1 1.0 Introduction A computer aided design (CAD) procedure is necessary to ensure that drawings produced by and for the University are readable, understandable, of a consistent standard, and, where necessary, compatible with other systems. The procedure sets out requirements for the production of CAD drawings internally and by Architects, Consultants or Contractors working on projects for the University of Leicester. The procedure shall be issued to the Architect, Consultant or Contractor at the onset of any new project and the Contractor will be obligated to adhere to this standard. It is expected that this standard will evolve over time; however the use of this standard should remain consistent within individual projects. 2.0 Definitions 2.1 Architect, Consultant or Contractor An Architect, Consultant or Contractor can mean any Architect, Consultant, Main Contractor or Sub-Contractor that may make any changes to University of Leicester CAD drawings or produce their own drawings for the University. 2.2 Current Building Layout Drawings The Current Building Layout Drawings are a set of master drawings showing only building outlines, partitions, room numbers and door and window positions etc. These master drawings are located in X:\Estates\Prop Serv\Building Documentation\Current Building Layout Drawings. The drawings are located in the appropriate Building and Campus folder within this directory. A folder named Building Disposals also exists where drawings should be archived in the appropriate building folder if a building has been released. These folders have read only access, and drawings must be saved into a different directory in order to be used for project purposes (File menu Save As ). 2.3 External Reference A drawing may be attached to a host drawing as an external reference or XREF. The referenced drawing (XREF) can then be viewed from within the host drawing, although it is saved as a separate.dwg file. Individual elements of the XREF drawing cannot be altered within the host drawing; however, layers derived from the XREF may be turned on/off as required. XREFs should be attached on the appropriate layer (Z-Z920-XREF in colour 8) as per the layer table in section 7; the insertion point should be 0,0. Any changes to the original referenced drawing are displayed in the host drawing when it is opened.

2 Current Building Layout Drawings will be attached as XREFs into the services drawings in a directory structure to be defined [under development - alternatively consider adding services information to appropriate layers within the Current Building Layout Drawings]. Although the XREF should be attached on the appropriate layer the XREF s own layers will be brought into the host drawing. These layers should be changed to colour 8 (Grey) so that the services are highlighted. In order that these changes are retained from session to session VISRETAIN should be set to 1 (default). 3.0 Drawing Production 3.1 Drawing Templates Drawing templates have been set up to enable staff to set up a drawing quickly and easily. These templates should be used at all times to ensure that all members of staff are creating drawings in accordance with the office standard. The templates contain standard layers, standard text styles and drawing title blocks all as per below. Templates are located in X:\Estates\Prop Serv\Building Documentation\Current Building Layout Drawings\AutoCAD Templates and are available for paper sizes A4, A3, A2 and A1. The appropriate sized template must be chosen for the drawing that will be created and the scale that is desired. 3.2 File Format Software to be used to create or modify drawings will be AutoCAD Release 2007 (or above). The drawings should be saved in AutoCAD 2007.dwg format. 3.3 Drawing Units All drawings shall be drawn in Model Space at a scale of 1:1 where one drawing unit = 1mm. The unit shall be accurate to two decimal places. The lower-left corner of the drawn image should be positioned at the origin (0,0) in line with the World Co-ordinate System (WCS). Angles shall be shown in decimal degrees and measured anti-clockwise with 0 measured as a horizontal line drawn to the right. 3.4 Drawing Revisions Drawing revisions shall be given an alphabetic issue letter which appears in the title box, revisions to drawings shall also be clouded to clearly outline the changes. Any revisions/clouds should be placed on the appropriate layer (Z-Z300-Revs in colour 150) as per the layer table in section 7. Revisions shall be described in sufficient detail to enable the nature of the revision to be identified and shall be located above the title block.

3 3.5 Text styles The text shall be standardised to STANDARD Arial and should be sized appropriately. All text should have a width no greater than 1 at a scale of 1:1. Blocks and Title blocks should be left in the text style they were made in and not changed to Standard Arial. 3.6 Pen Settings If varying pen thicknesses are used a.pcp or.pc2 file should be supplied with the drawing files. It is recommended that all the master outlines (XREF) should be in colour 8 when attached to M&E services drawings to emphasise the M&E services. 3.7 Line types Standard AutoCAD line types must be used. Site survey drawings showing main service supply routes may use special line types such as:- GAS GAS, CCTV CCTV These special line types must be supplied with the drawing files. 3.8 Page Setup (for Current Building Layout Drawings only) The Current Building Layout Drawings form the backbone of the University s property information system, MICAD IPR. It is essential that the drawings are in the appropriate format in order for graphical reports to appear correctly. For ease of use the drawing templates are preconfigured with the following page set up parameters: Printer/Plotter to be DWF Paper size ISO A2 preferred Plot area to be extents Plot offset to be centred Plot scale to be scaled to fit Plot style table to be aclt.ctb Shade plot as displayed An appropriate drawing orientation should be selected for each building layout, building drawings should not be rotated. If the Current Building Layout Drawings are to be plotted in a different manner for other purposes then the following shall apply; If the plot style table is altered then this should not be applied to all layouts as this will alter the page setup model. The apply to layout button should not be pressed as this will also alter the page setup model.

