2 believes that anyone can make their business full time; it s all about the marketing and getting out there. Student Spotlight Phyllis Traylor is a lifetime member of Notary2Pro. She has been in this industry for a while and is quite successful. Phyllis is the student spotlight for this month. Phyllis first started this job from a friends recommendation. She took a course (from a well-known organization) to become a Notary Signing Agent but felt completely lost after successfully completing the course. Then I stumbled across Notary2Pro while searching the web for additional training. Completing the Notary2Pro course gave me the confidence to pursue this full time, and as promised, help take my business to the next level, Phyllis stated. Phyllis attributes a lot of her success to marketing herself. I spent a lot of time marketing my business on a regular basis. The Notary2Pro course took a lot of the guess work out of the marketing process. The list of signing services provided by them was a great help. I used that list extensively, calling the companies, and then ing them my Notary Signing Agent package, which included a copy of my: Notary Commission, Bond, Errors and Omissions Insurance, Training Certifications (Notary2Pro), Background Check and resume. Phyllis received her first signing within a month of completing the Notary2Pro course. However; she want to encourage anyone that they can do this job and to develop a plan, stick with it, commit, and always remain professional. This is not something that happens overnight. Use the down time to market yourself and your business, and of course, get out there and network. She also Phyllis, like many had plenty of obstacles to overcome, and she stated; I had to learn how to manage my time, and especially my schedule. I also had to learn how to say no to some assignments. I initially thought I had to accept every assignment that was offered, and work seven days a week. That got old pretty fast. I was burning myself out. I also had to learn that just because someone pays a fair price and pays on time, does not make them the ideal client to work with. There are other factors that should be considered, such as how I was being treated as a professional and business owner. When asked about how to do this job she stated that training is the key. All Notary Signing Agents have are their commissions, certifications and reputations. She said that you definitely don t want to ruin any of those. Phyllis is an expert when it comes to marketing; Utilize the list of signing services provided by Notary2Pro. Join the top three Notary Signing Agent directories: Notary Rotary, Notary Café and 123 Notary. You should also network, join professional organizations like your local chamber of commerce, and let others know what you do. Try to get involved in some community organizations, people like to do business with people they know. Phyllis is successful not only because of her training and experience but because she enjoys her job. She loves having control over her own schedule, she likes deciding on what assignments to take, who she will work for and what she will charge. She especially likes the flexibility. Her final words to the reader are; For me, being a business owner means the sky s the limit. There so many things you can do as a business owner. You can be as small or as large as you want to be. Whether or not you succeed is ultimately up to you.

4 Client Data File Security for Notaries By James H Compton, CA Notary Public While most of us aren t technophiles or techies as Notaries we need to deal with technology and very the often the sensitive personal information of our clients. We have all heard of personal financial information being leaked or hacked. As Notaries (especially when doing real-estate signings) we have a responsibility to protect our client data. If you don t print your own documents and only shuffle paper, great, obvious secure handling of the documents means making sure no-one else can get or see that data while in your possession. If you are printing your own documents, you can now have more than one digital (file) copy to deal with. Downloading files from the title company or others secure on-line document server generally means we only have one digital file to keep secure. Deleting does not always mean deleted. Many systems (PC, MAC etc.) do not actually delete a file when you delete it, the system just makes it harder to find and the disk space will eventually get written over and become more secure. Any file saved to your PC can potentially be found, this can be a problem if you donate, recycle or allow others to use your computer. very secure for practical purposes. Keeping files until you are paid, makes good sense. So a quick review, non- ed files are safer for us all. Proper setting on servers needs to be checked and files need to be securely deleted when their time is done. Saving only to a couple USB drives, rotating them and reformatting each USB drive after files are no longer needed is another secure method to help with data security. Storing files on a USB drive can be a better option IF you don t put the drive in a pocket or bag and take it with you. Some USB drives have an encryption program so that if you lose your drive it can be more secure. A better method is to reformat the drive which deletes and overwrites the space making it
