4 CHAPTER 1: Introduction, Santa Fe Indian Market Standards and Awards Program The Santa Fe Indian Market is currently entering its 95 th year as the premiere Native fine art event in North America. From the earliest iterations of Indian Market, there has been an awards program that recognized excellence and achievement in a variety of art forms and mediums. The Southwestern Association for Indian Arts (SWAIA), the nonprofit that produces the prestigious Santa Fe Indian Market (SFIM), has embraced a mission that continues to reward excellence and promote high level fine art. SWAIA Mission Statement: Bringing Native Arts to the world by inspiring artistic excellence, fostering education, and creating meaningful partnerships. STANDARDS: SFIM has become known to collectors, museum curators, supporters, and artists alike as the standard for cultural preservation, innovation, evolution of art forms, and authenticity. In order to maintain this standard, Indian Market Standards have evolved and grown with our organization, the artists that participate, and the art forms that continue to amaze our visitor s year after year. In order to protect these standards; our artists, the SWAIA Board, and the SWAIA Staff work year round to ensure that each market is a reflection of the quality of our artists and their work. This manual provides the guidelines in each classification for accepted materials, allowable materials with disclosure, and where applicable, what materials are NOT allowed in the classification. AWARDS PROGRAM: In 2016, the awards program awarded ribbons in 11 classes, 37 Divisions, and 92 categories as well as 8 privately sponsored special awards. Cash prizes totaling approximately $90,000 was also directly awarded due to the generosity of many individuals, families, organizations, and foundations. This generosity and our organization seek to recognize the exceptional pieces that reflect the talent, skill, and creativity that artists often spend months creating in order to present to the world. Extremely competitive, the awards program is a testament to the high level fine art seen at the prestigious Santa Fe Indian Market. This manual serves as a guide to our awards programs various components. Please familiarize yourself with the standards manual and thank you for your participation! 4

5 CHAPTER 2: Indian Market General Receiving and Judging Rules *PLEASE NOTE: These rules apply to all Staff and Volunteers involved in Receiving, Judging, Previews, and Art Return Confidentiality o Please do not reveal information regarding entry pieces submitted or awards granted. This information is revealed at the Best of Show Luncheon on Friday afternoon. Your participation in any of the awards programs components certifies your agreement to this stipulation. Volunteer Check-In o ALL volunteers; receivers, class managers, judges, recorders, etc. must check-in at the Volunteer Check-in table at the beginning of your shift. Each Volunteer will receive a color-coded badge and apron at check-in. You must wear both at all times. Security will NOT let you into the room unless you are wearing your badge. Please do not loan your badge to unauthorized individuals. No friends, spouses, or children will be allowed to accompany you onto the main floor except for prior arranged disability required situations. Suggestion: You can tuck your badge into the top of your apron while wearing it to keep it from swinging around a potentially damaging art you may be handling while in the judging room. Mobile Phones, Tablets, Cameras, and Notebooks are NOT allowed o Anyone caught using these devices to leak information will be dismissed from the floor. You are allowed to carry mobile phones on your person but please step into the hallway to take any calls. Purses are generally not allowed on the floor o Please leave your purses and other valuable in your locked and secured vehicle or at home. We will allow purses to be left at the front of the room under the Best of Show table skirting but please note this is not always secure and SWAIA makes no guarantee for its safety. This allowance is more for emergency medications etc. that you may need to have readily available. Clothing and Jewelry o Please NO Jewelry, belts, eye-glass keepers, watches, rings, etc. that may scratch, chip, or catch on the artwork. Small earrings and smooth wedding bands are allowed. o Please wear comfortable shoes and clothing. o You can clip your name badge to your apron or collar to prevent it from swinging into art. o At the end of the day, please check your apron pocket for items that may have inadvertently fallen into them. 5

6 Snacks and Beverages are not allowed on the judging room floor. o SWAIA will provide snacks, water, coffee and meals where appropriate for volunteers in designated areas. Please keep food and drink in these rooms only and take breaks as necessary. 6

