4 Page 4 of PURPOSE To outline the management of engineering drawings produced by Institutes, Contractors and Suppliers for the LHC project. 2. POLICY 3. SCOPE All engineering drawings produced by Institutes, Contractors and Suppliers for the LHC project and deliverable to CERN are classified as External Drawings. They shall be prepared with a Computer Aided Design (CAD) system. External Drawings may be delivered to CERN in the form of native CAD drawings or plot files. The selection of one or the other possibility, or a combination of both, shall be negotiated by CERN with the Institute, Contractor or Supplier at the time of signing the collaboration agreement or contract. External Drawings delivered to CERN shall be stored in the CERN Drawing Directory (CDD)[ 1 ] with the relevant descriptive information. They shall be identified by a unique drawing number defined in accordance with "Drawings management and control"[ 2 ], or by both the Institute, Contractor or Supplier number and the CDD number. Drawings produced by Institutes, Contractors and Suppliers shall be submitted to an internal review before they are delivered to CERN. The name(s) of the reviewer(s) and date(s) of review(s) shall be recorded on the drawing. Once delivered to CERN and registered in CDD External Drawings shall be submitted to CERN s review and approval process before being released. The procedures described in this document are applicable to all engineering drawings produced by Institutes, Contractors and Suppliers for the LHC project and deliverable to CERN. 4. RESPONSIBILITIES The technical contact person at CERN in charge of collaboration with an Institute or in charge of a contract is responsible for:! Defining the requirements of the collaboration or contract for engineering drawings.! Informing the Institute, Contractor or Supplier of the LHC project quality assurance procedures for external drawings. Managers and Supervisors at Institutes, Contractors and Suppliers shall ascertain that personnel affected to design activities are aware of and understand the procedures described in the present document. 5. EXTERNAL DRAWINGS CATEGORIES External Drawings may be delivered to CERN as native CAD files or as HPGL 1 plot files. The choice of one or the other solution shall be negotiated with the Institute, Contractor or Supplier based on the properties and requirements given in table 1. 1 HPGL and HPGL2 are trademarks of Hewlett-Packard Company
5 Page 5 of 13 P R O P E R T I E S R E Q U I R E M E N T S Native CAD Files Once delivered to CERN, the drawings will be maintainable and modifiable with one of the CAD system at CERN in exactly the same way as CERN produced drawings. Drawings shall be reviewed and released as CERN drawings. They may be displayed and printed as CERN drawings. The Institute, Contractor or Supplier shall work with a CAD system identical to one of the CAD system used at CERN (AutoCAD or Euclid 3). The Institute, Contractor or Supplier shall install on his site a CAD configuration identical to that in use at CERN and described in the document LHC-PM-QP-310 Design Standards - Mechanical Engineering and Installations. The Institute, Contractor or Supplier shall have an access to the Internet. HPGL Plots Files The drawings will not be modifiable. Drawings shall be reviewed and released as CERN drawings. They may be displayed and printed as CERN drawings. The Institute, Contractor or Supplier must be equipped with a CAD system able to produce plot files of drawings in HPGL format. Every drawing shall have a blank area reserved for CERN s identification data as shown in fig. 3. Table 1: Native Cad Files and HPGL Plot Files Properties and Requirements While selecting a solution the following points shall be considered as well:! HPGL plot files are the easiest solution to implement as no modification of the Institute, Contractor or Supplier CAD environment is required, except for the reservation of a blank area on each drawing.! AutoCAD native files require Internet and the installation of a dedicated AutoCAD environment at the Institute, Contractor or Supplier.! Euclid 3 native files require Internet and the installation of a dedicated Euclid environment, including a Euclid 3 version identical to the one in production at CERN, at the Institute, Contractor or Supplier. The process of preparing and delivering External Drawings to CERN is shown in figure 1.

7 6. PREPARATION OF EXTERNAL EUCLID DRAWINGS Page 7 of 13 CAD databases of LHC shall be maintained throughout the LHC whole life cycle to cope with maintenance and improvements. The LHC life cycle will extend well beyond the expiration of collaborations and contracts between CERN and Institutes, Contractors and Suppliers. The complete databases will therefore have to be transferred to CERN at the latest at the end of the collaborations or contracts. Furthermore the design work has to follow CERN s working methods to guarantee consistency throughout the full set of databases independently of the origin of the work. This can only be achieved by respecting the requirements listed below. The Institute, Contractor or Supplier shall work with a software version of Euclid fully compatible with the version in production at CERN. When planning the introduction of a new version, Institutes, Contractors and Suppliers shall give CERN six months notice of their intentions. at least six months before the change be co-ordinated with CERN to maintain this compatibility. The Institute, Contractor or Supplier shall create on his site a Euclid environment identical to CERN s environment as described in "Design Standards - Mechanical Engineering and Installations"[ 3 ]. Naming conventions for projects, sub-projects, user codes and objects shall be respected. The CERN Title Block[ 3 ] application shall be installed and used for the preparation of drawings. All drawings shall be made from the projection of 3D solid models into views, maintaining the link between models and projections Models referenced by a drawing or an assembly shall be created in the same subproject as the drawing or assembly to avoid the creation of external references. Each drawing shall be registered in CDD via the WWW with the appropriate data. CDD will then return a drawing number, which shall be entered in the drawing s title block. The Institute, Contractor or Supplier shall record their internal verification on each drawing before the drawing is transferred to CERN. This verification shall be registered in CDD and written in the title block in the CONTROLLED box. When a drawing or a set of drawings is ready, a Euclid exchange format file (XDB 2 ) containing all 3D models and other entities referenced by the drawing(s) shall be prepared for transfer to CERN. The file shall be transferred to the CERN CADD ftp server and an electronic mail sent to the CDD administrator to inform him of the transfer. At CERN the file shall be uploaded into the CERN Euclid database. The drawings shall be submitted to the CERN review and approval process prior to release. The responsible CERN PE shall prepare requests for corrections and sent them to the Institute, Contractor or Supplier. The corrections shall then be carried out on the original CAD drawing and the process of transfer to CERN shall be repeated with the corrected drawing(s). 2 XDB is the proprietary CAD data exchange format of Matra DataVision.

