When a copy is made from the flatbed scanner glass or Automatic Document feeder the following prompt (see Figure #1) will be displayed on the HP Easy Select Control panel. 2 How does it work? Why is the message presented? The LJ M3027 and M3035 MFP s do not have the ability to automatically sense legal paper from the flatbed scanner glass or ADF. Since this would not be obvious to the end-user, Hewlett Packard chose to provide the pop-up screen asking the user to input their originals paper size in the event that it might be different from what had been defined as the Default original size in the ADMINISTRATION menu. By providing this pop-up, Hewlett Packard helps ensure that the end-user does not get clipped output in their copy job, digital send job or fax unknowingly. If an end-user does not want to wait for the prompt to time-out, they can press the Scan button found on the bottom right hand side of the prompt screen to initiate the scan faster. (See Figure #1) What are the options if we don t want to see the prompt? NOTE: There are a few options available for those that always expect correct output but do not want to see the prompt. All of these options have limitations and those will be outlined along with the options below: 1) We only scan in Letter size originals. a) The prompt can be turned off by accessing the ADMINISTRATION, DEFAULT JOB OPTIONS, Default Options for Originals screen and accessing the Original Size Prompt menu. 3 b) Once in the menu choose Do Not Display (See Figure # 3) Figure #3 screen and select Letter as the Default Original size. Once you have done this, all originals scanned from the ADF or from the Flat bed scanner glass will be assumed to be letter size and the scanner will only scan to those dimensions. If a paper size larger than Letter is placed in either input, it will be clipped and output will look like Figure #5. Figure #5 Page 3 of 5 white paper

4 We scan both Letter and Legal size originals all the time. a) The prompt can be turned off by accessing the ADMINSTRATION>DEFAULT JOB OPTIONS> Default Options for Originals screen and accessing the Original Size Prompt menu. (See Figure #2 above) b) Once in the menu choose Do Not Display (See Figure # 3 above) screen and select Mixed Letter/Legal as the Default Original size. Once you have done this, all originals scanned from the ADF will be scanned correctly for Letter or Legal. In some cases, scanning may take longer from the ADF as each original will be scanned as if it was 14 inches long. There is no way to change this if Mixed Letter/Legal is used. d) Important Note: Items scanned from the Flat bed scanner glass will require the user to define the original size for correct output. This can be done by pressing the COPY icon just before making the copy and then defining the Original size on page two of the screen that is presented. (See Figure #5) Figure #5 SPECIAL NOTE: If Legal is scanned from the flatbed scanner glass when using Mixed Letter/Legal, the original size still has to be set to Legal even though the copy preview shows Legal. Hewlett Packard is aware that this can be confusing for some users and will evaluate feedback from customers to understand if changes to the Copy preview are required. 5 We just don t want to see the prompt. a) The prompt can be turned off by accessing the ADIMISTRATION>DEFAULT JOB OPTIONS> Default Options for Originals screen and accessing the Original Size Prompt menu. (See Figure #2 above) b) Once in the menu choose Do Not Display (See Figure # 3 above) screen and select Letter or any other size that you frequently scan as the Default Original size. Once you have done this, all originals scanned from the ADF or the Flat bed scanner glass will be assumed to be the size you defined and the scanner will only scan to those dimensions. If a paper size larger or smaller than the size defined is placed in either input, it will be most likely be clipped or scanned to a larger piece of paper. d) The only way to achieve correct output at all times would be to turn the prompt back on by reversing the steps in section (a), or, by pressing the COPY icon just before making the copy and then defining the Original size on page two of the screen that is presented.