7 CHAPTER 3: Indian Market Receiving Instructions I. OVERVIEW: Receiving occurs on Wednesday August 16 th, 2017 between 1:00pm and 7:00pm at the Santa Fe Community Convention Center (SFCCC). Receiving is the first step for accepted artists to enter work into the awards program. All artists check in to the Convention Center at one of two entry receiving locations. Paintings and Sculpture on the North Side at the loading dock, all other classifications at the main entrance to the convention center. Artists will either bring or fill out on site a specific entry receiving form for each piece of art. Upon finishing the forms, they will then move toward the Receiving tables where volunteers will assist with finishing the forms, designating the appropriate classification and division, and then the art is received and moved into the main ballroom and specified areas. All art is taken to tables located near their designated classification for further inspection and sub-classification by the Classification Managers. Class Managers then move the art to areas designated by division. Once all art has made it to their appropriate division areas within their classification, they are ready for judging. This Section contains general information, rules, and duties for the Receiving portion of our awards program. The detail contained in this section provide consistency for the entire awards program; for SWAIA, the Volunteers, the artists and the judges. All will refer to this material during the receiving process. It is important that all have a comprehensive working knowledge of this material. Receiving Locations o Convention Center Main Entrance: All Classifications EXCEPT Sculpture and 2- Dimensional. o North Side (Loading Dock): Sculpture and 2-Dimensional Receiving hours- 1pm to 7pm at the SFCCC Who May Enter o o o Only accepted artists who have been assigned a booth at the time of receiving day, including children of exhibitors (17 years and younger) may enter pieces for consideration of an award. Artists may only enter items made during the last three years and must be the exclusive property of the exhibitor/artist. The Exhibiting artist, a family member or friend may enter the exhibitor s work for judging. The completed receiving form, including value, must be complete. If the exhibitor has someone delivering the piece for them, a signed note/letter must accompany the entry. o Mail-in entries are allowed by the specified deadline. o Dealers or gallery representatives may not enter artwork for the artist. 3 items per exhibiting artist are allowed for entry o Rules for entered pieces for judging 7

8 Insurance Topics o Artists may only enter pieces in the Classifications in which they were approved. Example: An artist applies in Jewelry and Pottery but is only accepted in Pottery. The artist may only enter the awards program in the Pottery classification, NOT in Jewelry. Artists MAY show in their booth other classifications that they have not juried into, but their work must meet SWAIA standards. Artists may only RECOMMEND the Division in which they wish to enter their piece(s). The final decision as to the appropriate Classification/Division is ledt to the Classification Manager, SWAIA Staff, and/or Indian Market Awards Judges. All Items entered for judging must: Be for Sale Be signed or hallmarked. Case editions, graphics, and photographs must also include the edition size and number. NOT be sold before Market hours Saturday; All sales must take place in artists booth. NOT have been commissioned. NOT be the property of, or consigned by anyone else. Not have been entered for judging in a prior SWAIA Indian Market. SWAIA will NOT accept: Items valued over $50,000. Items that are cracked or broken Obviously fragile items or items that require special handling or displays Culturally sensitive material that may be considered cultural/spiritual patrimony. Display items such as cases or stands unless it is a functional part of the piece. Mannequins ARE allowed for clothing items in Classification VI- Textiles. o Any items with a claimed insurance value over $20,000 must be approved and signed by either the Chief Operations Officer (COO), the Chief Development Officer (CDO), or the SWAIA Board Chair or Board Treasurer. o Pieces that claim an insurance value over $20,000 may require proof that the artist has sold similar pieces at that value if an insurance claim is made for damage and/or loss. Acceptance of the piece into the awards program is left to the discretion of the COO, CDO, or Board Chair. If this circumstance arises, please inform the artist that such proof may not be required at the time of entry, but may be required for any claim. o Loss or Damage Damaged articles/items must be inspected by an appraiser. Compensation will be determined by an independent appraiser selected by SWAIA. 8

9 SWAIA will NOT reimburse full retail value of any piece, ONLY replacement value. Joint or Collaborative Entries: Any item made by more than one artist (limited to 3 artists) can be entered for judging if ALL artists are approved Indian Market artists. All names must appear on the entry form and the collaborative item counts as one entry item PER artist. Awards o Submission for consideration in the Awards Program does NOT create rights, guarantees, or promises that the piece will be selected as a winner in any category. o Award winning items will be given two ribbons. When the item is sold, the original ribbon will go to the purchaser and the duplicate ribbon will be kept by the artist and must NOT be placed on any other item. o Monetary award checks for winners will be mailed within four to six weeks after Indian Market. II. RECEIVING VOLUNTEER ROLES Classification Managers i. Class Managers serve to receive and classify entered pieces into their appropriate divisions and categories. After an item is received, it makes its way into the ballroom and left on staging tables where the Class Managers will review the paperwork, then determine if it is classified in the right classification, division, and then category. The piece is then moved to the appropriate designated place within that Class to await the judging process of the awards program. ii. Class Managers also inspect and review the art entries to search for damage that may have been missed by the initial receivers. They review the paperwork in order to ensure that the forms are filled out correctly. iii. Class Managers can assist the front receivers in determining the appropriate category, and can handle art as it is delivered from the front and into the ballroom. iv. If necessary, Class Managers may consult with SWAIA staff (COO) to determine the appropriate category. Receivers i. A critical component to the judging program, Receivers further assist the artists upon initial contact with filling out the forms, determining the correct Class, Division, and Category, as well as handling art and delivering it to the ballroom and its appropriate designated area. ii. Receivers must be familiar with the current Standards Manual in order to assist with forms and category classifications. iii. Receivers must be aware of the importance of SWAIA standards and the evaluation processes. Receivers are the first line of defense in maintaining the high level standards of SWAIA and ensuring that every effort is made to see that art entry pieces meet SWAIA standards. 9

