1 BOARD OF TRUSTEES July 2013 DEPARTMENT REPORTS Collection Services Felicia Wilson, Manager ILL Stats The Ad-Hoc Digitization Committee has been formed and charged with identifying the best practice for digitization at TRL (scope and content) and exploring the development of metadata standards. This committee will present its recommendations to the Public Services Team. Our first meeting will be held on August 22, Freegal Streaming- Due to the complexities in the introduction of Freegal 4.0, the launch of Freegal Music Streaming continues to be delayed. The new launch date has been tentatively scheduled for Wednesday, July 31 st. Collection Services staff is currently working on our Annual Magazine Subscription renewal. The community libraries were great in reviewing and returning their renewal list prior to the established deadline. Collection Services has a 26 day turnaround time for book and a/v materials to catalog and process. Month ILL Requests filled for TRL Patrons Holds Placed (for ILL Requests which TRL owns) Purchase Requests Passed to Selectors June Items loaned to other libraries Freegal had 9011downloads for the month of June In comparison, there were 9289 downloads in June OverDrive Statistics As of June 30, 2013, we have 18,618 titles (25,236 items) in the OverDrive downloadable collection. New titles in all formats are added on a weekly basis. 25,878 unique patrons have used the OverDrive collection since TRL service began, checking out a total of 501,793 items. 2 July 2013 OverDrive Current Snapshot (collected July 18, 2013) Total Checkouts: 12,577 Total Holds: 4,651 Audiobook: 3,924 Audiobook: 1,090 ebook: 8,559 ebook: 3,561 Music: 18 Music: 0 Video: 76 Video: 0 Computer Services Gwen Culp, IT Manager The Library Online system - PC Reservation, Print Management and PayIt (credit/debit card payments) - were upgraded on July 15. There were improvements to both the public and staff interfaces, including improved security with PayIt. This upgrade required a change to every PC and all public printers, but will be easier to manage and update in future releases. We re ready to begin work next on the upgrade which will allow wifi users to print to TRL public printers. Network upgrades complete for McCleary, Oakville added second T1 to both locations. Working with vendors to complete network upgrades for TRL Internet connection and at Montesano, Westport and Yelm libraries. Added a new , print and telephone overdue notice for items 2 days overdue. Our overdue notices have been sent at 10 and 20 days overdue. Added the library catalog Facebook app from SirsiDynix to all library Facebook pages. It's a simple catalog interface that some patrons may find interesting to use while they re on Facebook. This example is from the TRL Facebook page. Installed an upgrade to Symphony on Sunday, June 30 and to Enterprise (Discovery Search on the TRL Library catalog menu) on July 5. The most significant change with the Symphony upgrade is we no longer need to have the system down for nightly processing. There were various improvements to Enterprise. 2
3 Human Resources Rich Park, Human Resources Manager Leadership Program Session 11 of the Leadership Program was held July 17, and focused on the Communications and Computer Services Departments. Sara Peté made an interesting presentation of Leadership Principle 9 on Collaboration and the book she read Collaborate or Perish! Reaching Across Boundaries in a Networked World by William Bratton and Zachary Tumin. Negotiations The second and third sessions of collective bargaining were held July 10 and 15, which included Union proposals for changes in 22 of the 30 Articles of the Collective Bargaining Agreement. Many proposals have significant budgetary implications, which require time for analysis. Health Insurance The Washington Counties Insurance Fund Executive Board and WCIF Executive Director will meet with Premera and Group Health to negotiate medical plan premiums and coverage on July 25 in Seattle. Human Resources and Business Office staff will attend the state-wide Health Care Reform seminar July 18 at the Yakima Convention Center. Wellness Program The Live Well biometrics and wellness program sponsored by Washington Counties Insurance Fund and Vivacity is being emphasized and offers eligible employees and TRL individual and organization premium discounts and reductions in deductibles similar to last year. Training and Staff Development Thirty-eight Timberland employees are participating in the grant-funded Investor Education in Your Workplace program. The online training modules are available until mid-august and are not done on paid time. Six staff and one Board member are attending the Pacific Northwest Library Association (PNLA) Conference at the Riverside Hotel in Boise August Three sessions of CPR/AED Training will be offered in August, two at the Service Center and one at Ilwaco Timberland Library for Pacific County staff. Jim Gill will present Songs to Read, Books to Sing! at the End of Summer Event on Monday, August 12. Jim Gill is best known for his music recordings and his books with musical themes. His latest recording, Music Play for Folks 3
