4 1 G e n e r a l 1.2 A b b r e v i a t i o n s 1 General Thank you for purchasing IPS-ENERGY Asset Performance Management Software. This user documentation should introduce you with all necessary information to get best use out of this application. IPS-ENERGY is programmed in a dynamic way which means that more (or less) features are available to you depending on configuration and licensing. 1.1 How to read the documentation Texts written in italics indicate Names in the software (Windows, Fields, Tables, Columns, etc.). Texts written in bold indicate Function in the software (Buttons, Menu Options, Tabs, anything you can click on). 5 2 S e t t i n g W o rk f l o w Managem e n t 2.1 I n t r o d u c t i o n 2 Setting Workflow Management 2.1 Introduction The module group Setting Workflow Management (SWM ) is specially developed for relay devices, and allows you to administrate all activities related to their settings. The workspace is structured in three levels, System Change Notification (i.e. description of any event), Global Setting Requests (affecting several physical relays), and Relay Setting Requests (RSR, affecting one single physical relay). Each level has its own workflow the workflow for Global Setting Request (GSR) is fully customizable. A major benefit of this all-round solution is the handling of relay settings through properly controlled workflows. The SWM module represents and supports the entire process of Setting Life Cycle Management. Every potential setting change must be created by SCN. Various reasons for setting change can be defined through various SCN types. SCN types are defined within the module Document Template definition. The process starts with a reason for a setting change, continues with setting development and implementation of the setting in the setting database, and finally manages testing and confirmation of the setting on site including final validation phase. Prior to using the SWM module group, the appropriate user rights must be given/adjusted: Figure 1: Relevant user rights for the SWM module group The module group consists of six modules: System Change Notifications (SCN) Workflow Definition Document Template Definition RSR Overview Project Manager Site Configuration Working Order The above list corresponds with the order of modules in the application. The System Change Notifications module will be used most in the SWM module group once everything is set up, and is therefore the first module. NOTE: If you start with an empty application you have to begin with defining workflows and document templates for the use in the SCN as a precondition. IPS-Intelligent Process Solutions GmbH 2/55

A single SCN can incorporate one or several GSR, and one GSR can incorporates one or several RSR. Therefore, the structure looks like this: SCN1 SCN2 GSR1 GSR2 SCNn GSRn RSR1 RSR2 RSRn Identifiers Management The input format for all various identifiers is standardized through the whole module group SWM. The following format fields are supported for all identifiers SCN ID-GSR ID-RSR ID: {YYYY} actual calendar year 4 digits {YY} actual calendar year 2 digits {MM} actual calendar month with potential leading zero always 2 digits {DD} actual calendar date of the month with potential leading zero always 2 digits {hh} actual hours with potential leading zero in 24-hour clock convention always 2 digits {hh12} - actual hours with potential leading zero in 12-hour clock convention always 2 digits {am} am or pm indicating a.m. or p.m. in 12-hour clock convention in lowercase {AM} AM or PM indicating a.m. or p.m. in 12-hour clock convention in uppercase {mm} actual minutes with potential leading zero always 2 digits {ss} actual seconds with potential leading zero always 2 digits {nn} {nnnnnnnn} index the number of n characters could be from 2 to 8 (for instance {nnn} would generate number 001 with leading zeros) Notice that each individual field must be enclosed in curly brackets. The field characters are case sensitive. The uppercase and lowercase of the fields are important for instance in order to distinguish months and minutes. The above format specification uses 12 a.m. for midnight and 12 p.m. for noon in 12-hour clock convention. All the date fields are evaluated based on the current local time and date of the computer where the application runs. The fields are evaluated always in the moment when the RSRI is auto-generated (for instance in the moment of opening the Relay Setting Request form for RSR object creation). 