4 4.0 CAD Drawing Numbers The drawing number should appear in the title block and should be the same as the saved filename. 4.1 Current Building Layout Drawing Numbering One Current Building Layout Drawing shall exist per floor. In order that each drawing has a unique drawing number, the 4/5 character building code shall be used as a prefix. A description of the level will then follow; Basement, Lower Ground Floor, Ground Floor, 1 st Floor, 1 st Floor Mezzanine, 2 nd Floor etc. For example, Percy Gee Building first floor = PERC 1 st Floor. This will ensure that the content of the drawing file should be easily recognisable from the number. 4.2 Project Drawing Numbering To be advised [under development] 4.3 Services Drawing Numbering To be advised [under development] 5.0 Drawing Frame Setup 5.1 Title Blocks All drawings shall be drawn within the bounds of one of the University of Leicester drawing frames, these have been set up within templates for each paper size. The drawing frames are scaled at 1:1 and comprise of: outline frame, title block, revisions block and University of Leicester logo. There is a blank space allocated for any companies/departments wishing to add logos etc. All drawings will have a title block, which will be inserted into a drawing in Paper Space at an origin of 0,0. All title blocks will be in an attribute format allowing all information to stay the same, but with editing facility. The title block must be fully completed as appropriate. While in paper space a viewport must be inserted on a layer called Z-Z900-VPORT so that any XREFs or drawings in Model Space can be viewed within the Title block frame. The view within Paper Space should be zoomed to an appropriate scale. The preferred scales for use are: 1:1, 1:10, 1:20, 1:50, 1:100, 1:200, 1:250, 1:500, 1:1250, 1:2500.

5 6.0 Model Space/Paper Space All Current Building Layout Drawings (XREFs), text, symbols, charts, diagrams etc. will be added to a drawing in Model Space (MS). All title blocks, legends, revision notes etc. will be added to a drawing in Paper Space (PS). Drawings should be saved in Paper Space and zoomed to extents. 7.0 Standard Layering Procedure A standard CAD layering system is necessary to enable consistent drawing production from a wide variety of sources and services. All contractors must use this layering procedure when producing any drawings for the University of Leicester. 7.1 Naming convention The following layer names have been taken from AEC (UK) CAD Standards for Basic Layer Naming V2.4. A full version can be downloaded free of charge from The layer names must be exactly as shown below (i.e. the spelling and capitalisation must be identical). This can be achieved easily by ensuring that every new drawing is based on a current floor layout drawing (see Section 2.2) or is created using a University of Leicester drawing template (see Section 3.1). Any complex projects requiring a more detailed layering system than that specified below should use the full standard downloadable as above. Contractors should consult with the University of Leicester Project Manager prior to using the full standard. All layers should be coloured BYLAYER, and all corresponding text and leaders should be on the correct services layer name. 7 * These three layers are automatically produced by the MICAD space planning module within AutoCAD when the room blocks are created from the room polylines. These layers cannot be altered or deleted as they are necessary for the MICAD Intranet Property Register to function correctly. 8.0 Use Of Standard Symbols 8.1 Mechanical & Electrical Symbols All symbols to be inserted on the appropriate layer as per section 7. The remainder of this section to be advised [under development]. 9.0 Disks, Files and Drawings 9.1 University of Leicester s Hardware and Software Systems It is the responsibility of the Architect, Consultant or Contractor to ensure that their CAD system is capable of accepting the CAD files issued with this CAD strategy as produced on AutoCAD 2007 or later. It is the responsibility of the Architect, Consultant or Contractor to ensure that all CAD files produced under their contract are compatible with the University of Leicester CAD system (currently running AutoCAD 2009), and that all the drawing files shall be capable of being reproduced on the University of Leicester s printing/plotting system. Compatible with the University of Leicester CAD system shall mean that any drawing file submitted by the Architect, Consultant or Contractor can be interrogated, revised and stored on the University of Leicester system to the satisfaction of the University of Leicester s CAD operators. Capable of being reproduced on the University of Leicester s printing/plotting system shall mean that drawings plotted on University of Leicester s system shall be identical in all respects to the hard copy of the drawings submitted under the contract without requiring alterations to the file. 9.2 Submission of Files For every completed project the Architect, Consultant or Contractor shall provide 3 No. operation & maintenance manuals to the project manager. Each manual shall include a compact disc of electronic record drawings and one set of paper record drawings at an appropriate size. The electronic record drawings shall be in a file format compatible with the University of Leicester s CAD system (currently running AutoCAD 2009) and the disc shall be clearly named and labelled with the project name and number. The Architect, Consultant or Contractor shall keep a complete and up-to-date log of all the CDs produced for and submitted to University of Leicester. All data in whatever format remains the property of the University of Leicester and the contractor must destroy all records and data when instructed by the University of Leicester. The University will have rights for re-use over all drawings produced as part of any project.

8 For every completed project the project manager shall forward promptly to the Property Data Management Officer such CAD files as will enable the Current Building Floor Layout drawings to be updated accurately. The CAD files may be those supplied by the Architect, Consultant or Contractor or may be produced by the project manager or another user of the University of Leicester s CAD system.
