4 We are Total Image Pro Total Image has a clear objective. Provide photographers with high quality imaging products quickly, efficiently and of course beautifully. The ability to deliver on this objective is not a static process. For over 40 years we have watched massive innovation and change in the photographic industry. Many labs have struggled and even failed as large labs have taken over market share with pricing or turnaround. Our position as a smaller, more personalized business has allowed us to make the changes to compete, while maintaining a strong client base, many of whom we now call our personal friends. Really that is not far from the vision of our founder Rene Brinsfield. He started Capitol Filmworks in 1974 to process football film. Years later we meet people who knew him, worked with him and called him a friend. That is how we were started and it is how we will run our business for years to come. Welcome to the Total Image family. Becoming a Total Image Pro Client Register online at Totalimage.com or call customer service at 800/ Total Image Pro Clients must have a current business license. Alabama residents must submit a valid sales tax ID number to receive orders with no sales tax. These numbers are audited yearly. If your number expires you will be charged tax on your orders and back tax on any orders that may have been completed during the time when your license was expired. Payment Options and Policies Account Settlement All billing discrepancies must be resolved within 10 working days of invoice date. After 10 working days all billings are final. Check Policy Checks are accepted for COD and pick up orders as well as payment on net 30 accounts. Returned checks will incur a $35 service fee. Once a check is returned unpaid all orders must be paid by credit card or cashier s check. Credit Card Accounts New clients are by default credit card customers. Your credit card number is kept on file and will be billed when your order is shipped. If an order is prepared to ship and your credit card does not clear, your order will be held until customer service or shipping can reach you and receive a vaild number. Changing the credit card number in Total Image ordering software does not guarantee that your credit card will be updated. Please contact customer service at 800/ to insure card updates. Prepaid Accounts Please estimate the cost of your order and shipping charges plus 10%. Overpayments will apply towards future orders. Orders with insufficient funds will be shipped C.O.D for the remaining balance and incur an additional C.O.D fee. 5 Service Schedule Delivery times listed in each product section are based on estimated working days. A working day is defined as Monday through Friday and does not include holidays, weather days, or weekends. There is no guarantee of delivery on listed delivery times as machine and production issues can occur. Orders received after 10 AM CST are logged as coming in on the next working day. Orders arriving during holidays and weekends are logged as coming in the morning of the next working day. PicturePackages.com orders received after 3 PM CST are logged on the next working day. Orders with questions will be dated from the day all questions are answered. Shipping upgrades as a result of order delays are not incurred by Total Image Pro. 100% Rush Orders 100% Rush orders are billed at 2X the standard price. Our goal is same day service, however, some products require curing times and pass through multiple departments. As a result we will cut the delivery times to the bare minimum for that product. During peak season we reserve the right to limit Rush orders. Orders must be plainly designated RUSH for prompt processing. Contact customer service and alert them to the upcoming Rush orders. Minimum Order Charges PicturePackages.com (School and Volume) $25 minimum order. Reorders and add-on orders from a league, school, etc. can be billed at the $10 lab minimum. Please be sure to note that this is a 2nd order. Portrait and Wedding orders - $10 minimum order Order Change Fee / Cancellation Fee $4.00 will be applied to each changed or cancelled order. If the order has been printed the order will not be cancelled. Any portion of finishing, retouching, etc. that has been completed is billable. Remake Policies and Procedures All remakes must be called in. If you submit a new order for a remake you will be billed for a new order. There are no remakes on orders over 10 days old. Remakes are printed at no charge on a rush basis from your original order number and image(s). Grossly under and over exposed and off color images will not be remade. Un-cropped images will not be remade for cropping issues. Remakes will not result in a refund payment. Remakes are shipped to you the same way you initially ordered. Express Shipping or Saturday charges will be added to your order if you request an express delivery option. Please have the following information when requesting a remake. Your customer code/ number Your order number Your image number The reason for the correction. (Images may be requested of the damaged product.) The print on hand in case we request for the print to be picked up. For UPS shipping damage please retain the original box and shipping materials. 