10 III. IV. iv. The Ballroom is divided up by Classification, Silent Auction areas, and the Live Auction display area. Please familiarize yourself with the layout so you will know where to deliver the specific pieces. v. Art Inspection: Please be careful and thorough in inspecting incoming pieces to the awards program. Most Damage is missed at this stage of the program. Once received, SWAIA is then liable for damage/loss to the piece, often whether or not the piece was damaged prior to receiving. Please see the procedure below for what happens if a piece is previously damaged prior to receiving, or a standards violation is found during the Receiving process. For further information on art handling, please see Chapter 5 of this standards manual. Artist Check-in/ Forms Assistance i. The first volunteers that our artists contact at the two entry locations (Front entrance of SFCCC and the loading dock), these volunteers provide basic information, artist list verification, and forms to the artists. ii. They assist with the filling out of the forms prior to the artists moving to the Receiving tables. TRAINING All scheduled trainings are mandatory. General Receiving training will begin in the designated training room at the Santa Fe Community Convention Center (SFCCC). Detailed times on training will be noted in the letter to Receivers and Class Managers. Please Note: The trainings at the SFCCC are not exhaustive so that the day is not longer than necessary. This Standards Manual contains much of the information you will need on the process and art handling, please familiarize yourself with this manual. The training on the day of Receiving will only provide an overview. If you are uncomfortable with something, or unsure of the process, please ask SWAIA prior to Receiving or experienced Receivers will be able to assist you. 12 Receiving Forms Instructions Continued o Vital Information: Booth Number- Artists must have been accepted and been assigned a booth number to enter articles for judging. Please write in large numerals (1,2,3, etc.) Youth Classification Artists: Artists who are NOT 18 before the dates of Indian Market are eligible to enter their work in Classification XI, YOUTH. Youth Artists should use their parents booth number Youth Artists must fill out their won entry form for each item entered. Name- Last Name, First Name Address- current address of the artist. Tribe, Pueblo, etc. Hallmark- Artists must clearly and legibly write or draw their hallmark or marker. o Classification, Division, and Category Classifications: The accepted art mediums at Indian Market are divided into general Classifications. These include the following: Class I- Jewelry Class II- Pottery Class III- (2-D) Paintings, Drawings, Graphics & Photography Class IV- Wooden Pueblo Figurative Carvings and Sculpture Class V- Sculpture Class VI- Textiles Class VII- Diverse Art Forms Class VIII- Beadwork & Quillwork Class IX- Youth (17 years and under) Class X- Moving Images Class XI- Basketry Divisions and Categories: Within each Classification there are further breakdowns into divisions and then into Categories that define the work in greater detail. Please refer to this manual and the appropriate Classifications to determine the appropriate Classification, Division, and Category. Artists may only enter article(s) into the Classification in which they were accepted. During Indian Market weekend, they may show and sell other classifications that they may not have been accepted into but those pieces must still meet Indian Market standards. First, examine the piece to ensure that the medium, technique, size, shape, style, and material used are understood and fit within the appropriate Classification. 12

