Student Finance Committee Budget Meeting Date: 1/25/2018 1203 University Center, Northern Michigan University Chairperson: Sarah Schollmeyer Advisor: Haley Rhoades Scribe: Taylor Ayers Members Present: Name Present (Y/N) Melanie Tromotola Yes Adam Kall Yes Renee Lofquist Yes Ally Vacha Yes Sarah Klinger Yes Holly Anderson Yes Cody Mayer Yes Madeline Wiles Yes I. Call to Order: 6:34 II. Public Comment III. IV. Approval of Agenda Name Description Sarah Sarah: Okay I m going to toss in some amendments it is not December for it is January it s also 2018. Adam: Oh it s a Christmas meeting look at that. Sarah: Are there any other amendments? Motion to approve amended agenda: Holly Seconded by: Mel Sarah Approved unanimously Approval of Minutes Name Description Sarah Sarah: Moving on to the approval of the minutes. Right now they are not finished just due to I don t know if you want to back me up on this, but they are what 17 pages? Taylor: The EFG minutes are halfway done and they are 17 pages so far. I ve been working in the and I didn t finish the other set of minutes. Sarah: And they will be coming soon okay? Adam: And you said that you will be emailing those rather than printing them? Sarah: I think I m going to print the current ones as in the ones from last week, but the EFG will be emailed instead, because that is horrible. We do Sarah V. Chair Report

Sarah: Right now this is what we have because I don t have the exact numbers I don t want to guess estimate. I know the budget tonight isn t asking for this much if a $30,000 budget comes across our desks we can afford it. VI. Advisor Report Hayley: Attending number should be available next week. First thing that I do is I get the number of students enrolled from the student service center and then we plug it into our equation. Then we do the DAGs and EFGs then we figure out how much we have remaining so that will be happening next week. VII. New Business Budgets Description Sarah: This is how this is going to go the budget in front of you isn t wrong by any means she went around and found costs for everything and then I requested links. It was sent but I juts couldn t see it for some reason she s going to come in and amend line item 7135 to a different updated amount that matches the supporting documents. If we vote she will be changing line 7135 event supplies and then we will vote on the total expenses at the bottom. Please look this over really quick it seems like something we aren t use to doing it reminds me of what we usually do with Gonzo where we approve movies for the future except for they are sustainability workshop. I know that two rooms right now are up in the air right now but I believe they are just Jamrich class. Sarah: Okay and then after this the SAG is going to come in and give an update I haven t heard back from NAE I emailed their president and their group email; Hello Eco-reps Georgia: Hi guys, I m Georgia and this is Olivia we are the coordinators for the program. Olivia: So Eco- Reps is a educator program focus There is environment sustainability that most people think of when they think of sustainability, but they also have social sustainability, and also economic sustainability Georgia: We are doing green dreams so that we can have a dialogue of change. Talk about reducing waste when shopping and making reusable bags out of an old T-shirt. Leave no trace ethic so when you go out camping how you can reduce your footprint. All of these will be done through the skill builder website service so that s through the SLFP and the only reason why we are doing it through them is because they have a really nice system already set up, students can register with their NMU email for free and they keep a nice list of all the participants. We are going to send out sustainability specific survey, so we can see who is attending these workshops and what did they learn out of it, that will also be a nice way to keep track of how many students are attending and make sure that they all sign in. And the promotional costs its costs for the promotional services and the SCE to do table tents and poster designs. We just looked through some poster designs for some ideas and I have one of them, there are some fun veggies and we have dates and locations. I can talk about the locations in

