4 Supply Box Your supply box has arrived! This box contains everything you are going to need to run a successful program. Your supply box contains Coordinator s Guide Art paper Art Guidelines Two (2) pre-paid UPS shipping labels (stapled to hot pink piece of paper) Please keep this in a safe spot! You ll need it later. Marketing Kit Product samples or folders/labels Posters It s time to engage your students! Over the years we have found that the more excited the students are about their projects, the more excited the families will be, too Access to Online Customer Care! 5 Program Promotion While students are busy creating their masterpieces, you ll want to promote the program to your families and build excitement. Remember, the more you promote, the more your profits will grow! Ways to promote Display posters in prominent area where parents and students will see them. Create an eye-catching display of sample products in a high-traffic area. Announce the program in your school newsletter, on your school website and/or social media sites. Interview student artists for the school newsletter or for an in-school video broadcast. Include information in your morning announcements. Send copies of the Look What s Coming letter home. For more ideas on promoting your program, creating excitement, and increasing participation we have created an emarketing Kit for you. Be sure to login to the Customer Care Center and visit the emarketing section. Password: CCC1718 (Capital C s) Create student excitement Select the Picasso or Michelangelo in each grade level and award the class that student is in with a Popsicle Party. Offer participation challenges to classrooms for recording the highest sales or most orders. 4

6 Artwork Creation It s time to engage your students! Over the years we have found that the more excited the students are about their projects, the more excited the families will be, too. Bright, Bold Colors! Recommended Media Creating a bright and colorful artwork that will reproduce well onto our products is easy when you follow our Art Guidelines. Please read and share the Art Guidelines with anyone helping the students with their artworks. Choose subject matter that families will treasure and want to preserve. Crayons Watercolors Markers Tempera Paints Paper Collages Art Paper We highly recommend that you use the high quality art paper that was provided. However if you choose not to, there are a few rules that we have: Size matters! All paper must be 8.5 x 11. We recommend a paper weight of 60-70#. Construction paper. While it can enhance a project, it often doesn t produce true to color. If you must use construction paper, please ensure it is a high quality paper. Avoid Playing on the Edge During reproduction, items that are within 1 from the edge could be trimmed. This is especially true of our full bleed products (keychains, tiles...) Keep details such as names, dates, etc. 1 from the edge. Add a 1 colorful border to help younger artists stay within the area. If a pencil guide is drawn, be sure to erase it completely, otherwise it will appear on finished products. 7

7 Art Guidelines Creating great art is the first step to a successful program. Here are some helpful tips for you to follow. We recommend using the following for the best results: Crayons - Watercolors - Markers - Tempera Paints - Photos - Paper Collages YES... please do Use the art paper provided in your supply box Use bright, bold, rich colors Create colorful, fun artwork that parents will want to preserve Check out our free lesson plans if you need inspiration Fill the entire sheet of 8.5 x 11 paper with color edge-to-edge If signing the front of the artwork, write names or dates at least 1 from the edge of the paper If labeling artwork, apply the label to the back of the artwork after the artwork has been completed To identify artwork, write the artist s name, teacher and grade on the back of the artwork remember pencil only Mark the back of the artwork with a T to indicate the Top to ensure the proper orientation of the artwork - pencil only Securely glue all pieces of paper collages Spray all chalk and oil pastels with a fixative such as Krylon #1311 matte fixative or we will not process Add borders for fun and interest NO... please don t Don t use glitter of any kind no glitter crayons,markers or paint. No sprinkled glitter Don t use trademark or copyright images or logos. This includes brand names, cartoon characters, stickers, cutouts from magazines, and newspaper print Don t use fluorescent markers Don t use metallic markers or metallic paints Don t use abrasives like salt or sand Don t create 3D art no cotton balls, feathers, yarn, foam cutouts or googly eyes Don t create scratch art Don t use poor quality construction paper Don t write names or dates along the edges of the art paper Don t write on the back of the artwork in pen or marker as it will show through Don t use different sized paper. It must be 8.5 x 11 and we recommend 60-70#. For best results use the provided paper! For more details and examples visit 8

8 Helpful Art Tips Please follow these simple tips to create great art for lasting memories. Use bold, rich colors. Fill all of the space, edge-to-edge. Attractive borders add fun and interest. Write names or dates at least 1 from the edge of the paper or they may be cutoff during production. Be sure to securely glue everything. We don t want a roof to fall off a house while it s being shipped here! When creating hand-print art, fill the entire sheet with color or add an exciting background. Ethan Groff 4th Smith T (Back of horizontal artwork) Label all artwork on the back in pencil. Include the artist s name, teacher and grade. Place a T on the back to indicate Top. T Ethan Groff 4th Smith (Back of vertical artwork) Artwork can be horizontal or vertical. All artwork is produced as is. We capture and reproduce the full 8.5 x 11 artwork for your keepsakes. 9

9 No Art Teacher... Don t have an Art Teachers on staff? Artwork is created in the individual classrooms instead of during an art class? Here is the solution... Just minutes a day Typically, if artwork is to be done in the classrooms, homeroom teachers set aside a minute period each day for one week when students may create their artwork. Declaring an Art Awareness Week at the school ties in nicely with this dedicated time period for creating the artworks. Another great time to allow for creation of the artwork is during Spirit Week. Usually a second week is set aside for those students who were out during the first week or need to finish their masterpieces. Free lesson plans available Our Customer Care Center has a library containing lesson plans for you to download. These plans are designed to be simple yet creative. Additional artwork subject matter The subject matter may reflect what the students are studying in history, science or literature. It s easiest if each grade level has the same subject matter. Some examples: 1st Graders may be studying Earth Science oceans, fish and sea life or classifying animals into groups (marine, mammals, etc.) may be good topics. 3rd Graders may be covering Ecology rain forest ecosystem, habitats and animals may be a good direction. 4th Graders may be studying your state s history, the role of industry and settlement in Social Studies a historic event or person from your state may be the subject. Perhaps, a self-portrait dressed as a child of a specific era in your state s history will be of interest 6th Graders may be covering Earth Science oceans and marine life, weather and climate, our solar system, stars and galaxies make great subject matter. 10