13 Examine the detailed SWAIA definitions if necessary to select the appropriate Division and Category within that Classification. Fill out the form in the appropriate section of the form and print the name of the Classification next to the Classification Number. Then fill out the appropriate Division and Category. If there is a question or unsureness of the appropriate Division and Category, please consult with the Classification Manager. Inevitably, judges in each Classification review each Category and further determine whether the piece is appropriately placed. These judges may then remove the piece and place it in the correct category. o Description and Dimensions The description should be brief and may or may not include a title. The purpose of the description is to distinguish the piece from similar objects in the same category. Please ensure that the description is detailed enough to do so. The dimensions further provide identifying information. Please use cotton gloves and the cloth measuring tape to measure dimensions if the artist does no to do. I.E. Black jar with Avanyu design carved around the shoulder I.E. Silver bowl with lid, Lapis stone on removable lid o Materials and Techniques This section allows for the artist to describe the materials and techniques used in the creation of the piece. Artists should be brief but detailed enough in case the judges have a question about a unique material or difficult technique used in its construction. Artists may or may not completely fill out this section. It can be left blank, but please confirm with the artist that this is their intention. If there are insurance claims on the piece, this section verifies the materials used. If you have a question about a particular material, please verify with the artist. Additional Comments based on Classification: Jewelry- The traditional category is to encourage artists to work within their tribal tradition, using traditional materials. The contemporary category is to encourage innovation in jewelry making, using both traditional as well as non-traditional materials and techniques. Pottery- Judging in these categories will evaluate the balance of form, design, and technique(s). Artists will be evaluated on use of traditional materials (clays and glazes) or commercial clays, as well as whether the piece was traditional fired or kiln fired. Paintings (2-D)- Descriptions should include subject matter (and title if applicable). Specificity about medium (Acrylic, oil, watercolor, graphite, etc.) is required, including techniques. If the piece is mixed media, please include all media used. If the article is a print, photo print, or digital print, include the edition size and number on the piece. If a certificate of authenticity accompanies a print, put a check in the lower right hand corner of the hallmark box and attach a copy to the white copy of the form. If there is no 13

14 hallmark, signature, edition size and number, or certificate of authenticity, please call a Class Manager or SWAIA staff member for approval of entry. Pueblo Wooden Carvings- Descriptions, materials, and techniques should include types of wood, feathers used (No federally or state of NM protected bird feathers allowed), paints (natural and/or commercial), and stains used. Also specify whether electric or hand tools were used. Sculpture- Be specific about all materials and techniques including embellishments. If bronze, note the edition size and number. Textiles- For weavings, please specify hand or type of loom used, type of yarn (commercial or hand spun/dyed), and type of dyes used (also applied to clothing). Please also note materials and techniques used to produce the garment or textile. Diverse Art Forms- Given the many types and varieties of art forms in this Classification, please be as detailed as possible in listing the materials and techniques. If hides are used, specify commercial or brain-tanned/smoked. All commercial findings and embellishments should also be disclosed. Beadwork/Quillwork- Include bead size. For quillwork, include whether the quills were hand-dyed or commercially purchased. Baskets- Indicate whether contemporary or traditional materials are used. Traditional materials made of plant materials should indicate which plants/trees they are from (I.E. Yucca, willow, three-lobed sumac, honeysuckle root, cottonwood, split-ash, etc.) If basket materials are hand processed (split, cleaned, dyed) by the artist, please indicate so on the form. ALL CLASSIFICATIONS: Judging evaluates the balance of form, design, creativity, ingenuity, and mastery of the techniques necessary in creating the piece. Indian Market is known for its high standards, authenticity and assurance that visitors and purchasers of pieces from Indian Market reflect our reputation. This is reflected in the materials used as well. o Artist Attestation General Judging Form- This section asks for the artist to certify four statements about their work and is mandatory for entry into the awards program. Please ensure that initials are present in the following two statements about Jewelry Casting and the Clothing statement. If not applicable, simply have them initial N/A in the space provided. Insurance statement- this section states that the artist understands that if their art entry is damaged or suffers total loss then the insurance reimbursement value will be determined by an art appraiser that SWAIA chooses. Furthermore the reimbursement will be at the replacement value of the piece, not full retail. Artists further certify that they have read the rules for judging and that they are the artist who made the piece. Artists also certify that SWAIA reserves the right to move the art entry to the appropriate division/category for judging and that SWAIA is able to use photographs of entry pieces for promotional purposes. 14