6 Shipping and Handling Your shipping from Total Image Pro is a shared cost. We do everything within our control to negotiate low shipping rates and control material costs to help you maintain a higher profit margin. Total Image Pro uses bin shipping. With bin shipping we hold your orders as late into the day as possible to fit as many orders into one box as possible. During peak seasons it may be necessary to ship more than one box even for small orders to expedite your orders to your studio. Also note, that we can not guarantee that requested orders will ship together. Additional shipping costs will be charged as necessary Total Image Pro and PicturePackages.com Shipping Costs: Orders are shipped standard ground service. Standard sized box incurs a shipping fee of $8.00 and a handling fee of $2.00 per box. Oversized boxes will incur additional costs. Expedited shipping options are available at actual costs. USPS Trackable Shipping: In some cases your orders may be shipped USPS Priority or First Class Trackable mail. Drop Shipping: Drop shipping is available for an additional $4.50 per box. Invoices will be mailed to your studio or shipped with your next outgoing package. COD Shipping: COD shipping is available for an additional $11.00 per box (Price subject to change based on UPS rates). COD orders are limited to a maximum of $300 per order. Please keep us up to date on any change of address. We cannot ship UPS to a PO Box. 7 File Parameters Digital file names must be alpha-numeric only. Do not include any illegal characters including &-[ ] / \ = + < > : ;, * File names using these characters will incur a $1 file renaming charge and add additional time to your order. Use 8 bit SRGB color jpeg and non-layered TIFs only. No LZW compression should be used AND no extra channels, layers or layer masks should be in the file. Additional charges and time may be added to your order. All files when printed are cropped with 3% variance. All files should be cropped either within the ordering software of your choice or pre-cropped in an appropriate editing software such as PhotoShop. All pre-cropped files should be sized at 300PPI. Odd size prints should be placed on a canvas size for the next larger print size. For example, a 7.5x10 should be placed on a canvas that is 8x10. There is a $5.00 charge for odd sizes that have to be placed on a new canvas and this adds additional time to your order. Reformatting of files to remove layers, hidden channels or any other file setups outside of the guidelines will result in a $5.00 per image charge and add additional time to your order. Reformatting or file conversion will add 1 work day to your order. Steps to Calibrate for Studio Managed Color 1. Calibrate your monitor. You must use a hardware/software combo. There are many on the market ranging from $99-$500. These packages consist of a hardware device (puck) and profiling software that you install on your computer. When prompted by the software, we recommend a TRC (gamma_ setting if 2.2 and a white point of D65 (6500 degrees). Before calibrating, be sure that your monitor has warmed up for 1 hour. Always calibrate with the ambient room light set as it would be when you are correcting images. 2. Edit your color settings so all files are edited and submitted in SRGB color space. Choose edit/color settings (PC) or photoshop/color settings (Mac) to open the color setting dialog box. Change the RGB working space to srgb IEC Then change the RGB color management policies to convert to working rgb Uncheck all of the ask when boxes, then click OK. If you are shooting RAW, you will also want to set your processing preferences color space to srgb. In Lightroom choose edit/preferences/external editing and change color space to srgb 3. Verify that all files are submitted as 8 bit files. 4. Submit test prints to the lab and visually verify them against your monitor in normal viewing conditions. 5. If you are properly calibrated, your prints will actually look the same as your monitor. You must consider the light source under which you are viewing the actual prints. If you take a print and walk from room to room in your studio or home, you will see the print change colors under different light sources. Fluorescents will make them appear green, incandescent lights will make them appear yellow. Always check your final prints under either daylight or daylight corrected bulbs. Studio Samples Studio samples are available at 25% off regular price. Please indicate in your order notes that you are sending a sample order when submitting your order. Only 5 samples per product line are available per year unless otherwise pre-approved. Price Lists Printed copies of the Total Image Pro price list are available. 14 PicturePackages.com is a Total Image Pro service comprised of both FREE, user friendly software and high quality, fast turn around printing. The software has been in use since July 2002 and has processed literally millions of images for volume photography clients across the US. {1-2 working days} Orders received after 3 pm CST are billed as arriving on the next business day Orders with custom template swap will receive 1 extra day. 18 School Days Express - {3-5 working days} School Days Express turns Total Image Pro into your production and order entry staff. We handle all data file manipulation, project preparation, barcode printing, envelope entering and even print ordering. You take the photos, scan the barcodes and we take care of the rest. Limited spaces are avaiable for this service. How it works: 1. Contact Total Image Pro and request a consultation. During the consultation we will determine what products you will need for your schools and what artwork we will need from you to create envelopes, templates, etc. 2. Once the consultation is completed sample color files and crop files will be requested. 3. A schedule for your upcoming schools - even if cursory will be requested weeks out from your school we will require a comma delimited text file or excel spreadsheet of your schools student and faculty. The data needed can differ for each school but typically a school will supply first name, last name, student id, grade and home room. If additional information is required to meet your schools needs please make sure that this information is provided as well. 5. Once the data has been received, camera cards will be produced and returned to your studio. We will also incude a reminder of the steps to start and finish scanning your cards during your shoot. 6. Camera cards, scanner files and camera files are returned to Total Image Pro. 7. Proofs, admin files are then placed according to your needs. 8.