7 2 S e t t i n g W o rk f l o w Managem e n t 2.1 I n t r o d u c t i o n The index calculation is always starts from 1 internally. The RSR Index field usually contains two main types. Numeric index only this approach is used when the RSRs are created in server database only when the index uniqueness could be verified (all RSRs are created in same database) Date/time stamp this approach is used when the RSRs for same GSR are created in mobile clients (in different databases) and uniqueness cannot be verified by the application The standard numbering is usually defined in global setting request identifier level (like company numbers, years etc.) Examples: {nnnn} will be resolved as 0001 (numeric index) {MM}{dd}{hh}{mm}{ss} will be resolved as (date/time stamp) Besides the above fields list the following additional field is available for GSRI: {SCNID} the SCN ID of the parent system change notification will be placed during the format mask evaluation Since the selected GSRI format is enforced additional format characters are introduced in order to support optional additional digits, letters or any characters. 9 or #- optional digit A or a optional digit or letter & - optional any character? optional letter "<free text>" - <free text> replaces any text string It is important to say that unlike for system change notification identifier all fields and fix texts must be enclosed to double quotes and optional character marks must be outside of the quotes. Examples: If the selected SCN ID = IPS then {YYYY}_{SCNID}_{nnn} aaa will be resolved like 2012_IPS _001 or if the user enters some character instead of aaa like b2 then it will be 2012_IPS _001 b2 IPS {YYYY}-{MM}-{DD}_{hh}{mm}{ss} will be resolved as IPS _ The corresponding identifiers are auto-generated but the user has always the possibility for editing/changing. Check for unicity is always made within the current database of use. About SRI Format NOTE: The SRI format for SCN, RSR and CIR cannot be seen or selected. This module presents you with an overview over the existing SCN, and the corresponding Global Setting Requests (GSR) and Relay Setting Requests (RSR). Figure 3: System Change Notification module workspace in SWM Here, you can manually create a new, edit or delete a SCNs. Use the context menu (right-click in the SCN workspace) to see the available options. NOTE: If you start with an empty application you have first to begin with the definition of workflows and document templates for the use in the SCN. 10 2 S e t t i n g W o rk f l o w Managem e n t 2.2 S ys t e m C h a n g e N o t i f i c a t i o n s Create a new SCN As in other parts of the software the context menu option New blank opens a new and empty window while the option New creates a duplicate of the selected SNC entry containing the same details which can then be amended. The SCN Creation Wizard leads you through the process of creating a new SCN. Start the wizard via the context menu: Figure 4: Start the SCN Creation Wizard The SCN Creation Wizard window opens. In Step 1 the following fields are available: Description (max. 200 characters) Attachment Created by (automatic input of the current user) Comment Workflow Type (selection via the Workflow State Description button; tick the box to display Workflow History) IPS-Intelligent Process Solutions GmbH 7/55

Select the required document, and Add it (or Add all) to the lower selection list. Close this window again (see above). NOTE: If the template list is empty, no templates have been set up yet. You would need to do this within the 2.4 Document Template Definition. via the context menu option Import Setting Document (right-click in the workspace of the Settings Information Documents list), which opens a new window to Select Files... from your PC/network (see below). Click the selection button project stage. You can set up the text manually, or use an template. Conditions for sending s are: Server defined addresses From and To defined In case of using the template functionality, templates must have been previously set up. When you have finished step 4 click on Add to update the database. The new SCN is now created, and you have the option to: Choose Update and Create GSR to continue. NOTE: You may have to change the status of the SCN to In Process. IPS-Intelligent Process Solutions GmbH 11/55

It also is a workflow for a global setting request related to one SCN and one specific global request such as a request for one substation and all relays within this substation. Multiple GSR are required when different setters are required. One GSR can have only one responsible setter. Further multiple GSR are used, for example, to manage several substations (one GSR per substation). As in other parts of the software the New blank opens a new and empty window while the option New creates a duplicate of the selected SNC entry containing the same details which can then be adjusted. The GSR Creation Wizard leads you through the process of creating a new GSR. Start the wizard via the context menu: Figure 12: The GSR Creation Wizard leads you through the creation process. NOTE: A precondition for the setup of a GSR is the definition of the Setting Workflow Type and the corresponding Workflow and SRI (Setting Request Identifier) format. 