just a moment. But yeah just a quick overview and I made a one sentence description for each of them instead of having that big long paragraph. For the location I did just get the finalized location 3 of them will be in Jamrich those will be more of a discussion type and all the rest of them will take place in the back room of the University Center, there is also one in the Marquette room. I noted some conflicts in the new updated one that I sent to Sarah, the only conflict I found was there was one with a career services workshop going on during green dream. There is a superior edge orientation during the composting workshop and other than that there are not conflicts. I m not sure if you guys have any other questions I would be happy to explain more about a specific event or if you want me to explain specific charges that we need for specific events. Sarah: I open the floor to any questions? Adam: I m looking through here and I m just not seeing like when is are these going to be presented? I see the time, but when are they is this a week every single day? Georgia: It s Tuesdays at 5 sorry it s in the updated one. It s Tuesday at 5pm for all of them except one and that one starts at 6. Adam: So 7 weeks of Tuesday at 5pm? Georgia: It won t be during spring break but we are hosting sustainability week during the 3 rd week of March so it won t be then, but it will start February 6 th and go through to the end of the semester. Sarah: Any other questions? Okay I m going to ask you guys to pop a squat out front and ill call you back after deliberation. Mel: We can pre approve this because Rachel hasn t sign this right? Sarah: I m just going to stick with what is signed right now and we can amend by line item. Mel: Okay Cody: I was worried about the dates and them reminding people, but I see that they have already taken care of that. Sarah: I/m not a fan of lump sum, because its hard for case auditors. Adam: I m not a fan of 7 budgets coming in week after week. Sarah: I know this is the most efficient way of doing this and I understand that. If we are going to do a case auditor for this I would just say the 3 that we fund would be good. Hayley: I didn t happen to notice if they have the SFC logo on it Sarah: Georgia knows that she has to put it on there, I think if we approve it, it will be there. Adam: We will remind them anyways Sarah: Well I m going to open the floor. Motion to approve line item 7135: Cody Seconded by: Holly Approves unanimously Motion to approve line item 7190: Cody Seconded by: Holly Approves unanimously Sarah: Look at that the entirety of the budget had been approved at $405.20.

Case auditor: Sarah Sarah: SAG is here to explain what happened with the walls I know what happened but I didn t want to relay the message because its kind of difficult to explain it has to do with dimensions. They are going to be back here to give a quick update and then on their way so please ask them all the questions that you want to. Students Art Gallery everybody. Paige: Hi we are here to update you on the walls unfortunately we weren t able to buy them yet. We went and measured our new space that we were recently shown and the walls we were going to purchase are 97 inches high and the ceiling were 96 inches tall. Group: Awww Oh. Paige: So we are currently doing research we ve called a couple companies to see if they have shorter ones, we haven t heard from anyone yet. So we are going to start pestering them soon. Guy: Our walls that we currently have we found out that constructive management the construction student organization on campus built our walls, but we are thinking of trying to work with them again so that they can build it. I was in contact with a professor and he put me in touch with the groups president and I m looking to hear back from him right now, about setting up. It sounds like I need to be in the agenda, but they didn t have a meeting scheduled. As soon as I get into that I m going to pitch the idea and then they will decide if they want to work on it or not. Sarah: Are there any questions? Adam: So you would pay the other group to build your walls? Paige: Yes and Tom said that, that is between $1,500 and $2,000 so it would be cheaper than the other walls that we were looking at. We don t know exactly what the price will be because we haven t been able to discuss it. Sarah: The logistic of that is just going to be a difficult because paying a student organization generally doesn t happen ever. Paige: Yeah I was worried about that. Sarah: If you could find anything in SAG history about that, that would be really, really helpful, because otherwise I don t know if we can pay a student organization as far as I know. Guy: What about just materials where they are donating their time and expertise but we are just purchasing the materials? Sarah: I don t think that would be a problem Guy: Okay. So I think that that is how its going to go that is how I am going to pitch it to them. Sarah: That would look great on their portfolio. Thank You so much do you have any other questions. Leslie showed me where you re going to put and its beautiful. Paige: Yeah I was worried at first but when they showed me it was way better than I expected. Renee: Where is it? Sarah: You know that big space where they have the therapy dogs its going to be that whole space.

VIII. Old Business Name Paige: And we re going to have say so on the flooring and hopefully the lighting. Sarah: Thank you so much you guys have a great day. I haven t heard back from NAE and I m going to reach out to them one more time, with a little bit more urgency, that they need to send out an updated report about how much they made on the event, how much they made back, how much they lost. Just basically an updated EFG report. Then if they want to come in and explain themselves then they could. Hayley: Does anyone know what is the cutoff for returning their tickets. Sarah: I don t think that there is a cutoff. Description IX. Good of the Order Sarah Meeting Adjourned 7:07
