Decapris/ FROM: Jim Danise DATE: November 10, 2009 SUBJECT: Suffield Little League Board Meeting Minutes November 10, 2009 Secretary s Report Secretary Jim Danise reviewed the October 13, 2009 Board Meeting minutes. Secretary s report was reviewed and accepted. Treasurers Report Treasurer s report was reviewed and accepted. Treasurer John Bartley presented the need to fill out the Little League International insurance application. John Bartley to send to Wayne Lancioni (VP Baseball) the list of the information needed (i.e. number of teams in each league in Spring 2009) to complete the application. The application needs to be completed and filed by the end of this month. Equipment Committee No Report. Safety Committee Roxann Mankouski stated that there were no items to report. Information Officer No Report.

2 Fundraising Fundraising officer Franco Frare presented several fundraising options for ) WL American Legion coach willing to run clinics with a 50/50 split of revenues. (i.e. 50% for SLL) Other options in the past have only offered 10-20%. No Actions. 2) Tee Shirts Information regarding selling tee shirts was presented. Discussion centered on motivating the coaches to promote the selling of tee shirts, and a possible prize for the team that sells the most shirts. Motion was unanimously passed to use the tee shirt fund raiser for Other details regarding the implementation of this fundraiser are TBD. 3) Bottle Drive the fact that several other organizations in town use this activity as a fundraiser was discussed. After much discussion it was determined that the best alternative is to recover the bottles/cans that Chet s generates. An exact implementation was not determined. No Actions. 4) Golf Tournament The entire board authorized Franco Frare to locate and reserve a course with a Saturday date available in early June, or the month of May as soon as practicable. Leading candidates are Tekoa in Westfield, Mass., and the Suffield Country Club. Other fundraising ideas from the floor; 1) Jean Tomasko suggests hiring a photography service to take action photo s during an SLL tournament, possibly the Parise tournament. Ms. Tomasko had a flyer from a service that does action photography. Franco Frare is to contact Bishop Photo to see if they offer a comparative service. No other actions. 2) Paul Eheander presented the idea of selling wood bats from Dream Bats at Chet s. No Actions. 3) Paul Eheander presented a draft letter to be used in fundraising. Board members and attendees to review and comment by next board meeting.

3 Concessions Jean Tomasko took requested an opinion on grilled vs. steamed hot dogs. Grilled hot dogs won. M. Tomasko presented a motion to purchase a $20 hot dog steamer which can steam 7 hot dogs in 7 minutes. This motion was unanimously approved. Jean is negotiating a deal with a Coca Cola distributor regarding the installation and servicing of a soda vending machine at Chet s. Jean is to also investigate a deal with Pepsi and report back to the board. Maintenance Paul Eheander presented the proposed Maintenance budget for Budget was approved. Baseball Wayne Lancioni (VP SLL) noted that the chosen fence installer replaced the fence on the AA field instead of the requested AAA field (This expenditure was approved at the October 2009 board meeting). The replacement of both the AA and AAA fences were in the capital plans for the coming years. In order to rectify the out of order replacement the fence installer is offering a discount for doing the AAA field of approx. $500. Board unanimously approved $3900 for a fence at AAA field which accelerates the safety improvements at Christian fields. Softball Supporting the SHS girl s softball team (most former little leaguers) fundraising efforts for a spring trip to Florida was discussed. In return for a $1000 donation, the SHS girls softball team coach and players will run a clinic for little league girls of 3-5 sessions depending on interest. There will be a charge for participants in the clinic that will defray the SLL donation. Motion was unanimously passed to donate $1000 to the SHS girls softball team. In October board meeting it was discussed the SLL main gain access to offsite storage at the high school fields. If this offsite storage comes to fruition, Karl Wagner stated that a pitching machine would be requested to be funded. Approx. cost $600 to $800.