15 Signature and date is REQUIRED for entry into the awards program. Pottery Judging Form- Like the General Judging Form, the difference lies in the Artist Attestation section of the form where specific questions about pottery are asked. Signature Date Artists must disclose the appropriate details about their art entry. o Traditional fired- Did the artist use a traditional firing technique? o Kiln fired- was any homemade or commercial kiln used in the firing? o Artificial enhancement- Did the artist use any type of artificial enhancement to increase the polish of their piece? This may or may not include; Lard, varnish, shellac, Acrylic or petroleum based spray polish, etc. o Clay- what type of clay was used? Native/Traditional is clay harvested by hand and processed by the artist. Commercial clay is any type of clay that is commercially available. o Glaze/Paint- Traditional/Native glazes and paints include earth paints, plant based pigments, etc., and are usually harvested and created by the artist. Commercial glazes and paints are any that are available commercially. Insurance statement- this section states that the artist understands that if their art entry is damaged or suffers total loss then the insurance reimbursement value will be determined by an art appraiser that SWAIA chooses. Furthermore the reimbursement will be at the replacement value of the piece, not full retail. Artists further certify that they have read the rules for judging and that they are the artist who made the piece. Artists also certify that SWAIA reserves the right to move the art 15

16 entry to the appropriate division/category for judging and that SWAIA is able to use photographs of entry pieces for promotional purposes. Signature and date is REQUIRED for entry into the awards program. 2-Dimensional Entry Form- Similar again to the General Entry Form, the difference in this form is in the Artist Attestation where specific information regarding a change into our insurance coverages for damage and/or loss of 2-dimensional art entries. Please see below: PLEASE READ THE FOLLOWING CAREFULLY: ARTIST ATTESTATION 2-DIMENSIONAL ART: Pieces must NOT exceed 72 in any direction, this includes multiple pieces included in a set or series (such as diptychs, triptychs, etc.) Pieces may NOT weigh more than 50lbs. Article is ready to hang, and is framed and/or has protective corners attached. YES NO o I understand that if an article(s) DOES NOT have protective corners and/or is NOT suitably framed, SWAIA is NOT liable for any and all loss and/or damage to the article(s). INSURANCE: I understand that in the event of loss and/or damage to an article entered for judging that qualifies for an insurance claim, compensation will be determined by an independent appraiser selected by SWAIA to determine the replacement value of the piece. Compensation will not be retail value. ALL ARTISTS: I certify that I have read and understand the rules for judging and that the item described above was made and owned only by me. By entering article(s) for judging, I hereby grant SWAIA Staff, Class Managers, and/or Judges the right to move entered article(s) to the appropriate division and/or category for judging. I further grant SWAIA the right to use photographs of entered article(s) for SWAIA related promotional purposes including any and all forms of published media. Signature Date 2-Dimensional Size and Weight Limitations: Pieces may not be larger than 72 in any direction. This includes pieces that are part of a series, or a diptych, etc. Pieces may also not weigh more than 50 pounds. If there is a question about the weight, please see the class manager. They are authorized to accept items that may be a bit overweight, but the piece may not be actually hung during preview and would rest on the floor against the display wall. Frames/ Protective Corners- SWAIA will NO LONGER INSURE for damage and/or total loss 2-dimensional items that are NOT framed and/or do NOT have protective corners. (Protective corners are not required if the art entry is framed). SWAIA WILL accept items that are not framed and/or have protective corners but these entry items will not be insured for damage or loss. Please ensure that the artist checks one of the options and understands this section. Insurance statement- this section states that the artist understands that if their art entry is damaged or suffers total loss then the insurance reimbursement value will be determined by an art appraiser that SWAIA chooses. Furthermore the reimbursement will be at the replacement value of the piece, not full retail. Artists further certify that they have read the rules for judging and that they are the artist who made the piece. Artists also certify that SWAIA reserves the right to move the art entry to the 16

17 appropriate division/category for judging and that SWAIA is able to use photographs of entry pieces for promotional purposes. Signature and date is REQUIRED for entry into the awards program. o Art Return/Damage condition box- This section is left blank during the receiving process and is filled out during Art Return. After the Best of Show preview concludes, Art Return starts on Friday evening and concludes Saturday Morning. This section is filled out by the artist to attest that the artwork was returned undamaged or damaged. A signature and date is required before the artwork can be returned to the artist. Again, during the receiving process, this section is left blank. Please see form. o Triplicate Form: The entry form has three pages. Please press firmly when filling out the form, and please check that all three carbon copy pages are clear. If necessary, go over the handwriting (except the signature, have the artist sign all three pages if needed) to make sure that all three pages are legible. White Copy- Please keep a stack of your top, white pages. These are retained by SWAIA and will be collected by SWAIA staff at various points during the day. Yellow Copy- this page is separated and accompanies the art. The yellow form is folded in half, then folded again in half. Some art pieces will have this page attached to the art piece but it is not necessary. For example, the 2-dimensional classification will punch a hole in the corner of the yellow page then use a cotton string to attach the piece to the hanging wire of the art entry. Other classifications the paper can simply be placed underneath or extremely near to the entry piece. Pink Copy- This page is given to the artist as proof of acceptance into the awards program. The pink copy is also required at art return, so please remind the artist to retain that copy and present it to art return volunteers at art return. V. COLLABORATIVE ENTRY PROCEDURE Definition: An item made by more than one artist; limited to no more than three (3) artists. Collaborations may be entered for judging provided that ALL collaborators are accepted Indian Market exhibitor. Any single collaborative piece counts as one entry PER artist. o I.E. 2 artists collaborate on one piece for entry. They may now only enter two more pieces each, for a total of 3 per artist. o Entry Forms Names- All collaborative artists name should appear on the name lines of the entry forms for each collaborative piece. Booth Number- Use the booth of the first listed collaborator. Address- Use the address of the first collaborator. Tribe/Pueblo- Write all tribes/pueblos of all collaborative artists. VI. CATEGORY CHANGE PROCEDURE All Received entries are checked by the Classification Managers before placement in the designated area. If an assignment error is found (i.e. Black burnished jar in a painted jar 17