4 of All Stripes, was named a 2012 Notable Children s Recording by the American Library Association/ALSC. This is Jim s fifth work to receive this honor over the years. Jim s appearance is made possible in part due to an Organizational Continuing Education (CE) Grant through the Washington State Library. Communications Jeff Kleingartner, Communications Manager Communications is returning to work on several large-scale design projects that began earlier this year. These include the creation of a complete van wrap for two new courier vans, the development of a children's "Land of Make Believe" map and two different designs for portable retractable banner stands used for special events. Wrote initial content for the brochure from TRL on the Toledo annexation measure expected to be on the ballot this November. Submitted to PDC for review and suggestions. Planning to modify text as needed, design brochure, print and distribute to the Toledo community in early September. Wrote, designed and printed promotional materials for the Nook e-reader publicity, including a newsletter article (July/August issue), website and Facebook graphics, poster (in print and digital form for screens in libraries), bookmarks and social media posts. Completed the design of the combined TRL/State Park map and distributed to libraries. Designed and sent last two newspaper ads for the Library in the Parks program to The Daily World. Inventoried damaged and outdated signs in Packwood. Assembled list of replacement signs and sent to sign vendor with plans to replace by early fall. Submitted request for new and replacement signs for the North Mason Library. Reviewing 80+ Timberland Reads Together (TRT) events and planning conceptual design for printed and online publicity materials due in September. Utilize book cover and author photo for comprehensive booklet, posters and newspaper ad and website graphics. Additional promotions include a public service announcement, press release, newsletter article, social media posts and radio interviews. Planning continues for the fall Library Card Signup campaign running from September 16 to October 31. Promotional methods will include a poster, digital screen image, press release, newsletter article, public service announcement, bus transit panel advertising, radio station interviews, website graphics and social media posts. Also, a letter that branches can customize to bring to schools and a special library card application are under consideration. 4
5 Public Services Kristine Tardiff, Public Services Manager I visited Raymond, South Bend, Hoquiam, and Aberdeen and have just Westport, Amanda Park, and McCleary left, who I am visiting by the end of July, wrapping up at least one visit to each of the 27 libraries since I started in mid-april. Soon, the South Bend Library Manager hiring team will meet and we hope to have someone in the position by October 1, just a couple of weeks after JoAnn Rucker s last day. We had our first meeting with Nancy Bolt and Associates, as TRL moves forward in its strategic planning process. With Donna Feddern, the new Olympia Timberland Library Manager, I attended the Thurston County Chamber of Commerce luncheon with Thurston Thrives as the guest speaker. Several libraries have asked for some staffing changes, so I m working with HR quite a bit on those topics as well as many other day-to-day matters in the libraries. This is my first experience serving on a negotiations team so I am also learning quite a bit from my involvement with the CBA and serving with other managers from TRL. The libraries are submitting six-month updates to the 2013 Action Plan, so I am working with them to have that ready for submission. I ve had 4-month goal meetings with both Allison Grubbs and Donna Feddern, in Elma and Olympia, respectfully. I ve had a second meeting with Tim Mallory, Adult Services Coordinator, to get a better understanding of his accomplishments and goals for adult services. I will be attending Emotional Intelligence training on July 25. Youth Services Ellen Duffy, Youth Services Coordinator LibrAnimeCon 2013 The first LibrAnimeCon for Timberland Teens is now history! This celebration of all things anime and manga was an exclusive after hours event, held at the Olympia library on Friday evening, July 12. The event was co- sponsored by Olympia, Lacey and Tumwater libraries and Friends as part of Summer at the Library 2013, and coordinated by Rachel Ikehara-Martin (Lacey), Sara Lachman (Olympia) and Elizabeth Moss (Tumwater). Youth Services staff from all three libraries and the Service Center were on deck to assist! 5
