1 Dear Senior Parents, Parent ads have been a St. Pius X tradition for many years. They are a great way to congratulate your child for completing his or her high school years. If you wish to purchase a parent ad, please send in the items listed in this packet no later than Thursday, August 29. If you should have any ques tions, please do not hes i tate to contact the yearbook staff via Mrs. Ashley Curlette s (acurlette@spx.org). These instructions are long and detailed, and they are intended to offer key points for an exceptional end result. Please read the instructions care ful ly so that you will have the proper materials and information to put your ad together ap pro pri ate ly. Make sure that we have an address for you so that you can be contacted if there are issues with your submitted materials. PLEASE DO NOT SEND IN A CHECK! There will be a $50 late fee for any ads not submitted by August 30. **OPTION #1: SELECT A PRE-DESIGNED LAYOUT** (Send in pictures and text, and the yearbook staff will produce the ad) The layout designs appear on pages 5-11 in this set of instructions. Keep in mind that size of our yearbook is 9 X 12. The layouts have been significantly reduced simply for display purposes in this packet. The photos in the layout designs do have specific numbers corresponding to their placement on the pages. NUMBER YOUR PHOTOS ACCORDINGLY. POINTS TO REMEMBER ON HOW TO PLACE A SENIOR PARENT AD DO NOT CUT YOUR PHOTOS! Please place post-it notes over the por tions of the photo that you do not want to appear in the ad. We will do the best that we can to crop out those portions as the layout will allow. Please put your NAME and HOME ADDRESS on the back of each picture that you submit so that we may return them to you in August of 2014 with the mailing of the Carpe Diem literary-art magazine. Make sure your pen does not leave smudge marks on the front of your pictures. Be advised that while we make every effort to return pictures, we CAN NOT guar an tee that they will all make it home. If you have IRREPLACEABLE PHO TOS, have reprints made of the pic ture so that we don t have the one and only original. Remember that HORIZONTAL subjects in photos CANNOT FIT in VERTICAL po si tions and VERTICAL subjects in photos CANNOT FIT in HORIZONTAL positions. We will not use any pictures that show alcoholic beverage containers, cig a rettes, or other inappropriate material regardless of the age of your child in the photos. We will not use any pictures of naked babies or toddlers. Although these pictures may be cute to you as parents, this is a publication that represents the entire school and the Archdiocese of Atlanta. SIZE OF PHOTOS ANY size photo may be sent for ANY picture box. For instance, if you have an 8x10 picture that you d like to submit for a 2x2 spot, that is just fine! If you have a 2x2 photo that you d like to submit for a much bigger photo space, that s fi ne too! 2

2 When the photos are scanned at the yearbook processing plant, they will be reduced or enlarged to fit the space. Again, remember to make a copy of any photo you don't want to lose. If you are scanning photos yourself, remember that we MUST have a high-resolution (hi-res) file for printing. We recommend 500+ dpi to get the quality you ll be expecting in the completed book. **OPTION #2: DESIGN & PRODUCE YOUR OWN CUSTOM AD** (You submit a finalized copy of the ad. The yearbook staff DOES NOT design/produce custom ads.) You are not required to produce your own ad, but you do have this option if you don t want to use the pre-designed layouts. A custom ad constitutes ANY change that you make to the existing, pre-de ter mined layouts shown on the attached pages. This includes adding or deleting a photo, merging photo spots to make one bigger photo or rearranging existing photos or text spaces. Remember, YOU are responsible for designing your own custom ad, if you choose this option. You must send us a COMPLETED ad, not instructions for how to put it together for you. There is NO EXTRA COST for designing your own custom ad. FORMAT Here are just a few production ideas that parents in recent years have done on their own: a. Take photos, paper, scissors, and glue and make your own collage and message b. Scan your pictures at 500+ dpi (for resolution), make your ad and message on the computer, and save for us in a PDF format c. Have a professional put your ad together and save for us in a PDF format d. Use PowerPoint, Publisher, etc. to make a collage and message and save in a PDF format HOW TO SUBMIT A CUSTOM AD Please save a computer file in both original formats and PDF format on a CD. Clearly mark your CD and print your ad so that we know what it should look like when we get the file. You may include this CD with your signed ad contract on August 29. If you are making a collage, you may send it to us as is ; We tag such a piece as art and submit to the yearbook company for them to scan and place. Know that whatever you send to us will be printed in the yearbook EXACTLY as you submit the materials. If the pictures are fuzzy or grainy or the color is off a bit, they will look EXACTLY that same way in the yearbook. We cannot adjust or clean up anything you submit for a custom ad. Please take some time to check out the 2013 yearbook on pages 250, 251, 260, 261, 262, 269, 272, etc. for examples of what the 2013 parents made on their own. Look carefully at the quality and design so that you are familiar with the possibilities. PLEASE REMEMBER, THE YEARBOOK IS A STUDENT PUBLICATION While we strive for per fec tion, we do not guarantee perfection. Mistakes and errors are completely unintentional but may happen. Common mistakes include misspelled names, typos in messages to your child, omission of part or all of your message to your child, pictures switched with other student s ads, and even omission, or loss, of entire ads. Refunds for ads which do appear in the book will NOT be given regardless of the con di tion of the final prod uct appearing in the book. Accidentally omitted ads will be refunded. SUMMER SENIOR PORTRAIT INFORMATION & SENIOR POSE SE LEC TIONS Peachtree Portraits is our school photographer, and they will be contacting each senior family with information about sitting times. You must make every effort to have your senior pose at that time. You have an extremely limited time frame for make-up pictures, and the year book is not able to publish any formal picture other than what Peachtree Portraits sub mits. Once you receive your set of proofs from Peachtree Portraits, you must select which pose you want to appear in the yearbook at the time you place your order for re prints. YOU DO NOT MAKE THAT SELECTION THROUGH ST. PIUS X. If you choose not to purchase pictures from Peachtree Portraits, you must still select ONE pose from the formal pictures to be placed in the senior class section of the yearbook. If you do not select a pose, Peachtree Portraits will select one for you. 3