18 division), Classification Managers and/or SWAIA staff is authorized to move the entry piece into the appropriate Class, Division, and/or Category. If a change is necessary and authorized, please follow the following procedure for moving the art entry. o Classification Managers: If an art entry is moving from one Classification to another Classification, both Class Managers need to discuss the move and generally agree to the move. If there is a disagreement, please keep in mind that the judges may move it again, or agree with the move so an absolute decision is not necessary or required. If further discussion or assistance is needed, please consult with SWAIA staff. If the move is simply within a Classification, the Class Manager is authorized to make the move. o On the small form provided (see SAMPLE below), fill out the following information Entry No. (upper right corner of receiving form. 19 VII. ENTRY FORM HANDLING Sensitive Information: The entry forms contain confidential artist information and should be handled with discretion. o Receiving: During receiving, entry forms should only be handled by Receivers, Receivers Assistants, Classification Managers and SWAIA staff. o Judging: Entry forms can only be handled by Judges, Recorders, assigned assistants/runners, and SWAIA staff. o Preview Set: Extreme care should be taken as art entries are moved, even if only a few feet, to ensure that the correct form accompanies the pieces. Past errors have included pieces being moved but an award ribbon not accompanying the piece and being placed instead with an incorrect art entry! VIII. DAMAGED ART ENTRIES Prior to the Receiving Process i. Receiving Inspection: Please CAREFULLY inspect every art entry that is submitted to receiving. Use white cotton gloves provided for most items except Pueblo Wooden Carvings (latex gloves are used for this Classification only). Often there is damage that has occurred PRIOR to entry into the awards program and if we miss it and the artist catches it upon art return, then SWAIA is liable for damage. When in doubt about whether something is intentional by the artist, simply document it on the form and have the artist initial your comment. Here are some common areas of damage based on Classification: Jewelry: inspect any findings and points of attachment for embellishments. Look for small minute scratches on the metal AND on polished stones. Be mindful of natural stones and inherent chips in the matrix of some turquoise, and again, document everything in the materials section (or other blank area) and have the artist initial your comment. Pottery: Look for scratches in the polish or glaze, be mindful of minute cracks that can occur during the traditional firing process. If you suspect an artificial enhancement that hasn t been disclosed, please discuss with the Class Manager and/or SWAIA staff. 2-Dimensional: Suitable Framing and/or protective corners ARE required to file an insurance claim for loss or damage. We WILL accept pieces without those protections but SWAIA will not be liable for any loss or damage. Prints and photography- look for scratches on the surface of the image. Frames that are distressed or intentional rough should be noted. If frames have chips or scratches etc, we WILL accept the piece but the damage should be noted on the form. 19

