Box 574 Rutherford College, NC 28671 RE: Job #201740, Lincoln County Tax Appraisal Office, 100 East Main Street, Lincolnton, NC Following are our recommendations for the steps to be taken to ensure uninterrupted operation of the county s computer servers during this renovation/alterations project. 1) Install a plastic sheeting (min. 6 mil) complete enclosure around/above the servers and seal all seams with sheathing/building type seam tape. Include a zippered entry door (zip door) in the enclosure so that county IT employees can access the servers at any time. Consult with the county IT manager to determine the minimum enclosure dimensions so that free, working access to all sides of the servers is possible while inside. The enclosure shall be in place prior to the start of the work. 2) The existing return grill/duct in the server room from the existing rooftop air handler (E- AHU) should be removed prior to other work in the area so that dust is not drawn into the E-AHU. 3) Existing Zone 3-6 from E-AHU should initially be demo ed back to just where it enters the server room. From that point a temporary 16 round flex duct should be connected and routed to provide air conditioning to the servers inside the enclosure. Consult with the county IT manager to determine the best location for the attachment of the 16 supply air (in case direct cold air impingement against the servers is undesirable). Attach and seal the 16 flex to the enclosure material in a secure fashion. 4) Once the enclosure is sealed and air is being introduced into via the 16 flex duct, the mechanical contractor (MC) will most likely find that the zipper door will need to be left open a certain amount in order for the entering air to have a means of relief. To determine the proper amount the zipper should remain open, the MC shall simply adjust the zipper position so that the pressure inside the enclosure does not reach levels that would compromise the sheathing tape or the enclosure itself. 5) In the case that someone needs to enter the enclosure during construction, it is recommended that all cutting/patching/sanding work cease 30 minutes beforehand. This is due to the loss of pressure (and subsequent increase in the possibility of contamination with duct) that will occur inside the enclosure when the zipper door is fully opened. In attendance: See attached Pre-Bid Meeting Attendance Sheet. The following items were discussed: 1.) Introduction of architect, engineers, and John Henry. 2.) Briefly went over the Project Manual, Directory of Parties, Bid Form, and Drawings. 3.) Discussed document copies are available from Accent Imaging. 4.) Owner has submitted drawings for building permit plan review. It will be the contractor s responsibility to apply and pay for the building permits. 5.) Discussed the scope of the project and the limited access for delivery of materials and equipment. Most items will have to be carried up the stairs. 6.) Work on the project can take place during regular business hours. 7.) Contractor will need to work with John Henry and the City of Lincolnton to close parking spaces and the sidewalk when placing the new HVAC Unit on the existing roof. 8.) Last addendum, if needed, will be issued by July 6, 2018. 9.) Discussed the work in the existing server room and how the equipment will have to be protected from dust and that the 68 degrees temperature in the server room will need to be maintained during the work.
