necessary t think f every single file required at this stage, but the mre files that are set up at the begging the better). 14. Create Schedule Views Again, it is nt likely that yu will have enugh data t create meaningful schedules at this stage, but yu can setup Cmpsite Mdel Views that are specifically intended t generate Schedule Tables. Then yu can even create the Schedule Table bjects and select the XREFs that yu will ultimately schedule. In this way, the Schedules can be easily updated later when prject data begins t flesh ut. 15. On the Sheets tab f the Prject Navigatr, create new Sheets. Assuming that yu are happy with the Sheet Set rganizatin that is created with new prjects, yu can begin adding Sheets right away. Otherwise, yu will need t spend sme time creating Subsets and rganizing yur Sheet Set. Yu must als determine the Sheet size yu wuld like t use and assign template files t each Subset. Must f this can be saved in a Sheet Set template that can be assigned as the default fr new ADT Prjects n the AEC Prject tab f the Optins dialg. Once yu have a Sheet created, pen it and drag and drp the apprpriate View frm Prject Navigatr directly n tp f the Layut (Paper Space) in the Sheet file. Yu can drag the entire View file, r any indented Mdel Space View beneath it. Resize the autmatically created viewprt with grips as necessary and psitin it within the title blck brder as yu require. Yu can drag mre than ne View t a single Sheet, and set up mre than ne Layut tab if desired and apprpriate. Duble-check all settings in the Sheet file. Save all Sheets with the primary layut active. 15

Add dummy gemetry t thse that dn t. Delete the dummy bjects nce real prject data is added. Run a test batch plt (Publish) n all Sheets t see if everything is cnfigured prperly. Make any required adjustments. 18. Cnfigure Prject Tl Palettes Create Library Files fr Styles and Cntent Create Prject Tl Palettes usually a basic Prject Tls which is like an individual per-user scratch pad, and a Shared Prject Tls which is read nly and set t refresh frm a surce fr sharing tls t the whle team. Cpy required ATC and AWS files t the Prject. 19. Save and Back up all files. The keys t success in this setup task are paying clse attentin t detail and being very methdical abut each step. Depending n the size f the prject, setting up all files can be a lng prcess, but yur effrts will be greatly rewarded as users reap the benefits f a well-cnceived prject file structure. Make sure t duble-check all settings at each critical step, particularly befre saving a file r duplicating a file. Once yu have cmpleted this prcess, if yu ften have similar file setup frm ne prject t the next, yu can use this prject as a Template Prject fr the next prject. Anther very imprtant step is setting up the Prject Tl Palettes. This is new t ADT 2006 and while very pwerful can be very challenging t set up at first. This tpic will be cvered and is dcumented in the paper fr BD31-3 The Autdesk Architectural Desktp Tl System Revealed. Please jin us in that sessin fr mre infrmatin. If yu are nt planning t attend, the paper will be available n the AU website after the cnference. Other Items Here are a few additinal Prject and Drawing Management related tpics. Glbal Cut Plane and Spanning Elements When yu create a spanning Cnstruct (a spanning Cnstruct ccurs when yu check mre than ne Level r Divisin n the Cnstruct Prperties dialg). This makes the Cnstruct appear in all Views that reference any f the Levels r Divisins t which the spanning Cnstruct belngs. This is typically used fr multi-strey Curtain Walls and Stair bjects. The Display Cnfiguratin (r Glbal) Cut Plane is a setting in the Display Cnfiguratin that wrks acrss all bjects in a file, including spanning Cnstructs that are XREFed in. Therefre, if yu have a Cnstruct that spans three flrs, and the gemetry is different n each flr f the design, glbal cut plane will display the Curtain Wall crrectly n each flr. (See Figure 13). 16

Expand Display Cnfiguratins, and select the active (shwn bld) Cnfiguratin. On the Cut Plan tab, yu can change its settings. All bjects will use this value when determining the display f their plan graphics. Each Display Cnfiguratin has its wn setting. When a spanning element is intrduced, like the ne in Figure 13, it is inserted by Prject Navigatr at the crrect height relative t the lwest Level t which it is assigned. S n a third flr View, the Curtain Wall Cnstruct ends up being inserted at a negative value. This means that the glbal cut plane in the third flr View will cut the Curtain Wall crrectly and shw the third flr graphics. XREF Cleanup When yu separate bjects int different Elements and Cnstructs, it is smetimes desirable t have the Walls clean up acrss the tw files. This is accmplished with a setting in the Wall Cleanup Grup Definitin. When yu want Walls t cleanup acrss XREFs, pen the XREF file. Launch the Style Manager, and edit the Wall Cleanup Grup definitin t which the Walls yu need cleaned up are assigned. If yu are uncertain which Wall Cleanup Grup this is, select the Wall(s) and lk n the Prperties Palette. Yu can als create a new Cleanup Grup in the Style Manager. Edit the Wall Cleanup Grup and click the Design Rules tab. Place a check mark in the Allw Wall Cleanup between hst and xref drawings bx an then clse all dialgs. Save the XREF and then relad it in ther files t see the Walls Cleanup. In rder fr Walls t cleanup, they naturally must belng t a Wall Cleanup Grup with the same name in their wn file. Prject Standards Anther new and exciting feature t ADT 2006 is Prject Standards. Prject Standards is a feature that allws us t establish ne f mre library files cntaining master cpies f bject Styles an/r Display Settings and then t synchrnize thse standard Styles and Displays t all f the prject files. In this way, yu can keep all the files f a prject current n changes being made in ther files. In rder t use Prject Standards, yu must have a prject active, Prject Standards must be enabled (it is nt by default), ne r mre library files must be created and cnfigured and then yu must synchrnize the prject. Let s lk at the steps in a bit mre detail. Prject Standards Setup If yu used the ut f the bx template prject t start yur current prject (r t build the template frm which it was made) yu will have a flder in yur prject flder named Standards. That flder will have a sub-flder named Cntent. (While these flder names are nt required, they are recmmended). 1. Create a Library file in the Standards\Cntent flder f the current prject. Use an name like Prject Library.dwg. In this file, create r imprt Styles (such as Wall Styles) that yu wish t use as standards fr the 17

19 BD21-2 Level and Prject Management in ADT 2006 by Paul F. Aubin prject. These can be created frm scratch f imprted via Style Manager r Cntent Brwser frm ther files. Pay clse attentin t the names f the Styles. If the prject is already underway, cpy Styles already in use in actual prject files t this file t establish them as Standard Styles. It is pssible t stre Standard Styles in mre than ne drawing file within the prject flders r even utside the prject flder structure. In general, it is recmmended that yu maintain as few Standards files as pssible per prject. Save the Standards file. 2. On the Prject Navigatr palette, click the Cnfigure Prject Standards icn (see number 1 in the Figure belw). At the tp f the dialg, enable Prject Standards by placing a checkmark in the Enable prject standards checkbx (see item 2 in the Figure abve). Click the Add Drawing icn t add a drawing t the list f Standards drawings fr the prject. Brwse t the Prject Library.dwg drawing file (r whatever yu named yur standards drawing abve). A clumn f checkbxes will appear. When yu set up prject standards fr the first time, yu shuld limit the cnfiguratin t a single Style type such as Walls. This will make it easier t wrk with and understand at first. Later yu can return t this dialg and select additinal bxes. Place a checkmark in Wall Styles and then click OK. A Versin Cmment dialg will appear. Standards will cmpare tw bits f infrmatin t decide when a Style needs t be updated. It will cmpare the Style name and the Versin ID.