20 IX. Wooden Pueblo Carvings: Look for small/minute details of the piece that may have broken off or cracked in the fragile cottonwood root. These could be tiny wooden carved feathers, miniature bows, etc. If there are inherent cracks in any of the wood, please note on the receiving form. Sculpture: Look for natural cracks in wood or glass, scratches in metal or polished pieces, etc. Textiles: small variations in color in dyed pieces are fine. Be aware of anything that appears or is a stain, please document on the receiving form. Divers Arts/Beadwork and Quillwork: Variations in the dyes used in quillwork is normal. Look for any perceived damage to leather etc. Basketry: Look for cracks to wood or plant fibers etc. Discovered after the art entry has been received i. Often small cracks and damage is discovered after an item has been received. When this occurs and it is enough to disqualify the piece from the awards program, please not on the form that it cannot be accepted, then contact the artist for pickup. If contact does not occur or they cannot come to pick up the piece, we can store the piece in the back room. Please inform appropriate SWAIA staff and the Class Manager and they can make arrangements to move the piece from the receiving floor. Damage occurring during receiving, judging, and/or awards program i. Notification of SWAIA staff: For damage that occurs due to accident or fault of SWAIA staff, volunteers, etc., please IMMEDIATELY inform SWAIA staff of the damage/loss. ii. Incident report: If you were a witness or the individual who caused the damage or loss, you are required to write a detailed statement indicating the following: Name, date, and approximate time of incident Circumstances of the incident- what happened a. Please include names of additional witnesses if possible. Contact information Signature Please give to the SWAIA COO or CDO. The information will be kept strictly confidential. iii. Photographs: If possible, do not move any of the pieces until photographs have been taken. If necessary, photographs can be taken with a cell phone to document the damage or loss. STANDARDS VIOLATIONS PROCEDURE Classification Managers, Judges, and/or SWAIA staff will occasionally find that an art piece entered into the awards program has violated the standards of Indian Market as outlined by this guide. Possible violations may include but are not limited to the following examples; 20

21 i. Improper use of disallowed materials, for example, in jewelry. An artist that uses synthetic/man-made opals is guilty of violating an Indian Market standard. ii. An artist has used commercially available varnish/shellac to enhance the finish of their pot without disclosing such usage. When a violation has been found to occur, please use the Standards Violation Form to document the violation and attach it to the yellow form that accompanies the piece. The piece will then be set aside by SWAIA staff until the item can be returned to the artist during art return. i. Standards Violation Form (See Forms Library) Fill Name, Classification, Division, and Category. Describe the violation briefly. Have the disqualifying Judge, Class Manager, and/or SWAIA staff sign the form. Staple the form to the upper right section of the form. SWAIA staff will remove the piece from the judging floor. Art piece will be returned to the artist during art return. 21

22 CHAPTER 4: AWARDS PROGRAM JUDGING INSTRUCTIONS 1. OVERVIEW: Judging for the awards program will take place on Thursday August 17 th, 2017 at the Santa Fe Community Convention Center (SFCCC) Ballroom. Judging is scheduled to begin at 9am with a light breakfast and training taking place beginning at 8:15am. This training will focus on the process and forms required for judging, please familiarize yourself with this manual and this section as well as the art handling section. All volunteers; Judges, Recorders, Recorders Assistants, Awards Keepers, and Runners should arrive early and check in with the Volunteer Check in desk. Please review the general rules listed in Chapter 2 found on pgs. 6-7 but here is a reminder on confidentiality: a. Confidentiality: All volunteers must keep the results that they have witnessed strictly confidential until after the announcements made at the Best of Show luncheon that occurs on Friday August 18 th. It is a privilege to witness the art pieces entered for the awards program, and even greater to know some of the award-winning pieces before the public and before the artists even! Judges should also not publicly discuss the specifics of how they arrived at their decisions with any of the other volunteers. General Information and Instructions Hours: Judging hours are from 9am till approximately 2pm, depending upon the efficiency of the judges teams. Process: Teams are organized and consist of the Judges, Recorders, Recorders Assistants, and Runners. A Head Judge and SWAIA staff are also available to assist with questions, requests for clarification of standards, supplies, etc. There are an appropriate number of Judges teams assigned to every Classification, including Youth, with some Classifications having 2 (Or even 3) Judges teams in the Classifications that typically receive a heavy number of entries. Judges are asked to review the Classification Definitions and Terms, the overall Standards, and Rules for Judging prior to arriving on Thursday of Indian Market. POLICY ON AWARDS GRANTED: If there are no entries in a category, please still fill out the white Awards Sheets so the Awards Records Keepers have that knowledge for SWAIA records. See process below. o If there are 4 or more entry pieces in a category, you MUST award a 1 st and second place. If there are less than four pieces, you do not have to award winners in the category. After teams are organized, the judges move to their designated categories. The first step of judging is to review the art pieces in each category and ensure that the art pieces are supposed to be there. Every year items are moved from one category and into another more appropriate category at the discretion of the judges in BOTH categories and/or SWAIA staff. 24 ORDER OF AWARDS: CATEGORY AWARDS: Judges review the entirety of the category and narrow down their selections to a First and Second place. These award winners receive two ribbons. Once ribbon accompanies the piece to whoever it is sold, the other stays with the artist. Youth Classification: The only classification that will award First, Second, AND Third place awards. BEST OF DIVISION: All First place Category winners in each division then compete for Best of Division. BEST OF CLASSIFICATION: All Best of Division award winners then compete for the Best of Classification award. All Judges within each classification (Some Classifications only have one Judges team, others two or more) select the Best of Class award. BEST OF SHOW: Once all of the Judges teams have selected their Best of Classification pieces, all the Judges will then come together for the Best of Show deliberation. PROCESS for BEST OF SHOW SELECTION: 1. Class Representative: Each Classification will select from their Judges team(s) 1 person who will speak on why the piece won Best of Class in their medium and why they should win Best of Show. The spokesperson will present their award winner and speak briefly and objectively about the merits and qualifications of their selection. 2. Anonymous Voting: Blank Ballots will be handed out to all participating Judges and each judge will vote for 1 Best of Show piece. These ballots are then submitted to a SWAIA staff member and the Head Judge. They are counted and the majority winners will be selected based on the highest number of votes. This may be two or even the three top voted for pieces. Multiple voting rounds may be required before a clear, majority winner is selected. 3. Announcement: The Best of Show announcement isn t made until the Best of Show luncheon on Friday. The award remains a secret until the announcement is made and the ribbon placed by SWAIA staff. Please keep your knowledge of the results confidential until after the Best of Show announcement is made. PLEASE NOTE: The Youth Classification and Film Classification are ineligible for Best of Show. HONORABLE MENTION: Each Judge will be given the opportunity to award an honorable mention within their Category(ies). Please select a piece that has not received a first or second place ribbon. SPECIAL AWARDS: There are several special awards sponsored by various businesses, organizations, individuals, etc. The selection is in conjunction with SWAIA and our standards, coupled with their selection process. Sometimes we select the judges, most often the award grantor selects their judging team. The teams come in at various times during the judging day, usually a little 24