The Institute, Contractor or Supplier shall work with a software version of AutoCAD fully compatible with the version in production at CERN. The introduction of a new version at an Institute, Contractor or Supplier shall be coordinated with CERN to maintain this compatibility. The Institute, Contractor or Supplier shall create on his site an AutoCAD environment identical to CERN s environment as described in "Design Standards - Mechanical
9 Page 9 of 13 Engineering and Installations"[ 3 ]. Naming conventions for directory, sub-directories, and drawing files shall be respected. The CERN Title Block[ 3 ] application shall be installed and used for the preparation of drawings. External references shall not be used when inserting parts or sub-assemblies as the references may be lost when drawing files are transferred from the external site to the CERN site. Any reference to a local menu file shall be replaced by a reference to the default menu file ACAD without any explicit DOS 3 path. Any reference to a character font file other than those provided by the standard AutoCAD installation shall be avoided. If this is not possible then the Institute, Contractor or Supplier shall provide a copy of the appropriate files for installation in the CERN environment. All references to character font files should be without any explicit DOS path. Each drawing shall be registered in CDD via the WWW with the appropriate data. CDD will then return a drawing number, which shall be entered in the drawing s title block. The Institute, Contractor or Supplier shall record their internal verification on each drawing before the drawing is transferred to CERN. This verification shall be registered in CDD and written in the title block in the CONTROLLED box. When drawings are ready the drawing files shall be transferred to CERN using the CDD UPLOAD FILE form and an electronic mail sent to the responsible PE to inform him of the transfer. The drawings shall be submitted to the CERN review and approval process prior to release. Request for corrections shall be prepared by the responsible CERN PE and sent to the Institute, Contractor or Supplier. The corrections shall then be carried out on the original CAD drawing and the process of transfer to CERN shall be repeated with the corrected drawing(s). 8. PREPARATION AND DELIVERY OF EXTERNAL PLOT FILES 8.1 DRAWING PREPARATION Plot file drawings shall be prepared with a CAD system used at the Institute, Contractor or Supplier. They shall respect International Organization for Standardization (ISO) drawing standards[ 4 ] and be formatted in accordance to the Institute s, Contractor s or Supplier s own design standard. Before drawing production starts the Institute, Contractor or Supplier shall implement in his design office a procedure to reserve on every drawing a blank area of 5 cm x 2.5 cm for CERN s identification data. An example is shown in figure 3. The exact location of the blank area shall be proposed by the Institute, Contractor or Supplier and submitted to CERN for approval. The location of the blank area shall be identical for all drawings of the same size. When drawing production starts, the Institute, Contractor or Supplier shall deliver to CERN a sample of each size of drawing with the reserved blank area clearly indicated. The version of HPGL used, HPGL or HPGL2 shall be communicated at the same time. If HPGL1 is used, the pens definition and the type of plotter driver used to create the plot file shall be communicated as well. The preferred version is HPGL2. 3 DOS is a registered trademark of Microsoft Corporation
10 Page 10 of 13 The drawings shall be submitted to the Institute, Contractor or Supplier internal verification. This verification shall be recorded in the appropriate location in the drawing s title block. 8.2 PLOT FILES DELIVERY USING INTERNET Institutes, Contractors and Suppliers equipped with an adequate Internet access shall register each drawing in CDD with its descriptive data. CDD will then return the drawing s number. A plot file in HPGL2 format shall be prepared for each drawing and named as described below: Five characters or digits corresponding to the equipment code (the fourth to the eighth chars/digits of the CDD number) concatenated with the last three digits of the CDD number, followed by one dot and the file extension PLT. Example: Given the CDD number LHCXELMX0123 the file name would be XELMX123.PLT. Each plot file shall transferred to CERN in the appropriate CDD sub-directory using the CDD file upload utility and an electronic mail sent to the responsible CERN PE to inform him that the drawings are ready for review and approval. 8.3 PLOT FILES DELIVERY USING MAGNETIC MEDIA When drawings are ready, an HPGL2 plot file shall be created for each drawing. A list of the drawings shall be prepared. This list shall have the following format: Format of the list in preparation The Institute Contractor or Supplier shall copy the plot files and the list to magnetic media such as disk, CD-ROM or tape and arrange for the delivery of this media to CERN. CD-ROM's shall be formatted as defined by ISO 9660 [ 5 ]. Upon reception at CERN, the media shall be sent to the responsible PE. CDD shall then be updated with the contents of the list of drawings and the plot files shall be uploaded in CDD. The drawings shall be submitted to the CERN review and approval process prior to release. 8.4 RELEASE OF EXTERNAL PLOT FILES DRAWINGS Upon release of each drawing the plot file shall be updated with CERN identification data. CERN s identification data consists of:! CDD drawing number.! Revision index.! Quality assurance category.! Reviewers names and dates of reviews. It is written in a stamp located in the reserved blank area of the drawing. An example of a drawing with CERN identification is shown on figure 3.
