2 DBS Guidance for Applicants Under the Safeguarding of Vulnerable Groups Act 2006 we have a duty of care to ensure that children and vulnerable adults are protected from harm. In order to comply with this duty of care we must gain access to information that is only available through the Disclosure and Barring Services (DBS). St George's, University of London does not necessarily wish to debar individuals with criminal records so in assessing criminal records we will balance the interest of the applicant with its duty of care to special categories of people. St George s does reserve the right to refuse to admit applicants where their criminal record makes it inappropriate for them to be admitted. 2

3 What do I need to do? If you are holding a conditional offer we advise you start your DBS application, but please do not fully submit your application until you have met your academic conditions and your place has been confirmed by Admissions. There is a charge for making a DBS application which you are liable for so we ask you only submit your application fully once your offer has been confirmed. What can I do now? We would recommend you make a start by registering your application and doing the following: Fully read the Online Disclosures Applicant User Guide before starting your application, found on the following link Once you have fully read the guidelines. Use the Pin and Secret word provided in a separate from Admissions to register for the online application. Enter and Save your personal details into the DBS application now but STOP there. DO NOT click the Confirm & Submit button or take your documents to the Post Office for verification just yet. You would be informed by Admissions via when you can do so. As soon as Admissions confirm your place, go ahead and submit your application and verify your documents at the Post Office August 2017 Once you have received your results, send them into Admissions (no need if you're studying Alevels) 3

4 DBS FAQs When should I apply for a DBS check? Register and save your details on the GBG website as soon as you receive the link. Just ensure you read the guidelines before commencing and again DO NOT SUBMIT until you have confirmation from Admission when to do so. How much does it cost to do a DBS and do I have to pay? All healthcare professionals have to be DBS cleared under the Vulnerable Groups Act 2006, therefore it is a requirement you have completed your DBS before being permitted to start the programme. You will be required to complete and pay for your own DBS prior to joining the programme. Where can I get my documents verified? Documents must be verified at the Post Office. When completing your application, please ensure you select the Verify at Post Office option. Please use the following link to locate your nearest branch: NB: Not all Post Offices are authorised to check identity documents. Use the local Post Office Branch Finder to check. 4

5 I do not currently live in the UK. How can I get my documents verified? You do not need to complete this exercise until you arrive in the UK. International students will need to apply for this as soon as they have attended enrolment. However, you must provide your in-country police check prior to arriving in the country. Please contact admissions@sgul.ac.uk if you have any questions. What is the Update Service? The DBS Update Service enables you to keep your disclosure certificates up to date online for just 13 per year. All applicants must apply for the Update Service. Clinical placements often require students to produce a current DBS check. Registering for the Update Service will save you money and time in the long term. The deadline for applying for the Update Service is 19 calendar days of your disclosure certificate issue date (top right hand corner). After 19 days you would not be eligible to use the Update Service. Use the following link to apply for the Update Service: If you have any questions about applying for the Update Service, you should contact the DBS directly on What happens if I do not apply for the Update Service? You are likely to be required to complete a new DBS for each year and will incur full costs. How will I know if I am DBS Cleared? You will receive your own Disclosure certificate in the post. It is very important that you keep your certificate safe as copies are not available. How long will it take to be processed? The length of time taken for the DBS to process checks varies considerably. It may take longer for checks to be completed in cases where the Police are required to conduct additional checks, so it s important you apply for your DBS as soon as you have been sent the GBG Link. 5

6 I forgot to start my DBS application? It is expected that most students who apply for a criminal record check upon meeting the academic conditions of their offer will have received their DBS certificates by 30 September You will not be permitted to enroll, even provisionally if you have not started your application. Any delays in completing your DBS may result in delays to you joining the programme, participating in clinical placements or withdrawal. You are therefore encouraged to start your DBS application immediately and take your documents to the Post Office for verification as soon as you receive the from the Admissions Team. What if I already have a criminal record? If you have a criminal record you may be asked for a DBS from the Student Affairs Team prior to confirmation of your results. Should this apply in your case, you will receive an from a colleague in our Student Affairs team. Please note if you do not meet the conditions oftheir offer, the costs associated with the DBS check will not be reimbursed.
