1 Los Angeles Unified School District FACILITIES SERVICES DIVISION 1 ELECTRONIC REVIEW PROCESS - GUIDELINES FOR DESIGN TEAMS. 1.0 Purpose For issuing a PDF format Design Submittal to LAUSD for review and/or record For responding to LAUSD Review Comments. 2.0 Objective Submitting the Design Submittal in a flatten state and with all extraneous layers removed. / Section 3.0 A Labeling, Bookmarking, and OCR (Optical Character Recognition) of the Design Submittal. (Revu) / Section 3.0 B Responding to LAUSD Review, and Backcheck comments in a Bluebeam Session. (Revu/Vu Limited functionality) / Section 3.0 C Adding response mark-ups in a Bluebeam Session (Revu/Vu Limited functionality) / Section 3.0 D 3.0 Procedure A. Submitting the Design Submittal in a flatten state with all extraneous layers removed. 1. Submit Design Submittal to LAUSD representative in accordance with LAUSD design standards. A) In accordance with LAUSD design standards for title blocks, all text relating to sheet numbers and titles must be horizontal in orientation. B) Location of the page number and title must be in the same location throughout the entire drawing set, specification, or other required document for the given program, or project. C) Font type must be consistent on the drawings sheet numbers and titles. It is suggested to coordinate with a Bluebeam representative prior to the creation of any Design Submittal. 2. Deliver the required PDF with all mark-ups flattened and all extraneous layers removed. A) How to turn off Layer export for DWG to PDF Plotting 1) Open the plot dialogue, and select DWG to PDF.pc3 under Printer/Plotter. 1 of 18 February 10, 2016

2 2) In the Plotter Configuration dialogue select Custom Properties, and then click the Custom Properties button. 3) Uncheck Include layer Information in the DWG to PDF Properties dialogue. 2 of 18 February 10, 2016

3 4) You will be prompted to save the changes in a temporary printer configuration file, or you can write over your existing DWG to PDF PC3 file. Note: This will only turn off layer export for PDF s that are created with AutoCAD s plot command. 3. How to turn off Layer export for DWG to PDF Exporting PDF s. Note: To turn off Layer export for AutoCAD s EXPORTPDF Command. A) Click on the Export to DWF/PDF options button. B) Output tab > Export to DWF/PDF Panel > Export to DWF/PDF Options. Note: If using the Classic interface type exportsettings at the command line, and choose Options. C) Pick Don t include from the Layer Information settings drop down, to turn off layer export. 3 of 18 February 10, 2016

4 B. Labeling, Bookmarking, and OCR (Optical Character Recognition) of the Design Submittal. 1. Labeling the Design Submittal with both page numbers and page titles properly indexed. A) Deliver the required pdf. with all pages labeled with the page numbers and page tiles on all sheets, identical to the.dwg,.doc, and/or.pdf Note: The procedure detailed below was performed within Bluebeam, other processes are acceptable as long as the same results are delivered. 1) Open the drawing, specification, and/or other required Design Submittal as a PDF that requires labeling. 2) Click the (1) right tab, click the (2) thumbnail tab and click (3) create page labels tab ) A prompt will appear create page labels select Page Region, and Click Select, then a cross hair will appear as your mouse navigator. 4 of 18 February 10, 2016

5 4) Click and drag over the area where the sheet number appears on the drawing. Note: It is best to highlight a larger area for possible shifts in text on other sheets, but not to highlight any other text or lines within that highlighted area. Note: This completes [region 1] sheet number. 5) Continue to [region 2] sheet title. In the sub-box titled AutoMark the Selection cell; add a space, forward slash / space after [Region 1] 6) Click Add then repeat the steps from above section 3.0 B.1 5 of 18 February 10, 2016

6 Note: This will add another region [region 2] for sheet title, and a preview of the new label is shown. 7) Click and drag over the area where the sheet title appears on the drawing. 8) Click OK to set new labels. 6 of 18 February 10, 2016

8 2. Bookmarking the Design Submittal. A) Bookmark drawings per discipline. 1) Under the (1) Book Mark tab, then (2) Structure tab, select (3) Project Drawings from the dropdown. Then select the discipline required and click the (4) + icon ) The Discipline is now added to the bookmarks, do this for all disciplines encompassed within the drawing set. 8 of 18 February 10, 2016

9 3) Under the Bookmark dropdown, click the Create Bookmark tab. 4) Then select Page Labels and Click OK. 9 of 18 February 10, 2016