22 2 S e t t i n g W o rk f l o w Managem e n t 2.2 S ys t e m C h a n g e N o t i f i c a t i o n s GSR has a customer specific WF, move to the Workflow tab to view it: Figure 18: GSR Workflow You have the option to change the state of the WF via the context menu. Apply one or the other to see the changes. Specific states within workflow may include starting a wizard, e.g. wizard for creation of the RSR or wizard for adding specific data for multiple RSR. These wizards must be defined within the workflow definition. This is done by state transition. Setter and Commissioner assignments offer the option of transferring the information to all belonging RSR Records. By ticking the box Apply to RSRs, the user wishes to transfer (set and/modify) the information to all belonging RSR records. By reopening the Assignment dialog, the tick is by design NOT set in order to prevent accidental/not wished re-assignment. Figure 20: The GSR Projects tab with context menu options When you have checked or changed the GSR it is ready, and you have the options to: Figure 21: Options after finalizing the GSR Click on Update and Create RSR to save the GSR into the database, and move to the next step. The RSR Creation Wizard opens. Alternatively, you can start the wizard within the defined workflow state, or simply via the context menu option RSR Creation Wizard. Move back to the Global Setting Requests workspace where your entry has been added to the list. Bring up the context menu which now looks different if the list contains records: Figure 22: Additional options visible in the context menu if a record exists The Edit and Delete option is available. You can also Toggle Workflow Views to see the corresponding workflows for SCN, GSR, and RSR. The New Location/Asset Creation option brings up a window where you can set up new locations or asset objects, if needed Create a new RSR A RSR represents a kind of work order for setting implementation. Every RSR can have one relay setting only. A RSR could be defined just for a location without setting a record in a case where a relay asset is not managed within the IPS database (typically for external customers). A RSR is created by the setter, and implemented by the field people. The setter may be responsible to validate and close RSRs, but this can be done by field people as well. The Nominal Setting / IPS standard setting can be created or edited via the context menu. Select New to open a list form where you can choose the required relay pattern parameter. Click Next to move to step 4. If nominal settings should not be used, skip this step, and move on with Next CAPE Relay Setting Cross Reference: If you are a user of the CAPE module group you have other options in Step 3 of the RSR Creation Wizard. Variable settings can be calculated in CAPE, can be entered manually within the Nominal Setting section, or can be calculated from the primary settings, etc. Creation of the entire setting will take this into consideration. Figure 30: Relay Setting with parameter overview All relay parameters can get selected via the explorer section to be displayed in the list to the right. Variable setting will be applied from: CAPE, Nominal Setting, Base setting dependent of the previous system, setting and definition. The options Seal, Attach and Active can be set via the context menu as well, e.g. once you have set the setting active the box will automatically show a tick to indicate this. Cross Reference to RELEX module group: As this is part of relay settings management please refer to the RELEX user manual for further details on various relay related options. The process is presented from setting calculation until setting in service. Customer specific workflows can be defined for GSR. For each workflow type, one workflow can be defined: Workflow Types Workflow type and list of SRI (Setting Request Identifier) can be defined. Use the context menu, and select New to bring up the Workflow Type window. Figure 45: Workflow type definition Enter the Display and Short Name, and click Add (context menu) to add a SRI Format to the list. Another window opens form where you can select the required SRI Format(s), or set up new ones (using Add in the context menu again) by entering the required Format and Description. Figure 56: RSR for Site Implementation within the RELEX module group This module has specially been developed for staff working in the field to provide easy access to the required RSR for site implementation. All activities can be run from one user interface. After the setting is implemented and the RSR is closed, the setter should verify all GSR corresponding to RSR. After closing a GSR, all corresponding RSR will be removed from the list of RSR for Site Implementation. Inclusion of RELEX functionality: In the SWM module group, users do now have access to full RELEX functionality as if they were directly in the RELEX module group. This includes access to report generation, and asset location information is displayed directly in the dialog header. Ability to access relay setting reports within the SWM module group Setting Workflow Management is enabled through a new condition definition (execute action).
