2 Project Manager Report: July 2014 A short overview of activities undertaken since the last Steering Group meeting and overview of planned activities over the next few months. Activities since the last meeting: Distribution and collection of the Residents Survey Distribution/ link circulation of the Business Survey (x responses) Distribution/ link circulation of the Youth Survey (x responses) Meeting of the Parish Council Tourism Group Meeting of the Publicity Group Tasks required over the next few months: July/Aug - o Collation of Survey Results o Analysis of Survey Results o Report and discussion of Survey results o Topic group discussion of above o Drafting of overarching Vision and broad Objectives o Meeting of Events/Consultation Group o 2 x Meetings of Steering Group September o Meeting of Tourism Group o Meeting of Events/Consultation Group o Meeting of Steering Group o Topic Groups o Continued discussion of results by Topic Groups o Preparation for autumn consultation events Reconvene Events and Consultation Groups (possibly combine) Design of flyer to advertise and organisation of leaflet drop for the same o Draft Vision and broad Objectives o Consider how to deal with spatial elements of the plan (such as identifying potential housing sites on a plan based on SHLAA and Survey Results to allow comment at Consultation Events) - suggest an additional meeting of the Steering Group specifically for this.

Activities since the last meeting: Analysis of comments and creation of second Housing Survey Report Discussion re delays over collation of Residents Survey Preparation for Steering Group Tasks required over the next few months: September o Collation of Survey Results (Residents) o Analysis of Survey Results (Residents and Business) o Report and discussion of Survey results o Drafting of overarching Vision and Broad Objectives o Draft Sustainability Appraisal / Strategic Environmental Assessment Scoping Document o Possible meeting of combined Events/Consultation Group o 2 x Meetings of Steering Group - Late Sept meeting to include Housing topic discussions o Consider how to capture more views of children via an event at the school? 5 December o 2nd Consultation Day December 6th (Seely Hall) o Meeting of Steering Committee incorporating: Topic discussion on Improving Community Services, Traffic & Transport o Analysis of feedback from Consultation Days January o Consider responses to SA/SEA Scoping Document and what changes may be needed to drafted vision/objectives and or policies so far. o Meeting of Steering Group incorporating: Topic discussions on Creating a Sustainable Community, Community Safety and General Design and/or Location Principles. February o Meeting of Steering Group incorporating: Continue discussions on topic areas and finalise policies etc o Update the SA/SEA to reflect changes as a result of the Scoping responses and to incorporate the drafted policies etc. The delay to the collation of the results of the Housing Survey has necessitated a delay in our consideration of results and the start of the policy formulation for the NP. The Consultation Days have now been rescheduled for late November (29th at Wilberforce Hall) and early December (6th at Seely Hall). I suggest we another meeting in September (as discussed briefly at our last Steering Group) perhaps Monday 29th or Tuesday 30th. This will also allow for a meeting to take place before I have annual leave in early October. We can then attempt the format discussed at the last meeting namely a 7:15 pm start with a short (15 minute Steering Group meeting) followed by a topic discussion meeting looking at the evidence from the Residents, Business Surveys and other data compiled through the Parish Profile. I also suggest that we start with 'Providing Housing'. As housing understandably remains a topic of key interest to the community I suggest that I undertake the analysis of responses to housing related questions in the Residents Survey. This will then be considered with evidence from the earlier Housing Survey (including the analysis in the Brighstone Housing Survey Needs Report completed in June 2014). We can then consider all this information in relation to the policies of the Island Plan and identify what in effect this means for Brighstone Parish. We can also start to look at suggested sites that may have come forward from surveys alongside the existing SHLAA sites and the necessary considerations and constraints that there may be on these.
6 For all other topics I would like to call on volunteers from the group to help with the analysis of the results of the Residents Survey and then to compare this with other information that we have already gathered (Parish Profile etc). We can then undertake a similar exercise for these in terms of looking to draft policies and if any specific spatial element is needed in the NP for these topics. The following table sets out the links between our likely topics and the Island Plan. It is I think important that we continue to familiarise ourselves with the Island Plan in order to ensure that we are in alignment with it, making the NP a sound document. We may find that there are areas where we believe that we cannot give any greater local definition to the Island Plan policies, in which case we should consider not pursuing those elements of the NP and acknowledge that the Island Plan is sufficient. For those that we do pursue it will be important to clearly set out how the NP gives greater clarity about what is required for Brighstone Parish over and above the general principles and policies of the Island Plan. Project Management Time At the end of the last quarter (1/05/14 to 31/07/14) time spent on the project was over by 73 hours. This is based on an average of 50 hours per quarter (16.6 hours per month) for the whole contract period and represents a cumulative total of hours over or under target to that date. Up until end of August 7 hours have been used this quarter, therefore: Total expected hours for contract up to end August 2014 = hours Actual hours for contract up to end of August 2014 = hours Therefore balance = hours JB 31/08/14