25 later in the morning so as to not disturb too much the regular judging of the awards program. Please accommodate them as necessary. A few of the special awards from the last couple years: Innovation Award- The purpose of this award is to continue to balance tradition with the contemporary at Indian Market as well as serve as a marker that SWAIA remains committed to hosting the finest Indian art show and market. The winner is chosen by a separate team of Innovation judges. The intention of the award is to acknowledge that a hallmark of Native arts has been the innovation of materials, techniques, and subject matter. Institute of Indian Arts (IAIA) Distinguished Alumni Award- This award is given to an IAIA alumni (graduate only) for Excellence in Contemporary Arts. All alumni are eligible to enter their work if they meet the criteria outlined by IAIA. All work meeting the criteria is eligible except for Classification Award or other Special Award winners. Western Art Collector Award/Native American Art Magazine Award- These awards recognize outstanding achievement and excellence in Western genre and traditional Native art forms. Sponsored by the magazine producers, these awards provide a monetary award as well as much coveted editorial articles in their national/international distribution. 2. JUDGING VOLUNTEER ROLES: a. Recorders-Each judging team has a Head Recorder who is responsible for recording the judge s decisions and ensuring that accurate record keeping occurs for the Award Keepers and on the artist Entry Forms. b. Recorder s Assistants- The Recorder s Assistants verify the Head Recorder s information and forms, pick up the appropriate paired ribbons from the Awards Keepers, and assist in completing award winning entry forms. c. Awards Keepers- The Award s Keepers are responsible for sorting and organizing the award ribbons for each Classification. There is a separate area set aside for this purpose with adequate table space. Recorder s Assistants will then come to this area to find their ribbons. i. Awards Records Keepers- There is a separate team who is responsible for recording the results of the awards program into a spreadsheet. This information is kept for SWAIA s records as well as forwarded to the Santa Fe New Mexican for publication on Saturday of Indian Market. d. Runners- the Runners assist with any and all tasks needed by the Judges teams. Your judging team may or may not have a runner assigned. The Runners also ensure that the supply box has all the necessary supplies and forms needed. 3. RECORDING OF AWARDS PROCESS 25

26 After the Judges have reviewed the entries, moved any art pieces as necessary, and started to make winner selections, the Head Recorder uses a pad of Post-Its paper to initially mark the judges award choices on the entry form. This gives both the Judges and the Recorders time to review and record each selection. Once the awards are finalized, the Post-it is removed and the award information written onto the entry form.
