2 LESSON 8 CHANGE CURRICULUM DETAILS CLASS INFORMATION Once the base curriculum data has been entered, there may be other minor additions that need to be made so that the full complexity of the curriculum can be replicated. These changes could be due to a multitude of reasons including setting up the course information for two teachers sharing a class or when a specialist class does not require the specialist room for all periods of the cycle. In this lesson the different techniques will be shown that will allow the base curriculum to be modified so that it better suits the complex needs of the school. USE COPY NEXT TO SPLIT A CARD The Copy Next feature is used to copy all the classes on a card to a new card next to it. This feature can be used to control constraints such as a class that requires a specialist room for only some of its periods, a class which runs for a different number of periods in a fully blocked roll class or a class that is split between two teachers. Note: In the case of a Multi Roll Class Group (MRCG) all of the cards from each roll class in the MCRG will be copied and a new MRCG will be created. In this example, the Yr12 Accounting class requires a specific computer lab (S16C) for 1 double and the remaining singles in a general purpose classroom. Open the file: C:\Users\Public\Documents\V9 Training Data\ Timetable Change Courses.tdf9 Click [7] Curriculum Details Timetabling Solutions Version 9 Page 2 of 13
3 Note: Yr12 Accounting (12ACC1A) is located on Card F. To copy the card, click on any class on Card F and click Copy Next Note: Clicking No will cancel the copy next function and return to the Class Information screen. Click Yes The number of periods that are to stay on the original card, in this case Card F, need to be entered. As 12ACC1A requires 2 periods in a computer room, type 2 and click OK The remaining 3 periods will be copied onto a new card to the right of the original card. 4 Note: The classes on Card F have been copied to the newly created Card G and the colour of the two cards is the same. The original Card G has now become Card H. Note: Version 9 will maintain the originally entered number of doubles where possible. In this case Card F retains the double and Card G contains 3 singles. Select the room S16C for class 12ACC1A on Card F Timetabling Solutions Version 9 Page 4 of 13
5 12ACC1A (12 Accounting) will now have 1 double lesson in the computer lab S16C and the 3 remaining singles will be roomed later in a general purpose classroom. Click Save MOVE GROUP It is sometimes useful to be able to rearrange the order of cards across the page in the Class Information screen. For example, rearranging the cards so that elective lines are located before Sport and Homeroom may assist during construction as the user learns to automatically identify these cards as elective lines. Select Roll Class 10A Timetabling Solutions Version 9 Page 5 of 13
6 Note: In this example, the elective lines on all Yr 10 Roll Classes are located on Cards E and F. Click anywhere on Card F and click button until the elective line with 10ITA1A is located on Card H Note: 10ITA1A is now on Card H. The letter of this card automatically adjusted when moved but the colour remains the same. Repeat this process to move Card E with 10ACC1A until it is located on Card G Timetabling Solutions Version 9 Page 6 of 13
7 In Roll Class 10A the two elective lines are on Cards G and H now. Note: If the Supplementary list is turned off, click in the top right hand corner of the screen or press F4 to turn on the Supplementary List Select Roll Class 10B Click on MRCG No. 4 on Card E The Supplementary List shows the classes on this elective line. Note: The group for Roll Class 10A is now G which reflects the change made to the position of the card. All other classes on this elective line are still located in Group E. Repeat the process to move Cards E & F in Roll Class 10B, 10C and 10D to Cards G and H. Click Save then click All Classes Timetabling Solutions Version 9 Page 7 of 13
8 The Supplementary Information screen shows the following: The split card created previously for 12ACC1A is shown here. The Yr10 elective lines are located on Cards G and H. The MRCGs remain visually in line creating a neater display. Click Close Timetabling Solutions Version 9 Page 8 of 13
9 USE COPY END TO SPLIT A CARD FOR TEAM TEACHING The Copy End feature is similar to the Copy Next feature. Copy End is used to copy all the classes on a card to a new card at the right-hand end of the roll class in the Class Information screen. This feature can be used to control the same constraints as the Copy Next feature but is particularly useful when splitting classes to ensure that the remaining cards in the Class Information screen line up with the corresponding classes in other roll classes. In this example, the Copy End feature will be used to split a card to allow a support teacher to be available for only 1 period of a 5 period class. The 7A English class has 5 periods with the teacher Daniel Marks (MARD). For 1 of these 5 periods Kevin Simpson (SIMK) will be timetabled as well for an additional class of English Support. Note: The changes made in the remainder of this lesson will not be used later in the course. Select Roll Class 7A Click on 07ENG1A on Card B and click Copy End Timetabling Solutions Version 9 Page 9 of 13
10 Click Yes As the original teacher MARD will take the entire 07ENG1A class alone for 4 periods, accept the default of 4 and click OK Note: The class 07ENG1A has been copied onto the newly created Card L for 1 period and the number of periods on Card B has decreased to 4. Both cards are the same colour. Click in the cell under 07ENG1A on Card L and click Add Classes Timetabling Solutions Version 9 Page 10 of 13
11 Enter the teacher SIMK, and the class 07ESP1A Leave the Faculty and Room fields blank Select Add New Class Vertically Click Record and Close Note: The English Learning Support class with SIMK has now been added to the 1 period 7A English card allowing the 2 teachers to team teach for that lesson. Click Save Timetabling Solutions Version 9 Page 11 of 13
12 USE COPY END TO SPLIT A CARD FOR JOB SHARING In this example, the Copy End feature is used to set up a class that is split between two teachers. The 7B Mathematics class has 5 periods on the timetable. This class needs to be divided between Monique Gibson (GIBM) who will take 3 periods and Jenny Feng (FENJ) who will take 2 periods. Select Roll Class 7B Click on 07MAT1B on Card C and then click Copy End Click Yes Timetabling Solutions Version 9 Page 12 of 13
13 Type 3 and click OK Note: 07MAT1B has been copied onto the newly created Card L for 2 periods and Card C has been reduced to 3 periods. Click in the Teacher cell on Card L and select FENJ from the drop down list Note: The 7B Mathematics class now has 3 periods with GIBM and 2 periods with FENJ.