6 Over 150 middle and high school anime and manga fans enjoyed Japanese goodies, watched anime movies, competed in a cosplay fashion show, experimented with makeup, giving themselves anime eyes, learned how to draw anime and manga characters, and explored Japanese comic culture through gaming, crafts and activities. As they arrived, each person received a small keepsake guide to the evening s activities. A highlight was watching the teens claim the library as their own for one night. Energy was high! They moved from station to station enjoying goodies from Panda Express, talking excitedly with each other about characters or series in their favorite comic books, wearing their best cosplay. It was a little like visiting another universe and hearing a completely new language spoken. Yet, in the end, these young teens are passionate readers excited about books what could be better? I assisted at the Create a Bookmark craft area. My greatest challenge was to convince the teens that it really was ok to cut out pictures from books to create their bookmark. They were horrified at the very idea and wanted to take the books home instead! It was a night to revel in being a teen book geek and an evening at the library that teens and Timberland staff will not soon forget. Thank you to David Nowitz, father of Mari Nowitz (Tumwater) for taking event photos and providing us with event CDs. Thanks to Jane Nowitz, Mari s mother for assistance in the craft area. I learned once again that the future of Timberland Teen Services is in GREAT hands. These creative, organized, energetic, enthusiastic, well read, hard working staff members scored 100% with teen patrons at the LibrAnimeCon 2013! They deserve our applause and thanks. Adult Services Tim Mallory, Adult Services Coordinator The Washington State Parks Centennial will now include all our libraries in their Geocaching contest! All of our library s coordinates have been loaded into the Washington State Parks Pocket Ranger Smartphone app so that each of our branches can be found along with the state parks in our region. Prizes will be awarded through September 15 that are exclusive to TRL participants! See more details at Bushwick Book Club performances have expanded to nine libraries for Timberland Reads Together this fall. They are a group of musicians who read a book and then write songs on the topics of the book. They will be appearing in Hoodsport and Centralia on October 12, Yelm and Chehalis on the 15 th, Elma and North Mason on the 16 th, and Ilwaco, Raymond, and Olympia on the 24 th. Coming to Light: Edward S. Curtis and the North American Indians is a PBS video that juxtaposes Curtis work and the reactions to it of North American natives. We will have showings at twenty of our libraries and at the Nisqually Tribal Library this October. The full movie takes 84 minutes, although some branches will show a short version that is 6
7 (barely) under one hour. Most branches have allowed a two-hour time slot that will leave time for discussion following the film. Eighteen months ago, we met with the Washington Center and the Washington State Historical Society to discuss a possible grant-funded program, America s Music: A Film History of our Popular Music From Blues to Bluegrass to Broadway. This July, we were asked by the Washington Center if we remembered that grant. They have had many staff changes, and apparently are just starting to work on its requirements. We have a letter of agreement with them to perform the library participation tasks, which will include film showings and adding the videos (nine in all) to our collection. At the Service Center, the work area for Public Services has been disassembled. New carpeting is going in, more open space is being created, and work spaces specifically designed for volunteers in Adult Services and Youth Services staff will be put in place. By the end of the day on July 15, our work area is planned to be back in service. I attended a program at the Washington State Historical Society about the Paddle to Quinault activity that is occurring in Grays Harbor on August 1-5. Native tribes from all around the region will be participating, as are the Tall Ships Lady Washington and Hawaiian Chieftain. We will stay in contact with these groups for participation in this fall s Timberland Reads Together. I attended the Senior Action Network of Mason and Thurston Counties and heard a program on pre-paid supplemental health care for seniors. Reference Services Alice Goudeaux, Reference Coordinator Databases Reference USA Coming soon! TRL patrons will have an additional resource to look for jobs online. Ref USA new features will include Job Search and Data Visualization modules. Users using the Job search will be able to search a specific company for job listings or a broader search by occupations. Business users will be able to create graphs, maps and statistics to place in a business plans or promote their business using the Data Visualization graphics. TRL Information Staff now have access from SharePoint under Reference Services to print customize color reference databases bookmarks and posters. These resource tools will be used to publicize online resources available students and patrons. TRL staff will distribute bookmarks and posters during school visits, community events and meetings. I am in the process of collecting Reference database usage statistics for January to June 2013 and comparing them to the same time period in A full report of our patrons and staff usage will be in the August Board Report. Looking at the usage of our online resources gives us a snap shot of what resources are being used and what adjustment TRL should take to promote or drop a database. 7
8 Reference Print I am continuing to review with Reference Supervisors and Building Mangers the Reference Standing Order and will finalize changes at the end of July. Staff in the buildings has the opportunity to examine and discuss the need for reference print resources for their building collection for their patrons and staff. 8
