2 Dear Chess Coach, We are proud to continue our tradition and host the 27th annual Grade By Grade London and Area Chess Championship. All schools in the London area are welcome to participate. The event will be held on Wednesday March 27, Registration will be limited to 700 students in grades three to eight. We are thankful for the generous support of the Byron Optimist Club of London. Chess sets will be donated to all participating schools at the end of the tournament. Schools will be able to pick up their allotment of chess sets on the day of the event before leaving. A school will receive one chess set for every four students entered in this event. Trophies will be awarded to the top three boys and girls in each grade. Chess medals will be awarded to the fourth through eighth place finishers in each grade for both boys and girls. Schools should aim to arrive on site A.S.A.P. after 9 am. After a short introduction, the tournament will start promptly at 10 am. We ask parents and teachers to remain outside of the playing areas unless they are scorekeeping. It is essential that each school provide a volunteer to assist with scoring and a volunteer to remain behind for the playoff-bound students. All students should have a name tag which includes the school s name and the designated code for the playing area for that student. Schools are to assign each of their students to their designated playing sections (example: 3A, 3B, or 3C). Please also indicate the students` gender. Please spread out your students evenly over the three letter sections A, B or C. The registration fee is $20.00 per student. Snacks, juice and fresh fruits will be available for purchase at the tournament. Some submarine sandwiches and bottled water will be available for sale to students who make it to the playoffs. A 6 assorted or vegetarian sub will cost $5.00 (tax included) and will be for sale from the Hellenic Centre. The Hellenic Community Centre will not allow purchased food to be brought on site, i.e. subs or pizza purchased from a local restaurant. However, students may bring their own snacks/lunch and drinks from home. The Hellenic Centre is a nut-free environment. However, we cannot guarantee that students attending the event will not bring any foods that may cause a reaction to a sensitive student. Prior to the event please inform us of any life-threatening medical conditions that could affect any of your students. Please review the attached sheets highlighting the schedule. 3 Registration Process for Each Grade We have streamlined the registration process and require the chess coach or administrator to please complete the student registration sheet for each grade as follows: Alternatively, if you are sending a whole class feel free to use a class list and identify the gender and allocate each student to a section on the class list. Allocate students equally under sections (A, B, or C) within each grade by gender. Please do not use any other letters than A, B or C. Please create a name tag with the school name, student name, gender and the designated code for each participant. 2. Please include the student s name, gender, designated code and school name on the registration sheet or provide this information on a class list. 3. All late registrations will be processed onsite. 5. Please advise Mr. van de Ven of any and all substitutions via using the gradebygrade@gmail.com address. Minimum one per school. If your school is sending more than 20 students then 2 Score Keepers are required (parents/teachers may fulfill more than one role). Playoff Driver Volunteer: Parent or teacher to be available to monitor students from their school who advance to the playoffs and to provide transport for them to get home after the playoffs. Teacher/Parent Supervisor(s): For schools sending more than 20 students, two teacher/parent supervisors are required. Teacher/parent supervisors must stay on site for the entire day to supervise students from their school. 5 Schedule for the day 9:00 AM to 9:45 AM Arrive on site. Deposit coats etc. in coat check area. Move students to their designated playing areas. Students will be placed in 32 player groupings. Students are to wear a name tag with their name, school, and grade clearly labelled. 9:45 AM to 10:00 AM Short introductory ceremonies. 10:00 AM to 12:00 PM Students will play in the preliminary tournament. Students are required to play as many games as possible in their section. 12:10 PM Students will bag the chess sets. The chess sets and paper boards will be collected. 12:30 PM Students not advancing to the finals will return to their schools for lunch. (Recommendation: Put name of school on bus.) Students remaining for the finals need to bring their own lunch. 12:45 PM Top students from each section will advance to the playoffs. The scorekeeper for each section will determine who advances. 12:45PM to 2:30 PM Playoff finals. The top three finishers will receive a trophy. The fourth to eighth place finalists will receive a rosette ribbon. 3:00 PM Students will return to their schools and/or homes. Prizes. Prizes. Prizes. Trophies/medals will be awarded to the top eight finalists in each grade for both girls and boys sections. 8 Rules 1. Students will remain inside the building unless accompanied outside by an adult. 2. Students are expected to behave according to their school s code of behaviour. 3. The touch move, touch piece rule will apply. If you touch a chess piece you are required to move it unless it is illegal to do so. Once a player touches one of his or her own pieces and moves it to another square and releases the piece that will be the player s move. 4. Students are not required to call check when attacking their opponent s king. The defender is required to see the attack on the king and get out of check by any legal option. If a defender does not see the attack on his king and makes another move, the attacker may capture the king and claim victory in the game. The rules are the same in the playoffs. 5. Due to time constraints games may be adjudicated by the Tournament Director where a player has a decisive material advantage. The Tournament Director may require students to use a clock to finish slow progressing games in the playoffs. If a clock is required, each player will be given three (3) minutes to complete their game. 6. Each pair of players is required to report together their result to the designated scoring table in their area. After reporting their result, the pair will wait for the next pair to report. Please pair students who have not played each other. 7. Students will play an opponent only once in the preliminary round of the tournament. 8. The Tournament Director (Mr. Lee) will have the final say in any disputes. 9. No cheating of any kind will be tolerated. Game results will be forfeited if disputes cannot be resolved.

9 Rules (continued) 10. Students are not allowed to comment on other students games while they are in progress. 11. Students not abiding by the rules will be disqualified from further play. 12. Unless scorekeeping, non-participants are to stay out of the playing area. A student s games will be forfeited if parents or students assist him or her in any way. Parents, teachers and spectators will be removed from the playing site for any inappropriate actions. 13. Students are required to play as many opponents as possible. Students who leave their designated sections without informing the scorekeeper or without playing as many games as possible will forfeit any remaining games. 14. Games not completed will not be awarded any points. 15. All complaints must be submitted in writing to the Tournament Director (Mr. Lee) to be dealt with after the tournament.
