1 Time Planner The Time Planner helps you manage the time you spend working on your Amway business. TIME PLANNER Nine-Step Process Follow these nine steps to effectively use the Time Planner. This Business Tool will help you organize your time and schedule your Amway business tasks. 1. Decide how much time you plan to spend in each major category using the Weekly Hour Division Calculator. 2. Using the Task Calendar for a week (Monday Sunday), post the amount of time you have available to work on business for each day. 3. For every day of the week, list the different tasks (and the tasks categories) that you are planning to try to complete that day. 4. Assign how long it will take you to complete each task and assign the task to a category. 5. Prioritise the tasks for your day based on their importance. 6. Total the time to assure that you are not exceeding the estimated time available. 7. At the end of the week, add up the categories and compare to the times you came up with in the Weekly Hour Division Calculator. 8. Adjust your plans for the following week. 9. Use the Monthly Calendar to post all appointments

2 Tool: Time Planner Tool Key: Weekly Hour Division Calculator Enter this information into the following fields of the Weekly Hour Division Calculator table: Start with the % Column Total Time: This will always be 100% of your time. All the percentages below should add up to 100%. Generation of Sales (GS): enter the percentage of your time for the week that you would like to spend on activities that will help you generate new sales. This will include telling new people about your Amway business or meeting with friends and family. Maintenance of Sales (MS): enter the percentage of your time for the week that you would like to spend on activities that help you maintain current sales. This will include both the administrative tasks involved with current sales or following up with current clients to make reorder or new sales. Business Administration (BA): enter the percentage of your time for the week that you would like to spend on activities that will help you organise and run your Amway business. This will include activities like using your business management systems or activities that do not involve sales or clients and are not educational. Learning and Skill Development (LD): enter the percentage of your time for the week that you would like to spend on activities that will help you develop your skills or learning about your Amway business. This will include any courses you take or any practice activities you complete. Next complete the Hours Column. Convert the percentages into hours. Total Time: enter the total hours that you will spend working on your Amway business this week. Generation of Sales: calculate these hours by multiplying your Total Time hours by your Generation of Sales percentage. For example, if you have 15 hours for the week and you want to spend 75% of your time generating sales, you would spend hours on these tasks (15 x.75 = 11.25). Maintenance of Sales: calculate the same as your Generation of Sales hours, but use your Maintenance of Sales percentage. Business Administration: calculate the same as your Generation of Sales hours, but use your Business Administration percentage. Learning and Skill Development: calculate the same as your Generation of Sales hours, but use your Learning and Skill Development percentage.

3 Tool Key: Task Calendar Enter this information into the following fields of the Task Calendar table: Complete the days boxes. Enter the date next to each day. Time Available: list how much time you plan to spend on your Amway business. Task: enter the daily tasks keeping in mind the distribution you want to achieve running your business. These tasks should come from what you think you need to accomplish for the week. Schedule your most important tasks first. How Long: enter the amount of time you think it will take to complete your tasks. Category: assign tasks to their planning categories. Use abbreviations: GS for Generation of Sales, MS for Maintenance of Sales, BA for Business Administration and LD for Learning and Development. Total Time: Add up all of the time for the daily tasks in the How Long column. If the time exceeds your Time Available move some tasks to a different day. Priority: prioritise daily tasks based on their importance. Order which tasks you should complete first (e.g. 1st, 2nd, etc ). Done: enter a checkmark every time you complete a task. Notes: Record any notes about your week or tasks in the Notes section.

6 Tool: Time Planner Tool Key: Monthly Calendar Use the Monthly Calendar to schedule your Amway business appointments. You can enter what month the calendar is for in the blank at the top of the calendar. Enter the dates in the miniature boxes in the upper-left corner of each day. Refer to your Monthly Calendar when you schedule your tasks so you do not miss any appointments.

8 Tool: Time Planner Tool Key: Task Analyser Enter this information into the following fields of the Task Analyser: Accomplished Tasks: enter all the tasks you completed during the week. Generation of Sales, Maintenance of Sales, Business Administration and Learning and Skill Development: enter the number of hours each activity took under the type of task it is. For instance, the task Complete Time Planner for week could be 5 hours in the Business Administration column. Total Hours: enter the amount of time spent for each major category. Estimated Hours: enter the time based on the original amounts of time from the Weekly Hour Division Calculator. Difference: What is the difference between your Total Hours and your Estimated Hours? Compare how closely your Total Hours came to your planned hours. Think of ways you can adjust your priorities so that your schedule is more in line with your planning.

9 Tool: Time Planner Tool Key: Business Management Checklist Enter this information into the following fields of the Business Management Checklist table: Step: enter the steps that you will take to implement this business management system into your own Amway business. Done: enter a checkmark every time you complete a step.

10 Application Activity Directions: Using this Application Activity, you can practice scheduling your tasks for the month, week and day. Use these pointers when creating your first Time Planner: Complete the tables in the order they are listed (Weekly Hour Division Calculator, Task Calendar, Monthly Calendar and Task Analyser). This will allow you to decide first what percentage of time you want to devote to the different type of business tasks you have. These decisions are part of business organisation. Even if you do not want to spend a certain amount of time on a particular part of your Amway business, your Amway business may need it. Once you have figured out the amount of time you have for each type of task in your Amway business, prioritise the tasks. It is important to prioritise your tasks. If your schedule has to change, you always want to be able to complete your most important (number 1 ) tasks first. Schedule your entire week. Even if you are not sure if your schedule will change, it is good to have a general plan that you can follow when working on your business tasks. Make Complete Time Planner one of your weekly tasks. You should try to do this once a week for the whole week. It will be easiest to do this every week if you can schedule it for the same time every week.