10 5) Now the sheet numbers and sheet labels previously created are shown under the Bookmark dropdown. 6) Select (Highlight) the sheets associated with a specific discipline and drag into that discipline (e.g. The E sheets will be dragged into the Electrical discipline) a) See below, now the E sheets are encompassed under the Electrical Discipline. 7) Save during and after each task or the naming and bookmarking or will not be stored permanently. 10 of 18 February 10, 2016

11 B) Bookmark the project manual, specification and all related documents per division. Note: Labeling of the project manual, specifications and all other related documents must be complete prior to bookmarking. Follow the instructions from above section 3.0 B.1. 1) Under the (1) Book Mark tab, then (2) Structure tab, select (3) Project Specification Manual from the dropdown. Then select the Division required and Click the (4) + icon ) Follow the same instructions from above section 3.0 B.2 for Bookmarking of the project manual, specifications and all related documents. 3) Save during and after each task or the naming and bookmarking or will not be stored permanently. C) Bookmark the Submittal Checklists under Submittal Checklist. 1) Follow the same instructions from above section 3.0 B.2 for Bookmarking of the Submittal Checklist. D) Bookmark non-categorized Design Submittal documents with the documents name & type. 1) Follow the same instructions from above section 3.0 B.2 for Bookmarking of the noncategorized Design Submittal documents. 3. OCR (Optical Character Recognition) of the Design Submittal. A) OCR is required on all Design Submittal documents (excluding drawings) to enable the ability for searchable text. Note: The procedure is not detailed however can be performed within Bluebeam, or other programs, and all processes are acceptable as long as the same results are delivered. 11 of 18 February 10, 2016

12 C. Responding to LAUSD Review Comments in a Bluebeam Session. 1. Bluebeam Navigation and Session Set-up A) Follow the instructions from Electronic Review Guidelines for LAUSD Reviewers section 3.0 A General navigation (Revu) B) Follow the instructions from Electronic Review Guidelines for LAUSD Reviewers section 3.0 B Establishing the User/Author s name in Bluebeam (Revu/Vu) C) Follow the instructions from Electronic Review Guidelines for LAUSD Reviewers section 3.0 C Importing the latest LAUSD Review profile in Bluebeam (Revu/Vu) to access LAUSD Review Profile and Tools. D) Follow the instructions from Electronic Review Guidelines for LAUSD Reviewers section 3.0 D Join a Session in Bluebeam Studio from an invite (Revu/Vu) to access LAUSD Review Comments. 2. Under the (1) Bluebeam Studio tab, the (2) Session name invited to, is listed (e.g. San Pedro Science Project 100%CD), then under the (3) Documents tab lists the documents that have been reviewed (e.g _100%CD SUBMITTAL_5NOV14.pdf) of 18 February 10, 2016

13 3. After document is selected review comments will be listed in bottom panel along with page number and reviewer name. 4. Select comment by clicking on it once and Bluebeam will automatically be taken to the sheet number and location of that particular mark up. 13 of 18 February 10, 2016

14 5. To respond to comment, right click on comment and select the reply option from the menu. 6. The reply will be shown under the original comment. Do not reply in the comment box. Instead double click under the column titled Response. 14 of 18 February 10, 2016

15 7. Response will appear in Response column and person responding will appear under the Author Column. 8. After design team member has responded to all comments they are responsible for, set attendee status to Finished. 15 of 18 February 10, 2016

16 D. Responding to LAUSD Backcheck Review Comments in a Bluebeam Session. 1. After revised documents have been submitted and previous comments have been back checked, log on to previous session by clicking on the session from the Bluebeam Studio Home page to address comments that are still open. 16 of 18 February 10, 2016

17 3. If comment is indicated as closed, it is not necessary to provide additional response. For comments marked as open, see additional comment under designated Backcheck Comment column for reason as to why comment remains open. 4. Provide response to Backcheck comment by double clicking in Response column and typing under the previous response. Do not delete previous response. 5. If the previous response was issued by a different attendee and is not accessible to new responder, then a new response can be inserted by right clicking on the comment and adding an additional response using the previous method outlined in section 3.0 E After design team member has responded to all open comments they are responsible for, set attendee status to Finished. 17 of 18 February 10, 2016

18 E. Adding response mark-ups in a Bluebeam Session. 1. Only if necessary and allowed by the Design Manager, the Design Team has the option of adding mark-ups on the drawings to graphically clarify any responses to LAUSD review comments. 2. LAUSD review tools can be accessed after the LAUSD profile has been imported as described previously. Design Team should only use Architect Consultant s tools to markup drawings. Tools and colors have already been designated and set up for this purpose. Note: All design submittal requirements are as-applicable to the specific project and subject to clarification/modification as requested by the project Design Manager. All Design Submittals shall be submitted to the project Design Manager for distribution. 18 of 18 February 10, 2016