10 Magnet Phase Once student artwork has been completed, it is sent to Original Works where each artwork is reproduced on a preview magnet that will be sent home with the option for families to purchase. Remember please stay on schedule! 1. Prepare orders for shipment. Organize the artwork in folders by class & grade (your family packets will be packed the same way, making for easy distribution). 2. Shipping Form A. Complete & return with your artwork. 3. Shipment. Using the prepaid UPS label found in your supply box, send the artwork & shipping form to Original Works. Give the package to any UPS driver OR take it to a UPS store or authorized UPS facility. Artwork Processing Each artwork submitted is scanned & saved in our system. When saved, the artwork is assigned a unique 6-digit number. This number appears on a label we affix to the back of the artwork, and corresponds to the number on the custom Order Form included in the Family Packet. It is very important that... Parents with multiple children keep the order forms straight when placing orders. If order forms are mixed up, this could result in the correct products being reproduced from incorrect artwork. 1. Family Packets Send family packets home. Each packet includes a preview magnet, original artwork, custom order form, brochure, and Dear Family letter with pricing. 2. Collect orders. Families will return order form, payment and unpurchased magnets. 3. Prepare orders for shipment. Organize the orders in folders by class & grade (your finished products will be packed the same way, making for easy distribution). 4. Shipment. Complete & return Shipping Form B with your orders. Using the prepaid UPS label found in your supply box, send the orders & shipping form to Original Works. Orders Preview Magnet Purchase Families wishing to purchase the Preview Magnet, simply check the box in line #1 of the Order Form and keep it. If the magnet is not being purchased, it should be returned to the school. Unpurchased magnets should NOT be sent back to Original Works. You will not be charged for these magnets. If a student missed the opportunity to submit artwork during the Magnet Phase, they may submit an order and artwork at this time. However, they will not receive a preview magnet. 11

11 Additional Orders Late and additional orders are common and we encourage you to send them to us for processing. All of the late orders increase your program profits so you should welcome them, too! 1. Collect Orders Late orders include both new orders and re-orders from families who ordered previously. If a family has ordered previously, artwork does not need to be re-sent, however, they must provide the order form number & description of the artwork from their original order so that we can retrieve the art. Should you require an order form, a blank one is provided at the back of this guide. 2. Shipping Form C Complete and send with your orders. Your first late/additional order is shipped back to the school for free. Subsequent orders are subject to a nominal $10 shipping fee. Specific delivery dates for late/additional orders cannot be guaranteed. Orders arrive Orders are shipped and will arrive at your school based on the scheduled delivery date on your program confirmation. Coordinator s envelope A white coordinator s envelope is included in Box # 1 of your shipment. This envelope contains your Order Recap Report and any artwork that could not be processed. Student packages Each package contains the child s order form, products ordered and care instructions. Ceramic mugs, travel mugs & place mats will be labeled & packaged separately in the shipping box. Encourage late orders! All of your late/additional orders earn the same profit as your primary order! Your first late/additional order is shipped back to the school for free! Promoting a Second Chance is a great way to increase the profits and success of your program! Product Distribution This is the most exciting time - the keepsakes have arrived and it s time to distribute products. Recruit some help... We recommend you recruit some volunteers to help with the distribution process. Unpacking the keepsakes is FUN for everyone! Parents will love to see the amazing artwork created by the students. Offer volunteers the opportunity to purchase products for the wholesale price as a Thank you. 14

12 Customer Service Although we thoroughly inspect all orders before shipping, occasionally a less than perfect order gets through. We call this a Fix It, and if it occurs with one of your orders, our friendly Customer Service team is standing by to assist. Does the artwork need to be sent back to Oops... we have a Fix It Original Works with Shipping Form F? If your order/product meets one or more of the following criteria, then a Forms F (Fix It Form) should be submitted to Original Works: Material defect: hole in t-shirt, chipped tile or mug, etc. Incorrect product: ordered a sketchbook and received a journal. Improper reproduction: artwork is reproduced upside down on product. Missing product: you were invoiced for a product but it was not received. YES... send the artwork back if your product has: Color quality issue Image blurriness Incorrect image NO... do not send the artwork back if: Item is missing Item is damaged Incorrect item was made Shipping Form F Please complete all information and return to Original Works. We ll process your Fix It ASAP. When in doubt, please contact our Customer Service Team at cs@originalworks.com Monday - Friday, 8:00 am - 4:30 pm EST Artwork Produced As Is All artwork is reproduced As Is. The entire 8.5 x 11 piece of artwork is captured for your keepsakes. We do not alter the artist s creation in any way. Please don t ask us to erase pencil marks or artist guide lines. It is best that you do this before you send the artworks to us. We hope that you will use the paper provided in your supply box. Use bold and vibrant colors. Your subject matter should fill the entire sheet of paper. We cannot be responsible for fixing custom products if our Art Guidelines are not followed. Did you know? Image retention Original Works keeps images on file for a fixed period of time: Fall programs - images are retained until March 1st Spring programs - images are retained until September 1st If a Fix-It is submitted after one of these retention deadlines, please submit the original artwork. 16
